Inserting References and Creating a Bibliography in a Word Document

 Creating a List of References from Your EndNote Library

  • From the command bar on the top of the EndNote screen, select File  >> Export 
  • A window will open asking you to choose: a name for the reference list, the type of file you want to save (nb: select RTF to create a Word-style document), and an output style.
  • Select Save

Cite-While-You-Write (CWYW)

EndNote  comes with  Cite-While-You-Write (CWYW) , a utility that allows you to insert references into a Word document to create in-text citations and a bibliography in a specific output style (such as APA,  JAMA , Chicago). When you install  EndNote  onto your computer,  Cite-While-You-Write  will also be integrated within Microsoft Word. Please note that the Microsoft Word program must be closed in order to successfully install  Cite-While-You-Write!

Inserting citations into a Word Document

An EndNote library must be open before inserting citations. To insert citations, you can either:

  • In MS Word, select  Tools  >> EndNote  >> Find Citation(s) . Search for references in any open EndNote library. Select citations >> Insert .
  • Go into your EndNote library, select reference(s) from your list  and select the insert citation into Word icon from the toolbar. This will insert the reference(s) into your Word document.

In addition to creating in-text citation, EndNote will insert a bibliography at the end of the document based on the style you have selected. To select or change the output style, use the output style pull-down menu located in Word under the EndNote tools on Word.

Creating Separate Bibliography for Sections Within a Word Document

First, in your Word document,  you want to be sure insert a  break to separate each section. To insert a break inbtween sections,  go to  “Page Layout” on the tool ribbon and  select “Breaks.” Under “Breaks”, choose the specific type of break you want to have between sections (i.e., “Next Page,” “Even Page,” “Odd Page,” etc.)

Second, in EndNote, you need to modify a citation style so that it can create a bibliography at the end of each section. To do this:

  •  Go to:  Edit >> Output Styles >>Open Style Manager >>  highlight the style you want (for example, APA 6 th ) and hit the “Edit” button  
  • On the left-side of the screen, select “Sections.” Check the button for “Create a bibliography for each section.” Close out of the window, and when prompted,  re-name the style  (for example, “APA 6 th  _sections”)

When you installed EndNote on your computer, it  automatically create an EndNote tool ribbon in Word. Inthe EndnOte tool ribbon, the citation style currently selected will be displayed in the "Style" pull-down menu. To select the style you just modified, choose “Select Another Style” from the pull-down menu and choose the style you just modified (i.e., “APA 6 th  _sections”).  You will now be able to insert in-text citations in each section of your Word document and have  a bibliography at the end of each section.

Inserting Figures with Captions

The first step to inserting figures with captions into a Word document using Cite-While-You is to create an EndNote reference for the figure.

Step 1: Creating an EndNote for a Figure: 

  • From the command bar at the top of the EndNote screen, select  References  >> New Reference.
  • give the figure a title.
  • attach the figure by scrolling down to  the field labeled  Figure  and then right-clicking in order to select  Figure >>Attach Figure ... When promtped, browse for and select the figure you want to attach.
  • include a caption for the figure by completing the  Caption  field.

Step 2: Inserting Figures into a Word Document:

  • In your Word document, go to the EndNote tools and select  Find Figures . Search for title of the figure.
  • Select figure and select  Insert . The figure and associated caption will be inserted in the Word document. The placement of the figure and caption withinthe text is determined by the output style selected.

Word 2016 for Mac

EndNote now has a version of Cite-While-You-Write for Mac  Word 2016. To update for Mac Word 2016,  please run the auto updater or go to the desktop menu option EndNote X7 -> Check for Updates to download X7.5 and get started.

For EndNote users who are currently using  Mac  Word 2016 beta plugin, please be advised that beta plugin will cease working on March 1, 2016. Please read the instructions for how to update to the new  Cite-While-You- Write for Mac Word 2016 .

