When you’re assigned to write a report, it can seem like an intimidating process. Fortunately, if you pay close attention to the report prompt, choose a subject you like, and give yourself plenty of time to research your topic, you might actually find that it’s not so bad. After you gather your research and organize it into an outline, all that’s left is to write out your paragraphs and proofread your paper before you hand it in!

Easy Steps to Write a Report

  • Choose an interesting topic and narrow it down to a specific idea.
  • Take notes as you research your topic. Come up with a thesis, or main theme of your report, based on your research.
  • Outline the main ideas you’ll cover in your report. Then, write the first draft.

Selecting Your Topic

Step 1 Read the report prompt or guidelines carefully.

  • The guidelines will also typically tell you the requirements for the structure and format of your report.
  • If you have any questions about the assignment, speak up as soon as possible. That way, you don’t start working on the report, only to find out you have to start over because you misunderstood the report prompt.

Step 2 Choose a topic

  • For instance, if your report is supposed to be on a historical figure, you might choose someone you find really interesting, like the first woman to be governor of a state in the U.S., or the man who invented Silly Putty.
  • If your report is about information technology , you could gather information about the use of computers to store, retrieve, transmit, and manipulate data or information.
  • Even if you don’t have the option to choose your topic, you can often find something in your research that you find interesting. If your assignment is to give a report on the historical events of the 1960s in America, for example, you could focus your report on the way popular music reflected the events that occurred during that time.

Tip: Always get approval from your teacher or boss on the topic you choose before you start working on the report!

Step 3 Try to pick a topic that is as specific as possible.

  • If you’re not sure what to write about at first, pick a larger topic, then narrow it down as you start researching.
  • For instance, if you wanted to do your report on World Fairs, then you realize that there are way too many of them to talk about, you might choose one specific world fair, such as the Panama-Pacific International Exposition, to focus on.
  • However, you wouldn’t necessarily want to narrow it down to something too specific, like “Food at the Panama-Pacific International Exposition,” since it could be hard to find sources on the subject without just listing a lot of recipes.

Researching the Report

Step 1 Include a variety...

  • If you don’t have guidelines on how many sources to use, try to find 1-2 reputable sources for each page of the report.
  • Sources can be divided into primary sources, like original written works, court records, and interviews, and secondary sources, like reference books and reviews.
  • Databases, abstracts, and indexes are considered tertiary sources, and can be used to help you find primary and secondary sources for your report. [5] X Research source
  • If you’re writing a business report , you may be given some supplementary materials, such as market research or sales reports, or you may need to compile this information yourself. [6] X Research source

Step 2 Visit the library first if you’re writing a report for school.

  • Librarians are an excellent resource when you're working on a report. They can help you find books, articles, and other credible sources.
  • Often, a teacher will limit how many online sources you can use. If you find most of the information you need in the library, you can then use your online sources for details that you couldn’t find anywhere else.

Tip: Writing a report can take longer than you think! Don't put off your research until the last minute , or it will be obvious that you didn't put much effort into the assignment.

Step 3 Use only scholarly sources if you do online research.

  • Examples of authoritative online sources include government websites, articles written by known experts, and publications in peer-reviewed journals that have been published online.

Step 4 Cross-reference your sources to find new material.

  • If you’re using a book as one of your sources, check the very back few pages. That’s often where an author will list the sources they used for their book.

Step 5 Keep thorough notes...

  • Remember to number each page of your notes, so you don’t get confused later about what information came from which source!
  • Remember, you’ll need to cite any information that you use in your report; however, exactly how you do this will depend on the format that was assigned to you.

Step 6 Use your research...

  • For most reports, your thesis statement should not contain your own opinions. However, if you're writing a persuasive report, the thesis should contain an argument that you will have to prove in the body of the essay.
  • An example of a straightforward report thesis (Thesis 1) would be: “The three main halls of the Panama-Pacific International Exposition were filled with modern creations of the day and were an excellent representation of the innovative spirit of the Progressive era.”
  • A thesis for a persuasive report (Thesis 2) might say: “The Panama-Pacific International Exposition was intended as a celebration of the Progressive spirit, but actually harbored a deep racism and principle of white supremacy that most visitors chose to ignore or celebrate.”

Step 7 Organize your notes...

  • The purpose of an outline is to help you to visualize how your essay will look. You can create a straightforward list or make a concept map , depending on what makes the most sense to you.
  • Try to organize the information from your notes so it flows together logically. For instance, it can be helpful to try to group together related items, like important events from a person’s childhood, education, and career, if you’re writing a biographical report.
  • Example main ideas for Thesis 1: Exhibits at the Court of the Universe, Exhibits at the Court of the Four Seasons, Exhibits at the Court of Abundance.

Tip: It can help to create your outline on a computer in case you change your mind as you’re moving information around.

Writing the First Draft

Step 1 Format the report according to the guidelines you were given.

  • Try to follow any formatting instructions to the letter. If there aren't any, opt for something classic, like 12-point Times New Roman or Arial font, double-spaced lines, and 1 in (2.5 cm) margins all around.
  • You'll usually need to include a bibliography at the end of the report that lists any sources you used. You may also need a title page , which should include the title of the report, your name, the date, and the person who requested the report.
  • For some types of reports, you may also need to include a table of contents and an abstract or summary that briefly sums up what you’ve written. It’s typically easier to write these after you’ve finished your first draft. [14] X Research source

Step 2 State your thesis...

  • Example Intro for Thesis 1: “The Panama-Pacific International Exposition (PPIE) of 1915 was intended to celebrate both the creation of the Panama Canal, and the technological advancements achieved at the turn of the century. The three main halls of the PPIE were filled with modern creations of the day and were an excellent representation of the innovative spirit of the Progressive era.”

Step 3 Start each paragraph in the body of the report with a topic sentence.

  • Typically, you should present the most important or compelling information first.
  • Example topic sentence for Thesis 1: At the PPIE, the Court of the Universe was the heart of the exposition and represented the greatest achievements of man, as well as the meeting of the East and the West.

Tip: Assume that your reader knows little to nothing about the subject. Support your facts with plenty of details and include definitions if you use technical terms or jargon in the paper.

Step 4 Support each topic sentence with evidence from your research.

  • Paraphrasing means restating the original author's ideas in your own words. On the other hand, a direct quote means using the exact words from the original source in quotation marks, with the author cited.
  • For the topic sentence listed above about the Court of the Universe, the body paragraph should go on to list the different exhibits found at the exhibit, as well as proving how the Court represented the meeting of the East and West.
  • Use your sources to support your topic, but don't plagiarize . Always restate the information in your own words. In most cases, you'll get in serious trouble if you just copy from your sources word-for-word. Also, be sure to cite each source as you use it, according to the formatting guidelines you were given. Step 5 Follow your evidence with commentary explaining why it links to your thesis.

  • Your commentary needs to be at least 1-2 sentences long. For a longer report, you may write more sentences for each piece of commentary.

Step 6 Summarize your research...

  • Avoid presenting any new information in the conclusion. You don’t want this to be a “Gotcha!” moment. Instead, it should be a strong summary of everything you’ve already told the reader.

Revising Your Report

Step 1 Scan the report to make sure everything is included and makes sense.

  • A good question to ask yourself is, “If I were someone reading this report for the first time, would I feel like I understood the topic after I finished reading?

Tip: If you have time before the deadline, set the report aside for a few days . Then, come back and read it again. This can help you catch errors you might otherwise have missed.

Step 2 Check carefully for proofreading errors.

  • Try reading the report to yourself out loud. Hearing the words can help you catch awkward language or run-on sentences you might not catch by reading it silently.

Step 3 Read each sentence from the end to the beginning.

  • This is a great trick to find spelling errors or grammatical mistakes that your eye would otherwise just scan over.

Step 4 Have someone else proofread it for you.

  • Ask your helper questions like, “Do you understand what I am saying in my report?” “Is there anything you think I should take out or add?” And “Is there anything you would change?”

Step 5 Compare your report to the assignment requirements to ensure it meets expectations.

  • If you have any questions about the assignment requirements, ask your instructor. It's important to know how they'll be grading your assignment.

Some academic assignments ask for a ‘report’, rather than an essay, and students are often confused about what that really means.

Likewise, in business, confronted with a request for a ‘report’ to a senior manager, many people struggle to know what to write.

Confusion often arises about the writing style, what to include, the language to use, the length of the document and other factors.

What is a Report?

In academia there is some overlap between reports and essays, and the two words are sometimes used interchangeably, but reports are more likely to be needed for business, scientific and technical subjects, and in the workplace.

Whereas an essay presents arguments and reasoning, a report concentrates on facts.

Essentially, a report is a short, sharp, concise document which is written for a particular purpose and audience. It generally sets outs and analyses a situation or problem, often making recommendations for future action. It is a factual paper, and needs to be clear and well-structured.

Requirements for the precise form and content of a report will vary between organisation and departments and in study between courses, from tutor to tutor, as well as between subjects, so it’s worth finding out if there are any specific guidelines before you start.

Reports may contain some or all of the following elements:

  • A description of a sequence of events or a situation;
  • Some interpretation of the significance of these events or situation, whether solely your own analysis or informed by the views of others, always carefully referenced of course (see our page on Academic Referencing for more information);
  • An evaluation of the facts or the results of your research;
  • Discussion of the likely outcomes of future courses of action;
  • Your recommendations as to a course of action; and
  • Conclusions.

Not all of these elements will be essential in every report.

If you’re writing a report in the workplace, check whether there are any standard guidelines or structure that you need to use.

For example, in the UK many government departments have outline structures for reports to ministers that must be followed exactly.

Sections and Numbering

A report is designed to lead people through the information in a structured way, but also to enable them to find the information that they want quickly and easily.

Reports usually, therefore, have numbered sections and subsections, and a clear and full contents page listing each heading. It follows that page numbering is important.

Modern word processors have features to add tables of contents (ToC) and page numbers as well as styled headings; you should take advantage of these as they update automatically as you edit your report, moving, adding or deleting sections.

Report Writing

Getting started: prior preparation and planning.

The structure of a report is very important to lead the reader through your thinking to a course of action and/or decision. It’s worth taking a bit of time to plan it out beforehand.

Step 1: Know your brief

You will usually receive a clear brief for a report, including what you are studying and for whom the report should be prepared.

First of all, consider your brief very carefully and make sure that you are clear who the report is for (if you're a student then not just your tutor, but who it is supposed to be written for), and why you are writing it, as well as what you want the reader to do at the end of reading: make a decision or agree a recommendation, perhaps.

Step 2: Keep your brief in mind at all times

During your planning and writing, make sure that you keep your brief in mind: who are you writing for, and why are you writing?

All your thinking needs to be focused on that, which may require you to be ruthless in your reading and thinking. Anything irrelevant should be discarded.

As you read and research, try to organise your work into sections by theme, a bit like writing a Literature Review .

Make sure that you keep track of your references, especially for academic work. Although referencing is perhaps less important in the workplace, it’s also important that you can substantiate any assertions that you make so it’s helpful to keep track of your sources of information.

The Structure of a Report

Like the precise content, requirements for structure vary, so do check what’s set out in any guidance.

However, as a rough guide, you should plan to include at the very least an executive summary, introduction, the main body of your report, and a section containing your conclusions and any recommendations.

