You may think that you already know which data you are going to include, but once you wrap up your report, you will probably run into certain things that you forgot to implement. It’s much easier to create an executive summary with all the data segmented in one place, than to rewrite it later.

While your primary goal when creating the executive summary is to make it informative, you also have to grab the attention of your readers so that you can motivate them to read the rest of the document.

Once they finish reading the last few sentences of the summary, the audience should be looking forward to checking out the remanding parts to get the full story.

Make one of the sections revolve around financial and sales forecasts for the next 1-3 years. Provide details of your breakeven points, such as where the expenses/revenues are equal and when you expect certain profits from your strategies.

This practice is mainly useful for business plans, but the same principle can be applied to reports. You can include predictions on how your overall objectives and goals will bring profit to the company.

What is an executive summary?

An executive summary is an overview of a document. The length and scope of your executive summary will differ depending on the document it’s summarizing, but in general an executive summary can be anywhere from one to two pages long. In the document, you’ll want to share all of the information your readers and important stakeholders need to know.

Imagine it this way: if your high-level stakeholders were to only read your executive summary, would they have all of the information they need to succeed? If so, your summary has done its job.

You’ll often find executive summaries of:

Business cases

Project proposals

Research documents

Environmental studies

Market surveys

In general, there are four parts to any executive summary:

Start with the problem or need the document is solving.

Outline the recommended solution.

Explain the solution’s value.

Wrap up with a conclusion about the importance of the work.

What is an executive summary in project management?

In project management, an executive summary is a way to bring clarity to cross-functional collaborators, team leadership, and project stakeholders . Think of it like a project’s “ elevator pitch ” for team members who don’t have the time or the need to dive into all of the project’s details.

The main difference between an executive summary in project management and a more traditional executive summary in a business plan is that the former should be created at the beginning of your project—whereas the latter should be created after you’ve written your business plan. For example, to write an executive summary of an environmental study, you would compile a report on the results and findings once your study was over. But for an executive summary in project management, you want to cover what the project is aiming to achieve and why those goals matter.

The same four parts apply to an executive summary in project management:

Start with the problem or need the project is solving.  Why is this project happening? What insight, customer feedback, product plan, or other need caused it to come to life?

Outline the recommended solution, or the project’s objectives.  How is the project going to solve the problem you established in the first part? What are the project goals and objectives?

Explain the solution’s value.  Once you’ve finished your project, what will happen? How will this improve and solve the problem you established in the first part?

Wrap up with a conclusion about the importance of the work.  This is another opportunity to reiterate why the problem is important, and why the project matters. It can also be helpful to reference your audience and how your solution will solve their problem. Finally, include any relevant next steps.

If you’ve never written an executive summary before, you might be curious about where it fits into other project management elements. Here’s how executive summaries stack up:

Executive summary vs. project plan

A  project plan  is a blueprint of the key elements your project will accomplish in order to hit your project goals and objectives. Project plans will include your goals, success metrics, stakeholders and roles, budget, milestones and deliverables, timeline and schedule, and communication plan .

An executive summary is a summary of the most important information in your project plan. Think of the absolutely crucial things your management team needs to know when they land in your project, before they even have a chance to look at the project plan—that’s your executive summary.

Executive summary vs. project overview

Project overviews and executive summaries often have similar elements—they both contain a summary of important project information. However, your project overview should be directly attached to your project. There should be a direct line of sight between your project and your project overview.

While you can include your executive summary in your project depending on what type of  project management tool  you use, it may also be a stand-alone document.

Executive summary vs. project objectives

Your executive summary should contain and expand upon your  project objectives  in the second part ( Outline the recommended solution, or the project’s objectives ). In addition to including your project objectives, your executive summary should also include why achieving your project objectives will add value, as well as provide details about how you’re going to get there.

The benefits of an executive summary

You may be asking: why should I write an executive summary for my project? Isn’t the project plan enough?

Well, like we mentioned earlier, not everyone has the time or need to dive into your project and see, from a glance, what the goals are and why they matter.  Work management tools  like Asana help you capture a lot of crucial information about a project, so you and your team have clarity on who’s doing what by when. Your executive summary is designed less for team members who are actively working on the project and more for stakeholders outside of the project who want quick insight and answers about why your project matters.

An effective executive summary gives stakeholders a big-picture view of the entire project and its important points—without requiring them to dive into all the details. Then, if they want more information, they can access the project plan or navigate through tasks in your work management tool.

How to write a great executive summary, with examples

Every executive summary has four parts. In order to write a great executive summary, follow this template. Then once you’ve written your executive summary, read it again to make sure it includes all of the key information your stakeholders need to know.

1. Start with the problem or need the project is solving

At the beginning of your executive summary, start by explaining why this document (and the project it represents) matter. Take some time to outline what the problem is, including any research or customer feedback you’ve gotten . Clarify how this problem is important and relevant to your customers, and why solving it matters.

For example, let’s imagine you work for a watch manufacturing company. Your project is to devise a simpler, cheaper watch that still appeals to luxury buyers while also targeting a new bracket of customers.

Example executive summary:

In recent customer feedback sessions, 52% of customers have expressed a need for a simpler and cheaper version of our product. In surveys of customers who have chosen competitor watches, price is mentioned 87% of the time. To best serve our existing customers, and to branch into new markets, we need to develop a series of watches that we can sell at an appropriate price point for this market.

2. Outline the recommended solution, or the project’s objectives

Now that you’ve outlined the problem, explain what your solution is. Unlike an abstract or outline, you should be  prescriptive  in your solution—that is to say, you should work to convince your readers that your solution is the right one. This is less of a brainstorming section and more of a place to support your recommended solution.

Because you’re creating your executive summary at the beginning of your project, it’s ok if you don’t have all of your deliverables and milestones mapped out. But this is your chance to describe, in broad strokes, what will happen during the project. If you need help formulating a high-level overview of your project’s main deliverables and timeline, consider creating a  project roadmap  before diving into your executive summary.

Continuing our example executive summary:

Our new watch series will begin at 20% cheaper than our current cheapest option, with the potential for 40%+ cheaper options depending on material and movement. In order to offer these prices, we will do the following:

Offer watches in new materials, including potentially silicone or wood

Use high-quality quartz movement instead of in-house automatic movement

Introduce customizable band options, with a focus on choice and flexibility over traditional luxury

Note that every watch will still be rigorously quality controlled in order to maintain the same world-class speed and precision of our current offerings.

3. Explain the solution’s value

At this point, you begin to get into more details about how your solution will impact and improve upon the problem you outlined in the beginning. What, if any, results do you expect? This is the section to include any relevant financial information, project risks, or potential benefits. You should also relate this project back to your company goals or  OKRs . How does this work map to your company objectives?

With new offerings that are between 20% and 40% cheaper than our current cheapest option, we expect to be able to break into the casual watch market, while still supporting our luxury brand. That will help us hit FY22’s Objective 3: Expanding the brand. These new offerings have the potential to bring in upwards of three million dollars in profits annually, which will help us hit FY22’s Objective 1: 7 million dollars in annual profit.

Early customer feedback sessions indicate that cheaper options will not impact the value or prestige of the luxury brand, though this is a risk that should be factored in during design. In order to mitigate that risk, the product marketing team will begin working on their go-to-market strategy six months before the launch.

4. Wrap up with a conclusion about the importance of the work

Now that you’ve shared all of this important information with executive stakeholders, this final section is your chance to guide their understanding of the impact and importance of this work on the organization. What, if anything, should they take away from your executive summary?

To round out our example executive summary:

Cheaper and varied offerings not only allow us to break into a new market—it will also expand our brand in a positive way. With the attention from these new offerings, plus the anticipated demand for cheaper watches, we expect to increase market share by 2% annually. Common mistakes people make when writing executive summaries

You’re not going to become an executive summary-writing pro overnight, and that’s ok. As you get started, use the four-part template provided in this article as a guide. Then, as you continue to hone your executive summary writing skills, here are a few common pitfalls to avoid:

Avoid using jargon

Your executive summary is a document that anyone, from project contributors to executive stakeholders, should be able to read and understand. Remember that you’re much closer to the daily work and individual tasks than your stakeholders will be, so read your executive summary once over to make sure there’s no unnecessary jargon. Where you can, explain the jargon, or skip it all together.

Remember: this isn’t a full report

Your executive summary is just that—a summary. If you find yourself getting into the details of specific tasks, due dates, and attachments, try taking a step back and asking yourself if that information really belongs in your executive summary. Some details are important—you want your summary to be actionable and engaging. But keep in mind that the wealth of information in your project will be captured in your  work management tool , not your executive summary.

Make sure the summary can stand alone

You know this project inside and out, but your stakeholders won’t. Once you’ve written your executive summary, take a second look to make sure the summary can stand on its own. Is there any context your stakeholders need in order to understand the summary? If so, weave it into your executive summary, or consider linking out to it as additional information.

Always proofread

Your executive summary is a living document, and if you miss a typo you can always go back in and fix it. But it never hurts to proofread or send to a colleague for a fresh set of eyes.

The Benefits of a Well Written Executive Summary

A well planned, well written executive summary is a valuable tool because it prioritizes the reader’s time and reduces the effort required to learn the critical aspects of the content. The summary can convey the purpose of your business plan, project proposal, product launch presentation, or sales pitch to keep the reader engaged and reading further, or empowered to take action. Even if it is the only thing your audience reads, a strong executive summary creates value for the reader as a first impression. Use the executive summary to make a business case, support a position, or tell a story. The reader should know how the subject of your content impacts them, benefits their work, their company, or their projects after reading the executive summary.  