In addition to storing your references, EndNote is a bibliography maker. It works with Microsoft Word and several other word processors to create formatted bibliographies and citations in your papers. If you install EndNote after you have installed your word processor program, EndNote should update your word processor program and add EndNote options. If you are using Word, to make sure your software has loaded these features open Word: you should see EndNote listed as one of the menu items across the top of the screen. If not, please contact the ITS help desk by phone (685-4000) or submit a service ticket .

To Add Page Numbers in a Citation

In Word, click to highlight the citation you want to add a page number to, then select the Edit & Manage Citation(s) option in the EndNote toolbar menu. This will list all citations in the document, with the selected citation highlighted in the list. EndNote will automatically format the page numbers in the citation according to the currently selected citation style.

To Edit Citations and Bibliography in Word

If you try to edit anything in an in-text citation, footnote, or bibliography created by EndNote in a Word document, it won't let you; anything you add in a citation or bibliography will be deleted. To edit the content of a citation or bibliography in a Word document, you will need to do the editing in EndNote. But, when you are done adding citations to your document, you can create a copy of your Word document that is disconnected from EndNote and will allow you to edit citations and bibliography as regular Word text. To do that, select the Convert Citations and Bibliography option in the EndNote menu, and select to "Convert to Plain Text." Your original document will still be connected to EndNote, but the copy will be all editable plain text.

To Create a Stand-Alone Bibliography

To create a bibliography of some or all sources in an EndNote library, first select the desired citation style in EndNote (in the menu toward the upper left). Then select to highlight all the citations you want in your bibliography. Hold down the Control key (on a PC; for Mac, hold down the Option key) and drag the citations into a Word document. Or, click to highlight one or more or all citations, then right-click on the highlighted citations and choose the option to "Copy Formatted"; then "Paste" that into a Word document.

Insert Footnotes - while writing papers

  • In EndNote - Select the style for your bibliography using the favorites menu.
  • Select references in your library. Click Preview to see the current selected style.
  • Open Word; open a new document. Begin writing. Add a footnote or EndNote in word.
  • Click on Insert a citation: EndNote > Insert Citation.
  • Select the citation(s) to insert. Use Shift to select a range of citations; or use Ctrl to select several.
  • The bibliography is created as you write in the selected style; or, select Update Citations and Bibliography.

  • From EndNote > Insert Citation drop down, select Insert Figure...
  • Use the search window to find the reference with the image.

Using Google Docs

Cite-While-You-Write does not work directly in Google Docs. However, EndNote is compatible with any word processing program (e.g. Google Docs) that supports file saving in the rich text format (i.e. as a .rtf file).

Note that any zipped files need to be 'unzipped' i.e. right-click and choose the extract command. Copy these files to your EndNote file folder location.

If you just need the APA 7th style, note that this is not 'zipped'. Just save it into your styles folder.

You will be asked for your UC login.

For PC users:

To install EndNote 20, double click on the EndNote20.exe file downloaded from the above link.  Extract this file file onto your desktop by clicking on the the three ... and selecting your Desktop.  This will create two new files, EN20Inst.msi and License.dat . Double click on EN20Inst.msi to start the install. The license.dat file must be present in the same folder.

Have Word and EndNote open with the library you wish to use

There are many ways to add the references in EndNote to Word.  

  • You can insert  multiple citations  by using the  Ctrl key  to select and copy a number of references at the same time.You can also use the  Shift key  to select a block of references or  Ctrl-a  to select all references.  You can use any of the above methods with multiple citations.

Cite While You Write

Endnote integrates with Microsoft Word using the Cite While You Write (CWYW) feature. When Endnote is installed, a Word toolbar becomes available in the top tabs. Activate the dedicated Endnote toolbar tab as shown below. After creating an EndNote library, references can be inserted into the text of a Microsoft Word document, and a references list is automatically generated from the citations as you go. The format of the citations and references list depends on which bibliographic style is selected.

To add a citation and bibliography entry in Word from an Endnote reference:

  • Open EndNote and your Library
  • Open your Word document
  • In Word, select the EndNote 21 tab from the menu ribbon. This will display the Endnote tools.