Executive Summary

The executive summary or abstract , for a scientific report, is a brief summary of the contents. It’s worth writing this last, when you know the key points to draw out. It should be no more than half a page to a page in length.

Remember the executive summary is designed to give busy 'executives' a quick summary of the contents of the report.

Introduction

The introduction sets out what you plan to say and provides a brief summary of the problem under discussion. It should also touch briefly on your conclusions.

Report Main Body

The main body of the report should be carefully structured in a way that leads the reader through the issue.

You should split it into sections using numbered sub-headings relating to themes or areas for consideration. For each theme, you should aim to set out clearly and concisely the main issue under discussion and any areas of difficulty or disagreement. It may also include experimental results. All the information that you present should be related back to the brief and the precise subject under discussion.

If it’s not relevant, leave it out.

Conclusions and Recommendations

The conclusion sets out what inferences you draw from the information, including any experimental results. It may include recommendations, or these may be included in a separate section.

Recommendations suggest how you think the situation could be improved, and should be specific, achievable and measurable. If your recommendations have financial implications, you should set these out clearly, with estimated costs if possible.

A Word on Writing Style

When writing a report, your aim should be to be absolutely clear. Above all, it should be easy to read and understand, even to someone with little knowledge of the subject area.

You should therefore aim for crisp, precise text, using plain English, and shorter words rather than longer, with short sentences.

You should also avoid jargon. If you have to use specialist language, you should explain each word as you use it. If you find that you’ve had to explain more than about five words, you’re probably using too much jargon, and need to replace some of it with simpler words.

Consider your audience. If the report is designed to be written for a particular person, check whether you should be writing it to ‘you’ or perhaps in the third person to a job role: ‘The Chief Executive may like to consider…’, or ‘The minister is recommended to agree…’, for example.

A Final Warning

As with any academic assignment or formal piece of writing, your work will benefit from being read over again and edited ruthlessly for sense and style.

Pay particular attention to whether all the information that you have included is relevant. Also remember to check tenses, which person you have written in, grammar and spelling. It’s also worth one last check against any requirements on structure.

For an academic assignment, make sure that you have referenced fully and correctly. As always, check that you have not inadvertently or deliberately plagiarised or copied anything without acknowledging it.

Finally, ask yourself:

“Does my report fulfil its purpose?”

Only if the answer is a resounding ‘yes’ should you send it off to its intended recipient.

8.5 Writing Process: Creating an Analytical Report

Learning outcomes.

By the end of this section, you will be able to:

  • Identify the elements of the rhetorical situation for your report.
  • Find and focus a topic to write about.
  • Gather and analyze information from appropriate sources.
  • Distinguish among different kinds of evidence.
  • Draft a thesis and create an organizational plan.
  • Compose a report that develops ideas and integrates evidence from sources.
  • Give and act on productive feedback to works in progress.

You might think that writing comes easily to experienced writers—that they draft stories and college papers all at once, sitting down at the computer and having sentences flow from their fingers like water from a faucet. In reality, most writers engage in a recursive process, pushing forward, stepping back, and repeating steps multiple times as their ideas develop and change. In broad strokes, the steps most writers go through are these:

  • Planning and Organization . You will have an easier time drafting if you devote time at the beginning to consider the rhetorical situation for your report, understand your assignment, gather ideas and information, draft a thesis statement, and create an organizational plan.
  • Drafting . When you have an idea of what you want to say and the order in which you want to say it, you’re ready to draft. As much as possible, keep going until you have a complete first draft of your report, resisting the urge to go back and rewrite. Save that for after you have completed a first draft.
  • Review . Now is the time to get feedback from others, whether from your instructor, your classmates, a tutor in the writing center, your roommate, someone in your family, or someone else you trust to read your writing critically and give you honest feedback.
  • Revising . With feedback on your draft, you are ready to revise. You may need to return to an earlier step and make large-scale revisions that involve planning, organizing, and rewriting, or you may need to work mostly on ensuring that your sentences are clear and correct.

Considering the Rhetorical Situation

Like other kinds of writing projects, a report starts with assessing the rhetorical situation —the circumstance in which a writer communicates with an audience of readers about a subject. As the writer of a report, you make choices based on the purpose of your writing, the audience who will read it, the genre of the report, and the expectations of the community and culture in which you are working. A graphic organizer like Table 8.1 can help you begin.

Summary of Assignment

Write an analytical report on a topic that interests you and that you want to know more about. The topic can be contemporary or historical, but it must be one that you can analyze and support with evidence from sources.

The following questions can help you think about a topic suitable for analysis:

  • Why or how did ________ happen?
  • What are the results or effects of ________?
  • Is ________ a problem? If so, why?
  • What are examples of ________ or reasons for ________?
  • How does ________ compare to or contrast with other issues, concerns, or things?

Consult and cite three to five reliable sources. The sources do not have to be scholarly for this assignment, but they must be credible, trustworthy, and unbiased. Possible sources include academic journals, newspapers, magazines, reputable websites, government publications or agency websites, and visual sources such as TED Talks. You may also use the results of an experiment or survey, and you may want to conduct interviews.

Consider whether visuals and media will enhance your report. Can you present data you collect visually? Would a map, photograph, chart, or other graphic provide interesting and relevant support? Would video or audio allow you to present evidence that you would otherwise need to describe in words?

Another Lens. To gain another analytic view on the topic of your report, consider different people affected by it. Say, for example, that you have decided to report on recent high school graduates and the effect of the COVID-19 pandemic on the final months of their senior year. If you are a recent high school graduate, you might naturally gravitate toward writing about yourself and your peers. But you might also consider the adults in the lives of recent high school graduates—for example, teachers, parents, or grandparents—and how they view the same period. Or you might consider the same topic from the perspective of a college admissions department looking at their incoming freshman class.

Quick Launch: Finding and Focusing a Topic

Coming up with a topic for a report can be daunting because you can report on nearly anything. The topic can easily get too broad, trapping you in the realm of generalizations. The trick is to find a topic that interests you and focus on an angle you can analyze in order to say something significant about it. You can use a graphic organizer to generate ideas, or you can use a concept map similar to the one featured in Writing Process: Thinking Critically About a “Text.”

Asking the Journalist’s Questions

One way to generate ideas about a topic is to ask the five W (and one H) questions, also called the journalist’s questions : Who? What? When? Where? Why? How? Try answering the following questions to explore a topic:

Who was or is involved in ________?

What happened/is happening with ________? What were/are the results of ________?

When did ________ happen? Is ________ happening now?

Where did ________ happen, or where is ________ happening?

Why did ________ happen, or why is ________ happening now?

How did ________ happen?

For example, imagine that you have decided to write your analytical report on the effect of the COVID-19 shutdown on high-school students by interviewing students on your college campus. Your questions and answers might look something like those in Table 8.2 :

Asking Focused Questions

Another way to find a topic is to ask focused questions about it. For example, you might ask the following questions about the effect of the 2020 pandemic shutdown on recent high school graduates:

  • How did the shutdown change students’ feelings about their senior year?
  • How did the shutdown affect their decisions about post-graduation plans, such as work or going to college?
  • How did the shutdown affect their academic performance in high school or in college?
  • How did/do they feel about continuing their education?
  • How did the shutdown affect their social relationships?

Any of these questions might be developed into a thesis for an analytical report. Table 8.3 shows more examples of broad topics and focusing questions.

Gathering Information

Because they are based on information and evidence, most analytical reports require you to do at least some research. Depending on your assignment, you may be able to find reliable information online, or you may need to do primary research by conducting an experiment, a survey, or interviews. For example, if you live among students in their late teens and early twenties, consider what they can tell you about their lives that you might be able to analyze. Returning to or graduating from high school, starting college, or returning to college in the midst of a global pandemic has provided them, for better or worse, with educational and social experiences that are shared widely by people their age and very different from the experiences older adults had at the same age.

Some report assignments will require you to do formal research, an activity that involves finding sources and evaluating them for reliability, reading them carefully, taking notes, and citing all words you quote and ideas you borrow. See Research Process: Accessing and Recording Information and Annotated Bibliography: Gathering, Evaluating, and Documenting Sources for detailed instruction on conducting research.

Whether you conduct in-depth research or not, keep track of the ideas that come to you and the information you learn. You can write or dictate notes using an app on your phone or computer, or you can jot notes in a journal if you prefer pen and paper. Then, when you are ready to begin organizing your report, you will have a record of your thoughts and information. Always track the sources of information you gather, whether from printed or digital material or from a person you interviewed, so that you can return to the sources if you need more information. And always credit the sources in your report.

Kinds of Evidence

Depending on your assignment and the topic of your report, certain kinds of evidence may be more effective than others. Other kinds of evidence may even be required. As a general rule, choose evidence that is rooted in verifiable facts and experience. In addition, select the evidence that best supports the topic and your approach to the topic, be sure the evidence meets your instructor’s requirements, and cite any evidence you use that comes from a source. The following list contains different kinds of frequently used evidence and an example of each.

Definition : An explanation of a key word, idea, or concept.

The U.S. Census Bureau refers to a “young adult” as a person between 18 and 34 years old.

Example : An illustration of an idea or concept.

The college experience in the fall of 2020 was starkly different from that of previous years. Students who lived in residence halls were assigned to small pods. On-campus dining services were limited. Classes were small and physically distanced or conducted online. Parties were banned.

Expert opinion : A statement by a professional in the field whose opinion is respected.

According to Louise Aronson, MD, geriatrician and author of Elderhood , people over the age of 65 are the happiest of any age group, reporting “less stress, depression, worry, and anger, and more enjoyment, happiness, and satisfaction” (255).

Fact : Information that can be proven correct or accurate.

According to data collected by the NCAA, the academic success of Division I college athletes between 2015 and 2019 was consistently high (Hosick).

Interview : An in-person, phone, or remote conversation that involves an interviewer posing questions to another person or people.

During our interview, I asked Betty about living without a cell phone during the pandemic. She said that before the pandemic, she hadn’t needed a cell phone in her daily activities, but she soon realized that she, and people like her, were increasingly at a disadvantage.

Quotation : The exact words of an author or a speaker.

In response to whether she thought she needed a cell phone, Betty said, “I got along just fine without a cell phone when I could go everywhere in person. The shift to needing a phone came suddenly, and I don’t have extra money in my budget to get one.”

Statistics : A numerical fact or item of data.

The Pew Research Center reported that approximately 25 percent of Hispanic Americans and 17 percent of Black Americans relied on smartphones for online access, compared with 12 percent of White people.

Survey : A structured interview in which respondents (the people who answer the survey questions) are all asked the same questions, either in person or through print or electronic means, and their answers tabulated and interpreted. Surveys discover attitudes, beliefs, or habits of the general public or segments of the population.

A survey of 3,000 mobile phone users in October 2020 showed that 54 percent of respondents used their phones for messaging, while 40 percent used their phones for calls (Steele).

  • Visuals : Graphs, figures, tables, photographs and other images, diagrams, charts, maps, videos, and audio recordings, among others.

Thesis and Organization

Drafting a thesis.

