1. Add a header and contact information

While reading your cover letter, the recruiter shouldn’t have to look far to find who wrote it. Your document should include a basic heading with the following information:

  • Pronouns (optional)
  • Location (optional)
  • Email address
  • Phone number (optional)
  • Relevant links, such as your LinkedIn profile , portfolio, or personal website (optional)

You can pull this information directly from your CV. Put it together, and it will look something like this:

Perhaps you’re a fan of their products, you’re passionate about their mission, or you love their brand voice. Whatever the case, this section is where you share your enthusiasm for the role.

Here’s an example opening paragraph. In this scenario, you’re applying for a digital marketing role at a bicycle company:

“Dear Mr. John Doe,

Thank you for considering my application for the role of Marketing Coordinator at Bits n’ Bikes.

As with a resume, it’s important to start your cover letter with your contact details at the top. These should be in your cover letter’s header, separated neatly from the bulk of your text.

  • Full Name. Your first and last name should stand out at the top.
  • Job Title. Match the professional title underneath your name to the exact job title of the position you’re applying for. Hiring managers often hire for several roles at once, so giving them this cue about what role you’re after helps things go smoother.
  • Email Address. Always use a professional and easy-to-spell email address. Ideally, it should combine your first and last names.
  • Phone Number. Add a number where the hiring manager can easily reach you.
  • Location. Add your city and state/country, no need for more details.
  • Relevant Links (optional). You can add links to websites or social media profiles that are relevant to your field. Examples include a LinkedIn profile , Github, or an online portfolio.

Then it’s time to add the recipient’s contact details, such as:

  • Hiring Manager's Name. If you can find the name of the hiring manager, add it.
  • Hiring Manager's Title. While there’s no harm in writing “hiring manager,” if they’re the head of the department, we recommend you use that title accordingly.
  • Company Name. Make sure to write the name of the company you're applying to.
  • Location. The city and state/country are usually enough information here, too.

Once you’ve properly listed all the contact information, it’s time to start writing the content of the cover letter.

The first thing you need to do here is to address your cover letter directly to the hiring manager.

In fact, you want to address the hiring manager personally .

Forget the old “Dear Sir or Madam” or the impersonal “To Whom It May Concern.” You want to give your future boss a good impression and show them that you did your research before sending in your application.

So, how do you find out who’s the hiring manager?

First, check the job ad. The hiring manager’s name might be listed somewhere in it.

If that doesn’t work, check the company’s LinkedIn page. You just need to look up the head of the relevant department you’re applying to, and you’re all set.

For example, if you’re applying for the position of Communication Specialist at Novorésumé. The hiring manager is probably the Head of Communications or the Chief Communications Officer.

Here’s what you should look for on LinkedIn:

And there you go! You have your hiring manager.

But let’s say you’re applying for a position as a server . In that case, you’d be looking for the “restaurant manager” or “food and beverage manager.”

If the results don’t come up with anything, try checking out the “Team” page on the company website; there’s a good chance you’ll at least find the right person there.

Make sure to address them as Mr. or Ms., followed by their last name. If you’re not sure about their gender or marital status, you can just stick to their full name, like so:

But what if you still can’t find the hiring manager’s name, no matter where you look?

No worries. You can direct your cover letter to the company, department, or team as a whole, or just skip the hiring manager’s name.

#4. Write an Eye-Catching Introduction

First impressions matter, especially when it comes to your job search.

Hiring managers get hundreds, sometimes even thousands, of applications. Chances are, they’re not going to be reading every single cover letter end-to-end.

So, it’s essential to catch their attention from the very first paragraph.

The biggest problem with most opening paragraphs is that they’re usually extremely generic. Here’s an example:

  • My name is Jonathan, and I’d like to work as a Sales Manager at XYZ Inc. I’ve worked as a Sales Manager at MadeUpCompany Inc. for 5+ years, so I believe that I’d be a good fit for the position.

See the issue here? This opening paragraph doesn’t say anything except the fact that you’ve worked the job before.

And do you know who else has similar work experience? All the other applicants you’re competing with.

Instead, you want to start with some of your top achievements to grab the reader’s attention. And to get the point across, the achievements should be as relevant as possible to the position.

Your opening paragraph should also show the hiring manager a bit about why you want this specific job. For example, mention how the job relates to your plans for the future or how it can help you grow professionally. This will show the hiring manager that you’re not just applying left and right—you’re actually enthusiastic about getting this particular role.

In the final paragraph, you want to:

  • Wrap up any points you couldn't make in the previous paragraphs. Do you have anything left to say? If there’s any other information that could help the hiring manager make their decision, mention it here. If not, just recap your key selling points so far, such as key skills and expertise.
  • Express gratitude. Politely thanking the hiring manager for their time is always a good idea.
  • Finish the cover letter with a call to action. The very last sentence in your cover letter should be a call to action. This means you should ask the hiring manager to do something, like call you and discuss your application or arrange an interview.
  • Remember to sign your cover letter. Just add a formal closing line and sign your name at the bottom.

Let’s break these down and explore each component in more depth.

  • Cover Letter Introduction

The first few sentences in your cover letter are key. If you include some generic and bold assertions about your skills, the recruiter may get bored and move on to the next candidate. But if you make your introduction impressive, they will want to read on further.

Your introduction should start with “Dear, [hiring manager name].” Make sure you include the name of the hiring manager or recruiter who is hiring for the position. If the company has a relaxed office culture, you only need to use their first name; if the employer is more traditional, use their first and last name.

The first paragraph should tell the company why you want to work with them . There are two things you could say in this paragraph—you believe in the company’s mission, and you want to work on the problems they are solving or, you want to work with their team. You should mention one of these facts and give a specific reason why. You’re interested in helping the company solve problems? Now you need to tell them why. 

Giving a specific reason shows the company you’ve tailored your cover letter to them and done some research about their company. Saying that you have applied because a friend told you about the company or because you saw a job opening sounds like you haven’t thought about the company in any depth—you just applied. When a company feels you are passionate about their vision or their team, they are more likely to reach out to you. They are always going to hire the person who wants to work for the company more than the person who would accept any job. Even subtle personal touches will go a long way in a cover letter.

  • Cover Letter Body

You’ve written a great introduction, and you now have the attention of the recruiter. What’s next? You have to tell them your story. The main body will be what a recruiter uses to help them decide whether to schedule an interview or file your application away.

The main body should be around three sentences —even if you are applying for junior or senior positions in tech. The goal of telling this story is to convince the company you meet all of their specifications. Tell the company about your knowledge of the technologies they are using or your past experience with a certain process they mentioned in the job listing. Whatever it is, make sure you tell them how you can help solve their problems better than everyone else . And always provide specific examples .

Let’s say the company is looking for a front end web developer who can help them speed up their app. You could say, “In my one-year tenure as an intern at Google, I used React.js to improve the speed of an internal landing page by 50ms.” 

