Five Different Ideas for Workplace Safety Presentations

Safety presentations can either bore an audience to sleep or provide the tools and knowledge to improve the overall safety program. There is rarely an in-between when it comes to these meetings.

Whether you are a full-time safety professional or a supervisor who has safety responsibilities, you may find yourself tasked with having to put together a safety presentation with no clue of what to present.

This post looks at the difference between a safety presentation and toolbox talks as well as provides free resources and ideas on what to cover at your next meeting.

The Difference Between a Safety Presentation and Safety Toolbox Talk

Depending on where you work, the terms “safety presentation” and “safety toolbox talk” may mean the same thing. In my opinion, a safety presentation, or safety meeting , is a longer and more structured safety training session. A safety presentation usually means a formal safety training session is taking place.

This usually entails securing a conference room, creating a presentation, having a sign-in sheet, creating a quiz to assess knowledge, making time in the affected employees’ schedule to participate in the safety training, etc.

What is Covered in a Safety Presentation?

The simple answer is anything can be a topic. A presentation can cover a required OSHA topic, or it can be an in-depth behavioral safety topic as part of an ongoing safety campaign.

There is no hard-and-fast rule, but longer meetings should be dedicated to required topics or topics that are impactful to an organization’s safety goals . These safety topics usually require more time and instruction for employees to be able to fully understand the information.

What is a Safety Toolbox Talk?

Safety talks are a short safety message for the members of a work crew prior to work beginning. These talks can be as short as a few minutes or longer than 20 minutes. On average, they are in the range of 5 or 10 minutes in duration at most companies when conducted often. The talks can cover a range of topics or just a single focal point.

These talks are still meetings, but they are shorter in duration and documented via a sign-in sheet. Companies will commonly set aside time each day or week to share a short safety message with employees.

These meetings are great for keeping safety at the forefront of employees’ minds and sharing timely safety information. Due to the short nature of these meetings and not using a quiz to assess the employees’ knowledge, they are often not considered formal safety training sessions.

Need to Find an Idea for a Safety Presentation?

Like many of you reading this, the most difficult part for me is coming up with a topic I want to speak about. The good news is there are an endless number of topics you can choose to talk about when discussing workplace safety .

In this article, I will discuss five different ideas for PowerPoint or Prezi-based safety presentations for longer safety meetings. All of the ideas are based on free information that is provided on this website. The topics are just expanded on to turn them from an informal safety toolbox talk into a longer and professional presentation. You can also check out our post on using safety videos as part of your safety training sessions.

The topics below are tailored more towards behavioral topics since many run-of-the-mill topics such as lockout/tagout, fall prevention, welding, etc. are thoroughly covered throughout the internet. A simple Google search will often yield completed PowerPoints on any general safety topic.

Five Ideas for Safety Presentations at Work for Your Next Safety Meeting

1 – how observant are you: behavioral safety presentation.

This is a safety talk that I wrote that I really think is good for audience engagement and works for many different audiences. Read the safety talk here and then continue reading the rest of the summary below. In short, you use a dollar bill to reinforce the fact of how easy it is to miss the fine details of something we see almost every day. It engages the audience by asking them to provide you with the details of a dollar bill.

If they are missing dozens of details on a six-inch dollar bill, what are they missing while at work? The same can be said with the observations they write down on their JSAs.

Use the exercise to show that there are many different observations and hazards that can be written down for any one task. After the exercise, you can go into how the individual workers can improve their observations of the work area or their JSAs.

You can also take actual photos of work areas and discuss the hazards in the photos. Another idea is to ask for stories or experiences of commonly overlooked hazards in the workplace. There are many different ways to expand on this short exercise.

2 – The Idea of the “Large Ripple”: Behavioral Safety Meeting

I call this idea the “large ripple”. You can find an article about the large ripple here . Many times, we stress how an injury or incident will affect the INDIVIDUAL, the INDIVIDUAL’s ability to work, the INDIVIDUAL’S family, etc. Well, what about everyone else in the company?

It sounds counterintuitive or weird to even tell someone, right? Let me explain. If an individual feels that his/her choice to take risks and cut corners only affects him/her, they may actually be MORE tempted to work unsafely.

Reinforcing the idea that we not only count on one another to stay safe but also count on each other to work safely so the business can continue is an interesting angle to approach. When the company thrives, everyone continues to work and has job security.

When individuals begin to choose to work unsafely, it not only affects them; it also affects their friends at work, no matter how many miles they are from where an incident occurs.

3 – S.O.R.T. Your Way to a Safer Workplace: Group Activity Safety Meeting

S.O.R.T. stands for Stop, Observe, Recognize, and Take Ownership. You can find the S.O.R.T safety talk here. You can use the acronym to discuss steps to complete a thorough inspection of the work area before starting work. I used this as part of one of my safety presentations and incorporated the tools that have been established by both our client and our company for each of the four steps. For example, a JSA could fall under “Observe,” and training could fall under “Recognize,” as in recognizing hazards.