When you have a grasp of your topic, move on to the next phase: drafting a thesis. The thesis is the central idea that you will explore and support in your report; all paragraphs in your report should relate to it. In an essay-style analytical report, you will likely express this main idea in a thesis statement of one or two sentences toward the end of the introduction.

For example, if you found that the academic performance of student athletes was higher than that of non-athletes, you might write the following thesis statement:

The thesis statement often previews the organization of your writing. For example, in his report on the U.S. response to the COVID-19 pandemic in 2020, Trevor Garcia wrote the following thesis statement, which detailed the central idea of his report:

After you draft a thesis statement, ask these questions, and examine your thesis as you answer them. Revise your draft as needed.

  • Is it interesting? A thesis for a report should answer a question that is worth asking and piques curiosity.
  • Is it precise and specific? If you are interested in reducing pollution in a nearby lake, explain how to stop the zebra mussel infestation or reduce the frequent algae blooms.
  • Is it manageable? Try to split the difference between having too much information and not having enough.

Organizing Your Ideas

As a next step, organize the points you want to make in your report and the evidence to support them. Use an outline, a diagram, or another organizational tool, such as Table 8.4 .

Drafting an Analytical Report

With a tentative thesis, an organization plan, and evidence, you are ready to begin drafting. For this assignment, you will report information, analyze it, and draw conclusions about the cause of something, the effect of something, or the similarities and differences between two different things.

Introduction

Some students write the introduction first; others save it for last. Whenever you choose to write the introduction, use it to draw readers into your report. Make the topic of your report clear, and be concise and sincere. End the introduction with your thesis statement. Depending on your topic and the type of report, you can write an effective introduction in several ways. Opening a report with an overview is a tried-and-true strategy, as shown in the following example on the U.S. response to COVID-19 by Trevor Garcia. Notice how he opens the introduction with statistics and a comparison and follows it with a question that leads to the thesis statement (underlined).

For a less formal report, you might want to open with a question, quotation, or brief story. The following example opens with an anecdote that leads to the thesis statement (underlined).

A sign posted on the door provided a phone number for her to call to be let in, but at 81, Betty had lived her life without a cell phone. Betty’s day-to-day life had been hard during the pandemic, but she had planned for this haircut and was looking forward to it; she had a mask on and hand sanitizer in her car. Now she couldn’t get in the door, and she was discouraged. In that moment, Betty realized how much Americans’ dependence on cell phones had grown in the months since the pandemic began. underline Betty and thousands of other senior citizens who could not afford cell phones or did not have the technological skills and support they needed were being left behind in a society that was increasingly reliant on technology end underline . end student sample text

Body Paragraphs: Point, Evidence, Analysis

Use the body paragraphs of your report to present evidence that supports your thesis. A reliable pattern to keep in mind for developing the body paragraphs of a report is point , evidence , and analysis :

  • The point is the central idea of the paragraph, usually given in a topic sentence stated in your own words at or toward the beginning of the paragraph. Each topic sentence should relate to the thesis.
  • The evidence you provide develops the paragraph and supports the point made in the topic sentence. Include details, examples, quotations, paraphrases, and summaries from sources if you conducted formal research. Synthesize the evidence you include by showing in your sentences the connections between sources.
  • The analysis comes at the end of the paragraph. In your own words, draw a conclusion about the evidence you have provided and how it relates to the topic sentence.

The paragraph below illustrates the point, evidence, and analysis pattern. Drawn from a report about concussions among football players, the paragraph opens with a topic sentence about the NCAA and NFL and their responses to studies about concussions. The paragraph is developed with evidence from three sources. It concludes with a statement about helmets and players’ safety.

student sample text The NCAA and NFL have taken steps forward and backward to respond to studies about the danger of concussions among players. Responding to the deaths of athletes, documented brain damage, lawsuits, and public outcry (Buckley et al., 2017), the NCAA instituted protocols to reduce potentially dangerous hits during football games and to diagnose traumatic head injuries more quickly and effectively. Still, it has allowed players to wear more than one style of helmet during a season, raising the risk of injury because of imperfect fit. At the professional level, the NFL developed a helmet-rating system in 2011 in an effort to reduce concussions, but it continued to allow players to wear helmets with a wide range of safety ratings. The NFL’s decision created an opportunity for researchers to look at the relationship between helmet safety ratings and concussions. Cocello et al. (2016) reported that players who wore helmets with a lower safety rating had more concussions than players who wore helmets with a higher safety rating, and they concluded that safer helmets are a key factor in reducing concussions. end student sample text

Developing Paragraph Content

In the body paragraphs of your report, you will likely use examples, draw comparisons, show contrasts, or analyze causes and effects to develop your topic.

Paragraphs developed with Example are common in reports. The paragraph below, adapted from a report by student John Zwick on the mental health of soldiers deployed during wartime, draws examples from three sources.

student sample text Throughout the Vietnam War, military leaders claimed that the mental health of soldiers was stable and that men who suffered from combat fatigue, now known as PTSD, were getting the help they needed. For example, the New York Times (1966) quoted military leaders who claimed that mental fatigue among enlisted men had “virtually ceased to be a problem,” occurring at a rate far below that of World War II. Ayres (1969) reported that Brigadier General Spurgeon Neel, chief American medical officer in Vietnam, explained that soldiers experiencing combat fatigue were admitted to the psychiatric ward, sedated for up to 36 hours, and given a counseling session with a doctor who reassured them that the rest was well deserved and that they were ready to return to their units. Although experts outside the military saw profound damage to soldiers’ psyches when they returned home (Halloran, 1970), the military stayed the course, treating acute cases expediently and showing little concern for the cumulative effect of combat stress on individual soldiers. end student sample text

When you analyze causes and effects , you explain the reasons that certain things happened and/or their results. The report by Trevor Garcia on the U.S. response to the COVID-19 pandemic in 2020 is an example: his report examines the reasons the United States failed to control the coronavirus. The paragraph below, adapted from another student’s report written for an environmental policy course, explains the effect of white settlers’ views of forest management on New England.

student sample text The early colonists’ European ideas about forest management dramatically changed the New England landscape. White settlers saw the New World as virgin, unused land, even though indigenous people had been drawing on its resources for generations by using fire subtly to improve hunting, employing construction techniques that left ancient trees intact, and farming small, efficient fields that left the surrounding landscape largely unaltered. White settlers’ desire to develop wood-built and wood-burning homesteads surrounded by large farm fields led to forestry practices and techniques that resulted in the removal of old-growth trees. These practices defined the way the forests look today. end student sample text

Compare and contrast paragraphs are useful when you wish to examine similarities and differences. You can use both comparison and contrast in a single paragraph, or you can use one or the other. The paragraph below, adapted from a student report on the rise of populist politicians, compares the rhetorical styles of populist politicians Huey Long and Donald Trump.

student sample text A key similarity among populist politicians is their rejection of carefully crafted sound bites and erudite vocabulary typically associated with candidates for high office. Huey Long and Donald Trump are two examples. When he ran for president, Long captured attention through his wild gesticulations on almost every word, dramatically varying volume, and heavily accented, folksy expressions, such as “The only way to be able to feed the balance of the people is to make that man come back and bring back some of that grub that he ain’t got no business with!” In addition, Long’s down-home persona made him a credible voice to represent the common people against the country’s rich, and his buffoonish style allowed him to express his radical ideas without sounding anti-communist alarm bells. Similarly, Donald Trump chose to speak informally in his campaign appearances, but the persona he projected was that of a fast-talking, domineering salesman. His frequent use of personal anecdotes, rhetorical questions, brief asides, jokes, personal attacks, and false claims made his speeches disjointed, but they gave the feeling of a running conversation between him and his audience. For example, in a 2015 speech, Trump said, “They just built a hotel in Syria. Can you believe this? They built a hotel. When I have to build a hotel, I pay interest. They don’t have to pay interest, because they took the oil that, when we left Iraq, I said we should’ve taken” (“Our Country Needs” 2020). While very different in substance, Long and Trump adopted similar styles that positioned them as the antithesis of typical politicians and their worldviews. end student sample text

The conclusion should draw the threads of your report together and make its significance clear to readers. You may wish to review the introduction, restate the thesis, recommend a course of action, point to the future, or use some combination of these. Whichever way you approach it, the conclusion should not head in a new direction. The following example is the conclusion from a student’s report on the effect of a book about environmental movements in the United States.

student sample text Since its publication in 1949, environmental activists of various movements have found wisdom and inspiration in Aldo Leopold’s A Sand County Almanac . These audiences included Leopold’s conservationist contemporaries, environmentalists of the 1960s and 1970s, and the environmental justice activists who rose in the 1980s and continue to make their voices heard today. These audiences have read the work differently: conservationists looked to the author as a leader, environmentalists applied his wisdom to their movement, and environmental justice advocates have pointed out the flaws in Leopold’s thinking. Even so, like those before them, environmental justice activists recognize the book’s value as a testament to taking the long view and eliminating biases that may cloud an objective assessment of humanity’s interdependent relationship with the environment. end student sample text

Citing Sources

You must cite the sources of information and data included in your report. Citations must appear in both the text and a bibliography at the end of the report.

The sample paragraphs in the previous section include examples of in-text citation using APA documentation style. Trevor Garcia’s report on the U.S. response to COVID-19 in 2020 also uses APA documentation style for citations in the text of the report and the list of references at the end. Your instructor may require another documentation style, such as MLA or Chicago.

Peer Review: Getting Feedback from Readers

You will likely engage in peer review with other students in your class by sharing drafts and providing feedback to help spot strengths and weaknesses in your reports. For peer review within a class, your instructor may provide assignment-specific questions or a form for you to complete as you work together.

If you have a writing center on your campus, it is well worth your time to make an online or in-person appointment with a tutor. You’ll receive valuable feedback and improve your ability to review not only your report but your overall writing.

Another way to receive feedback on your report is to ask a friend or family member to read your draft. Provide a list of questions or a form such as the one in Table 8.5 for them to complete as they read.

Revising: Using Reviewers’ Responses to Revise your Work

When you receive comments from readers, including your instructor, read each comment carefully to understand what is being asked. Try not to get defensive, even though this response is completely natural. Remember that readers are like coaches who want you to succeed. They are looking at your writing from outside your own head, and they can identify strengths and weaknesses that you may not have noticed. Keep track of the strengths and weaknesses your readers point out. Pay special attention to those that more than one reader identifies, and use this information to improve your report and later assignments.

As you analyze each response, be open to suggestions for improvement, and be willing to make significant revisions to improve your writing. Perhaps you need to revise your thesis statement to better reflect the content of your draft. Maybe you need to return to your sources to better understand a point you’re trying to make in order to develop a paragraph more fully. Perhaps you need to rethink the organization, move paragraphs around, and add transition sentences.

Reading these comments and those of others, Trevor decided to combine the three short paragraphs into one paragraph focusing on the fact that the United States knew a pandemic was possible but was unprepared for it. He developed the paragraph, using the short paragraphs as evidence and connecting the sentences and evidence with transitional words and phrases. Finally, he added in-text citations in APA documentation style to credit his sources. The revised paragraph is below:

Imagine the scene. It’s exam day. You’re nearly at the end of your Cambridge English B2 First exam . You’ve just finished writing Part 1 – the essay , and now it’s time to start Part 2. So you turn over the page to find three options:

– A review you know

– An article you’ve seen before

– But what’s this? A report??*

Don’t be intimidated. A report is another formal writing task. And it’s actually quite formulaic, which makes it a popular choice for students in Writing Part 2. It’s also a great opportunity to show you can communicate factual information, in a formal tone with clear organisation.

