Some methods of business communication have fallen in and out of popularity, while others have stood the test of time. Speaking of, let’s talk about letters and, to be more exact, letterheads.

Think about the last time you opened a physical letter or piece of mail from a company. How did it look? Were there prominent colors, a big logo, or any sort of brand identity that grabbed your attention? Did it seem like it was meant for you?

Details like this can have a surprisingly large effect on how people view your brand. With a well-designed letterhead, you show customers that you care about the details. That’s the kind of company they’ll likely want to buy from.

So, in this post, let’s take a closer look at letterheads. I’ll explain what they are and what they do, then we’ll check out 15 letterhead examples to inspire your own designs.

What is a letterhead?

A letterhead is a printed heading placed at the top of stationery or a document, such as a letter or memo. A business letterhead typically contains the company or sender name, a logo, and contact information, and can be styled to align with the company’s branding.

Also note that the term “letterhead” can also refer to the design of an entire page. For example, the design at the top of the page may extend to a page footer and/or the background of the page. Letterheads can also be placed elsewhere on the page, though placement at the top is most traditional.

Practically, a letterhead helps readers immediately recognize your company and read the message that you want them to read. It’s best to include one in some form than none at all.

But, there’s more to it than that: Though the medium of paper and ink has been replaced by digital communications in many industries, a well-crafted physical branding set is another chance to make an impression on current and potential customers. Like with your website design or any marketing material, use your letterhead to convey personality and distinguish yourself from competitors.

So, how can you accomplish this? Next, let’s look at some model examples of letterheads and some design choices we can take away from each one.

1. Include a prominent brand logo.

What we like: By placing your company logo at the top of your letter, you’ll make your materials instantly recognizable. This is one of the most common approaches to branded letterheads: a big, bold logo in the left corner or centered at the top.

The example above features the brand’s logo against a green background to help it stand out and separate it from the rest of the content in the document, without dominating the page or using too much whitespace. It feels decorative, but not intrusive.

2. Feature one strong color.

What we like: You don’t need to be a designer or a marketer to know that color is a powerful thing. It can draw the eye in, guide focus throughout a page, and bring attention to its most critical parts.

Any more than three colors, though, and readers can start to feel overwhelmed. One popular approach is to base your document around one color that aligns with your company branding. The example above uses just one shade of indigo to highlight specific areas of the page.

3. Embrace minimalism.

What we like: That last example was nothing crazy, but we can get simpler. In cases like this, it’s often better to underdo it than to overdo it. Remember that the body of your document is where you want readers focusing, and a minimalist letterhead like this one ensures that their eyes go to the right place.

Plus, minimalist designs have the added bonus of being easy to make. Not a designer? (And don’t want to hire one?) It’s hard to go wrong with a stripped-back look with a prominent logo. There’s no need to go overboard.

4. Feature bold, bright colors.

What we like: Don’t feel like using just one neutral color. Then forget everything I said before and find the boldest set of colors you reasonably can.

This doesn’t mean splatter-painting your stationery. (Though who am I to say no to that?) Rather, touches of brighter shades will accent your designs and add fun back into your standard business letter.

5. Leave some space.

What we like: Impactful designs don’t have to be hectic designs. In fact, in many cases it’s the opposite. By giving page elements some space, your choices stand out more. Plus, you save readers the cognitive work of separating out different items on your page.

We love the design above for leveraging whitespace (as well as background color) to emphasize its logo. It also lends a bit of an offbeat feel to the design that grabs attention and helps separate the brand from competition.

6. Add a creative footer.

What we like: Footers are nothing out of the ordinary, and you’ll often see them used for placing contact information. By using colors and fonts that are consistent with the letterhead, footers also can make your documents feel more cohesive and balanced.

Still, that doesn’t mean you can’t inject some creativity into your footers as well. In this example, we see how this footer template adds some personality to a pretty standard letter.

7. Experiment with typography.

What we like: No matter what design you pursue, you’ll have to consider typography to find a font that’s readable, visually pleasant, and in-line with your branding. But, if you want to leave an impression, take inspiration from the example above and incorporate more risky text choices into the page design.

With highly prominently words on the page, you can achieve either a more vintage/retro look, or something more modern, depending on the font family you choose. There’s no reason you can’t also throw your logo in there either, as long as each element has enough room to breathe.

8. Use background color.

What we like: Your business letters don’t have to be plain white all the time. Consider using a colored background for your materials that complements your branding but still allows text to be readable. It’s an easy aesthetic enhancer, assuming you won’t deplete your printer ink supply too quickly.

There’s also a practical benefit to background color: Research has suggested that colored backgrounds like yellow, orange, and peach improve readability. That’s why we like the example above — the pastel tones elevate your branding beyond a simple logo.