Specific, concise, and easy to understand.

In this section, you should be sure to make links between your qualifications and the specific requirements for a position . Mention how your skills meet the requirements of a company. You should also be sure to keep your paragraphs short. If you are writing three sentences, you may split those up into two paragraphs. This will make it easier for the recruiter to read your cover letter and understand the most important information. The more personalized your cover letter is, the more an employer will feel that you’re passionate about the company and its vision.

If you’re struggling to figure out how to talk about your past experience, there are a few questions you should keep in mind. These questions will ensure you know how to articulate your past experience and present it as effectively as possible to a future employer. Ask yourself:

  • What projects did I work on?
  • How many users did my project have?
  • What big milestones did I achieve?
  • What use cases did I have to take into account?
  • What tools (i.e. GitHub, Confluence, CircleCI) and methodologies (i.e. Agile) did I use to work on this project?

You should end up with something like, “I was a core team member building X and leveraged tools such as CircleCI to create a new continuous integration process, which helped cut down our deployment time by 30%.” 

  • Cover Letter Close

The hiring manager is reading your cover letter. They are getting more interested in reaching out to you for an interview. Now, you need to close your cover letter effectively.

The first thing you should mention in your closing lines is a call to action: a specific statement that tells employers how they can reach out to you . You may decide to say, “If you are interested in talking with me further about how I can help Microsoft boost the efficiency of their Azure platform, reach out to me at [email address].” Again, this is specific, concise, and actionable.

Then you want to close with “sincerely” or “kind regards” and sign the letter with your full name . Optionally, you can include a phone number or another contact information below your name. After you’ve done that, your cover letter will be complete. You do not need to make your close complicated—it should be simple and tell hiring managers how to reach out to you in only a few words.

The purpose of a cover letter is to tell your story to a prospective employer. You can tell them about yourself, your history, your knowledge, and more. Your cover letter gives you an opportunity to show an employer why you are a good candidate for a position and why they should hire you.

But many people feel compelled to include more information than they need to. Your cover letter should be short, to-the-point, and focused on how you can help a company achieve its goals. You don’t need to include every detail about your employment history. Keeping your cover letters short will make it easy if you apply for multiple positions and need to write many different letters.

Your cover letter should be formatted correctly and should be free of any spelling or grammar errors , as it will also implicitly showcase your writing and communication skills. If your cover letter includes obvious grammatical errors, an employer may question how much attention you pay to detail—a critical component of most jobs in tech.

Here are a few things you should avoid doing in a cover letter:

  • Making assertions which are not true. Employers will check the facts of a cover letter if they proceed with the interview process. Make sure your cover letter is truthful and accurately represents your skills. There are many people who have exaggerated their skills in a cover letter but were unable to meet the requirements when it came time for the interview.

Here are a few tips on how you can write a wonderful cover letter:

1. Personalize, Personalize, Personalize.

The main thing you should remember about this guide is that your cover letter should be personalized. It should be tailored to one specific company and one position . It’s easy to tell if a cover letter has been reused multiple times—they include generic statements, and the author doesn’t talk about why they want to work for a specific company. 

If you want to save time, you should consider making a template cover letter. You can then make a few changes for each company before you send the cover letter out. For example, you can keep your close and some of your main body the same; the main thing you would change is why you want to work for each company. This saves time while still allowing you to maintain a professional tone.

2. Include Some Statistics

Hiring managers like to see stats. Numbers show that you’ve had a quantifiable impact on an organization you’ve worked for in the past. For example, if you’re a front end developer, you could talk about how you improved the render speed of pages. Similarly, if you’re a DevOps developer, you could talk about how many servers you maintained in a cluster. Statistics are not necessary, but they do help illustrate how much of an impact you have made in the past.

3. Show Personality

Your cover letter should be yours . The resume you wrote will include lists of facts about you and your history. But your cover letter should be more free-flowing and showcase your human side to hiring managers.

Spend time researching the company’s culture, and try to adopt a similar tone in your cover letter. And, before you send it, read your cover letter aloud and remove anything which doesn’t sound like how you would speak.

4. Keep It Short and Simple

Of course, there are always exceptions to this rule. But your cover letter should be as short as possible . In one survey, more than two-thirds of employers said they prefer a cover letter that is half a page or, “the shorter the better”. The more wordy your writing is, the more difficult it will be for the hiring manager to take away the key points.

5. Review and Edit

As we mentioned earlier, you should run a spell check of your cover letter before you submit it. But don’t mistake a spell check for editing . Spend some time after you’ve written your cover letter to read it over and evaluate whether any changes need to be made. After a few reviews, you’ll most likely notice a few things you want to change or improve.

You can also reach out to a friend or family member and ask them to review your cover letter and make any suggestions for how you can improve the letter. Consider asking them, “Does this letter accurately showcase my skills?” and “Does this letter get you excited about me?” to make sure you have covered all your bases.

Mention any specific technologies you know and one major goal you met using that technology. For example, you could say, “At my previous job, I used Ruby on Rails and GraphQL to move from a REST-based architecture to GraphQL, which we found to be more efficient based on our business needs.” 

In this example, the candidate has spoken about how they know Ruby on Rails (a programming language), GraphQL (a data architecture tool), and how they have a good knowledge of REST (an API structure). If an employer is hiring someone who has these skills, this statement will really make the candidate stand out ahead of everyone else. 

7. Use Action Words

When you’re writing a cover letter, you should avoid using “buzzwords” or talking about specific skills that are not fully relevant to the job. Instead, you should use action words that showcase your involvement with particular projects. If you are a software developer, you may feel tempted to use words like “coded” or “developed” a few times in your cover letter because you have created a lot of applications. But you should try to introduce some variety into your cover letter.

Here are a few examples of action words you can use in your cover letter:

  • “I was a key collaborator on a tight-knit team…”
  • “Helped our team meet the project goal…”
  • “Created a new system to…”
  • “I managed a team of…”
  • “I helped create a new process…”

You should also try to include results-oriented words in your cover letter. These words help show that you have experience in yielding good outputs from your work and will show the extent of your responsibilities in your past experience.

A few words you may want to consider using include: redesigned, updated, implemented, produced, increased, streamlined, reduced .

Yet, far too often, job seekers treat the process of writing a cover letter as an afterthought to submitting a resume. Or they don’t bother to write one at all.

Your cover letter is your introduction to a prospective employer. It’s also an opportunity to make a great first impression and to showcase why you’d make a great hire. So don’t squander it.

These days, it’s unlikely a cover letter, like your resume , would be something you’d print and mail to a hiring manager. In fact, it may not be a letter at all. The savviest job seekers will include the modern equivalent of a targeted cover letter in the body of an email message or an online job application.