Excited to learn how to write a first-rate report? Good. We’re here to help you every step of the way and make sure you leave that exam full of confidence that you’ve passed.

*Remember you only need to choose one question to answer. Other titles may include an informal or formal email, and at B2 First for Schools there is a story option instead of a report.

Three steps to writing a report for Cambridge B2 First

Let’s begin by taking a look at a typical question for the report.

Step One: Make a plan

Before you put pen to paper and start your report, hold your horses . A plan is the best chance you have for success. Start by asking these two questions:

1. Who is the report for?

Take a look at the reader of your report. It’s normally a teacher, a superior or a peer group like the members of a book club. In this case your audience is a group leader . That means you should keep the tone nice and formal . Try to avoid contractions, colloquial language and keep it polite.

2. What do you have to do?

Look at the question and underline all the key parts. This will help focus your attention on the task in hand and decide how to organise your report.

There’ll normally be two or three things they want you to do and you’ll always be asked to give a recommendation or suggestion.

The structure is the bones of your report. It’s so important because it holds everything together. Here’s one way to organise your report but perhaps you have another idea?

1. Introduction

2. How technology is used in subject X

3. How technology is used in subject Y

4. Your recommendation for which lesson the teacher should watch

The trick is to keep the structure nice and simple. And always check you’re answering the question.

Brainstorm:

Now you have a clear outline, consider the main topic paragraphs and what you want to include. If you get stuck , think about your own real life experiences. How is technology used in your own lessons at school? Make some notes on your ideas.

Step Two: Write it

If you haven’t skipped the planning stage, writing your report should be easy. An important thing to add here is that reports often contain subheadings. In fact, in the B2 First exam they are strongly encouraged!

Introduction

Remember that a report is a document that presents information in a clear and organised way. Think about science reports or statistical reports. They have strong introductions that clearly state their aims.

Useful language:

  • The aim / purpose / intention of this report is to…
  • In this report I will look at…
  • This report is based on…
  • This report is intended to…

Here’s what a clearly defined report intro might look like…

Just make sure you don’t copy words from the question exactly, and instead try to paraphrase .

Main body of report

This is where we get to the main body of the report. Again, we want to keep it really clear and organised and one way to do that is with bullet points or numbering .

However, don’t overdo it. If you use bullets and numbering in one section, avoid using them in the next. You want to show off that you can write well in English and use a wide range of vocabulary and structures. You also want to use some fancy, formal sounding linkers to connect your ideas.

  • It appears that…
  • According to…
  • One way…
  • Another way…
  • Furthermore / In addition…

Now move on to your second paragraph. Try to stay general and avoid personal anecdotes. Don’t start talking about what you like to do at school in your technology classes or what you had for dinner last night. Instead, keep things relevant to the task.

A good way to do this is by using passive reporting verbs:

  • It is generally believed that…
  • It is thought that…
  • One way in which technology is used…
  • X is considered to be…

Remember to expand on your points giving reasons for your ideas. And if you do everything right, your second paragraph may look something like this.

Recommendations

Here’s the fun part! This is where you can look back at your ideas and give your own opinion. Make sure you mention the ideas from the previous paragraphs and don’t forget to give reasons why.

  • All things considered…
  • I would recommend / suggest + ing…
  • I would recommend / suggest + object + infinitive (no to)…
  • Based on all the findings…
  • Although both… , I think that…
  • It would seem that……

If you run out of things to say – remember you can mention the weaknesses of the other option.

Step Three: Check it

Now hopefully you’ve written a report to be proud of. The only thing left to do is to refine it before the time is up !

Make sure you’ve:

  • answered all parts of the question, including making a recommendation/suggestion
  • used formal language and no contractions like I’m, It’s, haven’t etc.
  • written subheadings for each paragraph
  • used correct spelling and punctuation
  • linked your sentences with connectors eg. However, Because, Although, Furthermore, etc .

hold your horses (exp): used to tell someone to stop and consider carefully their decision or opinion about something.

the bones of sth. (n): the structure or main idea of something.

get stuck (v): to be in a position where you’re unable to move.

skipped (v): missed out to move on to the next thing.

paraphrase (n): to say something in a different way but so it means the same.

overdo (v): to do too much of something.

show off (pv): to show your abilities and accomplishments.

expand on (v): to develop an idea.

run out of (pv): to deplete / to be used up.

time is up (exp): the time allowed is finished.

exp = expression

pv = phrasal verb

1 Good practice in writing

This course is a general guide and will introduce you to the principles of good practice that can be applied to all writing. If you work on developing these, you will have strong basic (or ‘core’) skills to apply in any writing situation. For assistance with specific aspects of any course you are to study, always refer to any guidance notes or handbooks that have been provided.

This course won't solve all your difficulties immediately; developing your writing skills is an ongoing process, and one that involves frequent reflection on the way you tackle assignments. By the time you have come to the end of the course, however, we hope that you will be able to break down the task of essay or report writing into separate elements, identify which of these elements you want to work on, and develop an action plan to enable you to manage your own improvement.

How to use this course

You can use this course in a variety of ways. You can dip into it, choosing the sections that you feel are most relevant to your needs, or you can work through it from start to finish. However, we suggest that you don't use it in isolation but in conjunction with your current study, ideally while you are working on an assigment or report . It is essentially a workbook, and includes a number of activities, which we hope you will do as you study your chosen course. There is also an action plan. You can only really improve through practice. Like swimming, no-one learns assignment writing by reading a book, although it may give useful advice on technique.

2 Identifying key concerns

2.1 your feelings about writing.

Think for a moment about your reasons for studying this course. Is it perhaps because you don't understand what is expected of you in your assignments, or that you aren't clear about how to improve? What are your feelings about your writing skills? What previous experience have you had (if any) of essay or report writing?

You might find it helpful to write down your thoughts at this stage in your Learning Journal and keep them for future reference. You can look back on them at another time and see if they have changed in any way.

Don't be despondent if some of your responses are negative. It's the aim of this course to turn those negatives into positives. In a few months’ time, you should be able to look back on these initial responses and feel that you have made progress.

Do any of the following relate to your own circumstances?

It's a very long time since I've done anything like this. I've forgotten how to do it.

I'm not familiar with the British educational system. What I was taught seems to be quite different from what is expected here.

I feel I'm putting myself up just to be shot down. I'm really exposing my weaknesses.

I enjoy writing, but there seems to be a mystique to this kind of ‘academic’ writing that I can't fathom.

I love writing essays but this course requires reports, and I feel frustrated because they constrain my style.

I find that I write in one way for one tutor, and that's acceptable to her, but then the next tutor says I should do it differently. What is right?

2.2 Developing writing styles

If any of the statements on the previous page rings true, let us reassure you: many other students are feeling the same as you. Writing skills can be learned . We want to emphasise straightaway that this is a process that can be continually developed.

There is no single ‘correct’ way of writing: different academic disciplines demand different styles. This can be confusing if you feel that you've mastered what is required for one course, only to find that something different is expected on another. You might feel more comfortable with one particular style of writing or presentation rather than another. You will also have your own individual way of writing, which reflects your personality or your culture: think of this as a strength that can be built on.

3 The purpose of writing

Let's take a step back and think about why you are writing assignments. As with most tasks, if you have an understanding of why you are doing something and how it fits into the bigger picture, it is easier to define what is required of you and therefore to do a good job.

So, what do you see as the reasons for writing assignments? Here are some suggestions:

to meet the assessment requirements of my course;

to demonstrate my understanding of particular topics to my tutor;

to check that my writing is at the right level for my course.

Most students tend to view the writing process in these terms: that it provides evidence of their understanding and skills to whoever is marking their work. It is possible to engage with the course materials for a while without knowing whether or not you have really understood what the writer is conveying. If you have the opportunity to attend tutorials, you may be able to listen to what is going on without feeling you have to say very much. Then comes the crunch. An assignment is due, and you are forced to expose your thinking and understanding to someone else – and be awarded marks for it. For many students, anxiety about assessment can overshadow the enjoyment and personal growth that the writing process can offer.

But what if you change the focus? While formal assessment is obviously important, take a moment to ask yourself ‘What can I gain from the writing process?’

Would you agree with the following statements? An assignment:

(a) provides an opportunity for me to think about different viewpoints or perspectives;

(b) helps me to come to a better, personal understanding of important theories and concepts; to internalise knowledge and ideas, ‘making them my own’;

(c) builds on my ability to analyse and apply new ideas;

(d) allows me to obtain feedback from my tutor and advice on how to improve;

(e) helps pull the course together and enables me to check out my progress.

Assignments are not just about producing something to please your tutor and gaining good marks, nor about moving bits of course material around into a slightly different form. The process of writing is an integral part of your personal learning development, improving your skills and understanding of the subject area.

4 Understanding the task

4.1 writing requirements.

Being a successful writer in one area doesn't always make it easy to know what is required in another. Here are some general questions that you can ask to help define the requirements for particular pieces of writing:

What will my tutor be expecting? (this is sometimes phrased as ‘think about the audience’)

What is the most appropriate format: report or essay? Do I have a choice, or is it stipulated in any guidance notes I've been given?

What is the question asking?

Is the aim to inform, to analyse or to recommend – or perhaps something else?

Is there a recommended length?

Is there advice about how to distribute the word allocation between sections?

Is a formal style required (‘it could be argued …’) or a more personal tone (‘I think…’)?

Your answers to these questions will depend on the type of assignment you are being asked to write and the advice or guidance given for that assignment, or for the course more generally. Your tutor will be able to help if you are unsure.

We will concentrate on two forms here, the report and the essay.

4.2 Reports

Let's look at reports first.

Note down in your Learning Journal what you consider to be the purpose of a report.

Your answer may well depend on the subject you are studying, and again we would recommend that you refer to any guidance notes that you may have been given. Essentially a report can be simplified into three general principles:

How was it done?

Why was it done?

What does it mean?

Once you are clear in your mind about these questions in relation to a particular assignment, you will be in a position to think how best to proceed in answering them.

In general, a good report is one that you don't need to reread, it is clear and the information that it contains is easy to find. The structure is fairly rigid, usually divided into sections, probably with subheadings, each performing a very specific task. For example a scientific report will be a structured account of an investigation or experiment that you have carried out, whereas a business report may require you to imagine that you are making recommendations to your boss or colleagues for a particular course of action. You need to strive for relevance and conciseness, and your report should proceed in a logical and ordered way.

Now let's turn to essays.

Note down in your Learning Journal what you consider to be the purpose of an essay.

Michel de Montaigne, a French philosopher, developed the essay form in the 16th century. The term itself derives from the French word essai meaning ‘testing’ or ‘trying out’. The purpose was (and still remains):

To try out or test a proposition or ideas in the context of other thinkers and in the light of personal experience and judgement.

In Montaigne's day, the idea of applying your personal assessment to issues, rather than deferring to authority, was quite revolutionary. If you look ahead to the sample essay questions in Activity 9 (don't worry about how you would answer these questions; they are drawn from a wide range of subjects and levels), you can see how this approach applies. In most of them, you are given a statement to test, to try out the arguments and opinions for and against a particular position by demonstrating a use of evidence.