9. Reposition elements on the page.

What we like: Who says your logo needs to go at the top of the page? By placing your logo in the bottom corner instead, it can feel like signing off on your message with your distinct branding.

This choice seems simple in concept, but the majority of companies stick to the standard letterhead format, so repositioning your branding like this can leave a different, more lasting impression.

10. Go off-center.

What we like: Minimal designs are also conducive to unconventional letterheads. For instance, try placing your letterhead content to one site of the page, rather than in the headers and footers, as the example above accomplishes.

When placing additional text, make sure to keep the visual hierarchy clear so readers aren’t confused by adjacent columns of text. One option here is to set your letterhead text to a smaller font size so reader focus stays on the primary content of the document.

11. Wrap it in a border.

What we like: When done well, a border helps readers feel immersed in your branding. When applied to different branding materials, they can also keep everything looking cohesive, as shown in this example.

We think the above example pulls off a border well. However, be mindful of how borders take up extra page space and may make things feel more cluttered and dense.

12. Draw geometric patterns.

What we like: Subtle geometric patterns are another effective way to distinguish your header and footer from the rest of the page. Again, there’s nothing particularly fancy in this example, just grayscale circles. Still, this aesthetic is effective and achievable, even without a design degree.

One thing, though: Be careful about layering text on top of shapes or any sort of color pattern, as that can affect readability. The example above avoids that issue by keeping text off the circles altogether.

13. Place a watermark.

What we like: A watermark can reinforce the branding in your letterhead without impeding too much in the body of the document. Be sure to turn up the transparency enough that the text is still readable when layered on top.

14. Incorporate your logo into the page design itself.

What we like: Admittedly, this approach works best with simple, geometric logos. If yours fits that description, you can try repeating your letterhead logo across the page in a more subtle manner. As exemplified in this design, the result can spruce up an otherwise routine deliverable.

15. Apply touches of illustration.

What we like: Finally, drawn elements can add back a human touch into your letterhead, and they don’t even need to be fancy to work. Above, we see how some tasteful “blobs” mark each corner of the page and frame the letterhead and footer appropriately.

The brief asked for a logo that would have the company name as part of the design, as opposed to the name with a graphic under, over or by the side. This company is also a parent of other companies so the logo had to work well on a white background for letterheads and etc. Professional but fun using only san-serif fonts. So my approach was this, modern with a slight twist. The additional color and separation gives it a fun and youthful look to it. Yet, simple and strong, would work well alone on a letterhead or business card.

That’s because having a company letterhead is the cornerstone of professional communication. Plus, it ensures your brand stays consistent across departments and teams.

But don’t worry: learning how to make a letterhead is easier than you think.

A letterhead is a document template containing your company contact information and branding with space for a custom message. Letterhead is either printed for postal mail or used digitally.

Letterhead may also have a specific employee’s contact information, especially if it’s requesting a reply, or about a specific issue for select recipients instead of being a company-wide announcement.

2. Choose a letterhead template

Now the fun part: pick a letterhead to customize. Browse our collection of  professionally designed letterhead templates .

3. Add your branding and contact information

Now it’s time to make your new letterhead. Click on any element to edit it.

Start with the text fields, like name and address, and replace it with your company info. One click selects the text box, and another click allows you to edit the text inside.

You can even use familiar keyboard shortcuts, like  Ctrl+B  for bold text, or use the top menu buttons.

3. Add your branding and contact information

To edit an image, click it and choose  Replace  in the top menu.

Replace gives you three options: swap in one of the 20,000+ icons in our library, add a royalty-free stock photo or upload your own image.

To change an element’s color, click it, then choose the  color icon  in the top menu. You can specify a HEX color code or select one with the color wheel. Hit the  plus sign  to save the current color to your swatches for easy access.

Okay, you’ve got your logo and brand colors, now the last piece is customizing the font.

To change the font, click on a text area, select all the existing text within and choose a new font from the top menu. 

Chances are your brand font is already available, but if not, you can upload its font file (.OTF or .TTF) so your new letterhead matches your brand perfectly 🤌 .

4. Add, remove or rearrange elements (optional)

To add a new icon, stock photo or your own graphic to the letterhead, use the menu along the left side.

You can also add charts and diagrams, and even embed a map, YouTube video, form and so much more. Clearly, none of those belong here — but you could try making an  infographic , or a  presentation template  once you’re done making your letterhead.

Click and drag any element around to move it, or use the grabby points to make it bigger or smaller. When you move an item around, grid lines will appear to help you align it with other elements in your design, keeping everything looking neat and professional.

Made a mistake or don’t like the result? Just hit  Undo  in the top menu.