Don’t rehash your resume. Your words should do more than restate salient details from what’s already in your resume. The cover letter is where you should promote yourself, describe your ambition and express your enthusiasm for a new role and company in a way that is distinct from your resume.

Don’t use a one-size-fits-all cover letter template for all the positions you apply for. If you do, you’re missing the point: Only a letter that’s targeted to the job at hand will make a positive impression.

Write a cover letter employers can’t ignore by tying it to the elements of the job that match your unique skills and experience. What are they asking for that you’re especially good at? What would make your contribution unique? Those are the points to stress when writing a cover letter.

Just as important, gather facts and figures that support your claims with details. For example, if you’re applying for a managerial role, mention the size of teams and budgets you’ve managed. If it’s a sales role, describe specific sales goals you’ve achieved.

In addition to highlighting your talents, you can further personalize your cover letter by demonstrating your familiarity with the specific industry, employer and type of position.    

Companies want confident employees who love their work. They know these are the people who tend to perform better, serve as stronger team members and have greater potential to grow along with the business.

Draw attention to specific examples of projects you’ve worked on that make you an ideal candidate, and don’t hesitate to brag a little about your most pertinent achievements. Consider adding a sentence or two — or even a bullet list, as long as you’re not duplicating your resume — of key achievements backed up with quantitative data. That means your cover letter should incorporate key phrases you’ve identified in the job description — if they honestly match with your background and strengths.

During the writing process, carefully review the job ad for the type of degree required, the number of years’ experience needed, and desired software skills, organization and communication abilities, and project management background.

If you want to know how to write a cover letter that stands out, show how you’ve had a measurable impact on an organization. Did you bring in new clients, make a process more efficient, spearhead some campaigns? Provide specific numbers, percentages to show growth, or a range or estimate to quantify results.

  • Don’t overshare — Showing some personality is generally fine, but keep the focus on your career. Stick to pertinent facts and omit personal details unrelated to your ability to perform the job.

Bold statements are OK, as long as you back them up with facts.
  • Don’t make demands — Zero in on what you can do for the employer, not what you hope to gain from the company. It’s both presumptuous and off-putting to cite salary demands before you’ve even landed a phone or video interview . The same goes for bringing up the perks and benefits you expect.
  • Don’t fail to follow directions — Employers often provide specific instructions in the job ad, such as submitting your resume and cover letter in a certain file format or referencing the job title or requisition number. Before you upload your letter or hit the send button, reread the job posting to make sure you’ve done everything the employer asked so you don’t raise red flags.

Next, catch the attention of the hiring manager or recruiter with a strong opening line. If you have a personal connection with the company or someone who works there, mention it in the first sentence or two, and try to address your letter to someone directly. Hiring managers are looking for people who can help them solve problems, so show that you know what the company does and some of the challenges it faces. Then explain how your experience has equipped you to meet those needs. If the online application doesn’t allow you to submit a cover letter, use the format you’re given to demonstrate your ability to do the job and your enthusiasm for the role.

With so much — often conflicting — advice out there on how to write an effective cover letter , it’s unsurprising that many people feel confused and anxious about the whole process and are left with more questions than answers:

Who should I address my letter to? What should I mention in my letter? What font should I use? Should I address any employment gaps? Do hiring managers even read cover letters?

And that’s precisely why we created this guide: to answer all those questions (and more) and help you write a cover letter that gets you one step closer to your dream job .

What is a cover letter?

A cover letter (also sometimes known as a covering letter, motivation letter or motivational letter) is a document that you submit as part of a job application . It acts as a letter of introduction and an invitation to employers to read your résumé , and is used to explain your interest in the job you’re applying for as well as your fitness for the role.

How does it differ from an application letter?

Many people often use the terms “cover letter” and “application letter” interchangeably, but they’re not the same thing. Although they do share a similar purpose (to show interest in a job), there have some key differences, as highlighted below:

  • An application letter is primarily used to show interest in working for a company, even if they don’t have any current openings. A cover letter, on the other hand, is used to show interest in a specific advertised vacancy.
  • A cover letter is used to accompany your résumé, while an application letter is generally used as a replacement for your résumé ( and cover letter).
  • Application letters tend to be much longer and more detailed — they can be as long as three pages.

The importance of a cover letter

A cover letter is a useful tool to showcase how your skills and experience meet the requirements of the job description and how you can contribute to the company’s success. It, essentially, allows you the opportunity to tell your story and explain why the hiring manager should consider you as a viable candidate.

It’s also a great way to build a relationship with the employer. While a tailored résumé will help you stand out from the competition and get past the applicant tracking systems , your cover letter is where you can really connect with the reader, who will then be more inclined to offer you an interview.

Finally, if you know someone who works at the company or who referred you to the job, your cover letter is the perfect place to mention this. A little name-dropping never hurt anyone — and it can be just what gets your foot into the door.

Do hiring managers even read cover letters?

Hard truth: most recruiters and hiring managers (including myself) don’t read cover letters — at least not at first. Indeed, a staggering 90% of recruiters admit to not reading cover letters at all, according to Glassdoor [archived page]. But here’s the thing: whether they read it or not, they expect you to submit a cover letter in your application — and might disqualify you from the candidate pool if you don’t.

When to send a cover letter

You should always include a cover letter in your application. Even if it’s not specifically requested of you in the job advertisement, sending a cover letter shows employers that you’re someone who takes initiative (a highly sought-after quality) and confirms your genuine interest in the role.

The only time you should not send a cover letter is when you’re specifically asked not to. Although this rarely happens, it’s incredibly important that you comply. Indeed, sending one anyway only demonstrates an inability or unwillingness to follow instructions, which could lead employers to thinking that you’re difficult to work with.

How long should a cover letter be?

Generally, cover letters should be no more than one A4 page long. If it can be shorter than this, even better, but it must be a minimum of half a page in length. Essentially, you’re looking to make a case of your candidacy in between 200 and 400 words (or about 3 to 5 paragraphs).

Cover letters for academic positions, meanwhile, tend to be longer than one page, typically about one-and-a-half to two pages long so you can effectively show off your accomplishments.

What to include in your cover letter

There are five key things that your cover letter should always include:

  • Who you are and how employers can contact you
  • Which job you’re applying for and how you found it
  • Why you’re interested in the job
  • What value you offer the company
  • A call-to-action requesting an interview

Do not include salary requirements in your cover letter, as you risk coming across as arrogant or desperate. Instead, wait to discuss your salary expectations in the interview .

How to structure your cover letter

Your cover letter should consist of the following sections:

  • A header with your name and contact information
  • The date and the recipient’s address
  • An opening paragraph focusing on who you are and why you’re applying
  • One to three middle paragraphs explaining why you’re perfect for the job
  • A closing paragraph with a powerful CTA
  • A complimentary close
  • An optional postscript

The header of your letter should, at the very least, contain:

  • Your phone number
  • Your email address
  • A link to your LinkedIn profile
  • Your home address

You can also optionally add links to your personal website , online portfolio and social media pages, as well as a professional photo.