NOTE: Endnote does not automatically integrate with any other word processing software, only MS Word.

Put your cursor next to the place you wish to put a citation. (NB: Leave a space before the full-stop if using an author-date style such as Harvard or APA so the in-text bracket will appear correctly spaced).

When you need to add a citation, click on Go to Endnote. Once in Endnote, highlight the required citation with one click.

Go to Insert Citation symbol on the Toolbar (see above)

A formatted reference to the citation will be displayed in the document and a References entry will be added to the end of the document.

Deleting or Editing a Citation

To delete a citation, use the Edit & Manage Citation(s) icon on Word’s Endnote 20 toolbar.

NEVER use the Delete or Backspace keys on the keyboard, or highlight and delete in Word. (This can corrupt your document).

Highlight the in-text citation (i.e. the author and year in an author-date style, or the number in a numbered style). Click on Edit & Manage Citation(s) button.

A dialogue box then appears (shown below).

This will display the citation in Endnote’s temporary citation format {first author, year, number of the reference} in your library.

Cick 'Edit Reference' and 'Remove Citation'. Endnote will remove the citation and reformat the list of references in your Word document. Save the changes!

You can also edit a citation in the same dialogue box under 'Edit citation' by changing the 'Formatting' option or adding a prefix, suffix or page number:

Preparing the Document for Publication

If you want to submit your paper for publication, you may need to remove all field codes, as they could interfere with the software used by the publisher (this is publisher dependent).If you are finishing a thesis, it is often easy to do last minute minor edits of references after removing field codes. To do this, click on 'Convert citations and Bibliography' and 'Convert to Plain Text'.

Save the new document under a new name, and send that version for publication. It is a new Word version that is now “unhooked” from Endnote.

Keep the original document which is still linked to Endnote, as it is the master copy which you will have to use if you wish to add or remove any references.

Cite While You Write: Insert References into Word Documents

The basic steps required to cite a reference and generate a bibliography with Microsoft Word are summarized below. To  Cite While You Write :  

  • Start Microsoft Word and open the paper you are writing.
  • When you are ready to cite a source, position the cursor in the text where you would like to put the citation.
  • Go to the EndNote tab in Word, and then select  Insert Citation:   A "Find & Insert My References" dialog appears.
  • In the text box at the top, enter identifying text for EndNote to locate the appropriate reference.  This could be an author’s last name, a year, a keyword, or any other combination of terms found in the reference.
  • Click  Find  and EndNote compares the identifying text to your EndNote references and then lists the matching reference(s).
  • Identify and  highlight the appropriate reference(s).
  • Insert: To insert the citation and format it as defined by the currently selected output style
  • Insert & Display as: Author (Year)
  • Insert & Exclude Author
  • Insert & Exclude Year
  • Insert in Bibliography Only
  • NOTE: You can click Insert (not the triangle) to quickly select the default Insert command.
  • NOTE: When  Instant Formatting  is turned on, each time you insert a citation it is formatted and a bibliography is updated at the end of your document. When you are done inserting citations, your document is done!  Instant Formatting  is turned on by default.

If your citations are not automatically formatted, and a bibliography is not updated each time you insert a citation:

  • Go to the EndNote menu, and then select  Update Citations and Bibliography .
  • NOTE:  Even when  Instant Formatting  is turned on, you may want to select  Format Bibliography  in order to change the style or layout of your citations and bibliography.
  • NOTE: The dialog lists the styles that are currently selected as your "favorites" in the Style Manager. If you need to select a style that is not in the list, click Browse to locate it.
  • Click OK. EndNote scans your paper and, using the selected style, formats any temporary citations, reformats formatted citations, and appends a bibliography to the end of your paper.

ALERT: EndNote Cite While You Write and new Word version

Occasionally EndNote Cite While You Write Plugin updates do not keep up with new versions of Word. EndNote Online can be used to format your papers until a patch is available. You can also use this technique if you are using Office 365.  All that is required is that the document be saved in the .rtf (Rich Text Format).