The essay should guide the reader from the issue(s) raised in the title to a conclusion, by developing a clear and logical line of thought so that the reader is not side-tracked by points that are not directly relevant. It is normally in the form of continuous prose, using paragraphs but probably not using headings or numbers. This means that, while the essay may be broken up into paragraphs, generally the writing flows along without interruption.

An essay needs:

an introduction, telling the reader what the essay is about;

a main body, containing the ‘meat’ of the essay, where you outline your particular point of view, while demonstrating awareness of other perspectives or interpretation;

a conclusion, summarising the content of the essay clearly and concisely.

4.4 Stages in assignment writing

Note down in your Learning Journal what you think the stages are that you have to go through in producing an assignment, from beginning to end.

You may well have thought of some, if not all, of the following stages:

preparation

reflecting on the feedback.

Let's break down these stages further.

Preparation

This stage consists of:

estimating the time available for the task

identifying what the question is asking of you

taking note of the guidance you have been given

researching or carrying out an experiment or collecting data

making notes

thinking over your ideas.

Planning your assignment involves:

working out an appropriate and logical structure

identifying what is relevant and what is not

taking account of the word limit

refining your ideas

selecting appropriate evidence or quotations.

This stage comprises a single task:

writing the assignment, perhaps with one or more early drafts.

Polishing your assignment means:

reviewing what you have written and making changes

checking your spelling and grammar

making sure your references are correct

checking the word count.

This is more than just sending off your assignment. Letting go includes:

deciding when the assignment is finished

submitting the assignment

conducting a self-review.

Reflecting on tutor feedback

And finally:

comparing your self-review with your grade and tutor comments.

As you can see, the actual writing of the assignment is only one part of the process.

4.5 A different perspective

If we present the list in a different way . Figure 1 ), you can also see that this process is not linear. It is not simply a case of beginning with an analysis of the assignment and ending with a consideration of your tutor's comments. It involves frequent revisiting of earlier stages, checking and reflecting: two steps forward, one step back. You may notice how much depends on a constant referring back to the question.

5 Preparation

5.1 estimating the time for the task.

First you need to know how much time you have available for your assignment. The pacing of your studies comes outside the scope of this course, but it can be very de-motivating when you no longer feel in control of your studies because – for whatever reason – you have fallen behind. So it is extremely important to meet the deadlines set by the course team in your course calendar whenever possible.

Look ahead to the submission date of your next assignment. How much time can you allow yourself to go through all the stages? Take account of your known personal commitments and how much time you think that they will involve. Do you know much about the topic or will it require a great deal of extra work? How long does it usually take you to write down your thoughts? Try to set aside blocks of time in your study calendar or diary.

You need to be both realistic and flexible. Almost certainly you won't have the amount of time you would ideally like, and it's also possible that something will happen at work or home which will affect your timetable. However, having blocked out the time in your study calendar or diary, see how far you can stick to it. If you find that you need more time for certain stages, then have another go for the next assignment, allowing the extra time in order to make it more workable.

5.1.1 Do you dread deadlines?

Of course, there are lots of different patterns of working: some students can only work to deadlines at the very last minute; while others prefer to work in shorter snatches over longer periods. The main problem with the former is that you may have to skip over some of the points we are now discussing, which could be counter-productive.

Waiting until the last minute may be because you are afraid to begin. If this applies to you – as it will to many others – you might find it helpful to pause here and consider why you feel this way.

Spend a few minutes answering the question: Why do I always seem to look for excuses to delay beginning work on my assignment?

Is it because you are frightened by the prospect of starting? Perhaps you have looked at the title and felt that you just don't understand what is wanted. You have some ideas but don't know how to put them together. Maybe you just don't want to do it; it seems a daunting task. Or is it because you need to develop your reading or note taking skills? Try reflecting on your own experience. Then you will be in a better position to help yourself, if procrastination is a problem. You can ask yourself, ‘What am I going to do about this?’ What help do I need?’ We hope this course will provide some of that help.

5.1.2 ‘Good enough’ is OK

We can almost hear you saying that you never have enough time for your assignments, whatever your approach, and we empathise with this view. This may be even more of a problem if English is not your first language. It is well known that time constraints are a barrier in distance learning, and you may well have to be satisfied with doing what is good enough, whatever your circumstances. Your aim should not be to submit the ‘perfect’ assignment (even if there were such a thing). Look again at the discussion of the purpose of an essay in Activity 4 . Your aim should be to do the best you can in the circumstances, to learn from the experience and benefit from your tutor's comments so that you can improve for the next time.

5.2 The question

5.2.1 when to look at the question.

At what stage do you look at the title of your next assignment?

Note down in your Learning Journal what you think are the advantages and disadvantages of looking at the title before and after starting to work through the relevant section of your course.

Your answer may contain some of the following points.

There is no right or wrong approach and again, much may depend on the amount of time you have available and your own preferred style of learning.

5.2.2 Opening up ideas: analysing the question

What do you need to know about your assignment? Most importantly, what it's about (i.e. the topic). Once you have worked this out, you are in a better position to gauge how much you already know and how much you will need to find out.

Here are some assignment titles from a range of different courses. Although the subject matter may not be familiar, try to put into words how you would explain to someone else what each question is about.

Outline the Marxist model of class divisions. How does the growth of the middle class affect the model?

Compare and contrast the differences in state development of any two nineteenth century European countries or empires.

In general, Victorian culture was activated by a dislike of industrialisation and urbanisation: the country was seen as a repository of enduring values. Do you agree?

Based on knowledge of your organisation, or one you know well, and using concepts and methods from Unit 13:

(a) explain with the help of a diagram how you identify the critical issues within your organisation's environment

(b) how do managers in your organisation typically cope with environmental issues? Discuss relevant coping strategies as they are applied, or could be applied, to these issues.

Describe and contrast two African poems and either one African story or piece of African music, which you have studied in the course so far. Relate this to the economics and politics of contemporary development.

What are the similarities and differences between the mineralogical compositions of the basalt, S3, and the meteorite, EETA 79001?

It isn't easy, is it? Take, for example, question 3: is it just ‘about’ Victorian culture? What would your tutor say if you wrote all you know about Victorian culture? He or she would surely comment that you have not focused on the Victorians’ dislike of industrialisation and urbanisation and their preference for country life. So, what would your tutor say if you had covered these specific aspects of Victorian culture, but in a purely descriptive way? The feedback could well say that, although you showed a good understanding of these issues, you did not say whether or not you have agreed with this suggestion, as the essay title requires. If you had done that, you would get a good grade. However, you would have achieved an even higher grade if you had commented on the significance of the words ‘in general’ and defined some of the terms, which could need clarification, such as ‘culture’ and ‘enduring values’.

Take another look at the titles in Activity 9. For each of them, indicate which of the following tasks you are being asked to do:

  • (a) describe ‘x’

  • (c) state whether you agree with ‘x’

Activity 11

Now look at the title of your next assignment. Ask yourself, ‘What is this question asking me to demonstrate?’ For example:

(a) specific subject knowledge – from your recent reading/tutorials/TV programmes/audio cassettes, are there particular aspects of the course that are being sought by this question?

(b) understanding and application of theories and concepts – is there a combination of these to draw on? (Even if you are being asked to comment on one particular set of ideas or concepts, it is usually expected that you have considered alternatives – and these may contribute to your analysis.)

(c) an ability to identify links to related sections of your course – are you expected to make new links for yourself or to notice and comment on links pointed out in course material?

(d) personal experience – are you expected to draw on this?

(e) skill development – what particular skill(s) in writing assignments do you feel you need to work on?

Do any of these questions apply to your assignment, or are you being asked to do something quite different? If so, what? If you are still not sure, contact your tutor for reassurance or clarification. Try the approach ‘I'm not quite clear whether this assignment is asking me to … or …’. Or perhaps you could check your reading of the question with another student, to see if your interpretation of it is similar to his or hers.

Remember, this is still your first – almost surface – reading of the question. It is important to keep your options open. Don't rule anything out at this stage.

5.3 Researching

‘Research’ may sound rather a grand word for what you feel you do at this point of preparation for your assignment. Don't worry: essentially all it involves is finding out more about the topic in hand.

Let's use a dictionary as an example. In looking up a word, you are effectively ‘researching’ it. We tried looking up the word ‘research’ in a couple of standard dictionaries, not so much to find out what the word means, but to see if a definition might provide a useful slant for this section of the course. Indeed it did, for three phrases not only confirmed our understanding of the word but also gave us a way forward that might be helpful to you. These three phrases tell us that research is:

a systematic investigation

a critical investigation

a careful search.

'Systematic’ and ‘careful’ suggest a thorough-going search of the material available to you, making sure that you don't leave anything important out. ‘Critical’ suggests something else: deciding what is relevant to the subject, whether something you have found out should be included or not. If you look again at Figure 1 you will see that there is an arrow linking the researching stage with the question. This is to make sure that your answer will be focused and really address what the question is looking for. (You might also like to look back at Activity 9 , which dissects a question). Note, too, the reference to ‘search’: it is very unlikely that the question is going to be answered just by looking at a single section of your course.

In short, researching something can clarify or explain, but also may spark off further thoughts which can lead you deeper into your topic.

5.4 Identifying sources

So what material do you have available to you?

Your materials are likely to be your first sources of information.

Any guidance notes you may have been given will sometimes tell you exactly which sections you need to look at. But don't forget that your course materials encompass more than just these texts.

Make use of any handouts you've been given.

Your own notes of what you have been reading or watching; from tutorials, or from observations or experiments you have been carrying out.

Newspaper articles or reviews, chosen carefully, can be a useful extra up-to-date source for some courses.

Of course, there are many more sources available to you through libraries or the internet. Your course materials may also provide reading lists. If you have time to undertake further research, that's fine and is good academic practice. Certainly you will not lose marks if you restrict yourself to the course materials; it is how you answer the question that gives the grade, not how much you know. You can always follow up some of the suggested extra reading once the course has finished.

At this point you are likely to have a great deal of material and many ideas to hand, most probably in note form. Now is the time to start refining and focusing. You may have been doing this already, as you have carried out your research and thought over your findings.

Let's move on to the more detailed planning.

6.1 Why plan a piece of writing?

Planning is about creating a framework that will help you to make choices about what needs to be included in your assignment and what doesn't. Some people feel they don't need to plan: starting to write helps them know what it is they are going to say. If you recognise yourself here, we suggest you consider the points we raise in this section.

Activity 12

Why is planning a piece of writing important? Take a few moments to jot down your thoughts in your Learning Journal.

Your list probably includes at least some of the following:

helps me to separate what's essential from what's less so

enables me to express my ideas more effectively

ensures that what I want to say doesn't get lost

assists in building an argument

makes sure that I don't exceed the word limit

gets the sequence of ideas right.

Even short pieces require planning so that you are concise and to the point. As the required length and level of complexity of a piece of writing increase, so does the need to organise your ideas.

6.1.1 Report planning

Table 2 highlights the elements of a science or technology report, though the same general principles apply in other disciplines too.