The steps are not groundbreaking, but they serve as a good model to break down the process and walkthrough observations.

This topic is great to use as a basis for a group activity meeting. The employees can take what they learn from the presentation and walk through each step as it applies to their specific work area and job tasks. Handouts can be created to supplement what was taught in the presentation.

4 – Maslow’s Hierarchy of Needs as it Relates to Safety: Behavioral Safety Meeting

As management, there are many things we can do so that employees satisfy their physiological needs ( Maslow’s lowest level of the hierarchy) to help them focus on higher levels of personal fulfillment.

While I only discuss the lowest level of the hierarchy in my article, every level could be related to safety in some aspects.

The target audience for this talk is more of a management/supervisor level who can take the message and make improvements at their site for the employees. They can also take the message and make it a focal point for employees to recognize and address how these basic needs can interfere with their ability to fully work safely.

5 – Success is the Fulfillment of Potential: Behavioral Safety Meeting

While this can be a personal mantra, the idea also applies to workplace safety. Every company ultimately strives for zero injuries and zero property damage incidents on a recurring annual basis. While that can be a tough target to hit, it can also be the company’s potential in the realm of workplace safety.

The idea that success is the fulfillment of potentia l can be further discussed at the individual level. From there, cast out how the individual level affects the company on a macro scale. If everyone is fulfilling their potential when it comes to being the safest and most efficient worker they can be, everyone wins.

It is important to drive home the point that fulfillment of potential in just one area does not make someone successful. Someone who is the best dozer operator in the company but cannot get along with others is less successful than an above-average operator who can communicate and work with others.

We all have our strengths and weaknesses, but being self-aware of how we can improve as a person is critical to success. This idea can be paired with the larger ripple discussion mentioned above to make for an effective and different safety presentation.

FACT SHEET: President   Biden Announces New Actions to Protect Workers and Communities from Extreme   Weather

Despite the severe impacts of extreme weather events, Republicans in Congress continue to deny the very existence of climate change and expose their constituents to health and safety dangers

Across the country, tens of millions of Americans are experiencing the effects of extreme weather events. From the record-shattering heat wave across the Midwest and Northeast, to devastating flooding in Iowa and Minnesota, to raging wildfires in New Mexico, Oregon, and California, communities in every corner of the country are being directly impacted by the compounding effects of extreme weather. The Atlantic is also facing an active hurricane seasonal outlook that will require residents to maintain vigilance against flooding and wind threats. In addition to posing direct threats to lives and livelihoods, major weather events – which are becoming increasingly extreme due to the climate crisis – have had significant economic impacts: last year’s record 28 individual billion-dollar extreme weather and climate disasters caused more than $90 billion in aggregate damage. Meanwhile, many Republicans in Congress continue to deny the very existence of climate change and remain committed to repealing the President’s Inflation Reduction Act – the biggest climate protection bill ever – which would undermine the health and safety of their own constituents. As the impacts of flooding, drought, wildland fires, heat waves, and other extreme weather events intensify, President Biden is delivering on the most ambitious climate agenda in American history — an agenda that is lowering energy costs for hardworking families, bolstering America’s energy security, creating thousands of good-paying jobs, and strengthening community-driven climate resilience across the country. Today, the President is receiving an operational briefing on extreme weather forecasts for this summer, and he will announce new actions to protect workers and families from the impacts of extreme weather, including:  

  • The Department of Labor’s Occupational Safety and Health Administration (OSHA) is proposing a rule to protect workers that, if finalized, would establish the nation’s first-ever federal safety standard addressing excessive heat in the workplace.  The risk that extreme heat poses to certain workers has long been recognized – even apart from the impacts of climate change. Recognizing these risks, the proposed rule includes requirements for identifying heat hazards, developing heat illness and emergency response plans, providing training to employees and supervisors, and implementing work practice standards — including rest breaks, access to shade and water, and heat acclimatization for new employees. If finalized, OSHA projects the rule would affect approximately 36 million workers and substantially reduce heat injuries, illnesses, and deaths in the workplace.
  • The Department of Homeland Security’s Federal Emergency Management Agency is announcing nearly $1 billion dollars in awards for 656 projects across the country to help communities protect against disasters and natural hazards, including extreme heat, storms, and flooding. Historic funding from the Bipartisan Infrastructure Law through the Building Resilient Infrastructure and Communities program will go to projects that will eliminate or reduce flood damage, mitigate the effects of extreme heat, and enhance infrastructure resilience. Projects include $50 million to Philadelphia, PA, to improve the resilience of a stormwater pump station and mitigate flooding; $6 million to Goldsboro, NC, for an improved flood drainage channel; and $724,000 to build shaded bus stops in areas of high heat exposure in Washington, D.C. This program is part of the President’s Justice40 Initiative , which aims to ensure 40 percent of the overall benefits of certain federal climate, clean energy and other investment areas flow to disadvantaged communities that are marginalized by underinvestment and overburdened by pollution.
  • The Environmental Protection Agency is releasing a new report showing the continuing and far-reaching impacts of climate change on the people and environment of the United States.  The report highlights how climate change impacts – including heat waves, sea surface temperatures, coastal flooding, and wildfires – are increasingly affecting people’s health, society, and ecosystems in a variety of ways. For example, the report notes that the average length of the heat wave season is 46 days longer today than it was in the 1960s and, in recent years, the average heat wave in major U.S. urban areas has lasted about four days – about a full day longer than the average heat wave in the 1960s.