Various industries use executive summaries as a communication tool, including healthcare, education, government, technology, real estate, finance, law, the nonprofit sector, and more. One of the benefits of using an executive summary is that it is not exclusive to one type of communication. Executive summaries show up in a variety of use cases, including the following:

How to Write an Executive Summary

Crafting a useful executive summary requires more than simply cutting and pasting vital information from the body of your report or proposal. The executive summary may be the only part of the report your target audience reads, so you should spend the time to make it valuable.

It doesn’t have to be an intimidating process, but before you begin writing, you should ask the following critical questions:

Who depends on the information? When you write the executive summary, decide who you are targeting and the critical information that audience needs. What do they need to know to make a decision? What would they already know? Do you have a specific customer you want to reach with your message or story? Writing the executive summary with that audience in mind will make it useful because the story you’re telling about your business, project, or proposal will resonate.

What is the objective? While it’s true that an executive summary recaps essential information from the body of the content it summarizes, that is its function, not its purpose. Write the summary to your intended audience and include the crucial information that supports your objective for creating the document. What do you need the reader to understand? Is the aim to recommend change based on the results of your research? What needs to happen for the project plan to succeed based on your proposal? Let your objectives determine the content and context of your summary.  

What are you recommending? Use the executive summary to draw conclusions and make recommendations to the reader. If your report presents the need for change, recommend the actions that the body of your document supports in the summary. State the benefits of your product or service, or the solutions you provide more detail on in the proposal. Ultimately, don’t make the reader work to find out what action they need to take: Make your recommendations clear in the executive summary.

How will you make an impression? The “executive” summary earned its name from the need to get the upper management’s attention. Executives did not have the time to read every word of every document. The summary had to make an impression because it might be the only part of the material that would be read. Regardless of its origins, the principle of using the summary to make an impression on the reader is sound, as that impression might encourage the reader to keep reading or take action. Consider how you shape the message, organize the sections of your summary, or present research to stand out in a brief space.

What Is the Format of an Executive Summary?

Every executive summary intends to distill information to the reader upfront, so it is typically placed first in the document. (Sometimes it is a separate section of a formal business document listed in the table of contents.)

When used in a less formal manner, the executive summary is an opening paragraph, a separate one-page summary memo, or the first page of a report. For example, if your goal is to raise capital, use the executive summary like an investor profile that provides the reader the information necessary to land the meeting or get the funding, without further reading.

The format and length vary based on the purpose of the content that you are summarizing; there is no set structure to follow. Here are some formatting tips that you can use for any executive summary, regardless of the style:

Order of Appearance : Beyond the introduction, decide what sections of the summary are most important to the purpose of the document. Organize your subheadings or sections in that order. Use bullet points and plenty of spacing between the different parts of the summary to make the content more accessible to scanning eyes. By doing so, you naturally discard information better left to the body of the document, and you honor the reader’s time by prioritizing the message, recommendations, conclusions, or solutions in the longer document.  

How Much Is Too Much : Executive summaries vary in length based on the type of content they summarize or their purpose. Some recommend keeping the summary to a specific percentage of the overall document, while others advocate a set number of pages. Focus on keeping the summary brief but comprehensive, with the most important information available to the reader.

Audience Aim : The tone and language of the executive summary should match that of the target audience. Avoid using technical jargon that requires definitions, and present the information in an accessible manner based on the knowledge and expertise of your intended audience. Do not include acronyms or highlight data that need an extensive background for context, and avoid using casual, informal tones. That said, an executive summary used in internal communications will have a different tone and style than one used in external communication tools.

What Are the Common Pitfalls of Executive Summaries?

When formatting and organizing the executive summary, beware of the following pitfalls that plague poorly written and poorly planned summaries:

Fact or Persuasion : Support your motives and the objective of the executive summary with the facts. If the summary is for a sales proposal or pitch deck, persuade your reader up front with data and information, not buzzwords and cliches. If the executive summary includes generalizations or opinions that you don't support within your material with market research, project examples, independent data, testimonials, etc., you risk misleading the reader. Avoid writing a summary that leads clients, policy makers, or management to an unsupported recommendation or conclusion for the sake of persuasion — instead, focus on the facts.  

Relevance Over Repetition : By nature, the executive summary is a repetitive summary of content. Therefore, only include the most relevant details — those that summarize the true purpose of the overall content. Use the rest of your business plan, research report, or client proposal to cover topics relevant background information at length. If you try to cut and paste too much information and context from your longer business or research document into the summary, the details might overshadow the impression you want to make on the reader. The background becomes the introduction, and you risk losing a reader’s attention (especially an online audience).

Consistency Is Key : The executive summary highlights the substance of the larger piece of content. Don’t feature information here that is not covered in the body of the proposal. Avoid using different subheadings to organize copy in the body of the report. For example, if you highlight “Project Milestones” in the executive summary, do not list them in a new section for “Project Goals” in the business proposal. Use the tone and language you establish in the summary throughout the material. If you target an audience without expertise in the subject matter, don’t switch to highly technical analysis in the body copy. Finally, if you cover something in the executive summary, cover it again in the report. Don’t make the reader work to learn more about something you highlighted in the summary.

Draw a Clear Conclusion : Write an executive summary that comes to a conclusion and supports your purpose for creating the document. Keep the reader’s interest in mind when you summarize a lengthy project proposal or report. Does the reader have a clear understanding of the solutions you propose? Can they identify the problems you solve? If the executive summary is the only thing they read, can they take action on your recommendations or anticipate a desired outcome based on the information you included?

What to Include in an Executive Summary

You will determine the components of each executive summary you write based on the reason for writing it and your target audience.

For example, a business plan for an external audience includes financial information and details on the size and scale of a company; startups seeking funding and investors will highlight specific financial requirements and how they impact the business strategy. Executive summaries vary in the content they cover, but here is a common framework:

Introduction : This opening statement, paragraph, or section should clearly state the document’s purpose and the content to follow. How you will use this section depends on the desired outcome for the reader or audience, who should immediately find value in the information you present. Therefore, the details included in the introduction should grab and hold the reader’s attention.  

Company Information : When writing an executive summary for an external audience, include your company name, a description of your mission or purpose, contact information, location, and the size and scale of your operations. In some cases, the summary introduces the founders, investors, and corporate leadership. It might include background information of each that outlines previous industry or startup experience, or historical context on the current state of the company. When used in a presentation or research report, introduce the team presenting or responsible for the report’s findings.

Products and Services : The executive summary is the place to highlight the problem you solve or the need you fulfill. For a report, this is where you might highlight what you researched and what the reader should know about your findings. For a project proposal, include what you’re planning to accomplish and what you need to make it successful. For marketing plans or product launch presentations, tell the reader why your service or product is relevant at this particular moment in time.

Market Analysis : The executive summary of a business plan might profile the target customer and explain the market opportunity for a product or service. Consider answering questions like: Is there a five year plan for this market? How do you anticipate growing the customer base and improving market share? What stands out from your research about your customers that the reader should know?

Competition Analysis : This section should include answers to the following questions:

What is the competitive advantage of your proposed solution or product and who or what do you compete with in this market?

What are the opportunities now and in the future?

What are the risks in your market and your product or service?

Do you have relevant experience with major competitors?

What are the future plans for growth and what obstacles do you anticipate addressing?

Financials : The executive summary might summarize key financial data that is relevant to the reader or data that supports your research. If the purpose is to secure funding, include the specific amount you are requesting. Be sure to provide context for the financial data or any number you highlight in the executive summary. This section is a great way to highlight growth, or to use metrics to provide perspective on the company.

Conclusions : Recap your findings, the problem and solution discussed, or the project and work proposed. If there is a decision the reader needs to make, be direct about it. Make the outcomes obvious, but leave enough intrigue for the rest of the content to follow.

How Do You End An Executive Summary?

Although the executive summary begins a document, it concludes so that it can stand alone from the rest of the content and still be of value. Use the conclusion to recap your findings, make recommendations, and propose solutions to the problem.

If there is a decision you want the reader to make, ask make a call to action in this section. If you are summarizing a research report, summarize the findings and the research methods used to conclude the work. Make the outcomes or recommendations visible, but leave enough out to incentivize the audience to continue reading. Close the executive summary with a strong statement or transition that sets up the theme or central message to the story you tell in the report or proposal.

What Should Be in the Executive Summary of a Business Plan?

Traditional business plans differ in context and content based on if the audience is internal or external. Both audiences benefit from some of the previously discussed elements of the executive summary (like a substantial introduction).

However, the summary of an internal business plan does not require a section that introduces management or key personnel. An external business plan targets an audience that expects to find crucial financial information in the summary. When you develop the executive summary of the business plan, determine the information to include based on the audience and purpose of the document.

What Should Be in an Executive Summary of a Report?

Josh Bernoff spent 20 years writing and editing reports for Forrester Research. He is an advocate of creating actionable reports that tell a story. He believes that the executive summary is crucial.

“If the report is a story, the right executive summary is the same story, written briefly,” writes Bernoff . He recommends imagining that your readers ask you questions like, “What’s the coolest stuff in this report?” and “What did you find out?” while writing the report.

“Your answer, written directly to the reader, is the executive summary,” Bernoff explains in his book.

The executive summary of a report requires vivid details that grab online readers’ attention in a hurry. According to Bernoff, the summary recaps the story you want to tell behind all the words in the report. Using this advice as a guidepost, consider including the following answers to these questions to create your report’s summary:

What is the central plot of your report?

Why is this story important?

What are the most memorable scenes (examples, data, case study results, etc.) from the different sections of the report?

How does your research address the story’s central conflict (the problem solved)?

How does your research support the story’s conclusion?