Find More Citation Styles

If you do not see your particular citation style in the list of styles preloaded into EndNote, search the EndNote website for additional styles.  Instructions for downloading new styles are included in the link:  http://endnote.com/downloads/styles

Always proofread the bibliography!  No citation software is perfect.

Add a Footnote

There's one extra step if you're inserting a reference into a footnote.

Click the References tab in Word ribbon.  Then click the Footnote button/link.

With your cursor still in the footnote, click the EndNote toolbar in Word and then the Insert Citation button as usual.  (Wherever your cursor is in your document -- the body or the footnote -- is where the citation will appear in the document.)

Traveling Library

There may be occasions where you want to copy all of the references used in a Microsoft Word document to an EndNote library. Perhaps you received only the formatted Word document from a colleague, and would like to create EndNote references to use later. Or, you may have a large EndNote library, but want to create a smaller EndNote library with only the subset of references used in your paper. Note: The Traveling Library does not contain Notes, Abstracts, Figures, or Captions. To export references from a Word document to an EndNote library:  

  • Open the document in Word.
  • From the  Tools  menu, go to the EndNote X7 submenu, and then select  Export Traveling Library.
  • Select a library from the drop-down list of available libraries, or click Browse to locate a library.
  • You will be prompted to name and save the new library.
  • Note: We recommend that you export to a new EndNote library, so you can review the records before adding them to an existing library.

There is an alternate way to copy references from your Word document to an EndNote library. Open both your Word document and the EndNote library. Then, in EndNote, go to the Tools menu, then the Cite While You Write submenu, and select Import Traveling Library.

Note: When you use the Export/Import Traveling Library commands, the exported references are renumbered and do not retain their original reference numbers.

Put your cursor at the end of the text you want to cite.

Go to References  >   Style , and choose a citation style.

On the References tab choose a citation style from the Style list

Select Insert Citation .

Point to Insert Citation, and choose Add New Source

Choose  Add New Source  and fill out the information about your source.

Once you've added a source to your list, you can cite it again:

Go to References  >  Insert Citation , and choose the source you are citing.

To add details, like page numbers if you're citing a book, select Citation Options , and then Edit Citation .

Create a bibliography

With cited sources in your document, you're ready to create a bibliography.

Put your cursor where you want the bibliography.

Go to References > Bibliography , and choose a format.

Tip:  If you cite a new source, add it to the bibliography by clicking anywhere in the bibliography and selecting Update Citations and Bibliography .

How do I place the bibliography AFTER the endnotes in my document?

In accordance with the Chicago Manual, I need to organize by bibliography AFTER my endnotes. However, I'm unable to inset a section break, page break, or bibliography after the endnotes. Those options are greyed-out. I have messed with the notes options a bit, trying out endnotes at the "end of section" and "end of document." I can't seem to figure out how to put anything after my endnotes.

I'm sure I'm not the only one trying to do this since the Chicago Manual of Style is one of the most widely used. I just can't figure it out.

Using Microsoft 365, Word version 16.75, on a Mac running MacOS 13.4.1.

Dear C10darren,

From your description, it seems that you see that the Section Break option grey out in your environment. May I know where you insert the page break in the file? If you insert other places, will the option be enabled?

If it is convenient, could you upload some related screenshots?

Note: Remove any private information before uploading the screenshots.

Generally, it may be unable to be inserted after the endnotes.

You need to set the Endnotes to appear as the End of Section,

If the body of your document has multiple Sections and you do not want the Endnotes to appear at the end of each Section, on the Layout tab of the Page Setup dialog, you need to check the box for Suppress Endnotes for all of the Sections in your document except the the second last Section (the one before the Section in which you set up the Bibliography)

Doug has provided the solution you need: set endnote placement to "End of section" and suppress the display of endnotes for all sections except for the one where you want them to show.