Date and inside address

Under the header, write the date of your letter — it’s better to write it out in full (eg: “Friday, April 29, 2022”) as opposed to writing it in all numerals (eg: “Friday, 04/05/2022”). After this, write the recipient’s address, along with their job title and the name of the company.

If you’re emailing your application, or submitting it online, you can skip this entirely.

Start your letter by greeting the hiring manager by name, such as “Dear Mr Smith” or “Dear Ms Evans”. Not only does this show that you took the time to do some research, but it’s also a great little psychology trick (science says that people love to hear their names and react positively when they do).

If you can’t find the hiring manager’s name, though, a simple “Dear Hiring Manager” will suffice — but never the overly popular “Dear Sir or Madam” or, worse, “To Whom it May Concern”.

Opening paragraph

The first paragraph — and perhaps even the very first sentence — of your cover letter is the most important of all. It needs to grab the hiring manager’s attention from the get-go and hook them in to continue reading.

Use the opening paragraph to introduce yourself, mention the job you’re applying for and how you came across it, and (more importantly) highlight your achievements and that you know what the employer’s needs are.

Middle paragraph(s)

The main part of your letter should consist of one or two paragraphs that demonstrate how you meet the employer’s needs — essentially, this is where you’ll tell them why you want to join the company and why you’re the perfect candidate.

One way to do this is to focus on a company fact, like an upcoming project. Mention why you find it interesting and explain how your experience and knowledge will contribute to the project’s success.

Closing paragraph

The closing paragraph is where you make the sale. Essentially, you need to end with a CTA — one that the employer can’t refuse. Here, you should reiterate your interest in the position, briefly summarize why you’re the perfect candidate, and politely request an interview. Don’t forget to thank the reader for taking the time to review your application!

Complimentary close

Close your letter with a professional complimentary close such as “Sincerely”, “Respectfully” or “Best regards”. This should be followed by your typed name and, if you’re mailing your application, your handwritten signature.

Adding a PS at the end of your cover letter is entirely optional (and slightly controversial), but it’s a great little trick to ensure your letter grabs the hiring manager’s attention. That said, don’t include a PS just for the sake of it — use it to reiterate your unique selling proposition or to mention an interesting titbit about yourself (so long as it relates to your experience and the job).

How to format your cover letter

Though the content of your cover letter is what really matters, how you present that information to potential employers is what gets them to actually read your letter. Indeed, the tidier it looks, the more inclined they will be to read your letter.

Here are some formatting rules for your cover letter :

Page margins

Page margins should be set to one inch on all sides. You can reduce them to half an inch to keep your letter to one page, but it’s generally best to avoid this if possible.

Use a clean, professional-looking font (like Arial, Calibri, Georgia or Times New Roman) for your letter, and set it to between 10pts and 12pt. Whatever you do, don’t use Comic Sans or any similar “fun” font.

Although not strictly necessary, using bulleted lists can help break up the content of your letter to make it more scannable. If you do use bulleted lists, keep these things in mind:

  • Start each list item with an action word (check out our list of résumé action words for inspiration).
  • Limit your cover letter to a maximum of two bulleted lists, comprising a minimum of three and a maximum of six items each.
  • Choose one bullet style and stick to it (round or square bullets are best).
  • Avoid making bullet list items so long that they look like paragraphs (generally, two lines is a reasonable maximum limit).

Text alignment

Keep all text aligned to the left of the page. Do not center, justify or, worse, right-align any text.

Line spacing

Double-space your cover letter. This means that a full blank line should be used between paragraphs. The only time you should use single spacing is between the different parts of the recipient’s address.

Make sure the overall look and feel of your cover letter matches that of your résumé. This includes font choices, margin sizes, bullet symbols, and the exact same header used in your résumé. Not only does this ensure consistency in terms of design, but it also helps you create an instantly recognizable personal brand .

Tips for writing a cover letter

When writing your cover letter, there are some key things to keep in mind. Here are our 10 must-know tips:

1. Tailor it to the company and job you’re applying for

A generic, one-size-fits-all cover letter won’t get you anywhere. The more tailored it is, the better are your chances of landing an interview.

You can achieve this by incorporating important keywords and phrases from the job advertisement. Likewise, researching the company (specifically, browsing their website and reading up on company news) will help you adopt an appropriate tone that fits their culture, as well as incorporate knowledge of and interest in their products and services.

2. Don’t regurgitate your résumé

Your cover letter is meant to complement your résumé, not replicate it. This means that it should be used to expand on some aspects of your experience and, more importantly, explain you’re a good fit for the company.

3. Show, don’t just tell

If you want your letter to make a real impact, you need to provide evidence of your skills and achievements — not just mention that you’re an expert in Photoshop or that you overhauled the company website’s design. Where possible, use numbers, percentages and dollar amounts to back up your claims and show the results of your successes.

4. Address any employment gaps

Employment gaps on your résumé can raise red flags for employers, but your cover letter gives you the unique opportunity to effectively explain and conquer those gaps , whether it was due to a career break , a layoff or personal reasons. That said, don’t dwell on the gap — briefly address it and quickly move on to marketing yourself as the perfect candidate.

5. Keep it succinct

Your cover letter shouldn’t tell your life story. Hiring managers only care about concrete facts that match your skills, experience and achievements to the job you’re applying for, so keep your letter short and succinct.

In terms of readability and scannability, it’s a good idea to keep sentences to 25 words long, while your letter as a whole should not exceed 400 words.

6. Be creative

Whereas the tone of your résumé is formal, your cover letter allows you to be slightly more casual, especially if you’re going into a creative industry or job role. This means you can be a little creative (but not too creative — it should still look and sound professional) and inject some of your personality in your cover letter.

7. Consider using a template

If you’re not quite the designer, it might be a good idea to use a premade template to get some structure going — this way, all you have to do is prepare the content. 8. Avoid clichés

One of the biggest cover letter mistakes that many jobseekers make is using overly vague and cliché statements (think: “I’m writing to express my interest in the role of web designer at Company ABC”). Recruiters are used to reading the same phrases over and over again, and this gets boring fast — your best bet is to go against the norm if you really want to grab their attention.

9. Always read (and follow) any special instructions

Employers sometimes include instructions for cover letters in the job description. These can include file format preferences, specific questions that you should answer in your letter, and even salary requirements. Whatever these instructions are, make sure you follow them to a T.

10. Proofread before you submit

Make sure to check (and double-check and triple-check) your letter for grammar, spelling and formatting issues. It’s also a good idea to have a second pair of eyes go over it — they may spot something you missed or offer you suggestions to improve your letter.

How to send your cover letter

There are two ways you can send your cover letter: by mail and, most commonly, by email. Here are some key things to keep in mind for both methods.