What actions does the story recommend the reader be aware of?

The executive summary of lengthy research reports — especially those used in academic articles, scientific journals, government studies, or healthcare initiatives — require additional formatting considerations and elements not found in business plans or proposals. Consider the following guidelines when developing the executive summary of a research report:

Present the sections of the executive summary in the same order as in the main report.

Do not include information or research that is not supported and presented in the body of the report.

Draw a conclusion with the executive summary that justifies the research and provides recommendations.

Use a tone and language to describe technical information that readers without advanced knowledge or expertise of the subject matter can understand.

Remember that an executive summary of a report is distinct from an abstract. Abstracts are shorter overviews of a report and are common in academia. They familiarize the reader with a synopsis of the research that is much shorter than an executive summary. You can also think of an abstract as a standalone statement that helps the reader determine if they will read on. The executive summary, by contrast, summarizes the research in a structure that includes the summary, methods, results, conclusions, and recommendations for the reader without necessarily having to read further.

All business plans have an executive summary, but not all executive summaries belong to business plans.

A business plan includes a company overview, short-term and long-term goals, information on your product or service, sales targets, expense budgets, your marketing plan, and even team information

Business plans are very detailed and comprehensive. They can be as short as a dozen pages or as long as 100 pages. The executive summary is the first section of the business plan.

An in-demand CEO or investor might not have the bandwidth to read your full business plan without first understanding your company or goals. That’s where an executive summary comes in handy.

Executive Summary vs. Mission Statement

Mission statements and executive summaries are typically found in business plans, but they serve different purposes.

A mission statement defines your organization’s purpose, values, and vision. It’s your company’s North Star and communicates your core identity and reason for existence. On the other hand, an executive summary provides a high-level overview of the document.

Finally, we have a fairly traditional approach to an executive summary from the United Nations (UN) , clocking in at 16 pages.

Now, I know. Sixteen pages seems lengthy, but the full report is just shy of 200 pages.

The executive summary highlights the report’s largest conclusions with headers. Then, it expands on those headers with relevant statistics. It also uses bold font to draw attention to the countries or regions affected (something the reader will likely be most interested in).

The tone and visual design are both formal, which matches the esteem of the United Nations. Overall, this executive summary does an admirable job of making the report's information more approachable.

Make your executive summary memorable.

Make sure your executive summary is strong. Tell your story. Include compelling data and facts. Use easy-to-understand and digest language. If you can, get visual.

An executive summary should be concise, but also memorable. After all, this may be the only part of your proposal, report, or analysis that actually gets read.

Have you ever recommended a book to someone and given them a quick overview? Then you’ve created a summary before!

Summarizing is a common part of everyday communication. It feels easy when you’re recounting what happened on your favorite show, but what do you do when the information gets a little more complex?

Written summaries come with their own set of challenges. You might ask yourself:

  • What details are unnecessary?
  • How do you put this in your own words without changing the meaning?
  • How close can you get to the original without plagiarizing it?
  • How long should it be?

The answers to these questions depend on the type of summary you are doing and why you are doing it.

A summary in an academic setting is different to a professional summary—and both of those are very different to summarizing a funny story you want to tell your friends.

One thing they all have in common is that you need to relay information in the clearest way possible to help your reader understand. We’ll look at some different forms of summary, and give you some tips on each.

What Is a Summary?

How do you write a summary, how do you write an academic summary, what are the four types of academic summaries, how do i write a professional summary, writing or telling a summary in personal situations, summarizing summaries.

A summary is a shorter version of a larger work. Summaries are used at some level in almost every writing task, from formal documents to personal messages.

When you write a summary, you have an audience that doesn’t know every single thing you know.

When you want them to understand your argument, topic, or stance, you may need to explain some things to catch them up.

Instead of having them read the article or hear every single detail of the story or event, you instead give them a brief overview of what they need to know.

Academic, professional, and personal summaries each require you to consider different things, but there are some key rules they all have in common.

Let’s go over a few general guides to writing a summary first.

A summary should be shorter than the original

1. A summary should always be shorter than the original work, usually considerably.

Even if your summary is the length of a full paper, you are likely summarizing a book or other significantly longer work.

2. A summary should tell the reader the highlights of what they need to know without giving them unnecessary details.

3. It should also include enough details to give a clear and honest picture.

For example, if you summarize an article that says “ The Office is the greatest television show of all time,” but don’t mention that they are specifically referring to sitcoms, then you changed the meaning of the article. That’s a problem! Similarly, if you write a summary of your job history and say you volunteered at a hospital for the last three years, but you don’t add that you only went twice in that time, it becomes a little dishonest.

4. Summaries shouldn’t contain personal opinion.

While in the longer work you are creating you might use opinion, within the summary itself, you should avoid all personal opinion. A summary is different than a review. In this moment, you aren’t saying what you think of the work you are summarizing, you are just giving your audience enough information to know what the work says or did.

Include enough detail

Now that we have a good idea of what summaries are in general, let’s talk about some specific types of summary you will likely have to do at some point in your writing life.

An academic summary is one you will create for a class or in other academic writing. The exact elements you will need to include depend on the assignment itself.

However, when you’re asked for an academic summary, this usually this means one of five things, all of which are pretty similar:

  • You need to do a presentation in which you talk about an article, book, or report.
  • You write a summary paper in which the entire paper is a summary of a specific work.
  • You summarize a class discussion, lesson, or reading in the form of personal notes or a discussion board post.
  • You do something like an annotated bibliography where you write short summaries of multiple works in preparation of a longer assignment.
  • You write quick summaries within the body of another assignment . For example, in an argumentative essay, you will likely need to have short summaries of the sources you use to explain their argument before getting into how the source helps you prove your point.

Places to find academic summaries

Regardless of what type of summary you are doing, though, there are a few steps you should always follow:

  • Skim the work you are summarizing before you read it. Notice what stands out to you.
  • Next, read it in depth . Do the same things stand out?
  • Put the full text away and write in a few sentences what the main idea or point was.
  • Go back and compare to make sure you didn’t forget anything.
  • Expand on this to write and then edit your summary.

Each type of academic summary requires slightly different things. Let’s get down to details.

How Do I Write a Summary Paper?

Sometimes teachers assign something called a summary paper . In this, the entire thing is a summary of one article, book, story, or report.

To understand how to write this paper, let’s talk a little bit about the purpose of such an assignment.

A summary paper is usually given to help a teacher see how well a student understands a reading assignment, but also to help the student digest the reading. Sometimes, it can be difficult to understand things we read right away.

However, a good way to process the information is to put it in our own words. That is the point of a summary paper.

What a summary paper is

A summary paper is:

  • A way to explain in our own words what happened in a paper, book, etc.
  • A time to think about what was important in the paper, etc.
  • A time to think about the meaning and purpose behind the paper, etc.

Here are some things that a summary paper is not:

  • A review. Your thoughts and opinions on the thing you are summarizing don’t need to be here unless otherwise specified.
  • A comparison. A comparison paper has a lot of summary in it, but it is different than a summary paper. In this, you are just saying what happened, but you aren’t saying places it could have been done differently.
  • A paraphrase (though you might have a little paraphrasing in there). In the section on using summary in longer papers, I talk more about the difference between summaries, paraphrases, and quotes.

What a summary paper is not

Because a summary paper is usually longer than other forms of summary, you will be able to chose more detail. However, it still needs to focus on the important events. Summary papers are usually shorter papers.

Let’s say you are writing a 3–4 page summary. You are likely summarizing a full book or an article or short story, which will be much longer than 3–4 pages.

Imagine that you are the author of the work, and your editor comes to you and says they love what you wrote, but they need it to be 3–4 pages instead.

How would you tell that story (argument, idea, etc.) in that length without losing the heart or intent behind it? That is what belongs in a summary paper.

How Do I Write Useful Academic Notes?

Sometimes, you need to write a summary for yourself in the form of notes or for your classmates in the form of a discussion post.

You might not think you need a specific approach for this. After all, only you are going to see it.

However, summarizing for yourself can sometimes be the most difficult type of summary. If you try to write down everything your teacher says, your hand will cramp and you’ll likely miss a lot.

Yet, transcribing doesn’t work because studies show that writing things down (not typing them) actually helps you remember them better.

So how do you find the balance between summarizing the lessons without leaving out important points?

There are some tips for this:

  • If your professor writes it on the board, it is probably important.
  • What points do your textbooks include when summarizing information? Use these as a guide.
  • Write the highlight of every X amount of time, with X being the time you can go without missing anything or getting tired. This could be one point per minute, or three per five minutes, etc.

How Do I Create an Annotated Biography?

An annotated bibliography requires a very specific style of writing. Often, you will write these before a longer research paper . They will ask you to find a certain amount of articles and write a short annotation for each of them.

While an annotation is more than just a summary, it usually starts with a summary of the work. This will be about 2–3 sentences long. Because you don’t have a lot of room, you really have to think about what the most important thing the work says is.

This will basically ask you to explain the point of the article in these couple of sentences, so you should focus on the main point when expressing it.

Here is an example of a summary section within an annotation about this post:

“In this post, the author explains how to write a summary in different types of settings. She walks through academic, professional, and personal summaries. Ultimately, she claims that summaries should be short explanations that get the audience caught up on the topic without leaving out details that would change the meaning.”

What are annotation summaries?

Can I Write a Summary Within an Essay?

Perhaps the most common type of summary you will ever do is a short summary within a longer paper.

For example, if you have to write an argumentative essay, you will likely need to use sources to help support your argument.

However, there is a good chance that your readers won’t have read those same sources.

So, you need to give them enough detail to understand your topic without spending too much time explaining and not enough making your argument.