You need to assemble and order your material, perhaps under a set of headings (which can be added to or sub-divided). Your plan will help you to include material that is relevant and to the point.

6.1.2 Essay planning

Carefully read the following short essay. Try to identify its strengths and weaknesses in terms of planning. Take your time, but don't think you need to be familiar with the content, you are trying to find what provides the writing's framework.

Then try to answer the questions that follow in Activity 13.

There are advantages to studying as a mature student. Do you agree?

Government bodies and the universities are committed to a policy of widening access to higher education. In the attempt to develop a trained, educated workforce, there is greater flexibility in terms of entrance requirements and routes to a degree. If you are 21 or over and do not have conventional qualifications you may be given credit for your life and work experience.

An Open University lecturer wrote that teaching mature students:

… is sometimes an unnerving experience: at a lecture on Dickens's Hard Times I suddenly realised that I was explaining the rigour of industrial work … to ex-steel workers. Everyone of them knew more than I did and indeed they all knew more than Dickens about the lives of workers in heavy industry. (Philippa Gregory, 1994)

The mature student has often learned a powerful work discipline and can find self-directed learning difficult to adjust to. The mature student may also work full-time and have a home to run. Despite enthusiasm for returning to study, the mature student may be scared by comparing themselves to younger students who seem very quick (having spent their recent years in full-time education).

Your degree certificate is evidence that you have taken the opportunity that you missed when you were younger, it tells people that you have reached a certain level of academic attainment, that you have time management and priority setting skills, and that you have shown sustained interest, commitment and self-discipline.

As I mentioned earlier, increasingly people all over Europe are realizing that education and learning are lifelong processes, much too valuable to belong only to the young. The oldest Open University graduate is 92. More and more mature students are entering Higher Education. In 1971, the first 24 000 Open University students began their studies. In 1994, there were more than 200 000 students registered. At least 2 million people have studied with the Open University. People are living longer and having fewer children. Changes in the workplace may mean that older workers have to retrain and seek a new career.

The mature student may find it difficult to make room in their lives and their homes for study. Many people like to shut themselves off from the rest of the family, without interruptions (but this is almost impossible without the support of your partner and children). It is much easier for young people to be selfish and shut themselves off. They don't have as much to worry about as older students. It is even more difficult if you are a single parent who has to go out to work as well as taking care of children, along with studying.

It is a really big step to add to a busy life at work and at home and start to study, but you do broaden your outlook and the range of ideas and people that you are acquainted with. The self-discipline and motivation that you need to develop will be a great help in the future. Once you have finished studying it may still be difficult to find a different job because of ageism, employers may think that you can't be as quick or as full of ideas as a younger graduate.

Is there an introduction and a conclusion, which help to guide the reader?

Are important concepts or ideas communicated?

Does the writing build and have a sense of direction?

Can you discern an overall plan?

This essay contains some interesting and important points; but does it work?

1 Is there an introduction and a conclusion, which help to guide the reader?

There is no introduction and no conclusion – in fact, at the end the essay is almost left ‘hanging’ by a throw-away remark about ageism. For the reader, it is rather like undertaking a journey without a map and, instead of being in ‘safe hands’, finding that the driver is inexperienced.

2 Are important concepts or ideas communicated?

The writer does seem to know what is important to get across. But, there doesn't seem to be much of a framework and so the ideas tend to get lost.

3 Does the writing build and have a sense of direction?

This seems to be one of the major problems. There is good material here but the writer doesn't seem to know which facts are more important than others, there is no real attempt to classify or group points in order to create a sense of flow, of building an argument.

Here are two examples of this lack of order.

Information about the ‘big picture’ (presumably obtained through careful research) that is, government policy, numbers entering higher education and changes in the workplace, is sprinkled throughout the essay, rather than gathered together. The focus changes back and forth between this ‘big picture’ and the personal quite frequently. The writer certainly has opinions about the issues that a mature student needs to overcome, but these don't appear to be in any particular order.

The quote about the steelworkers is really appropriate and grabs the attention of the reader, but it isn't linked to the idea of the mature student's life experience mentioned at the end of the first paragraph. This takes away some of its impact and probably means that the writer would not get as many marks for its inclusion as she or he might have done.

The original topic is ‘There are advantages to studying as a mature student. Do you agree?’ We don't really know whether the writer has a point of view on this or has just put ideas in because the words or phrases look right and may be relevant. The important thinking over of the issues doesn't seem to have happened.

4 Can you discern an overall plan?

Well? What do you think?

Is the presentation of evidence or supporting material effective?

Which points are prioritised or do they all have equal billing?

Are links made between different points?

Does the essay flow?

Has the writer made the ideas his/her own?

Are chains of logic created?

The more time we spent thinking about this – reflecting on it – the more it seemed to us that the key is direction: if you can give your writing direction, then the rest will follow. In other words if you have a case to put, an argument to make, this provides the essay's direction; the elements listed above will then slip into place much more easily.

6.2 Turning the spotlight on your work

Having established some general principles, try now to subject your own work to the same scrutiny.

Activity 14

Take one of your most recent essays or reports and ask yourself, ‘What does it look like?’ That is, describe its physical appearance on the page.

On a superficial level, even the appearance of work can be a give-away and betray a lack of planning. Solid blocks of text can look overwhelming. You should normally aim for an average of three or four paragraphs per side of word-processed A4 paper. Solid blocks of text imply that the writer hasn't taken the time or is unable to organise the material. At the other extreme, written work with the appearance of being very ‘broken up’ – lots of separate sentences, each treated as a paragraph – conveys the same impression: that the writer doesn't have a plan or hasn't developed his or her ideas in sufficient detail.

No paragraphs? Go back and look at your plan.

Too much in brackets? Something is in the wrong place or is not strictly relevant, go back to planning.

‘As I mentioned earlier’, ‘As I said before’ If you need to say this often, you are going round in circles; you need a better plan.

Can you think of some other warning signs, things that you write when you have lost your way in an assignment?

Try to dig a little further and apply the questions from Activity 13. They were:

6.3 Planning stages

Having discussed the reasons to plan writing and the impact planning may have, now we need to look at planning itself and its two stages.

6.3.1 Stage 1 Brainstorm

To begin your planning, you need to generate ideas or brainstorm. At this stage, you are including everything that you think may be relevant. Nothing should be dismissed yet; this part is about gathering your resources and your thoughts.

For instance, using the essay title ‘There are advantages to studying as a mature student. Do you agree?’, we tried to brainstorm for ideas and produced this list (but, of course, it wasn't this tidy):

degree certificate – what does it say about you?

home commitments and comparison with younger students

government policy – numbers studying

changes in the workplace, need to retrain

need for family support

self-discipline and motivation

agree or disagree with statement

define mature? – no – too obvious.

This isn't everything, but it is a start and is helpful in understanding what the question requires.

Activity 15

Try to do the same for your next assignment. Brainstorm all your ideas and sources.

The important thing to remember is that anything that comes to mind may be relevant, leave nothing out at this stage.

6.3.2 Stage 2 Create a mind map

Now you need to think about grouping the ideas, creating a flow for your assignment.

We started by grouping together our ideas and material for the essay on the possible advantages of being a mature student. This helped us to create a mind-map by seeing where links could be made and so made it much easier to decide where the weight of evidence was taking our argument . Figure 2 ).

Can you see the advantages of using this type of approach to planning? Grouping the parts of your assignment together and making links helps to ensure that you avoid a disjointed response to the question. It can also show how balanced your answer is going to be: are there too many points on one side or does it appear to be balanced?

Activity 16

Part 1 Now return to your most recent assignment and try to construct a similar map in order to reveal its underlying structure.

Part 2 Having done this, make a note of what worked well and what you might do differently next time.

Part 3 Try to apply this by making a plan for your next assignment.

Try to use this activity as an opportunity to improve how you approach future assignments. Did you consider all parts of the question? Did you write yourself into a dead-end? Was the balance right? Was there a clear sense of direction? Take account of these points and see how you can make things better next time.

7.1 Translating your plan

You have now reached the stage when it is time to translate your plan, whatever its form, into the assignment itself. It is likely that this will be a first attempt at the exercise – a first draft. You may be one of the lucky few who only needs to write one draft. Or, if you have taken some time over your planning, one draft before the final version may be enough. But if you are finding it difficult to reconcile opposing points of view or to fit in a great deal of information, you may need two or three drafts. If this is the case, take a step back and check that you are sticking to your plan and are not trying to include too much ‘just in case’. Finally, if you feel you need to write lots of drafts before you are satisfied with the final product, ask yourself why it is necessary. What might you do to reduce the number of drafts and thus save time?

Activity 17

What is the difference between the appearance of your plan and the assignment itself? Note down the steps that you must take to convert one to the other.

Your plan only needs to make sense to you. It may be diagrammatic in form, using circles and arrows and abbreviations. It is the bare bones of your assignment. It is also disposable and changeable.

The assignment itself must be understandable to anyone who is marking it, as certain expectations will need to be met. You will find help in any guidance notes you've been given for your course. Reading these is just as important as interpreting the assignment title as they will explain the conventions that you are expected to abide by in shaping your piece of writing. For instance: if it asks for 1500 words in continuous prose, it would not be a good idea to write 2000 words and use sub-headings.

A useful way of converting your plan into a first draft of your assignment is to number each of the areas you want to include (you may have already linked them with arrows). This confirms the order in which you want to present ideas and ensures a logical flow. Then, cross off each area once you have written about it, so there is no danger of repeating yourself. This can be encouraging by showing you how much progress you are making. If you would like some practice in this, try using Figure 2 as a model to work on.

7.2 Drafting reports

As you may remember from Activity 3 , the three general principles of a report (whether it is of a social sciences investigation or a scientific experiment) are:

You will need to make some decisions, not only about what to leave out (because it isn't particularly relevant) but also about how to present what you are including to best effect:

Do you wish to present your findings in chronological order?

Would subject area, types or categories be preferable?

What will make your findings clearer?

Diagrams, tables and graphs may help to present your results with greater clarity. Headings or sub-headings, numbered paragraphs and bullet points can also help to emphasise the main issues.

Here is a plan on how to lay out the report of a social sciences investigation, though there are common elements with reports produced for other purposes.

The language used in a report is usually straightforward and to the point. The report's structure and organisation make it easy to identify the various parts, and to find specific items of information quite quickly.

7.3 Drafting essays

As you may remember from Activity 4 , the main elements of an essay are:

the introduction

the main body

the conclusion.

7.4 Writing the first draft

Now that you are beginning to draft, keep the assignment's title in front of you. Refer back to it regularly in ordering your material. Are you doing what you are asked to do, or are you writing about what you want to write about?

7.4.1 The introduction of a report

The introduction of a report has a very specific role, and the range of approaches you may take is fairly limited. The function of such an introduction is to:

outline the aim of the investigation or experiment: list the objectives

provide background information in order to clarify why the investigation or experiment was undertaken.

7.4.2 The introduction of an essay

What is the introduction of an essay and what is its purpose?

Activity 18

Write down your own understanding of the term ‘introduction’ in relation to essays.

How does your understanding compare with ours? Potentially the introduction to an essay can:

lead the reader into the main body of the assignment

grab the reader's attention and interest

explain how you are going to answer the question

set the scene or provide a context

give a brief answer to the question before the fuller explanations in the assignment itself

set out the aims of the assignment

indicate the position you will be taking in answering the question.