Note that you will have to locate the corresponding settings in Word for Mac. (Many contributors in the forum mainly work with Word for Windows.)

Appending to Stefan's point if you need the info... In Mac Word:

For the Footnote and Endnote dialog go to Insert> Footnote... in the main menu

For the Page Setup dialog Doug illustrated go to Format> Document - Layout in the main menu [ File> Page Setup doesn't get you there.]

EndNote can be used to cite and format references in a manuscript. EndNote installs a  tab in the Word toolbar. The ribbon has three sections: Citations, Bibliography, and Tools:

Insert Citation Dropdown Tools:

  • Find Citation(s):  Opens a window where you can search for the reference of interest, and insert it into the manuscript
  • Insert Note:  Allows adding a note to the document
  • Insert Selected Citation(s):  Inserts selected references as a temporary citation at the location of the cursor in the Word document
  • Find Figure(s):  Allows insertion of a figure included in an EndNote library

Go to EndNote:  Launches EndNote or, if EndNote is already open, brings EndNote to the front of the desktop so that one or more references can be highlighted

Edit & Manage Citations:  Allows editing of references, such as removing author name or year, or adding page numbers

Edit Library Reference(s):  Allows editing of EndNote references from within Word (such as hiding the author name or adding page numbers); see the EndNote Getting Started Guide or the Help feature within EndNote for details.

Bibliography Tools:

Update Citations and Bibliography: Automatically updates the Word document with changes made to citations in EndNote.

Convert Citations & Bibliography Dropdown Tools:

  • Convert to U nformated Citations temporarily unformats a citation before editing it or unformats the entire manuscript
  • Convert to P lain Text removes EndNote field codes from from a manuscript before sharing it. Caution: this is permanent! Apply to a copy of the document only!
  • Convert Reference manager citations to EndNote changes Reference Manager entries to EndNote citations
  • Convert Word Citations to EndNote reformats citations created using Word's formatting

Configure Bibliography:  Accessible by clicking on the small arrow in the Bibliography s ection of the Word EndNote Toolbar     . Formats or reformats the references according to the selected output style. Also allows editing of font and line spacing ( Layout tab) The formatting process replaces the temporary citations with formatted citations and builds a formatted reference list at the end of the manuscript.

Export to EndNote Drop-down tools:

  • Export Traveling Library:  Creates an independent library from the references cited in a paper (The reference data saved with each citation includes all fields except Notes, Abstract, and Figure).
  • Export Word Citations: Creates a library from the citations in a paper that were created using the formatting feature in Word (found under the References tab) to export into an existing or a new EndNote library [See Manage Sources under the References tab]
  • Export Word Master List: Creates a library from the Word Master List of references to export into an existing or a new EndNote library [See Manage Sources under the References tab]
  • Preferences: Set preferences for the Cite While You Write (CWYW) feature, including turning off instant formatting, keyboard shortcuts, and switch to EndNote Web CWYW

Insert new citations from Zotero into an endnote file

  • tim820 5 days ago Endnote and Zotero store citations within word processor files in different ways (Endnote has attempted to sue people who try to make them compatible). If it were Mendeley the process would be a little easier (there is a tool for that). If you already have all the references in your Zotero library, you simply have to replace each Endnote citation with a Zotero one. If not, the next simplest option would be to get your friend to send you a Bibtex file with just the Endnote-cited references. Then you import that to Zotero, and replace each Endnote citation in the text with a Zotero citation from your own library. The next option, assuming the existing document has a reference list at the end, is probably to treat the document as if it is a published plain-text paper with a reference list. Ways to extract a reference list into Zotero are described below. Then you will need to replace each citation in the text with Zotero's citation from your own library. https://www.zotero.org/support/kb/importing_formatted_bibliographies#plain-text_citations_and_bibliographies There are some new ways for the first step of that third option - to get a reference list into Zotero - using ChatGPT to generate a Bibtex file for import to Zotero. The result may not be perfect, but it should be close.