While this depends on exactly how you are using summary in your paper, often, a good amount of summary is the same amount you would put in an annotation.

Just a few sentences will allow the reader to get an idea of the work before moving on to specific parts of it that might help your argument.

What’s the Difference Between Summarizing, Paraphrasing, and Using Quotes?

One important thing to recognize when using summaries in academic settings is that summaries are different than paraphrases or quotes.

A summary is broader and more general. A paraphrase, on the other hand, puts specific parts into your own words. A quote uses the exact words of the original. All of them, however, need to be cited.

Let’s look at an example:

Take these words by Thomas J. Watson:

”Would you like me to give you a formula for success? It’s quite simple, really. Double your rate of failure. You are thinking of failure as the enemy of success. But it isn’t as all. You can be discouraged by failure—or you can learn from it. So go ahead and make mistakes. Make all you can. Because, remember, that’s where you will find success.”

Let’s say I was told to write a summary, a paraphrase, and a quote about this statement. This is what it might look like:

Summary: Thomas J. Watson said that the key to success is actually to fail more often. (This is broad and doesn’t go into details about what he says, but it still gives him credit.)

Paraphrase: Thomas J. Watson, on asking if people would like his formula for success, said that the secret was to fail twice as much. He claimed that when you decide to learn from your mistakes instead of being disappointed by them, and when you start making a lot of them, you will actually find more success. (This includes most of the details, but it is in my own words, while still crediting the source.)

Quote: Thomas J. Watson said, ”Would you like me to give you a formula for success? It’s quite simple, really. Double your rate of failure. You are thinking of failure as the enemy of success. But it isn’t at all. You can be discouraged by failure—or you can learn from it. So go ahead and make mistakes. Make all you can. Because, remember, that’s where you will find success.” (This is the exact words of the original with quotation marks and credit given.)

A summary versus a paraphrase versus a quote

Avoiding Plagiarism

One of the hardest parts about summarizing someone else’s writing is avoiding plagiarism .

That’s why I have a few rules/tips for you when summarizing anything:

1. Always cite.

If you are talking about someone else’s work in any means, cite your source. If you are summarizing the entire work, all you probably need to do (depending on style guidelines) is say the author’s name. However, if you are summarizing a specific chapter or section, you should state that specifically. Finally, you should make sure to include it in your Work Cited or Reference page.

2. Change the wording.

Sometimes when people are summarizing or paraphrasing a work, they get too close to the original, and actually use the exact words. Unless you use quotation marks, this is plagiarism. However, a good way to avoid this is to hide the article while you are summarizing it. If you don’t have it in front of you, you are less likely to accidentally use the exact words. (However, after you are done, double check that you didn’t miss anything important or give wrong details.)

3. Use a plagiarism checker.

Here are some tips on writing a LinkedIn summary :

  • Before you write it, think about what you want it to do . If you are looking for a job, what kind of job? What have you done in your past that would stand out to someone hiring for that position? That is what you will want to focus on in your summary.
  • Be professional . Unlike many social media platforms, LinkedIn has a reputation for being more formal. Your summary should reflect that to some extent.
  • Use keywords . Your summary is searchable, so using keywords that a recruiter might be searching for can help them find you.
  • Focus on the start . LinkedIn shows the first 300 characters automatically, and then offers the viewer a chance to read more. Make that start so good that everyone wants to keep reading.
  • Focus on accomplishments . Think of your life like a series of albums, and this is your speciality “Greatest Hits” album. What “songs” are you putting on it?

How Do I Summarize My Experience on a Resume?

Writing a professional summary for a resume is different than any other type of summary that you may have to do.

Recruiters go through a lot of resumes every day. They don’t have time to spend ages reading yours, which means you have to wow them quickly.

To do that, you might include a section at the top of your resume that acts almost as an elevator pitch: That one thing you might say to a recruiter to get them to want to talk to you if you only had a 30-second elevator ride.

Treat your resume summary as an elevator pitch

If you don’t have a lot of experience, though, you might want to skip this section entirely and focus on playing up the experience you do have.

Outside of academic and personal summaries, you use summary a lot in your day-to-day life.

Whether it is telling a good piece of trivia you just learned or a funny story that happened to you, or even setting the stage in creative writing, you summarize all the time.

How you use summary can be an important consideration in whether people want to read your work (or listen to you talk).

Here are some things to think about when telling a story:

  • Pick interesting details . Too many and your point will be lost. Not enough, and you didn’t paint the scene or give them a complete idea about what happened.
  • Play into the emotions . When telling a story, you want more information than the bare minimum. You want your reader to get the emotion of the story. That requires a little bit more work to accomplish.
  • Focus. A summary of one story can lead to another can lead to another. Think about storytellers that you know that go off on a tangent. They never seem to finish one story without telling 100 others!

To wrap up (and to demonstrate everything I just talked about), let’s summarize this post into its most essential parts:

A summary is a great way to quickly give your audience the information they need to understand the topic you are discussing without having to know every detail.

How you write a summary is different depending on what type of summary you are doing:

  • An academic summary usually gets to the heart of an article, book, or journal, and it should highlight the main points in your own words. How long it should be depends on the type of assignment it is.
  • A professional summary highlights you and your professional, academic, and volunteer history. It shows people in your professional network who you are and why they should hire you, work with you, use your talents, etc.

Being able to tell a good story is another form of summary. You want to tell engaging anecdotes and facts without boring your listeners. This is a skill that is developed over time.

An executive summary is a short section of a larger document like a business plan , investment proposal or project proposal. It’s mostly used to give investors and stakeholders a quick overview of important information about a business plan like the company description, market analysis and financial information.

It contains a short statement that addresses the problem or proposal detailed in the attached documents and features background information, a concise analysis and a conclusion. An executive summary is designed to help executives and investors decide whether to go forth with the proposal, making it critically important. Pitch decks are often used along with executive summaries to talk about the benefits and main selling points of a business plan or project.

Unlike an abstract, which is a short overview, an executive summary format is a condensed form of the documents contained in the proposal. Abstracts are more commonly used in academic and research-oriented writing and act as a teaser for the reader to see if they want to read on.

How to Write an Executive Summary

Executive summaries vary depending on the document they’re attached to. You can write an executive summary for a business plan, project proposal, research document, or business case, among other documents and reports.

However, when writing an executive summary, there are guidelines to ensure you hit all the bases.

Executive Summary Length

According to the many books that have been written about executive summaries, as well as training courses, seminars and professional speakers, the agreed-upon length for an executive summary format should be about five to 10 percent of the length of the whole report.

Appropriate Language

The language used should be appropriate for the target audience. One of the most important things to know before you write professionally is to understand who you’re addressing. If you’re writing for a group of engineers, the language you’ll use will differ greatly from how you would write to a group of financiers.

That includes more than just the words, but the content and depth of explanation. Remember, it’s a summary, and people will be reading it to quickly and easily pull out the main points.

Pithy Introduction

You also want to capture a reader’s attention immediately in the opening paragraph. Just like a speech often opens with a joke to break the tension and put people at ease, a strong introductory paragraph can pull a reader in and make them want to read on. That doesn’t mean you start with a joke. Stick to your strengths, but remember, most readers only give you a few sentences to win them over before they move on.

Don’t forget to explain who you are as an organization and why you have the skills, personnel and experience to solve the problem raised in the proposal. This doesn’t have to be a lengthy biography, often just your name, address and contact information will do, though you’ll also want to highlight your strengths as they pertain to the business plan or project proposal .

Relevant Information

The executive summary shouldn’t stray from the material that follows it. It’s a summary, not a place to bring up new ideas. To do so would be confusing and would jeopardize your whole proposal.

Establish the need or the problem, and convince the target audience that it must be solved. Once that’s set up, it’s important to recommend the solution and show what the value is. Be clear and firm in your recommendation.

Justify your cause. Be sure to note the key reasons why your organization is the perfect fit for the solution you’re proposing. This is the point where you differentiate yourself from competitors, be that due to methodology, testimonials from satisfied clients or whatever else you offer that’s unique. But don’t make this too much about you. Be sure to keep the name of the potential client at the forefront.

Don’t neglect a strong conclusion, where you can wrap things up and once more highlight the main points.

What to Include in an Executive Summary

The content of your executive summary must reflect what’s in the larger document which it is part of. You’ll find many executive summary examples on the web, but to keep things simple, we’ll focus on business plans and project proposals.

How to Write an Executive Summary for a Business Plan

As we’ve learned above, your executive summary must extract the main points of all the sections of your business plan. A business plan is a document that describes all the aspects of a business, such as its business model, products or services, objectives and marketing plan , among other things. They’re commonly used by startups to pitch their ideas to investors.

Here are the most commonly used business plan sections:

  • Company description: Provide a brief background of your company, such as when it was established, its mission, vision and core values.
  • Products & services: Describe the products or services your company will provide to its customers.
  • Organization and management: Explain the legal structure of your business and the members of the top management team.
  • SWOT analysis: A SWOT analysis explains the strengths, weaknesses, opportunities and threats of your business. They describe the internal and external factors that impact your business competitiveness.
  • Industry & market analysis: This section should provide an overview of the industry and market in which your business will compete.
  • Operations: Explain the main aspects of your business operations and what sets it apart from competitors.
  • Marketing plan: Your marketing plan describes the various strategies that your business will use to reach its customers and sell products or services.
  • Financial planning: Here, you should provide an overview of the financial state of your business. Include income statements, balance sheets and cash flow statements.
  • Funding request: If you’re creating your business plan to request funding, make sure to explain what type of funding you need, the timeframe for your funding request and an explanation of how the funds will be used.