It may not do all of these things. The introduction you write for an assignment may be short and seek only to ‘engage’ or draw the reader in. A fuller introduction, which may be preferable if you are still developing confidence in your writing, could include any or all of the following points:

an identification of the essay's topic and how you plan to define it; here you are establishing what you intend to write about and making clear, perhaps by implication, what you don't intend to write about – thus indicating the scope of your essay

a brief definition of important terms or concepts, for purposes of clarity

highlights of the important debates that lie behind the question; an essay title often acts as a doorway to an area of controversy or debate

a signpost to the content and shape of your argument or response to the question.

Look back at Section 1 . It is longer than the introduction that will be required for one of your assignments: our constraint was the number of pages, not the number of words. But does it fulfil any of the above criteria? We have certainly outlined our aims and objectives; we have indicated the limits to the course – our writing assignment; but we haven't provided much background information or context.

7.4.3 When to write the introduction?

A group of students attending a writing workshop were asked to identify the first task in preparing an assignment. Some answered ‘Writing the introduction’.

What are the advantages and disadvantages of beginning your first draft with the introduction?

People vary in whether they prefer to write the introduction at an early stage or when they have almost completed your assignment.

Here is a list of the pros and cons of beginning the first draft with the introduction.

Presenting an argument

Students generally understand that they are required to ‘present an argument in an assignment’ but can feel unsure about what this means and how to go about it. Is this how you feel? Though an assignment is an exploration of a topic, it requires a sense of direction, of building a case or argument in a logical manner.

Imagine you need to ask your tutor for an extension to the cut-off date for an assignment. You need to persuade him or her that you have a good case. (In practice, of course, you would not be under so much pressure to explain. We have chosen this as an example because the situation may be familiar to you.)

What might a good case be?

(a) I have been called away on business at short notice.

(b) I have had a lot of visitors recently.

(c) I have just not had the time.

(d) My daughter was taken into hospital last Monday after a car accident, and I have had to spend a lot of time there with her.

(e) I have not been able to concentrate on my studies recently.

(f) We are short-staffed at work, and this is our busy time.

If you were the tutor, would you consider all of these to be good reasons for the request? Would you agree that some reasons are stronger than others? Maybe those students whose circumstances have changed unexpectedly have a better case than others who could have foreseen problems and should have been able to plan around their difficulties.

Maybe you would look less favourably on (b) because you would feel that the student need not have got him or herself into that situation and in any case has got his or her priorities wrong. But look at (c) and (e) again. On the face of it, these reasons may not be as strong as, say, (d) but if you were to enquire further with your student, you might discover there were other things underlying the lack of time and concentration. Perhaps the student with reason (c) is caring for an elderly relative for whom respite care had fallen through. Maybe the student with reason (e) is depressed and on medication. These two students would both have a good case but have not presented it very well. Even the student with reason (b) may have an acceptable explanation for the sudden influx of visitors. What lies behind the suddenness? What extra demands did this place on the student? The more questions that are asked, the stronger the case could become.

There is another aspect here. How do you know that what these students are telling you is true? What pieces of evidence help to verify their reasons? What status would you accord a medical certificate or a statement from the student's employer?

When drafting your next assignment, ask yourself:

is my argument logical and worth making – is there a case?

have I made the argument as clearly as I can?

have I been side-tracked by issues that are irrelevant?

have I explained what lies behind my argument in sufficient detail – not too much, not too little?

do my points follow on from each other and strengthen my argument?

have I provided evidence for what I say?

Making your argument usually occurs in the main body of the assignment, whether it is an essay or a report. This is where you outline your point of view while demonstrating awareness of other perspectives or interpretations. To be convincing, you need to show your reasoning as to why you favour a particular perspective, and to provide supporting evidence.

You will recall from the planning activities, how important it is to group your ideas together. Once you have reached the drafting stage, these groups of ideas should be subdivided into paragraphs.

Paragraphs:

act as major organisers

individually offer something distinctive, in terms of analysis, argument, ideas or examples

may contain a new topic

often start with a statement and then expand on or explain it

include any related evidence, information or quotations.

Use of quotations

Throughout this course, we have recommended that wherever possible you try to put things into your own words. But you may not be familiar with this practice if you come from a different educational or cultural background.

One of the purposes of writing assignments is to reach your own understanding of the issues and to show your tutor that you have done so. This is most effectively done by using your own words. However, there are occasions when it may be best to quote directly from your course materials: for instance, as a piece of evidence, or where you feel the author has expressed him or herself particularly memorably or effectively. Including appropriate quotations, extracts or evidence is often a good way to add weight and authority to your arguments.

Using quotations is not the same as plagiarism . Plagiarism is borrowing too heavily from someone else's work and failing to acknowledge the debt , giving the impression that you are passing their work off as your own. Quotations should not be too long; a couple of lines is normally sufficient. Remember to acknowledge quotations by providing references. We are reluctant to be too specific here because practices do vary from academic discipline to discipline and from course to course. Once again, refer to any guidance notes you' been given. These may provide an indication of what style of presentation is preferred or required. One guide is to see how quotations are handled in your course materials.

Whereas references serve as an acknowledgement of someone else's words, a bibliography allows the reader (in this case your tutor) to identify in detail the source of your quotations and even ideas. Every assignment should contain a list of sources at the end (even if it is only your current course unit or TV programme). There are many ways of presenting a bibliography. Look at the way it is done for your course. Here is an example of one way of acknowledging a quotation (a) and its bibliographical reference (b):

7.4.5 The conclusion

Having come so far with your drafting, how will you bring it to a close?

The conclusion should summarise the content of the main body of your assignment clearly and concisely. A final reference to the assignment title is often useful, emphasising to your tutor that you have indeed answered the question. Your concluding paragraph should not include anything new, though it may suggest what needs to be considered in the future. It should emphasise the key elements of your argument.

When you have worked through this course, you might like to consider its conclusion in the light of these statements. Are we successful in following our own advice?

8 Polishing

8.1 why polish.

Once you have reached this stage, you have nearly finished.

What does polishing mean, and what does it involve? Imagine polishing a car or a piece of furniture. Why might you do so? Usually, to make it look better, to present it in the best possible light, either for your own pleasure, or to impress others – perhaps because you want to sell it. If it is an object that you value, it is worth making it look its very best: it deserves it. How effective your polishing is usually depends on the time and energy you devote to the task.

How would you interpret the analogy to polishing cars and furniture in the opening paragraph of this section?

We hope you spotted that it referred to assignments. Your tutor's initial reaction on opening your assignment will probably be very much related to the amount of polishing that you have been able to do.

8.1.1 Achieving a good polish

Here is a list of indicators you can use to judge your polishing techniques. Most guidance notes given to students include these points, but they are not always followed.

9 Letting go

This is the point where you have to make the decision that the assignment is complete and ready to be sent off. It is not always an easy decision to make. Perhaps you feel that there is always room for further improvement or there is something more that you could have done.

At a certain stage, the potential gain from further refinement is not sufficient to warrant delaying submission or to risk impeding progress with your course. Remember, you should be aiming for what is ‘good enough’, bearing in mind all your other commitments and circumstances.

If you do harbour any residual anxiety, is there anything you can do about it? Yes.

You can make notes for your own use on:

(a) what I did well in this assignment

(b) what I would have liked to improve.

You can ask your tutor if he or she is willing to look at the particular aspect of the assignment that has given you concern, and provide feedback on that point.

You can make a note to yourself for next time: what I'd like to do better in the next assignment .

This will help you to develop an action plan for future improvement; then put it to one side until next time.

Finally, don't forget to keep a copy of your assignment, just in case it gets lost in the post.

10 Reflecting on tutor feedback

When you have taken the assignment as far as you can, you will benefit more from the feedback from your tutor than you will from further polishing.

If you have worked hard to become involved with your subject you will really appreciate having a captive audience. Someone with as much interest in the subject (and presumably greater knowledge) as you, will take time to read what you have written and to understand what you are trying to say.

There is recompense to be gained in the form of feedback. As well as marking the work, your tutor will provide comments and advice on the content of your assignment, and your skills in communicating your ideas.

Some tutors find that, despite their feedback, when the next assignment arrives to be marked, it can be hard to believe that the student has even read the comments, let alone tried to apply the advice.

Are you so keen to make progress that you read the mark, but not the comments provided in the feedback you've been given?

Do you allow yourself the time to refer back to what you did in light of your tutor's feedback and see whether or not you can apply that advice to the next assignment?

Is your tutor as critical of your work as you are? Perhaps you are too self-critical and your tutor's comments could help to provide a better sense of perspective.

If you are not reading and acting on your tutor's feedback, you are denying yourself the opportunity to improve and to save time. You are wasting a very valuable learning resource. You may be working hard but you won't be ‘working smart’.

Just as we have advised earlier, we are not going to introduce any new ideas in this concluding section. We are using it to reinforce what we think our main points are.

Writing essays or reports can be time-consuming; individual assignments tend to focus in depth on specific topics rather than fostering a wider sense of the whole course. However, three or four or more assignments will bring benefits as linkages start to become apparent and the total programme of written work helps you to develop your knowledge and skills across a range of areas. If you allow yourself to be open to making mistakes, to learn from feedback and to view assignment writing as a continuing, developmental process, then the same knowledge and skills should help you beyond any single assignment or any one course.

We hope we have demonstrated that there are many aspects in the process of writing an assignment and it is not just a matter of starting with x and finishing with y ; you will sometimes need to take one step back in order to take one forward: moving on a stage but continually checking back over previous stages, amending as appropriate. There is a limit to what you can – and are expected – to do. Perfection is not everything. If you have to send off an assignment that is not as good as you would have liked, look for the positives. Why is it not as good? What might you have done differently? Can you transfer the answers to these questions to the next assignment? Most of all, however, think what you learned from doing it, both from the experience of writing it and from its content.

Report writing An overview and comparison with essays

There are many forms of writing which you may have to undertake at university, from reflective journals to extended researched assignments. The two most common forms of writing are reports and essays . This page describes what a report is , outlines the main types of report you may need to write, and summarises the differences between reports and essays .

What is a report?

A report is a clearly structured form of writing which presents and analyses information clearly and briefly for a particular audience. The information is usually the result of an experiment, investigation, or some other form of primary research such as a questionnaire or survey. It will contain headings and sub-headings, as well as graphics such as graphs, charts and tables. Reports often use the information they contain to present recommendations for future action. They are common not only at university, but also in industry and government. For more information on what a report is, see the section below which compares reports to essays .

Types of report

There are many different types of reports which can be written, though the type you will write at university depends very much on your course of study. Each report will have a different format and writing conventions, though the structure and language used are broadly similar for all reports. The following are some of the main reports written at university.

  • Laboratory report . This type of report explains and analyses the results of an experiment. It may also be called lab report , experimental report , or science report .
  • Business report . This analyses a situation and uses business theory to provide solutions or recommendations. It includes many types, e.g. market research report , marketing report , and financial report .
  • Case study report . This examines a real-world situation (the 'case') and analyses it using appropriate theory (the 'study').
  • project report . This reports on project work which has been conducted.
  • Research report . This gives the results of research which has been conducted, for example through surveys (via questionnaires or interviews).
  • progress report . This informs a supervisor about progress on a project over a certain period of time.
  • Design report . This report describes and evaluates a design used to solve a particular problem.
  • Field report . This combines theory and practice by describing an observed person, place or event and analysing the observation.

