How to share your screen during a Microsoft Teams meeting
The process used when sharing your screen in Teams depends on whether you’re using the Teams desktop app or web app. I’ll cover both methods in this post, and provide a video demonstration for each.
Share your screen using the Microsoft Teams desktop app
Using the desktop app (installed on your machine), you can share your screen during a meeting in just a few clicks:
- Once inside the meeting, select the Share icon (rectangle with an arrow) in the upper right corner next to the Leave button.
- Screen (one of your monitors and everything you see on it, even if you change windows/apps)
- Window (one specific window or app – prevents accidentally sharing things like your email)
- If you’ll be sharing video audio or music, toggle the button to include computer sound
- When finished sharing, use the same Share button to stop sharing.
If you’ll be sharing a PowerPoint presentation, consider using PowerPoint Live as opposed to just screen sharing the full-screen presentation. This enables your attendees to benefit from individual features that won’t affect others including:
- Moving forwards and backwards through slides for a refresher or more time to consume the content
- Changing slides to high contrast for better visibility
- Translating slides to a language of choice
- Click on links directly on slides (such as social media, references, survey, or company hyperlinks)

Share your screen using the Microsoft Teams web app
The web app is entirely browser-based, meaning you don’t need to have anything installed on your device to use it. You can access it anytime from any device with web access by navigating to https://teams.microsoft.com in your browser of choice.
In the web app, you can share your screen during a meeting by following these steps:
- Once inside the meeting, select the Share icon (rectangle with an arrow) from the lower central area menu. If the menu has disappeared, simply move your cursor around the meeting space to make it reappear.
- Entire screen : A whole monitor/screen and everything that becomes visible on it.

Microsoft Teams makes it easy to share your desktop or mobile device's screen in your online meetings. You can even choose between sharing your device's entire screen or just a specific app window. Here's how.

On a Windows, Mac, Linux, or Chromebook computer, you can use Teams web version or the app to share your screen in a meeting.
To start, first, launch Microsoft Teams on your computer and join a meeting.
In the meeting, at the top of the Teams interface, click the "Share Content" option (an up-arrow icon).
You will see a "Share Content" section to the right of the Teams interface. To share your computer's entire screen, then in this section, click "Screen." To share a specific app's window, click the "Window" option instead.
If you select the "Screen" option, Teams will start presenting your desktop's screen in the meeting. You will see a red border around your screen indicating the screen is being shared.
On Linux, you will not see the red border around your screen when it's shared. You also can't share a specific app's window on Linux.
If you choose the "Window" option, select the app window that you'd like to share.
When you've finished your meeting and you want to stop screen sharing, then at the top of the Teams interface, click "Stop Presenting."
And that's all there is to screen-sharing in Teams on desktop. Very useful!
Like Teams, you can also share your screen in Zoom and Google Meet meetings .

On an iPhone, iPad, or Android phone, you can use the official Teams app to share your phone's screen in your online meetings, similar to sharing mobile screens in Skype .
To do so, first, launch the Microsoft Teams app on your phone. In the app, join the meeting where you'd like to present your phone's screen.
In the meeting, from the bottom bar of the Teams app, select the three dots.
From the three-dots menu, select "Share."
Choose the "Share Screen" option. To include the audio in your screen share, toggle on the "Audio" option.
If you're on Android, you will see a "Display Over Other Apps" page. Here, find "Teams" and tap it. Then enable the "Allow Display Over Other Apps" option.
If you're on an iPhone or iPad, tap the "Start Broadcast" option.
Tap the back button to get back to the Teams screen. There, in the prompt that opens, select "Start Now."
A red border will appear around your phone's screen, which indicates your screen is currently being shared. To stop sharing your screen, tap "Stop Presenting."
And that's how you make explaining various concepts and ideas easier by sharing your screen with Microsoft Teams!

Sharing your screen, presentations and whiteboards in Microsoft Teams is a great way to make your Teams meetings more effective. And fun… After all, who doesn’t like a cheeky post-meeting game of hangman to secure the office bragging rights for the day? 🏆
Microsoft Teams brought many teams together and has been the tool that brings projects from start to finish. But sometimes, clients will require our IT support services to show them the ropes - especially with sharing screens and PowerPoint presentations in Microsoft Teams.
In this article I’ll show you precisely how you can do these things on Microsoft Teams:
- Share your entire desktop,
- Share a specific window,
- Share a PowerPoint presentation, or
- Share a whiteboard that your team can “collaborate” on 🙂
Sharing Screen Content in Microsoft Teams
You've got a handful of options at your disposal when you want to share content in a meeting, let’s get clear on what the options look like and the best scenario for each. 👇