5. Print, download or save as a custom template

When you’re happy with your edits, click  Preview  to see how it looks if you were to print it out. All good? Click the  share icon  to publish it online, or if you’re on a Premium or Business plan, hit  Download  to grab a copy to go and you’re done!

Here are five tips for designing a letterhead

1. be consistent with branding.

Your letterhead’s solid neon yellow background may look super sweet, but unless that’s actually your brand color, it’s best not to burn anyone’s retinas off. Tone it down a smidgen.

Branding goes further than colors and logos, too. It’s about  ✨vibes.✨

Is your brand serious and stoic? Stick to simple, classic letterhead templates, like this:

On the other hand, if your brand is a lil’ out there, go ahead and make the spiciest letterhead the world has ever seen.

Swirly fonts  and  an abstract painting in the background?  Woo.

This template is still professional. It’s just more “artsy” than the previous one. Both are great templates, but suit very different  brand identities .

The key is knowing what your brand portrays and creating materials that match not only your look, but also your feel.

2. Keep the top of your letterhead minimal

Repeat after me: “A letterhead is not a resume. I don’t need to put my contact information super big at the top.”

Contact information is an important part of your letterhead but the most important part is the actual message it’s communicating. If possible, keep the top of your letterhead minimal with only your logo and the date. This directs the reader right into your content.

Keep everything else at the bottom: your contact information, website, tagline, social icons, etc. — anything that’s not a logo or the date.

3. Try a bold border

Again, this may not fit your brand. We can’t all be Flamin’ Hot Cheetos. Some of us are accountants…  not that there’s anything wrong with that.

But if you fancy a bold style, a colorful border adds a fun twist. Try adding a border around your entire letterhead, or just on one side.

This letterhead would certainly stand out in a stack of black and white competitors.

4. Use a photo

Photos can make your letterhead stand out and also instantly communicate what you do. But, they’re best used for digital letterheads vs. printed ones.

What must be included in a letterhead?

I mean, it’s not  the law  or anything, but your letterhead should 100% have your company’s:

  • Main phone number
  • General or customer service email address
  • Professional license numbers or memberships (if applicable)

How to make a professional letterhead in Word?

You have two options:

  • Painstakingly position each element of your letterhead in Word, cursing every time it shifts something out of place (and it will, trust me).
  • Download your customized letterhead from Venngage and add it to Word with two clicks, then reward your ingenuity with an iced coffee.

Here’s how to do option two:

  • Make a letterhead template in Venngage.  Download it  as an image (.JPG or .PNG).
  • Open up a new, blank Word document.
  • Click on the  Design  tab (some versions call it Layout), then  Watermark .
  • Choose the  Picture watermark  option, and upload your saved letterhead image file.
  • It may show up faded in your document. To fix this, uncheck the  Washout  checkbox.
  • You should see a crisp, clear version of your letterhead ready to use in Word. Save this document as your letterhead template and duplicate it whenever you need to use it.
  • Don’t forget that iced coffee — you deserve it.

How can you make a letterhead in Google Docs?

  • Open a new Google Docs file.
  • In the top menu, click  Insert  then  Watermark .

How to Make a Letterhead Template in Microsoft Word: Easy as ABC

Have you ever wanted to make a custom letterhead to impress clients? Or, maybe you’ve decided to set up a home business? Either way, you don’t need to order from a printer or graphic designer. This easy tutorial will show you how to create a letterhead in Word without design skills.

I’ll be using Microsoft Word for this step-by-step tutorial, which is included in Microsoft 365 (Formerly Office 365). I’ve also done a Google Docs letterhead as well. As a bonus, you can use a letterhead when doing a mail merge .

Informational & Design Elements

The key to letterhead design is deciding what you want to display. Although creating the template is simple, you should do some planning. It helps to take a blank sheet of paper and sketch your design. Nothing fancy, as this is a mockup. This will help you choose the starting page header . The good news is once you grasp the power of templates, you can make changes or use different versions.

When creating your templates, you might consider using Quick Parts to add reusable asset s to the Building Block Organizer. Then, you can easily find and insert those parts into other document areas.

The list of elements can vary based on whether you’re an individual, organization, or company. For example, if you’re doing a company letterhead, you might not have a slogan, or if you’re a law firm, you may not have social media addresses. To get you started, here are some visual elements to consider:

  • Slogan or tagline
  • Mailing Address
  • Phone numbers (office and mobile)
  • Web address
  • Email address
  • Professional license numbers
  • Memberships and awards
  • Established date
  • Social media addresses
  • color scheme

Once you’ve identified the items to include, you should determine their placement. For example, I split my elements between Microsoft’s Word header and footer.