Other types of report are possible, such as a systems analysis report , a maths report , a feasibility study and a client case work report . Some disciplines, especially business, may require you to write an essay with headings. This is not a report, since all the other features, aside from the headings, are the same as a conventional essay.

Reports vs. essays

Although many of the writing skills required for essays also apply to reports, such as use of topic sentences , cohesion and citations , reports are quite unlike essays in several regards. The table below summarises the main differences. These are divided into three categories: general areas, structure, and content.

Report structure and tips

Reports are formal documents which can include headings, sub-headings, numbered sections, bullet point text, and graphics such as flow charts, diagrams or graphs. All of these devices may be used to help the reader navigate the report and understand its content.

A report is likely to include some or all of these elements, typically ordered as follows:

Title page: clearly identifying the subject of the report and the author Acknowledgements: naming third parties who have helped create the document Executive summary: an abbreviated, stand-alone overview of the report. Similar to the abstract of a journal article Contents page: allowing the reader to find their way quickly to sections of interest. This may or may not also include a table of figures or tables Introduction: outlining the main context, aims and objectives of the report Background information: anything essential to a full understanding of the report Methodology: describing how the report’s objectives were met or how the research was conducted Findings: what the report found Analysis: what these findings mean; their relevance and importance Conclusion: summarising the key things the report learned or established Recommendations: suggestions for action based on the report’s findings Bibliography: a full list of sources used to compile the report Appendices: containing supplementary information referred to in the report Glossary: definitions of technical terms used in the report

Common requirements

Different types of report – from technical reports to business reports - can vary widely in length, format and function. However, with every report:

Objectives: should be clearly defined Structure: should be logical and easy to navigate Writing: should be clear, succinct, and easy to understand Evidence: should support all conclusions made

Report writing tips

  • Often, reports are written about a collaborative project. If this is the case, make sure you know who is doing what and how the report will come together, including timeframes. Make sure to include time to share the report with the rest of the team before it is ‘published’, and that any requirements from external stakeholders or project partners are clearly outlined and factored in
  • Before you start writing, clarify the aims, structure and content of your report
  • Write in the 3rd person (This report will show…) to emphasise your objectivity
  • Use clear, formal language, avoiding slang, jargon and contractions such as don’t or can’t
  • Write sections as and when you are able, not necessarily in order of appearance
  • Have a system of version control (numbered drafts)
  • Write freely, whilst allowing time for editing and proof-reading later
  • Keep the report’s title in mind, and stay focussed on fulfilling its objectives
  • Each finding should have a conclusion; each leading to a recommendation

Report writing

What is a report and how does it differ from writing an essay? Reports are concise and have a formal structure. They are often used to communicate the results or findings of a project.

Essays by contrast are often used to show a tutor what you think about a topic. They are discursive and the structure can be left to the discretion of the writer.

Who and what is the report for?

Before you write a report, you need to be clear about who you are writing the report for and why the report has been commissioned.

Keep the audience in mind as you write your report, think about what they need to know. For example, the report could be for:

  • the general public
  • academic staff
  • senior management
  • a customer/client.

Reports are usually assessed on content, structure, layout, language, and referencing. You should consider the focus of your report, for example:

  • Are you reporting on an experiment?
  • Is the purpose to provide background information?
  • Should you be making recommendations for action?

Language of report writing

Reports use clear and concise language, which can differ considerably from essay writing.

They are often broken down in to sections, which each have their own headings and sub-headings. These sections may include bullet points or numbering as well as more structured sentences. Paragraphs are usually shorter in a report than in an essay.

Both essays and reports are examples of academic writing. You are expected to use grammatically correct sentence structure, vocabulary and punctuation.

Academic writing is formal so you should avoid using apostrophes and contractions such as “it’s” and "couldn't". Instead, use “it is” and “could not”.

Structure and organisation

Reports are much more structured than essays. They are divided in to sections and sub-sections that are formatted using bullet points or numbering.

Report structures do vary among disciplines, but the most common structures include the following:

The title page needs to be informative and descriptive, concisely stating the topic of the report.

Abstract (or Executive Summary in business reports)

The abstract is a brief summary of the context, methods, findings and conclusions of the report. It is intended to give the reader an overview of the report before they continue reading, so it is a good idea to write this section last.

An executive summary should outline the key problem and objectives, and then cover the main findings and key recommendations.

Table of contents

Readers will use this table of contents to identify which sections are most relevant to them. You must make sure your contents page correctly represents the structure of your report.

Introduction

In your introduction you should include information about the background to your research, and what its aims and objectives are. You can also refer to the literature in this section; reporting what is already known about your question/topic, and if there are any gaps. Some reports are also expected to include a section called ‘Terms of references’, where you identify who asked for the report, what is covers, and what its limitations are.

Methodology

If your report involved research activity, you should state what that was, for example you may have interviewed clients, organised some focus groups, or done a literature review. The methodology section should provide an accurate description of the material and procedures used so that others could replicate the experiment you conducted.

Results/findings

The results/findings section should be an objective summary of your findings, which can use tables, graphs, or figures to describe the most important results and trends. You do not need to attempt to provide reasons for your results (this will happen in the discussion section).

In the discussion you are expected to critically evaluate your findings. You may need to re-state what your report was aiming to prove and whether this has been achieved. You should also assess the accuracy and significance of your findings, and show how it fits in the context of previous research.

Conclusion/recommendations

Your conclusion should summarise the outcomes of your report and make suggestions for further research or action to be taken. You may also need to include a list of specific recommendations as a result of your study.

The references are a list of any sources you have used in your report. Your report should use the standard referencing style preferred by your school or department eg Harvard, Numeric, OSCOLA etc.

You should use appendices to expand on points referred to in the main body of the report. If you only have one item it is an appendix, if you have more than one they are called appendices. You can use appendices to provide backup information, usually data or statistics, but it is important that the information contained is directly relevant to the content of the report.

Appendices can be given alphabetical or numerical headings, for example Appendix A, or Appendix 1. The order they appear at the back of your report is determined by the order that they are mentioned in the body of your report. You should refer to your appendices within the text of your report, for example ‘see Appendix B for a breakdown of the questionnaire results’. Don’t forget to list the appendices in your contents page.

Presentation and layout

Reports are written in several sections and may also include visual data such as figures and tables. The layout and presentation is therefore very important.

Your tutor or your module handbook will state how the report should be presented in terms of font sizes, margins, text alignment etc.

You'll complete assignments with different requirements throughout your degree, so it's important to understand what you need to do for each of them. Here we explore the key differences between reports and essays. 

This page describes general features of academic reports and essays. Depending on your subject you may use all of these features, a selection of them, or you may have additional requirements. 

There is no single right way to write a report or essay, but they are different assignments. At a glance: 

  • Reports depend heavily on your subject and the type of report.
  • Essays usually have specific content and a planned structure with a focus on sense and flow. You subject might need different types of information in your introduction –  some disciplines include a short background and context here, while others begin their discussion, discuss their resources or briefly signpost the topic.

Differences between reports and essays

This table compares reports and essays and provides an outline of the standard structure for each. Your assignment will also depend on your discipline, the purpose of your work, and your audience – so you should check what you need to do in your course and module handbooks, instructions from your lecturer, and your subject conventions.

The structure of reports

Most reports use an IMRaD structure: Introduction, Methods, Results and Discussion.

Below are some common sections that also appear in reports. Some sections include alternative headings.

1. Table of contents

Your contents shows the number of each report section, its title, page number and any sub-sections. Sub-section numbers and details start under the section title, not the margin or the number.

2. Abstract or Executive summary

This brief summary of the report is usually the last thing you write.

3. Introduction

Your introduction describes the purpose of the report, explains why it necessary or useful, and sets out its precise aims and objectives.

4. Literature review

This describes current research and thinking about the problem or research question, and is often incorporated into the introduction.

5. Methods or Methodology

This describes and justifies the methods or processes used to collect your data.

6. Results or Findings

This section presents the results (or processed data) from the research and may consist of mainly tables, charts and or diagrams.

7. Discussion, or Analysis, or Interpretation

This section analyses the results and evaluates the research carried out.

8. Conclusion

The conclusion summarises the report and usually revisits the aims and objectives.

9. Recommendations

In this section the writer uses the results and conclusions from the report to make practical suggestions about a problem or issue. This may not be required.

10. Appendices

You can include raw data or materials that your report refers to in the appendix, if you need to. The data is often presented as charts, diagrams and tables. Each item should be numbered : for example, write Table 1 and its title; Table 2 and its title, and so on as needed.

Structure of essays

Introduction.

Your essay introduction contextualises and gives background information about the topic or questions being discussed, and sets out what the essay is going to cover.

Your essay body is divided into paragraphs. These paragraphs help make a continuous, flowing text.

The conclusion summarises the main points made in the essay. Avoid introducing new information in your conclusion.

Bibliography or Reference list

This is a list of the resources you've used in your essay. This is usually presented alphabetically by authors’ surname.

The introduction of a narrative essay sets the scene for the story that follows. Interesting introductions—for any kind of writing—engage and draw readers in because they want to know more.

Since narratives tell a story and involve events, the introduction of a narrative quite often starts in the middle of the action in order to bring the reader into the story immediately, as shown in examples 1, 3, and 5 below. Other effective introductions briefly provide background for the point of the story—often the lesson learned—as in 4 below and the first example on the reverse side.

Below are some strategies for writing effective openings. Remember your introduction should be interesting and draw your reader in. It should make your audience want to read more. If it's a person , begin with a description of the person and then say why that person mattered. If it's an event , begin with the action or begin by reflecting back on why the event mattered, then go into the narrative.

Narrative Story

  • Unified: Ensure all actions in your story develop a central idea or argument.
  • Interesting: Draw your readers into your scene(s), making them feel as if they're experiencing them first-hand.
  • Coherent: Indicate changes in time, location, and characters clearly (even if your story is not chronological).
  • Climactic: Include a moment (the climax) when your ending is revealed or the importance of events is made clear.
  • Remember the 5 W's : Who? What? When? Where? Why?
  • Write vividly : Include significant sensory information in the scene (sight, sound, touch, smell, taste) to make readers feel they are there
  • Develop " Thick Descriptions "

Clifford Geertz describes thick descriptions as accounts that include not only facts but also commentary and interpretation . The goal is to vividly describe an action or scene, often through the use of metaphors, analogies, and other forms of interpretation that can emote strong feelings and images in your readers' minds.

  • Does the story have a clear and unifying idea? If not, what could that idea be?
  • If the story doesn't include a thesis sentence, is the unifying idea of the story clear without it?
  • Is the story unified, with all the details contributing to the central idea?
  • Is the story arranged chronologically? If not, is the organization of ideas and events still effective and clear?
  • Do the transitions show the movement from idea to idea and scene to scene?
  • Are there enough details?
  • Is there dialogue at important moments?
  • Is there a climax to the story—moment at which the action is resolved or a key idea is revealed?