If you’re sending your job application through the mail, put your documents into a large envelope. If you use a smaller envelope, you’ll have to fold your documents, and this could smudge the ink (especially if not properly dried) — plus, the creases and wrinkles just look awful.

Meanwhile, be sure to address the envelope to the correct person. You can handwrite the address, but it’s generally best to print it on the envelope.

Send your application via certified or registered mail. This way, you can keep track of delivery.

If you submit your cover letter via email, it’s generally accepted to copy the content into the body of the email message.

That said, it’s a good idea to include it as an email attachment (along with your résumé, of course, and any supplemental files), as this makes it easier for recruiters to download and print your documents — better yet, you can combine all your files into a single PDF. (If you add your letter as an attachment, make sure to add a short message — do not send a blank email.)

Finally, write a clear, concise and professional subject line for your email application , such as “Sales Manager — John Smith”.

How to Write a Cover Letter That Will Get You a Job

I’ve read thousands, maybe tens of thousands, of cover letters in my career. If you’re thinking that sounds like really boring reading, you’re right. What I can tell you from enduring that experience is that most cover letters are terrible — and not only that, but squandered opportunities. When a cover letter is done well, it can significantly increase your chances of getting an interview, but the vast majority fail that test.

So let’s talk about how to do cover letters right.

1. First, understand the point of a cover letter.

The whole idea of a cover letter is that it can help the employer see you as more than just your résumé. Managers generally aren’t hiring based solely on your work history; your experience is crucial, yes, but they’re also looking for someone who will be easy to work with, shows good judgment, communicates well, possesses strong critical thinking skills and a drive to get things done, complements their current team, and all the other things you yourself probably want from your co-workers. It’s tough to learn much about those things from job history alone, and that’s where your cover letter comes in.

2. Whatever you do, don’t just summarize your résumé.

The No. 1 mistake people make with cover letters is that they simply use them to summarize their résumé. This makes no sense — hiring managers don’t need a summary of your résumé! It’s on the very next page! They’re about to see it as soon as they scroll down. And if you think about it, your entire application is only a few pages (in most cases, a one- or two-page résumé and a one-page cover letter) — why would you squander one of those pages by repeating the content of the others? And yet, probably 95 percent of the cover letters I see don’t add anything new beyond the résumé itself (and that’s a conservative estimate).

Instead, your cover letter should go beyond your work history to talk about things that make you especially well-suited for the job. For example, if you’re applying for an assistant job that requires being highly organized and you neurotically track your household finances in a detailed, color-coded spreadsheet, most hiring managers would love to know that because it says something about the kind of attention to detail you’d bring to the job. That’s not something you could put on your résumé, but it can go in your cover letter.

Or maybe your last boss told you that you were the most accurate data processor she’d ever seen, or came to rely on you as her go-to person whenever a lightning-fast rewrite was needed. Maybe your co-workers called you “the client whisperer” because of your skill in calming upset clients. Maybe you’re regularly sought out by more senior staff to help problem-solve, or you find immense satisfaction in bringing order to chaos. Those sorts of details illustrate what you bring to the job in a different way than your résumé does, and they belong in your cover letter.

If you’re still stumped, pretend you’re writing an email to a friend about why you’d be great at the job. You probably wouldn’t do that by stiffly reciting your work history, right? You’d talk about what you’re good at and how you’d approach the work. That’s what you want here.

3. You don’t need a creative opening line.

If you think you need to open the letter with something creative or catchy, I am here to tell you that you don’t. Just be simple and straightforward:

• “I’m writing to apply for your X position.”

• “I’d love to be considered for your X position.”

• “I’m interested in your X position because …”

• “I’m excited to apply for your X position.”

That’s it! Straightforward is fine — better, even, if the alternative is sounding like an aggressive salesperson.

4. Show, don’t tell.

A lot of cover letters assert that the person who wrote it would excel at the job or announce that the applicant is a skillful engineer or a great communicator or all sorts of other subjective superlatives. That’s wasted space — the hiring manager has no reason to believe it, and so many candidates claim those things about themselves that most managers ignore that sort of self-assessment entirely. So instead of simply declaring that you’re great at X (whatever X is), your letter should demonstrate that. And the way you do that is by describing accomplishments and experiences that illustrate it.

Here’s a concrete example taken from one extraordinarily effective cover-letter makeover that I saw. The candidate had originally written, “I offer exceptional attention to detail, highly developed communication skills, and a talent for managing complex projects with a demonstrated ability to prioritize and multitask.” That’s pretty boring and not especially convincing, right? (This is also exactly how most people’s cover letters read.)

In her revised version, she wrote this instead:

“In addition to being flexible and responsive, I’m also a fanatic for details — particularly when it comes to presentation. One of my recent projects involved coordinating a 200-page grant proposal: I proofed and edited the narratives provided by the division head, formatted spreadsheets, and generally made sure that every line was letter-perfect and that the entire finished product conformed to the specific guidelines of the RFP. (The result? A five-year, $1.5 million grant award.) I believe in applying this same level of attention to detail to tasks as visible as prepping the materials for a top-level meeting and as mundane as making sure the copier never runs out of paper.”

That second version is so much more compelling and interesting — and makes me believe that she really is great with details.

5. If there’s anything unusual or confusing about your candidacy, address it in the letter.

Your cover letter is your chance to provide context for things that otherwise might seem confusing or less than ideal to a hiring manager. For example, if you’re overqualified for the position but are excited about it anyway, or if you’re a bit underqualified but have reason to think you could excel at the job, address that up front. Or if your background is in a different field but you’re actively working to move into this one, say so, talk about why, and explain how your experience will translate. Or if you’re applying for a job across the country from where you live because you’re hoping to relocate to be closer to your family, let them know that.

If you don’t provide that kind of context, it’s too easy for a hiring manager to decide you’re the wrong fit or applying to everything you see or don’t understand the job description and put you in the “no” pile. A cover letter gives you a chance to say, “No, wait — here’s why this could be a good match.”

6. Keep the tone warm and conversational.

While there are some industries that prize formal-sounding cover letters — like law — in most fields, yours will stand out if it’s warm and conversational. Aim for the tone you’d use if you were writing to a co-worker whom you liked a lot but didn’t know especially well. It’s okay to show some personality or even use humor; as long as you don’t go overboard, your letter will be stronger for it.

7. Don’t use a form letter.

You don’t need to write every cover letter completely from scratch, but if you’re not customizing it to each job, you’re doing it wrong. Form letters tend to read like form letters, and they waste the chance to speak to the specifics of what this employer is looking for and what it will take to thrive in this particular job.

If you’re applying for a lot of similar jobs, of course you’ll end up reusing language from one letter to the next. But you shouldn’t have a single cover letter that you wrote once and then use every time you apply; whatever you send should sound like you wrote it with the nuances of this one job in mind.