  • Introduction, be sure to know your audience
  • Table of contents in the form of a bulleted list
  • Explain the company’s role and identify strengths
  • Explain the need, or the problem, and its importance
  • Recommend a solution and explain its value
  • Justify said solution by explaining how it fits the organization
  • A strong conclusion that once more wraps up the importance of the project

We’ve developed a unique method of production and sourcing of materials that allows us to create eco-friendly products at a low cost . We have intellectual property for our production processes and materials, which gives us an advantage in the market.

Funding Request We’re requesting funding for the expansion of our production capacity, which will allow us to increase our production output in order to meet our increasing customer demand, enter new markets, reduce our costs and improve our competitiveness.

What to Do After Writing an Executive Summary

As with anything you write, you should always start with a draft. The first draft should hit all the marks addressed above but don’t bog yourself down in making the prose perfect. Think of the first draft as an exploratory mission. You’re gathering all the pertinent information.

Next, you want to thoroughly review the document to ensure that nothing important has been left out or missed. Make sure the focus is sharp and clear, and that it speaks directly to your potential client’s needs.

But don’t neglect the writing. Be sure that you’re not repeating words, falling into cliché or other hallmarks of bad writing. You don’t want to bore the reader to the point that they miss the reason why you’re the organization that can help them succeed.

You’ve checked the content and the prose, but don’t forget the style. You want to write in a way that’s natural and not overly formal, but one that speaks in the manner of your target audience . If they’re a conservative firm, well then, maybe formality is called for. But more and more modern companies have a casual corporate culture, and formal writing could mistakenly cause them to think of you as old and outdated.

The last run should be proofing the copy. That means double-checking to ensure that spelling is correct, and there are no typos or grammatical mistakes. Whoever wrote the executive summary isn’t the best person to edit it, however. They can easily gloss over errors because of their familiarity with the work. Find someone who excels at copy-editing. If you deliver sloppy content, it shows a lack of professionalism that’ll surely color how a reader thinks of your company.

Criticism of Executive Summaries

While we’re advocating for the proper use of an executive summary, it’d be neglectful to avoid mentioning some critiques. The most common is that an executive summary by design is too simple to capture the complexity of a large and complicated project.

It’s true that many executives might only read the summary, and in so doing, miss the nuance of the proposal. That’s a risk. But if the executive summary follows the guidelines stated above, it should give a full picture of the proposal and create interest for the reader to delve deeper into the documents to get the details.

Remember, executive summaries can be written poorly or well. They can fail to focus on results or the solution to the proposal’s problem or do so in a vague, general way that has no impact on the reader. You should read the article more than once to make sure you’ve thoroughly understood it. It’s often effective to read in three stages:

  • Scan the article quickly to get a sense of its topic and overall shape.
  • Read the article carefully, highlighting important points and taking notes as you read.
  • Skim the article again to confirm you’ve understood the key points, and reread any particularly important or difficult passages.

There are some tricks you can use to identify the key points as you read:

  • Start by reading the abstract . This already contains the author’s own summary of their work, and it tells you what to expect from the article.
  • Pay attention to headings and subheadings . These should give you a good sense of what each part is about.
  • Read the introduction and the conclusion together and compare them: What did the author set out to do, and what was the outcome?

To make the text more manageable and understand its sub-points, break it down into smaller sections.

If the text is a scientific paper that follows a standard empirical structure, it is probably already organised into clearly marked sections, usually including an introduction, methods, results, and discussion.

Other types of articles may not be explicitly divided into sections. But most articles and essays will be structured around a series of sub-points or themes.

Now it’s time go through each section and pick out its most important points. What does your reader need to know to understand the overall argument or conclusion of the article?

Keep in mind that a summary does not involve paraphrasing every single paragraph of the article. Your goal is to extract the essential points, leaving out anything that can be considered background information or supplementary detail.

In a scientific article, there are some easy questions you can ask to identify the key points in each part.

If the article takes a different form, you might have to think more carefully about what points are most important for the reader to understand its argument.

In that case, pay particular attention to the thesis statement —the central claim that the author wants us to accept, which usually appears in the introduction—and the topic sentences that signal the main idea of each paragraph.

Now that you know the key points that the article aims to communicate, you need to put them in your own words.

To avoid plagiarism and show you’ve understood the article, it’s essential to properly paraphrase the author’s ideas. Do not copy and paste parts of the article, not even just a sentence or two.

Let’s take a look at an example. Below, we summarise this article , which scientifically investigates the old saying ‘an apple a day keeps the doctor away’.

An article summary like the above would be appropriate for a stand-alone summary assignment. However, you’ll often want to give an even more concise summary of an article.

For example, in a literature review or research paper, you may want to briefly summarize this study as part of a wider discussion of various sources. In this case, we can boil our summary down even further to include only the most relevant information.

Citing the source you’re summarizing

When including a summary as part of a larger text, it’s essential to properly cite the source you’re summarizing. The exact format depends on your citation style , but it usually includes an in-text citation and a full reference at the end of your paper.

An executive summary is a thorough overview of a research report or other type of document that synthesizes key points for its readers, saving them time and preparing them to understand the study's overall content. It is a separate, stand-alone document of sufficient detail and clarity to ensure that the reader can completely understand the contents of the main research study. Importance of a Good Executive Summary

Although an executive summary is similar to an abstract in that they both summarize the contents of a research study, there are several key differences. With research abstracts, the author's recommendations are rarely included, or if they are, they are implicit rather than explicit. Recommendations are generally not stated in academic abstracts because scholars operate in a discursive environment, where debates, discussions, and dialogs are meant to precede the implementation of any new research findings. The conceptual nature of much academic writing also means that recommendations arising from the findings are distributed widely and not easily or usefully encapsulated. Executive summaries are used mainly when a research study has been developed for an organizational partner, funding entity, or other external group that participated in the research . In such cases, the research report and executive summary are often written for policy makers outside of academe, while abstracts are written for the academic community. Professors, therefore, assign the writing of executive summaries so students can practice synthesizing and writing about the contents of comprehensive research studies for external stakeholder groups.

When preparing to write, keep in mind that:

  • An executive summary is not an abstract.
  • An executive summary is not an introduction.
  • An executive summary is not a preface.
  • An executive summary is not a random collection of highlights.

Writing an Executive Summary

Read the Entire Document This may go without saying, but it is critically important that you read the entire research study thoroughly from start to finish before you begin to write the executive summary. Take notes as you go along, highlighting important statements of fact, key findings, and recommended courses of action. This will better prepare you for how to organize and summarize the study. Remember this is not a brief abstract of 300 words or less but, essentially, a mini-paper of your paper, with a focus on recommendations.

Isolate the Major Points Within the Original Document Choose which parts of the document are the most important to those who will read it. These points must be included within the executive summary in order to provide a thorough and complete explanation of what the document is trying to convey.

Separate the Main Sections Closely examine each section of the original document and discern the main differences in each. After you have a firm understanding about what each section offers in respect to the other sections, write a few sentences for each section describing the main ideas. Although the format may vary, the main sections of an executive summary likely will include the following:

  • An opening statement, with brief background information,
  • The purpose of research study,
  • Method of data gathering and analysis,
  • Overview of findings, and,
  • A description of each recommendation, accompanied by a justification. Note that the recommendations are sometimes quoted verbatim from the research study.

Combine the Information Use the information gathered to combine them into an executive summary that is no longer than 10% of the original document. Be concise! The purpose is to provide a brief explanation of the entire document with a focus on the recommendations that have emerged from your research. How you word this will likely differ depending on your audience and what they care about most. If necessary, selectively incorporate bullet points for emphasis and brevity. Re-read your Executive Summary After you've completed your executive summary, let it sit for a while before coming back to re-read it. Check to make sure that the summary will make sense as a separate document from the full research study. By taking some time before re-reading it, you allow yourself to see the summary with fresh, unbiased eyes.

Common Mistakes to Avoid

Length of the Executive Summary As a general rule, the correct length of an executive summary is that it meets the criteria of no more pages than 10% of the number of pages in the original document, with an upper limit of no more than ten pages [i.e., ten pages for a 100 page document]. This requirement keeps the document short enough to be read by your audience, but long enough to allow it to be a complete, stand-alone synopsis. Cutting and Pasting With the exception of specific recommendations made in the study, do not simply cut and paste whole sections of the original document into the executive summary. You should paraphrase information from the longer document. Avoid taking up space with excessive subtitles and lists, unless they are absolutely necessary for the reader to have a complete understanding of the original document. Consider the Audience Although unlikely to be required by your professor, there is the possibility that more than one executive summary will have to be written for a given document [e.g., one for policy-makers, one for private industry, one for philanthropists]. This may only necessitate the rewriting of the introduction and conclusion, but it could require rewriting the entire summary in order to fit the needs of the reader. If necessary, be sure to consider the types of audiences who may benefit from your study and make adjustments accordingly. Clarity in Writing One of the biggest mistakes you can make is related to the clarity of your executive summary. Always note that your audience [or audiences] are likely seeing your research study for the first time. The best way to avoid a disorganized or cluttered executive summary is to write it after the study is completed. Always follow the same strategies for proofreading that you would for any research paper. Use Strong and Positive Language Don’t weaken your executive summary with passive, imprecise language. The executive summary is a stand-alone document intended to convince the reader to make a decision concerning whether to implement the recommendations you make. Once convinced, it is assumed that the full document will provide the details needed to implement the recommendations. Although you should resist the temptation to pad your summary with pleas or biased statements, do pay particular attention to ensuring that a sense of urgency is created in the implications, recommendations, and conclusions presented in the executive summary. Be sure to target readers who are likely to implement the recommendations.