President Biden is also announcing that later this summer, he will bring together state, local, Tribal, and Territorial leaders – who are protecting U.S. communities and workers from extreme weather every day and helping strengthen America’s global leadership on climate – for a White House Summit on Extreme Heat. Today’s announcements build on numerous actions that the Biden-Harris Administration has taken to bolster our preparedness and resilience nationwide, including working with state, local, Tribal, and territorial partners to provide clear and accessible information on how individuals and communities can protect themselves from extreme weather events. Protecting Communities from Extreme Heat:  President Biden has taken historic action to protect workers and communities from the impacts of extreme heat, including lowering home energy costs and helping more Americans stay safe, cool, and healthy in their homes. President Biden has also taken important steps to increase the resilience of the power system against extreme heat and wildfires, including through more than $14 billion to enhance grid flexibility and grid resilience, including the deployment of resilience-enhancing microgrids and energy storage. The Administration has also announced $1 billion in grants  to expand equitable access to trees and green spaces  in urban communities, which will reduce heat-island effects and cool cities. The Administration is also strengthening America’s leadership overseas, including by convening global stakeholders to advance heat-related resilience efforts and reducing heat risk for U.S. workers abroad. To better equip local officials and the public with robust and accessible information, the Administration launched  Heat.gov , a centralized portal with real-time, interactive data and resources on extreme heat conditions, preparedness, and response. Combating the Growing Threat of Wildfires: In addition to implementing a Wildfire Crisis Strategy  that will limit the impact and severity of fires, the Administration has invested $7 billion to expand the wildland firefighter workforce, deployed new technology to better respond to fires, and completed a historic 6.85 million acres of hazardous fuels treatments. The Administration also launched a new  Community Wildfire Defense Grant  program that helps local communities develop and implement wildfire preparedness plans. In addition, the Administration is tackling the pronounced health effects of wildfire smoke by investing over $10 million to enhance wildfire smoke preparedness and protection in communities across the West. AirNow.gov  and its specialized  Fire and Smoke Map  provide Americans with real-time information about smoke and air quality so people can make informed decisions about how to stay safe. Reducing Flood Risk for Households and Communities: Most homeowners’ and renters’ insurance does not cover flood damage. The Federal Emergency Management Agency’s  National Flood Insurance Program  is helping communities proactively protect their homes, businesses, and belongings from unexpected flood damage by providing  guidance  to communities on how they can mitigate their flood risk. In addition to investing billions of dollars to reduce flood risks across America and protect communities from rising insurance costs, President Biden also  reinstated  and is implementing the Federal Flood Risk Management Standard, which ensures that Federal agencies are considering and managing current and future flood risks in order to build a more resilient nation. Strengthening Water Security Across the West : Over the past two decades, the Colorado River Basin has experienced the driest period in the region in over one thousand years. President Biden’s Investing in America Agenda is providing over $15 billion—and has already funded nearly 500 projects—to enhance the West’s resilience to drought, including projects to reuse, recycle, recharge, store, conserve, and desalinate water resources, and to revitalize aging water infrastructure. The Administration has also taken historic action to conserve millions of acre-feet of water in the Colorado River Basin, securing our nation’s water resources for future generations and staving off the immediate collapse of the Colorado River. Promoting Climate-Smart Buildings and Infrastructure: Buildings and infrastructure investments last for generations when done right, so it is critical to plan and build in ways that promote climate resilience. President Biden’s  National Initiative to Advance Building Codes  is accelerating adoption of modern building codes that protect people from extreme-weather events and save communities an estimated  $1.6 billion  a year in avoided damages. The Administration is also making billions of dollars available to build climate-smart buildings and green infrastructure which will keep American’s homes cool in the summer and warm in the winter. Empowering Communities to Better Understand and Plan for Climate Risk: The Biden-Harris Administration is advancing actionable data, information, tools, and technical assistance to help people understand and address their climate risks. These tools will help communities understand and plan for local climate-related hazards  ; assess changes in coastal flood risk   ensure that Federal agencies are producing coordinated, actionable climate information ; and increase support for regional applied science and services centers . Incorporating Climate Risk into Decision-Making : Extreme weather, intensified by climate change, threatens the U.S. economy and the financial security of families, businesses, and workers. President Biden’s  Executive Order on Climate-Related Financial Risk  ensures that climate risk and resilience actions are appropriately factored into the formulation and execution of the President’s Budget, thereby properly managing and protecting Federal funding on behalf of taxpayers. This includes  formally accounting  for the risks that climate change pose in the President’s Budget for the first time.