A good litmus test is this: Could you imagine other applicants for this job sending in the same letter? If so, that’s a sign that you haven’t made it individualized enough to you and are probably leaning too heavily on reciting your work history.

8. No, you don’t need to hunt down the hiring manager’s name.

If you read much job-search advice, at some point you’ll come across the idea that you need to do Woodward and Bernstein–level research to hunt down the hiring manager’s name in order to open your letter with “Dear Matilda Jones.” You don’t need to do this; no reasonable hiring manager will care. If the name is easily available, by all means, feel free to use it, but otherwise “Dear Hiring Manager” is absolutely fine. Take the hour you just freed up and do something more enjoyable with it.

9. Keep it under one page.

If your cover letters are longer than a page, you’re writing too much, and you risk annoying hiring managers who are likely sifting through hundreds of applications and don’t have time to read lengthy tomes. On the other hand, if you only write one paragraph, it’s unlikely that you’re making a compelling case for yourself as a candidate — not impossible, but unlikely. For most people, something close to a page is about right.

10. Don’t agonize over the small details.

What matters most about your cover letter is its content. You should of course ensure that it’s well-written and thoroughly proofread, but many job seekers agonize over elements of the letter that really don’t matter. I get tons of  questions from job seekers  about whether they should attach their cover letter or put it in the body of the email (answer: No one cares, but attaching it makes it easier to share and will preserve your formatting), or what to name the file (again, no one really cares as long as it’s reasonably professional, but when people are dealing with hundreds of files named “resume,” it’s courteous to name it with your full name).

Approaching your cover letter like this can make a huge difference in your job search. It can be the thing that moves your application from the “maybe” pile (or even the “no” pile) to the “yes” pile. Of course, writing cover letters like this will take more time than sending out the same templated letter summarizing your résumé — but 10 personalized, compelling cover letters are likely to get you more  interview invitations  than 50 generic ones will.

Today, more than ever, having a catchy cover letter in your job-search toolkit is a must.

A lot of job seekers ask, “Do I really need a cover letter?” The answer is a resounding “Yes!” More often than not, writing a catchy cover letter is something people simply don't do because the overwhelming thought is that employers don't read them. That couldn't be further from the truth. 

On top of that, adding a catchy cover letter to your application can enhance the skills, achievements, and qualifications you include on your resume. Most importantly, though, a great cover letter makes you more human, more real, to the hiring manager reading your application. 

What's most critical is that your cover letter be engaging. Avoid using the same old boring content that everyone else is using. Instead, craft a catchy cover letter that grabs their attention. This is your how-to guide for doing that!

Cookie-cutter isn't the way to go

Everyone has seen cover letters that start like this, 

To Whom It May Concern:

I am writing to express my interest in the [POSITION TITLE] that I saw advertised for [COMPANY NAME].

It's a complete yawn-fest. It's boring. It's overdone. 

Since your cover letter is the first chance you get to make a solid introduction to a new employer, spice it up a bit. Use some humor, indicate that you're passionate about the job you're pursuing, and inject some of your personality to entice hiring managers to actually read what you have to say. 

What is a good opening line for a cover letter?

The main idea behind a great, catchy cover letter is that you want to tell a story. This doesn't mean you should regurgitate what's contained in your resume – no one wants to read the same things twice. It all starts at the beginning. The way you start your cover letter can make or break you.

Do you want the hiring manager to have a “Bleh” moment and toss your cover letter to the side?

Wouldn't you rather they be caught off-guard by your creativity and keep reading?

The best way to shake things up is to go off-script and write something that actually catches their attention. Here are some examples:

Show your passion: “Not too long ago, I came to the realization that my life's goals included giving back to my community through story-telling. After a lot of research, I discovered that a great way to do that was to go into Public Relations and Marketing to help connect consumers with companies to meet needs.”

Show some love: “I recently read an article about how [COMPANY NAME] was involved in improving our community by engaging employees in outreach events that…”

Prove your worth: “When I read about the job opening for [POSITION TITLE] at [COMPANY NAME], I knew I had to apply because I'd already saved my current company over $100K in logistics costs and I knew that I could do that for you, too.”

Highlight your personality: “A few years ago, I was exploring the mountain roads outside of Denver, and a stranded chicken jumped in my car – it's a funny story, I even have pictures. From that moment, I knew working with rescue animals was where I wanted my future to go.”

Now that you have their attention – write the body of your catchy cover letter

One thing to remember is that the introduction of your cover letter isn't supposed to be a monologue – keep that old adage that less is more in mind. The first paragraph of your cover letter is only meant to be a couple of sentences – just enough to pique the hiring manager's interest so they keep reading. Let's face it; it's not every day that some random chicken jumps in your car. That may be just the thing that entices the interviewer to call you in – so they can hear the story. 

The second paragraph of your catchy cover letter

The next part of your catchy cover letter should be a paragraph that transitions into how your introduction will make you a great part of their team. Without repeating all the great things you've written in your cover letter, highlight some of the skills and achievements from your career thus far to prove to them you have what it takes to be a valuable part of their team. 

The third paragraph of your catchy cover letter

You can actually write this third part as a paragraph or use bulleted achievement statements (like you'll see in the template later in this article). The idea here is to showcase your most impressive career achievements and your primary strengths. 

It's a good call to opt for bullets for this part of your catchy cover letter because if the hiring manager is skimming through your cover letter, it'll be easy for them to see what you bring to the table. Don't go crazy, though, and add a bunch of bulleted achievement statements. Stick to between three and five because you don't want the cover letter to go over one page. 

The closing of your catchy cover letter

Your last paragraph should close out the cover letter by reiterating your passion for the job and requesting an interview; this is called a call to action. After all, the whole point of writing a catchy cover letter is to get them to call you for a face-to-face meeting so you can win the job. 

The end of your cover letter is also a great place to explain faux pas in your resume or give details about why you're changing careers . You can even use this part to detail your desire to travel for work or indicate that you're relocating for this job.

We know, instructions on how to do something is one thing, but seeing it all come together in an example is something even better. So, with that, here is a catchy cover letter example:

Would [COMPANY NAME] benefit from having someone on their team who has generated $30K in revenue, increased blog traffic by 14%, and tripled social media ROI – all in one year? Then, I'm your person. Given my background in [EXPERIENCE RELATED TO FIELD] and [EXPERIENCE RELATED TO FIELD], I know I can repeat those results for you and feel that I would make additional significant contributions to the [POSITION TITLE] you currently have available.

Throughout my entire career, I have demonstrated consistent success [SOMETHING YOU HAVE CONTRIBUTED TO] to achieve high-reaching standards and goals. During my time with [COMPANY YOU CURRENTLY WORK FOR], I've built a reputation for [MAJOR ACHIEVEMENT]. On top of that, people often come to me from different departments because I'm known as someone who can [PICK A SKILL FROM THE JOB DESCRIPTION TO INJECT HERE].