Just stating facts and data wouldn’t be a compelling read for anyone. So, identify the story that really impacts people’s lives. While industry terms like workflow optimization or cost control capture people’s attention, they don’t tell the real story behind your efforts. Focus on the latter.

If you’re writing the project executive summary in software development, you might begin with what matters to the reader as follows.

In 2020, the retail major was managing its inventory on spreadsheets. So, whenever a customer asked whether a product was in stock, a staff member had to walk across the 5000 sq. ft. store to check, often with the customer in tow. The new ABC digital inventory management system records stock in and out online in real time. The staff member can check and confirm in a flash. More pertinently, the customers themselves can check at any of the 25 kiosks throughout the store.

While the story is more important, data isn’t useless. Accurate and relevant data helps establish credibility. Your next section might say the following in the ABC digital inventory management system example.

Since the implementation of the ABC inventory management system, the retail major has seen: 85% decrease in time taken to check stock 75% decrease in time taken to find where stock is placed

The data demonstrates that there has been real improvement. However, for the reader to understand its impact, you must explain the benefits. This can be done with real-life scenarios or even quotes. For example,

Adrian, the customer service manager at the Central Park store, says, “Now, from anywhere—a kiosk, the checkout counter, or my mobile phone—I can quickly check stock and confirm we have the products the customer needs. I see that customers are delighted at getting their answers instantly.”

You can also use data to do this. For example, you can explain how the decreased time taken to check stock has increased staff productivity, customer satisfaction, or company revenue. Or you can include your suggestions here. Based on your observations, explain the process improvement methodologies you recommend.

This is the time to complete the story. Here, talk about how your project has delivered the changes in the present and sets up for an even more prosperous future. This could be something like:

The ABC inventory management system marks the first step in the retail major’s digital transformation journey. By Q2 next year, we will link the store solution to the e-commerce inventory platform to give 360-degree visibility into the stock situation. This would also enable a new sales channel in the form of Buy Online, Pick Up in Store (BOPIS), enabling same-day fulfillment.

While you write your executive summary, here are some best practices to remember.

Keep it short and simple : The length might depend on the report you’re summarizing, but it’s best to keep it under one page for quick reading. Also, avoid cliches and jargon; make it easy to read. A quick business plan under one page is the best first impression you can make.

Being able to restate in your own words what you’ve just read is a sign that you’ve truly absorbed and understood the information. In contrast, merely memorizing facts is not a good indication of comprehension. In other words, if you can’t concisely summarize something, you haven’t fully grasped the concept.

The word summary is a noun that refers to the “concise but comprehensive rewriting of an original body of work.”

The verb form of this word is to summarize , which means “to provide a summary of something.”

Now that we’ve reviewed what a summary entails, let’s get to the fun part: writing one!

Keep in mind that summaries can encompass a wide range of subjects, including books, articles, movies, meetings, and more. Also, a summarization isn’t necessarily always confined to writing; you can verbally summarize something, too. However, the steps below are designed to help you compose a written summary.

1. Read and take notes. 

First things first: Read or watch the original work you’ll be summarizing. While you do, take brief pauses and explain to yourself what you just read or watched. As the main ideas start becoming clear to you, take notes. This will make the writing process easier.

2. Start with an introductory sentence.

In academic and formal contexts, summaries typically begin with an introductory sentence that states the work’s title and author. This sets the stage for the reader by immediately identifying what is being discussed. However, if the work has already been identified, it may not be necessary to start with the title and author. For example, if you’re in a class that is currently discussing Shakespeare’s Romeo and Juliet, then you may not need to include that information in the introduction.

3. Explain the main points.

Identify and elaborate on the main arguments or messages, and seek supporting evidence, topic sentences, or thesis statements .

It’s also a good idea to focus on the what, how, and why:

  • What are the key ideas or events?
  • How do they develop throughout the work?
  • Why are they important to the work’s overall message?

Remember, be selective in what you include. Summaries are about the bigger picture, not the small details. 

4. Organize your summary to ensure a smooth flow.

Your summary should be coherent and easy to read. Therefore, you should use transition words to ensure logical progression from one idea to the next. It’s best to structure your summary similarly to the original work. Despite being a condensed version, it should still stand on its own as a cohesive piece of writing. In other words, ensure that there is a clear beginning, middle, and end.

5. Conclude by restating the author’s thesis. 

Finish your summary with a clear statement that effectively captures the author’s main argument or purpose. Keep in mind that the conclusion of a summary should not introduce new information but instead provide a sense of closure. This will leave the reader with a comprehensive understanding of the original text.

Imagine you’re taking a class on Shakespeare, and you’re assigned to write a one-paragraph summary of Romeo and Juliet. It should be similar to the following example:

“Romeo and Juliet” is a tragic play that tells the story of two young, star-crossed lovers. It begins with a street brawl between servants from the wealthy Montague and Capulet families and ends with two shocking deaths that ultimately reconcile a long-time feud. Romeo, a Montague, falls in love with Juliet, a Capulet, at a masquerade ball. Despite their families’ conflict, they marry in secret. After Romeo is banished for avenging the death of his friend, Juliet fakes her death to be with him. The plan goes awry, leading to Romeo and Juliet’s actual deaths. When the families learn of the tragic sequence of events, they decide to end their bitter feud once and for all.

How Long Should a Summary Be?

Example of Research Summary

Here is an example of a research summary:

Title: The Effects of Yoga on Mental Health: A Meta-Analysis

Introduction: This meta-analysis examines the effects of yoga on mental health. The study aimed to investigate whether yoga practice can improve mental health outcomes such as anxiety, depression, stress, and quality of life.

Methodology : The study analyzed data from 14 randomized controlled trials that investigated the effects of yoga on mental health outcomes. The sample included a total of 862 participants. In psychology, a lab report outlines a study’s objectives, methods, results, discussion, and conclusions, ensuring clarity and adherence to APA (or relevant) formatting guidelines.

A typical lab report would include the following sections: title, abstract, introduction, method, results, and discussion.

The title page, abstract, references, and appendices are started on separate pages (subsections from the main body of the report are not). Use double-line spacing of text, font size 12, and include page numbers.

The report should have a thread of arguments linking the prediction in the introduction to the content of the discussion.

This must indicate what the study is about. It must include the variables under investigation. It should not be written as a question.

Title pages should be formatted in APA style .

The abstract provides a concise and comprehensive summary of a research report. Your style should be brief but not use note form. Look at examples in journal articles . It should aim to explain very briefly (about 150 words) the following:

  • Start with a one/two sentence summary, providing the aim and rationale for the study.
  • Describe participants and setting: who, when, where, how many, and what groups?
  • Describe the method: what design, what experimental treatment, what questionnaires, surveys, or tests were used.
  • Describe the major findings, including a mention of the statistics used and the significance levels, or simply one sentence summing up the outcome.
  • The final sentence(s) outline the study’s “contribution to knowledge” within the literature. What does it all mean? Mention the implications of your findings if appropriate.

The abstract comes at the beginning of your report but is written at the end (as it summarises information from all the other sections of the report).

Introduction

The purpose of the introduction is to explain where your hypothesis comes from (i.e., it should provide a rationale for your research study).

Ideally, the introduction should have a funnel structure: Start broad and then become more specific. The aims should not appear out of thin air; the preceding review of psychological literature should lead logically into the aims and hypotheses.

  • Start with general theory, briefly introducing the topic. Define the important key terms.
  • Explain the theoretical framework.
  • Summarise and synthesize previous studies – What was the purpose? Who were the participants? What did they do? What did they find? What do these results mean? How do the results relate to the theoretical framework?
  • Rationale: How does the current study address a gap in the literature? Perhaps it overcomes a limitation of previous research.
  • Aims and hypothesis. Write a paragraph explaining what you plan to investigate and make a clear and concise prediction regarding the results you expect to find.

There should be a logical progression of ideas that aids the flow of the report. This means the studies outlined should lead logically to your aims and hypotheses.

Do be concise and selective, and avoid the temptation to include anything in case it is relevant (i.e., don’t write a shopping list of studies).

USE THE FOLLOWING SUBHEADINGS:

Participants

  • How many participants were recruited?
  • Say how you obtained your sample (e.g., opportunity sample).
  • Give relevant demographic details (e.g., gender, ethnicity, age range, mean age, and standard deviation).
  • State the experimental design .
  • What were the independent and dependent variables ? Make sure the independent variable is labeled and name the different conditions/levels.
  • For example, if gender is the independent variable label, then male and female are the levels/conditions/groups.
  • How were the IV and DV operationalized?
  • Identify any controls used, e.g., counterbalancing and control of extraneous variables.
  • List all the materials and measures (e.g., what was the title of the questionnaire? Was it adapted from a study?).
  • You do not need to include wholesale replication of materials – instead, include a ‘sensible’ (illustrate) level of detail. For example, give examples of questionnaire items.
  • Include the reliability (e.g., alpha values) for the measure(s).
  • Describe the precise procedure you followed when conducting your research, i.e., exactly what you did.
  • Describe in sufficient detail to allow for replication of findings.
  • Be concise in your description and omit extraneous/trivial details, e.g., you don’t need to include details regarding instructions, debrief, record sheets, etc.
  • Assume the reader has no knowledge of what you did and ensure that he/she can replicate (i.e., copy) your study exactly by what you write in this section.
  • Write in the past tense.
  • Don’t justify or explain in the Method (e.g., why you chose a particular sampling method); just report what you did.
  • Only give enough detail for someone to replicate the experiment – be concise in your writing.
  • The results section of a paper usually presents descriptive statistics followed by inferential statistics.
  • Report the means, standard deviations, and 95% confidence intervals (CIs) for each IV level. If you have four to 20 numbers to present, a well-presented table is best, APA style.
  • Name the statistical test being used.
  • Report appropriate statistics (e.g., t-scores, p values ).
  • Report the magnitude (e.g., are the results significant or not?) as well as the direction of the results (e.g., which group performed better?).
  • It is optional to report the effect size (this does not appear on the SPSS output).
  • Avoid interpreting the results (save this for the discussion).
  • Make sure the results are presented clearly and concisely. A table can be used to display descriptive statistics if this makes the data easier to understand.
  • DO NOT include any raw data.
  • Follow APA style.