Select the share your desktop option if you want to share your entire desktop screen in Microsoft Teams.
Note: This is the equivalent of having someone look over your shoulder and will include visibility of all your notifications, reminders, and other desktop activity.
Tip : Choose this option when you need to share multiple windows simultaneously. It’s a good idea to disable your notifications or set your computer to do-not-disturb mode first.
Select the share your screen option if you want to present one of your open windows in the Microsoft Teams app. An example might be a spreadsheet, webpage or word doc.
Note : This option will exclude notifications, reminders or desktop activity outside the shared window.
Tip : Choose this option if you only need to share one thing and want to keep the rest of your screen private.
Microsoft Teams have built in the capability of sharing your PowerPoint presentations. This interactive method of sharing allows your team to interact with your presentation by skipping forward and backwards through your slides, without disrupting your flow as the presenter.
Tip : Choose this option whenever you share a PowerPoint in Microsoft Teams and want your audience to be able to move through the presentation at their own pace.
Note : As the presenter, you can disable the ability for others to browse through the slides if you wish.
Each Teams meeting has a whiteboard where meeting participants have space to ink together. Select the share your whiteboard option if you want to open the virtual whiteboard that everyone can collaborate on in Microsoft Teams.
Tip: Choose this option if you want to brainstorm with your team and have your ideas attached to your meeting. Also great for a quick game of hangman, tic tac toe or dots and crosses. 🙂
How to share your screen in Microsoft Teams
- While in a meeting, chat or group chat click the share icon
- Choose if you’d like to share your entire desktop or just one specific window
- When you’re done sharing click the stop sharing Icon
How to share your PowerPoint presentation in Microsoft Teams
- Choose from one of your recently opened PowerPoint slide presentations. Alternatively, click Browse to navigate to your PowerPoint file
- Your team members will be able to navigate through your presentation by default. (Optional turn off this feature by clicking the eye icon to turn off participant navigation). And that's how to share PowerPoint on Teams
- And when you’re done sharing, click the stop sharing icon
How to share your whiteboard in Microsoft Teams
- Select the whiteboard option from the menu
- Everyone will be able to grab a pen and interact with the whiteboard

Hi, Microsoft 365 insiders! We’re excited to announce new enhancements to the Presenter window you can use while screensharing.
Have you ever wanted to see what’s happening in a meeting when you’re sharing your screen? Now you can with the new Presenter window. It shows up to four meeting participants, both video and audio, as well as active speakers, raised hands, reactions, and a preview of shared content.
Meeting notifications are also easier to see, appearing in the center of your screen so you can act on them.
These enhancements help you stay aware of what’s happening in your meeting and make it easier to engage with other attendees while you’re screensharing. You can also manage actions in your meeting such as lowering raised hands and muting participants.
How it works
- Join a Teams meeting.

- If you’re sharing your screen or window and have your camera turned on, you can expand the self-video tile at the bottom of the presenter window by clicking the arrow button. After it’s expanded, you can minimize the self-video tile again to free up space on the shared screen.
- If you’re using presenter modes while sharing your screen, the self-video tile gives you the option to change the presenter layout during the screen share.
Availability
To use this feature, you must be a member of the Teams Public Preview or Microsoft 365 Targeted release and use the new Teams client for Windows or macOS. Other meeting participants aren’t required to be members of the Teams Public Preview.
To enable your Teams client for the Public Preview, IT administrators must enable Show preview features in their update policy. Learn more
For Targeted release, global admins can go to the Microsoft 365 admin center and give access to a select set of individuals or the entire organization. Learn more

I don't have the Powerpoint Live option
I have a Microsoft 365 Personal account subscription and have seen a feature that I want to utilise during presentations (PowerPoint Live feature) however when I go to "Share Content" on teams I don't see the option for it (I can only share "Window" or "Screen")

There are a couple of reasons why you might not be seeing the PowerPoint Live option in Microsoft Teams even with a Microsoft 365 Personal subscription. Here's how to troubleshoot: Update Microsoft Teams: Ensure you're running the latest version of Microsoft Teams. Outdated versions might not have the most recent features. Check for updates within the Teams app itself, usually under Settings. Eligibility for PowerPoint Live: While Microsoft 365 Personal should include PowerPoint Live, there might be some variations depending on the specific plan. Double-check if your plan explicitly mentions PowerPoint Live features. You can find your plan details on your Microsoft account dashboard. Entering the Meeting: PowerPoint Live is primarily for presenting during meetings, not while sharing your screen outside of a meeting. Join a Teams meeting and then try the "Share" option to see if PowerPoint Live appears. Presenting from PowerPoint itself: An alternative way to utilise PowerPoint Live is by launching it directly from your presentation file. In PowerPoint (Windows or Mac), go to the "File" menu and select "Present in Teams." This will initiate PowerPoint Live within your Teams meeting. Schedule a meeting in Microsoft Teams (free)
In Microsoft Teams (free), you can easily connect with your friends, family, and colleagues. Whether you're planning a virtual gathering, hosting a study group, or catching up with family, Teams provides a seamless way to create a scheduled meeting.

Create a scheduled meeting
Note: In Communities in Teams, you can set up and schedule a community event. Learn about community calendars and events in Microsoft Teams (free) .