This catchy cover letter starts by discussing quantifiable achievements , which hiring managers drool over. Whenever you can deliver tangible results, the new employer will immediately know what you have to offer.

Tailor your cover letter

Since the goal of your cover letter is to work with your resume to land your dream job – one of the most important aspects of anyone's life – it's critical to get it right. Let's talk about a few more things you need to know to craft a catchy cover letter that makes a strong impression and helps you win interviews. 

Use a professional letter format. You're not writing a letter to Grandma to thank her for the gift she got you, so make sure it's professional. Avoid using slang or overly casual expressions. Also, don't pack your cover letter with a lot of jargon that may or may not be understood outside of your current work circle. 

Keep it Short and Simple (K.I.S.S.). Remember the one-page rule. You're not trying to tell the hiring manager everything you've ever done in your career, instead, you're trying to pique their interest so they have a reason to call you to ask you more questions. 

Revise, edit, and do it again. Did you know that the average typed document has an average error rate of 8% ? Proofread your work, then get a friend to proofread it. Follow up. Prove that you're really interested in the position by following up with the employer if you don't hear back from them.

Although you might have written a resume before, cover letters can be a bigger mystery. The good news is: by following a simple, three-paragraph process, you can quickly write a cover letter that will get attention and likely lead to a job interview!

What Is a Cover Letter?

Imagine you’re handing your resume to someone in person. Maybe you’re at a job or career fair, going into an employer’s office, or even handing it to an acquaintance so that they can get it to the hiring manager. You wouldn’t just give that person your resume, turn, and walk away without saying a word. You would probably take the time to  introduce yourself  and explain why you’re giving that person your resume, how you found out about the job, and why you think you’re qualified for it.

That’s the  purpose of a cover letter .

The cover letter is a more personalized introduction than your resume. It’s a message that represents what you would otherwise say in person, face-to-face. It should be uniquely written for each company and position, follow a standard; one-page business letter format, and consist of three to four paragraphs. If possible, it should also include the hiring manager’s name.

The cover letter usually accompanies a resume. It allows you to expand on the  information in the resume  or explain something that might appear as a red flag or barrier to employment. However, just as important is that the cover letter allows the recruiter to assess your written communication skills!

Why Do I Need a Cover Letter?

Cover letters aren’t always required for a job application. Often, they’re listed as an optional document. Most applicants  won’t  submit a cover letter because of this (let’s face it, job applications can take a lot of time!). However, this also means that submitting a cover letter is an extra step that will help you to stand out from the other applicants — and show how interested you are in the position!

How Do I Write a Cover Letter?

Here’s how to write a cover letter in three easy paragraphs:

Paragraph 1 (About You)

This is where you briefly introduce yourself, what position you’re interested in, and how you discovered it (i.e., job posting site, flyer, social media). If someone recommended you for the position, drop their name in the very first sentence and include their title and affiliation.

Also be enthusiastic! List three of your most important or impressive qualifications from your resume to explain why you’re applying for the position. You may also wish to include the degree or program you’re currently studying.

Example: I’m applying for your Human Resource Specialist position found on LinkedIn, as recommended by John Smith, your Office of Human Resource Manager. I would be a valuable addition to your team, with my five years of administrative experience, BAS in Organizational Management, and Microsoft Office certification.

Paragraph 2 (About the Company)

Answer the question “Why do you want to work here?” by researching the company and writing about at least one way that you resonate with its culture, values, or mission. You can get great information by visiting the company’s website (check the About Us or Mission/Vision pages) or by looking them up in the news category of your favorite search engine. Emphasize how your experience meets the company’s needs and why it would be a privilege to work for them.

Example: Congratulations on your team participating in a local Habitat for Humanity build. I would love to work for an organization that is so committed to improving our local communities. I’ve personally participated in four Habitat for Humanity builds; the skills I’ve learned, coupled with the knowledge I gained, have inspired me to seek out other, similar volunteer opportunities within our community.

Paragraph 3 (Thank You and Closing)

Be sure to thank the employer/hiring manager, provide contact information, and mention that you look forward to hearing from them. Express enthusiasm about an upcoming interview!

Example: Thank you for your time and consideration. I look forward to discussing my professional experience in greater detail in an upcoming interview. You can reach me at [phone number] or [email address].

How to Address a Cover Letter

Learn how to address a cover letter under different circumstances and how to find a contact to send the letter to when you don’t have a name.

When you're applying for a job or contacting an employer speculatively, the format of your cover letter will vary depending on whether you have a named contact and the reason for your letter. It's important that you address a cover letter correctly, as it's the first thing the reader will see. It needs to be professional and create a good impression.

What is a cover letter, and why is it important?

A cover letter is a document sent with your CV or application for a job opening. A great cover letter shows your reason for applying. It also pulls together all the main evidence supporting why you're the best person for the job, as outlined in your CV, application, and other supporting documents.

Each cover letter you write is highly tailored to the position you’re applying for and the hiring company. It should address essential criteria and elaborate on important points in your CV. Consider your cover letter to be your sales pitch. A great cover letter invites a recruiter to read your CV or application.

Who do you address a cover letter to?

Your cover letter should be addressed to the person responsible for recruitment. If you don’t know the person's name, there are ways to find out. Finding the name can be the difference between your letter being read or lost in the pile, so follow the guidelines below to make sure you address your cover letter most effectively.

Addressing a cover letter with a name

This is the best start if you have a name for your recipient. This means the letter will likely be delivered to the right person rather than lost or sent to someone without the power you need.

A cover letter is a formal document that should be addressed as such. The most professional way to do this is with "Dear." For example:

Dear Mr. Miller

Dear Ms. Jones

Dear Dr. Sullivan

If you don’t know the person’s gender or preferred pronouns, you can use their first name. For example: "Dear James Miller." Don’t include a comma or colon after the greeting.

Addressing a cover letter to a recipient with a professional title

If the recipient of your cover letter has a professional title, always include it. Someone with a PhD will be a doctor rather than a Mr/Ms. This also makes things easier if you need help deciding which personal pronoun to use.

Addressing a cover letter without a named recipient

It's worth finding one when deciding who to address a cover letter to when you don’t have a name. This is covered in more detail in our ‘First steps in determining a recipient’ section below.

If you absolutely can’t find a name, address your cover letter to the appropriate department within the company or organisation. For example, "Dear [Department] Hiring Team". You can use that if you know the job title of the person you need to send your letter to, and it’s just their actual name that eludes you. For example: "Dear Head of [Department]" or "Dear Director of [Department]".

Addressing a speculative cover letter

When writing a speculative cover letter that isn't in response to a job posting, the principles are much like the above. You may or may not know the name of the person you're trying to reach. If you do, so much the better. Include the name.