Use APA Style

  • Numbers reported to 2 d.p. (incl. 0 before the decimal if 1.00, e.g., “0.51”). The exceptions to this rule: Numbers which can never exceed 1.0 (e.g., p -values, r-values): report to 3 d.p. and do not include 0 before the decimal place, e.g., “.001”.
  • Percentages and degrees of freedom: report as whole numbers.
  • Statistical symbols that are not Greek letters should be italicized (e.g., M , SD , t , X 2 , F , p , d ).
  • Include spaces on either side of the equals sign.
  • When reporting 95%, CIs (confidence intervals), upper and lower limits are given inside square brackets, e.g., “95% CI [73.37, 102.23]”
  • Outline your findings in plain English (avoid statistical jargon) and relate your results to your hypothesis, e.g., is it supported or rejected?
  • Compare your results to background materials from the introduction section. Are your results similar or different? Discuss why/why not.
  • How confident can we be in the results? Acknowledge limitations, but only if they can explain the result obtained. If the study has found a reliable effect, be very careful suggesting limitations as you are doubting your results. Unless you can think of any c onfounding variable that can explain the results instead of the IV, it would be advisable to leave the section out.
  • Suggest constructive ways to improve your study if appropriate.
  • What are the implications of your findings? Say what your findings mean for how people behave in the real world.
  • Suggest an idea for further research triggered by your study, something in the same area but not simply an improved version of yours. Perhaps you could base this on a limitation of your study.
  • Concluding paragraph – Finish with a statement of your findings and the key points of the discussion (e.g., interpretation and implications) in no more than 3 or 4 sentences.

Reference Page

The reference section lists all the sources cited in the essay (alphabetically). It is not a bibliography (a list of the books you used).

In simple terms, every time you refer to a psychologist’s name (and date), you need to reference the original source of information.

If you have been using textbooks this is easy as the references are usually at the back of the book and you can just copy them down. If you have been using websites then you may have a problem as they might not provide a reference section for you to copy.

References need to be set out APA style :

Author, A. A. (year). Title of work . Location: Publisher.

Journal Articles

Author, A. A., Author, B. B., & Author, C. C. (year). Article title. Journal Title, volume number (issue number), page numbers

A simple way to write your reference section is to use Google scholar . Just type the name and date of the psychologist in the search box and click on the “cite” link.

What is a literature review? A literature review is a survey of scholarly sources on a specific topic. It provides an overview of current knowledge, allowing you to identify relevant theories, methods, and gaps in the existing research that you can later apply to your paper, thesis, or dissertation topic .

There are five key steps to writing a literature review:

Before you begin searching for literature, you need a clearly defined topic .

If you are writing the literature review section of a dissertation or research paper, you will search for literature related to your research problem and questions .

Make a list of keywords

Start by creating a list of keywords related to your research question. Include each of the key concepts or variables you’re interested in, and list any synonyms and related terms. You can add to this list as you discover new keywords in the process of your literature search.

  • Social media, Facebook, Instagram, Twitter, Snapchat, TikTok
  • Body image, self-perception, self-esteem, mental health
  • Generation Z, teenagers, adolescents, youth

Search for relevant sources

Use your keywords to begin searching for sources. Some useful databases to search for journals and articles include:

  • Your university’s library catalogue
  • Google Scholar
  • Project Muse (humanities and social sciences)
  • Medline (life sciences and biomedicine)
  • EconLit (economics)
  • Inspec (physics, engineering and computer science)

You can also use boolean operators to help narrow down your search.

Make sure to read the abstract to find out whether an article is relevant to your question. When you find a useful book or article, you can check the bibliography to find other relevant sources.

You likely won’t be able to read absolutely everything that has been written on your topic, so it will be necessary to evaluate which sources are most relevant to your research question.

For each publication, ask yourself:

  • What question or problem is the author addressing?
  • What are the key concepts and how are they defined?
  • What are the key theories, models, and methods?
  • Does the research use established frameworks or take an innovative approach?
  • What are the results and conclusions of the study?
  • How does the publication relate to other literature in the field? Does it confirm, add to, or challenge established knowledge?
  • What are the strengths and weaknesses of the research?

Make sure the sources you use are credible , and make sure you read any landmark studies and major theories in your field of research.

Take notes and cite your sources

As you read, you should also begin the writing process. Take notes that you can later incorporate into the text of your literature review.

It is important to keep track of your sources with citations to avoid plagiarism . It can be helpful to make an annotated bibliography , where you compile full citation information and write a paragraph of summary and analysis for each source. This helps you remember what you read and saves time later in the process.

To begin organizing your literature review’s argument and structure, be sure you understand the connections and relationships between the sources you’ve read. Based on your reading and notes, you can look for:

  • Trends and patterns (in theory, method or results): do certain approaches become more or less popular over time?
  • Themes: what questions or concepts recur across the literature?
  • Debates, conflicts and contradictions: where do sources disagree?
  • Pivotal publications: are there any influential theories or studies that changed the direction of the field?
  • Gaps: what is missing from the literature? Are there weaknesses that need to be addressed?

This step will help you work out the structure of your literature review and (if applicable) show how your own research will contribute to existing knowledge.

  • Most research has focused on young women.
  • There is an increasing interest in the visual aspects of social media.
  • But there is still a lack of robust research on highly visual platforms like Instagram and Snapchat—this is a gap that you could address in your own research.

There are various approaches to organizing the body of a literature review. Depending on the length of your literature review, you can combine several of these strategies (for example, your overall structure might be thematic, but each theme is discussed chronologically).

Chronological

The simplest approach is to trace the development of the topic over time. However, if you choose this strategy, be careful to avoid simply listing and summarizing sources in order.

Try to analyze patterns, turning points and key debates that have shaped the direction of the field. Give your interpretation of how and why certain developments occurred.

If you have found some recurring central themes, you can organize your literature review into subsections that address different aspects of the topic.

For example, if you are reviewing literature about inequalities in migrant health outcomes, key themes might include healthcare policy, language barriers, cultural attitudes, legal status, and economic access.

Methodological

If you draw your sources from different disciplines or fields that use a variety of research methods , you might want to compare the results and conclusions that emerge from different approaches. For example:

  • Look at what results have emerged in qualitative versus quantitative research
  • Discuss how the topic has been approached by empirical versus theoretical scholarship
  • Divide the literature into sociological, historical, and cultural sources

Theoretical

A literature review is often the foundation for a theoretical framework . You can use it to discuss various theories, models, and definitions of key concepts.

You might argue for the relevance of a specific theoretical approach, or combine various theoretical concepts to create a framework for your research.

Like any other academic text , your literature review should have an introduction , a main body, and a conclusion . What you include in each depends on the objective of your literature review.

The introduction should clearly establish the focus and purpose of the literature review.

Depending on the length of your literature review, you might want to divide the body into subsections. You can use a subheading for each theme, time period, or methodological approach.

As you write, you can follow these tips:

  • Summarize and synthesize: give an overview of the main points of each source and combine them into a coherent whole
  • Analyze and interpret: don’t just paraphrase other researchers — add your own interpretations where possible, discussing the significance of findings in relation to the literature as a whole
  • Critically evaluate: mention the strengths and weaknesses of your sources
  • Write in well-structured paragraphs: use transition words and topic sentences to draw connections, comparisons and contrasts

In the conclusion, you should summarize the key findings you have taken from the literature and emphasize their significance.

There are several reasons to conduct a literature review at the beginning of a research project:

  • To develop your theoretical framework and methodology

The literature review usually comes near the beginning of your thesis or dissertation . After the introduction , it grounds your research in a scholarly field and leads directly to your theoretical framework or methodology .

A literature review is a survey of credible sources on a topic, often used in dissertations , theses, and research papers . Literature reviews give an overview of knowledge on a subject, helping you identify relevant theories and methods, as well as gaps in existing research. An essay and a report are both effective ways of presenting information and data. However, some professors may prefer one over the other. In order to know the difference between the two, a list of their differences are presented below:

How to Write an Academic Report

This means what it literally means. The title of the general report should be indicated on this page of the academic report. In some cases, the title page also includes your name as the author and student number, the name of the course and the course code. For example:

2. Author Declaration

In some universities or colleges, you will need to fill out a form from the department or faculty conforming that the report is in fact your own output. This form is attached to any assigned report or essay for your course.

3. Abstract or Executive Summary

An abstract is a short opening for your entire report. It is a basically a summary of the report as a whole and therefore should only be around 150 words in length. In order to effectively write it, a good techniques is writing it after all the sections, headings and sub-headings have been presented. Here’s a tip: write one or two sentences representing each section of the report in order to have a complete and comprehensive abstract.