Supreme Court rejects challenge to federal workplace safety agency, leaving OSHA off its docket

WASHINGTON – A Supreme Court that has tried to rein in what it views as regulatory overreach by executive branch agencies nonetheless declined to decide if Congress violated the Constitution when it gave a federal agency the power to set workplace safety rules.

The court rejected a challenge to the Occupational Safety and Health Administration brought by an Ohio-based general contractor and supported by some business and conservative groups, and by Republican attorneys general.

The federal agency survived challenges to its rulemaking authority in 1978 and 2011.

But challengers were hoping they would find a receptive audience in the court’s conservative supermajority, which has reined in what it views as regulatory overreach by executive branch agencies.

Most of the court's conservatives had shown an interest in revisiting how to apply the principle that Congress cannot delegate its legislative powers to other parts of government, according to a brief filed by the conservative Cato Institute in support of the challenge .

Justice Clarence Thomas made that same point in a dissent Tuesday.

"If this far-reaching grant of authority does not impermissibly confer legislative power on an agency, it is hard to imagine what would," he wrote.

But only one other justice − Neil Gorsuch − said he wanted to take the case. Granting an appeal requires four votes.

The challenger in the OSHA case, Allstates Refractory Contractors, was represented by Don McGahn, who was former President Donald Trump’s first White House counsel and played a top role in his Supreme Court nominations .

The Occupational Safety and Health Act of 1970 has been used by the Labor Department to set safety standards to protect workers from falls, fires, electric shock, being hit by foreign objects, asphyxiation, chemical burns and more.

A falling catwalk brace injures a worker: The penalty is $5,967

In 2019, OSHA issued a penalty against Allstates after a catwalk brace fell and injured a construction worker. Allstates agreed to pay a penalty of $5,967 but then took OSHA to court, arguing that Congress improperly told the agency it could set safety rules for virtually every business in America.

“If there is any case in which the Court should stand up for the principle that Congress, not agencies, must write major rules affecting the American people, this is it,” McGahn told the Supreme Court.

The Cincinnati-based 6th U.S. Circuit Court of Appeals disagreed.

A workplace safety law signed by Richard Nixon

A divided panel ruled 2-1 last year that the 1970 law, signed by then-President Richard Nixon, gave OSHA sufficient direction and also set limits on its authority.

“So while Congress has conferred significant power to OSHA to oversee large sections of our economy, the discretion conferred by the OSH Act nowhere near approaches the line where the scope of its power is too great for the standard imposed,” Circuit Judge Richard Griffin wrote .

Circuit Judge John Nalbandian, who was appointed by Trump, disagreed.

`Nearly unfettered discretion'?

Nalbandian said Congress gave the Labor Department “nearly unfettered discretion.”

The challengers contended that if they were successful, most of OSHA's regulations would not be affected because they are backed by other sources of rulemaking authority.

They also emphasized that they were challenging only permanent safety – not health – standards because Congress has placed more limits on health rules.

But the Labor Department said several safety standards − those intended to prevent immediate physical harm − would fall, returning the nation to the patchwork of federal and state rules that existed before the Occupational Safety and Health Act.

Since the law was passed, workplace injuries have dropped significantly, according to the department.

The Biden administration's lawyers said the challengers want to upend the approach that's been used for nearly a century to decide how much authority Congress can delegate to agencies and adopt a new test "with no identifiable concrete content or parameters."

But the American Farm Bureau Federation, which filed a brief with several other business groups in support of the challenge, said Congress must stop delegating its job to the Labor Department and set whatever specific safety standards lawmakers think are necessary.

"The decades long judicial path towards a watered-down nondelegation test," the groups told the court, "is inconsistent with the exclusive reservation of the legislative power to Congress and with the role of the people as the ultimate source of that legislative power."

Like many other CU recruits, Graham has a background as a multi-sport athlete. He'll use that knowledge to prepare for the next level in the Buffs secondary. One thing to note is that he has worked with different coverage packages at IMG and has excelled over the past two years.