The difference with a speculative letter is that a mutual connection may have given you the name of the appropriate recipient. If this is the case, mention that connection in your introduction. For example:

Dear Mr Morris

My former employer, Jenny Lee of Brandenburg and Associates, gave me your details after your new customer service department was developed.

Addressing a cover letter sent by email

Addressing a cover letter to send via email slightly differs from a printed one. A printed letter would include the recipient's address and the date, which is unnecessary in an email, as the letter will be the body of the email.

However, your email still needs to be as professional as a traditional cover letter. Formally address the letter, as you would in a printed cover letter. 

The subject line and an email cover letter are important to notice amid the hundreds of emails a recruiter might receive. Include your name, the job title you’re applying for, the reason for contact, and what is included in the documents you're sending. An example would be:

Helen Williams – Marketing Manager Position – CV and cover letter

If you have a recipient’s name but you're sending your email to an "info" address, you can include "FAO" (for the attention of) in your title:

FAO Mark Booth—Helen Williams—Marketing Manager Position

How to find the right recipient

If you don’t have a recipient for your cover letter, you'll need to do some research. You might even have a name but not an email address. Here are some tips for hunting down elusive contacts and their addresses.

Research websites

Check out the company website and social media sites. Use Google to piece together what you know and find details on lesser-known websites such as About pages. For example, if you know the desired department to contact, you can search for "Head of Marketing for [Department]" and see what it brings up.

If you have a name but no contact address, you can search for your contact: "Mr. Jones, Head of Marketing at [Company]." If you need a contact email address, you may find a social media page.

Call the company

The good old-fashioned telephone is an excellent way to find a contact for your cover letter. Call the company, explain why you are calling, and ask them to whom best to send your cover letter and CV.

Check LinkedIn

LinkedIn is a great tool for finding people thanks to its built-in and highly effective search function. You can search by the person's name if you have one, and for a more advanced search, you can add the company and location. If you find the person you’re looking for, you will see a "Contact info" link on their profile under their name, so you can attempt to message them and ask. 

If you don’t have a name, you can search the company and see who is listed as an employee. If the person you want isn’t listed, you may be able to contact someone in a related department, such as HR, and ask for assistance. You may even be able to get an introduction from a mutual connection.

Formatting your cover letter

The format of your letter is as important as who you send it to. Once you’ve tracked down the most appropriate recipient, you will want the rest of the letter to stand out, too.

Address and date

Your letter should be professionally formatted with your name, address, phone number, and email address in the top left. On the next line down, add the date. Then, on the left, add the name and address of the recipient. Under that, address the recipient with "Dear [Name]" on the left of the page as well.

If you send your letter digitally, which is far more common nowadays, it should be in the body of the text. At the top, you need to include the date, your city or town, country or province, phone number, and email address, but not the recipient's name and address.

Using a cover letter template can be very helpful. Generally, cover letters follow the same format (aside from the address at the top) and should ideally be no longer than a page, whether printed or emailed. Feel free to download this cover letter template for your use.

3 Cover Letter Tips for People Who Haven't Written One in Forever

A couple of weeks ago, I wrote an article called “ 3 Editing Secrets That Will Make Your Cover Letter Even Better .” To which a dear (and succinct, and purposefully overdramatic) friend wrote, “Can’t you just HELP ME WRITE MINE?!?”

Where was she stuck? In her words: “Is it terrible to say I haven’t written [a cover letter] since college and don’t even know where to start anymore?”

No, it’s not terrible. And I think a lot of people—those changing careers , those who landed previous roles through networking and never submitted a formal application, and those who have been in the same job for the better part of a decade—are all in the same boat. Here’s what I recommend:

1. Remember “Out With the Old, In With the New”

If you still have that old cover letter, floating around in a now defunct Hotmail or AOL account, you may be tempted to use it as a building block. And it’s OK to review that letter ( perhaps with a cocktail nearby )—as a study in what you sounded like at 22.

Maybe your cover letter went on and on about why working at your dream company would be, like, a dream. Maybe you said that even though you didn’t have five years of experience, you were a quick learner. Reading this letter is good because everyone deserves a humorous reprieve from what can otherwise be a rather stressful job search.

Do not—I repeat, do not—try to work off of a cover letter that is several years old. First, you’re starting by boxing yourself in. Why would you want to edit a document that you wrote back when you had a flip phone? Haven’t your writing skills improved since then? Wouldn’t you describe your earliest experiences differently in retrospect (or perhaps leave them out altogether)?

Give yourself the freedom to start fresh. Write new paragraphs about new experiences in ways that make sense now—not that fit whatever you thought “the rules” were in the early aughts. ( Hint: They’ve changed .)

2. Get Reading

Whenever friends ask me where to start with their cover letter , I send them three of my favorite Muse articles. I know it sounds too promotional to be true, but I often tell loved ones to read these and then let me know if they have questions. (It’s my version of, “Take two and call me in the morning.”)

I start with “ How to Write a Cover Letter: 31 Tips You Need to Know .” It’s like a Russian nesting doll: It covers a ton of aspects of writing a cover letter—and many of the points link out to other articles. So, it’s easy to take a deeper dive into a particular element that interests you.

Next up is The Daily Muse Editor-In-Chief Adrian Granzella Larssen’s article, “ The Pain Letter: The Best Way to Write an Article That Gets Results .” The first two lines are: “Hiring managers don’t just want people who can do the job. Ideally, they want people who will make their lives easier.” If your cover letter skills are rusty, this article will walk you through what hiring managers really look for.

Yes, I know it’s beyond predictable that someone who writes career advice would tell my friends the solution is to read career advice—but that doesn’t discount its value. (Fun fact: I do the same thing with resumes, interviews, and networking.)

3. Make Yourself Write a Draft

Reading is important, because great advice can save you from sending out total duds. But here’s what awesome articles can’t do: They can’t write your cover letter for you. Odds are, you only have a certain number of hours in the week to devote to job searching—and at some point, you’ll need to bite the bullet and get writing already.

If you feel too nervous to even begin, ask yourself: What’s the very worst thing that can happen? That you write a terrible cover letter?

Let’s say that happens. The good news is, it’s out of your system and never has to see the light of day. The better news is that now you have a true starting point, because you can review it for what isn’t working.

Why don’t you like it? If you think it’s boring, focus on being more engaging. If you’re worried someone reading it won't understand how qualified you are, find a way to highlight relevant skills through a story, rather than just listing them out. Once you write a draft, you will have already crossed one item off the list—you’ll no longer be able to say you don’t even know where to start.

So you last wrote a cover letter 10 years ago—that doesn’t mean you have to submit the same document you did back then. And that’s a good thing. I bet you’ve gained a ton of experience since the last time around. Use the advice above to put your best foot forward and launch yourself into the next stage of your career.