Give your meeting a name in the Event name field.
You can Add participants to your meeting by entering their name or email. You can also find participants by phone number if they are Teams users.
You can set the meeting for All day , or you can fill out the start and end fields to schedule your meeting. You can also set the meeting to repeat, set a Location , or add a Description .
Tap Submit to schedule your meeting. It'll appear on your Calendar .
After you create your meeting, you can do the following:

Copy link : Tap Copy meeting link to copy the meeting invite link to clipboard.

Tap Join to start the meeting, set your audio and video options, and select Join now to enter the meeting as the host.
Give your meeting a name in the Title field.
You can set the meeting for All day or use the Start and End fields to schedule your meeting. You can also set the meeting to repeat, set a location, or add a Description .
Tap Done to schedule your meeting. It'll appear on your Calendar .

Change meeting options : To configure the meeting's privacy options, tap Meeting options at the bottom of the screen. You can also set the privacy options when you join the meeting, tap Show participants > Meeting options . Then set Who can bypass the lobby and Who can present options from the dropdown menu. After you make your selection, tap Save .
Tap the meeting in your Calendar , then tap Join to start the meeting, set your audio and video options, and select Join now to enter the meeting as host.
In Microsoft Teams (free), select Calendar from the leftmost side of the screen.

Select New Meeting at the upper-right corner of the screen.
Give your meeting a name in the Add title field.
Enter a name, email, or phone number to add participants to your meeting.
Customize your meeting:
Fill out the start and end fields to schedule your meeting or set the meeting for All day . You can also set the meeting to repeat, add a location, or add details.
Configure the meeting's privacy options. You can set Who can bypass the lobby and Who can present options from the dropdown menu.
Select Save to schedule your meeting.
After you save the meeting, you can share the meeting invitation with participants. They will receive an invite with the name of the meeting, the organizer, start and end time, whether it's a reoccurring meeting (not available for SMS), location, and a link to join the meeting.
Participants can start a conversation in the meeting chat before the meeting begins. SMS participants can reply within the SMS and the message posts in the meeting chat.
Participants that accept the original invite can join the meeting without waiting in the lobby. All other participants who try to join with a meeting link will wait in the lobby. You can change the default Who can bypass the lobby option.
Now you're ready to Join a meeting in Microsoft Teams (free) .
Note: You can also configure the privacy options by selecting Meeting options . After a new tab opens in your default browser you can set Who can bypass the lobby and Who can present options from the dropdown menu.
In Microsoft Teams (free), select Calendar from the leftmost side of the screen. Then select the New Meeting button at the top of the screen.

Select Send to schedule your meeting.
You can choose Copy link to copy your meeting invite link and share, or you can use Google Calendar to create and send the meeting through Google Calendar. Your meeting will appear on your calendar.
Participants that accept the original invite can join the meeting without waiting in the lobby. All other participants who try to join with a meeting link will wait in the lobby. You can change the default Who can bypass the lobby option.

What happens when I send a meeting invitation from my calendar?
When a Microsoft Teams (free) user sends a calendar invitation, information pertaining to the organizer’s email will be made available to the recipients. Invites include the name of the meeting, the organizer, start and end time, whether it's a reoccurring meeting (not available for SMS), location, and a link to join the meeting. Participants can start a conversation in the meeting chat before the meeting begins. SMS participants can reply within the SMS and the message posts in the meeting chat. These invitations may be sent via email or SMS, on behalf of the organizer.
For users that sign in with their email based Microsoft account (based on Outlook, Hotmail, MSN, etc.):
Email recipients will be shown the organizer’s Microsoft account email address. This email address will be shown to the organizer in the header when the calendar invitation is being prepared.
SMS / phone number-based recipients are sent an SMS, which contains an invite to join Microsoft Teams (free).
For users that sign in with a phone number-based Microsoft account, or sign in with an email based Microsoft account using non Microsoft email (for example, Gmail, Yahoo!):
Email recipients will be shown a system-generated email address created by Microsoft that is unique to the organizer.
Email accounts are shown in place of phone numbers or email based non-Microsoft account using Gmail, Yahoo!, etc. because calendar invitations are associated with email-based accounts/mailboxes. If a user's Gmail account is connected to their Google calendar, then Teams will use the invitee's Gmail account instead of the system-generated email address created by Microsoft.
What happens when I add a meeting invitation to my calendar?
When a Microsoft Teams (free) user adds a calendar event to their personal calendar, information pertaining to the recipient's email is available to other attendees of the meeting.
For users that have accepted a calendar invitation and added it to their personal calendar and that sign in with:
An email-based Microsoft account (based on Outlook, Hotmail, MSN, etc.), their Microsoft account email address will be visible to other attendees/meeting participants.
An email-based Microsoft account using non-Microsoft email (for example, Gmail, Yahoo!) or a phone number-based Microsoft account, a system generated email address created by Microsoft that is unique to the user will be visible to other attendees/meeting participants.
Email accounts are shown in place of phone numbers or email based non-Microsoft account using Gmail, Yahoo!, etc. because calendar invitations are associated with email-based accounts/mailboxes.