4. Acknowledgements

Although acknowledgements are normally necessary in major reports, it can also be included in an academic report. This acknowledges the people who have supported you in your research and has contributed in the completion of the report. However, do not go overboard. 6. Table of Contents

This is where the reader goes to look for specific sections or topics found in your report. This contains the actual titles of each section, heading and sub-headings along with their actual page numbers. A good way or organizing your table of contents is to list the contents in according to hierarchy numbers, from first to last. 7. Introduction

The introduction must present the purpose or objective of the report and explain why the report is necessary or how it’s useful. It must immediately let the reader know that the report is useful in the field it is focused on and that it has a positive impact and recommendations on the subject at hand. In addition, you can define key terms you have repeatedly used in the report so that the reader has a clear idea on what you mean when you use the term. Author’s Note : The following sections (8-11) are primarily used in major reports such as research, an experiment, survey or observation. If your report is based on reading, you can replace these sections with topic heading of your own choosing.

8. Literature Review

In this section, describe and report the previous and current thinking and research on the topic. You include a summary on what other have written about the topic you are reporting. This section will mostly consist of in-text citations from the books, articles, reports, etc. you have read about the topic. You may also see report examples in excel .

Simply, it is a review of all the literature you have read in order to form your own thinking about the topic. These literature are your basis for conducting your own report. The literature review should follow the format, MLA or APA format, you professor has required in citing your references.

9. Method or Methodology or Research Design

This section is all about the method or way you have gathered or collected your data. You present and tell your reader/s how were you able the data you have in your report. For example, you can describe the step-by-step process you did when you conducted an experiment or write a detailed description of a situation you have observed. In addition, in this section it is normal that you also have to explain why you collected the data through that method. An normally, the justification should also be quite detailed. 10. Results or Findings

Simply present the results or findings of your report in this section. There is no need for discussions, analysis and explanations of the results. Oftentimes, this section includes a table to comprehensively present the findings. Aside from that, this is also where you state whether you accept or reject the hypothesis or hypotheses you have made in you report. You may also check out sample activity reports .

11. Discussion of Results or Analysis or Interpretation

This is where you present what you think about the results you have formulated in your report. You can also include comment abut your results in this section. Here are other things the discussion section can include:

  • Describing and suggesting reasons for any patterns in the results, possibly including anomalies (results that don’t ‘fit in with’ the rest).
  • Explaining what you found (perhaps with reference to theory). You may also see performance report examples.
  • Commenting on how much your findings agree or disagree with the literature.
  • Considering the accuracy and reliability of your results (and how the methods you used might have affected that accuracy).
  • Considering the implications of your results – what they might mean for your practice, for example. • Discussing what further research in this area might be useful in future. You may also like investigation report samples and examples.

12. Conclusions

In the conclusions, you should summarize the key findings of your report. Remember that all the information that you include in the conclusions should have been presented before and are new information. The conclusions should effectively summarize and present all the major points you have made so far in you report.

13. Recommendations

Recommendations are not necessarily needed in all academic reports, however, work-related and case studies should always present recommendations. 14. References or Bibliography

There should be a list on all the references you have used to cite and to back your claims. It should only contain all the literature you have cited in your report. Depending on the requirement, you can follow either an MLA or APA format for citation.

15. Appendices

As someone who has written hundreds of progress reports, I know that writing a good progress report can keep people in the loop about how your project or product is moving. Additionally, it helps build trust by actively letting everyone know how things are going, what may have changed, and where you may need support. It can be a very helpful tool.

How To Write An Effective Progress Report

Getting started with writing progress updates can be a little tricky. There are some key steps you’ll want to navigate to ensure that your progress reports are effective, helpful, and meeting the needs of your team and stakeholders.

In this article, we’ll talk about what a progress report is, why they’re important, the elements of a progress report, and more.

What is a progress report?

A progress report is a document, usually in the form of a weekly email, that lets key stakeholders and team members who are involved in your project stay up-to-date on how things are going.

These updates can include the progress from this week, whether or not the project is on track, and if any additional leadership support is necessary to keep the project going smoothly and eliminate blockers or challenges.

Why are progress reports important?

Progress reports are important because they help build trust in the project team by keeping stakeholders in the loop with clear communication. A good progress report ensures that stakeholders don’t sit and wonder how a project is going.

Another benefit? They can help you spot issues and elevate them before problems stack up and take your project off course. You can also use a progress report to escalate blockers, or potential blockers, to the stakeholders who may be able to assist you in clearing them. What’s included in a progress report?

The first important thing is to really understand what your stakeholders want to see in an update. Are there particular parts of the project they might be concerned about and want more detailed insights into how that part of the project is going? If so, you may want to come up with a list and build your outline from there.

A comprehensive progress report typically includes:

  • A summary of activities completed by the team
  • What progress was made, and how the team is tracking toward their goals
  • What challenges there were, if any

For example, some stakeholders want to be able to see each individual item the team completed. Some stakeholders think that a high-level summary of features is enough information. You can customize the level of detail in your activity summary for your stakeholders and team.

Your activity summary and progress updates might sound similar, but activities are usually more task-oriented while progress is usually either an outcome or progress toward a specific outcome.

For example, let’s say that your progress update outlines that your engineering team spent time writing code for a new feature this week. Your progress report may include details about customer feedback about the new feature that your UX designer gathered.

Progress reports aren’t one-size-fits-all. In fact, they should be customized to fit the needs of your project! Here are some tips to help customize a generic template:

  • Make sections clear — Clearly outline the sections of your progress report, and let everyone know what you’ll be addressing in each section. Remember the key sections: activities, progress made, challenges or blockers encountered, and actions and next steps. You may want to include other sections, but you’ll want to include at least those four
  • Include other sections as needed for your project — Depending on the type of project, you may also include area-specific updates. If you are building a new software product, you may also include an update on KPIs or customer feedback. If you work on an engineering team, you may need to update on code quality or test coverage metrics. Remember, this is for you and for your stakeholders to communicate, so customizing it to everyone’s needs is important
  • Add some fun — Maybe you highlight new learnings, a fun fact, or a customer research anecdote as a part of your update
  • Use emojis — Another way to make sections stand out is to add emojis. On a Mac, you can use Control + Command + Space to pull up the emoji keyboard. On a Windows machine, you can use the Windows Key + Period . Add emojis to your sections to add a little fun, and make each section’s purpose stand out visually. Adding an emoji can help visually call out sections. You can also use emojis for whether or not something is on track by using colors and color coding.
  • Make updating and reading metrics easy by using tables  — If you’re reporting on a lot of metrics , make those easy to update by utilizing tables when and where you can. On the left side, include the name of the metric. On the right, include the number. Voila, an easy-to-read and easy-to-update metrics table

Once you’ve got the template, where do you store it? Ideally, put the template where you can quickly and easily access it and send it. Do you use a document repository like Sharepoint or Confluence? You can create a page that you can duplicate and edit. If you use something like Notion, you can save the page as a template that you can quickly and easily apply to any page within Notion.

Another thing to consider is how you plan to send the update each week. One option is to link to a document repository that has all of the updates linked and just schedule an automated email to send to key stakeholders with a link to the homepage. Another option? Copy and paste the text from your update into an email and link to older updates that live elsewhere.

When to update your template

If you feel trapped using a template, know that you can customize them and change them over time. As the project changed and evolved, so did our progress updates. It’s okay to change them! In fact, sometimes it’s necessary. So how do you know when it’s time to change your template?

  • You regularly get questions from stakeholders about aspects of your project that are not answered in the current template
  • The project has taken on a completely new direction but you haven’t updated your progress report to capture these new aspects of the project
  • You’ve added another team or aspect to the project but their work is not reflected in the template

All of these are signs that it’s time to update the template to include more or different information. This can be a great time to pause and ask your stakeholders what new information would be helpful for them to read about in the progress report.

Incorporating progress report comments

Your stakeholders may have follow-up questions or comments about your progress report. This is great news because it means that your stakeholders are involved and staying up to date! Of course, they may have positive feedback or negative feedback. How do you handle either situation?

Handling negative feedback about your progress report from stakeholders

You’ve sent out the progress report, and you’re excited to hear all of the positive comments on how much progress the team is making. Then the comments start rolling in, and they are disappointingly not positive. How do you address negative comments from stakeholders?

There is negative feedback about the formatting

Sometimes, stakeholders may have negative feedback about how the progress report looks instead of commenting on the contents of the report itself. This can be a good thing — they have an interest in the process!

Take their feedback into consideration and potentially make updates to the template to make incorporating their feedback easier from week to week. If there’s a way to make the report easier to read, make those adjustments. If data is missing that would help make decisions — and if the data is available — consider adding it to subsequent progress reports.

There is negative feedback about the progress being made

Sometimes, stakeholders will have questions or comments related to how quickly the project is moving or the challenges the team is encountering. Here are some steps on how to handle this when it comes up.

  • First, try to understand where the stakeholder is coming from. Are they curious about why a challenge arose? Are they concerned about the progress so far? Are they nervous about missing a critical deadline? You may need to reach out to that stakeholder to understand their concerns or feedback better so that you know how you can help
  • Once you understand where the concern is coming from, now you can work to address the stakeholder’s feedback or criticism. If they address a challenge that has come up, it may be a good time to escalate the support you need in clearing the blocker. If they’re addressing that it seems like the project is off-track, reiterate what you or the team are doing to ensure that the project stays on track
  • Sometimes, negative feedback occurs because someone is missing context or does not have all the information. In this case, it can be helpful to ensure that the stakeholder understands

Handling positive feedback about your progress report

When you get positive feedback about the progress you’re making, this is a great time to share that feedback with the entire team and celebrate. There are ways to incorporate this kind of feedback into your team’s rhythms.

One way is to surface positive feedback at a daily standup or weekly team meeting, letting them know that the leadership team or external stakeholders are happy with the progress are cheering you on. If appropriate, inviting a stakeholder to a team meeting and letting them know they’re excited about the progress can be a fun addition.