Template Graphics Considerations

Images or logos can improve the design and be impactful. But pictures can pose design problems. For example, you may find a great graphic, but your office printer doesn’t do it justice. This is because your printer’s capabilities aren’t good enough to display the image. And we all know how pictures differ when you’re running low on printer ink.

The flip side is when you have a superb printer, but the image file isn’t as good as it should be. This could result from reducing the image file size too much, so it appears pixelated.

Another issue is that the image you use has too much white space, so you need to crop or adjust the image. But, again, an image capture program like SnagIt can do crops and adjustments.

If you work for a company or organization, you should check if they have an identity or “ style guide .” They often have approved graphics they can give you in the appropriate image size and file format. Just like templates, style guides can range from simple to complex. For example, HubSpot has an article that includes examples .

Add a Logo to the Header

In this tutorial, I’ll create a simple template starting from a blank document. It shares some of the steps we used for our Cornell Notes template . The page header will have my site logo, and the page footer will have my postal address. And yes, Microsoft Word could handle my new logo, which is an SVG file .

  • Start with a blank Word document.
  • Click the View menu and select Print Layout .
  • From the Insert menu, select Header . It’s in the Header & Footer group. Microsoft Word will display a list with numerous starting Header styles.
  • Click the style you prefer. I will use the top Blank style. You’re now in “ Design ” mode, and you should see a Header marker tab to the left and placeholder text above.
  • While on the Design menu, click Pictures from the Insert section. If your image is too large, it will scale to fit the width.
  • The Insert File dialog box will open. Find your graphic file and click Insert .
  • Review your image to see if it’s balanced. I think my logo is twice my preferred size in the example below.
  • Right-click your image and select Size and Position…
  • A dialog appears with various resizing options. My initial logo was 20%, and I reduced it to 10%.
  • Click OK to accept the new image size. The image will left-align.
  • Click the image.
  • Click Home .
  • Click the Center Alignment button in the Paragraph section.
  • Optional : Add any other text you might like in this area.

Create the Letterhead Footer

I include my address with a smaller font and a vertical line or pipe sign in the footer area. I also centered the text.

  • From the Insert menu, select Footer . Word will display a series of Footer styles.
  • Click the style you prefer. A placeholder footer appears.
  • Add in your text, such as your address.
  • If you wish to change the font, highlight your text and right-click. This will open the mini format bar.
  • Optional: If you wish to center your text, click the Home tab and then the Center text button.
  • Double-click the small Footer marker at the top left to get out of footer design mode.

This is also a good time to print your custom letterhead to check any artwork’s color and clarity. Your online version may show colors that are muted but print fine. You may also need to adjust your printer settings if they are in draft or economical print mode.

If you need to edit the header or footer to get into design mode, double-click anywhere in the header or footer area. The small tab markers will show to the far left.

Save the Letterhead Template – (*.dotx)

Aside from tweaking your header and footer, you may want to adjust other properties before saving the file. For example, you might change the margins, fonts, or style.

  • From the File menu, select Save As…
  • In the Save As dialog, change the Save as type : to Document> Template> (*.dotx).
  • Provide a descriptive name for your template, such as “letterhead”.
  • Click Save .

Using Your Word Letterhead Template

When you saved the template, Microsoft Word stored it in a templates folder . However, you can create a custom location if you prefer.

To use the letterhead template,

  • Open Microsoft Word and select New from the File menu or Backstage view .
  • Click Personal .
  • Double-click the template you wish to use. A new document will open based on your selection.

How to Find Your Templates Folder

Microsoft stores your templates in a designated folder. You can find the location using these steps.

  • Click the File menu from the ribbon.
  • From the left navigation pane, click Options .
  • From the Word Options dialog box, click Advanced .
  • Scroll to the General section. It’s towards the bottom.
  • Click the File Locations… button.
  • In the File Locations dialog box, double-click User templates .
  • Windows File Explorer will open the folder.
  • Click the Cancel button.

If you need to find the full file path , you can shift + right-click on the file name.

How to Design a Letterhead that Captures your Brand Perfectly

What is a Letterhead?

You probably already know what a letterhead is, but in the event you’re not 100% sure, here it is: a letterhead is the heading at the top of a sheet of paper that lists information about the sender, like their name, address and telephone number. Think of it like the header or footer on a webpage: it’s a bookend that makes it absolutely clear who authored and sent the document.

A letterhead does more than list contact information, though. It communicates the sender’s brand by showcasing their brand colors, their logo and any additional designs that showcase who they are and what they’re all about. 

Because we read documents from top to bottom, left to right, the letterhead is often the first thing we see when reading a letter or another piece of print communication. The letterhead prepares us for the content ahead by making a quick introduction. 

Choosing your Letterhead Design

Creating personalized letterheads is actually fairly similar to creating personalized logos. With both, the first thing you need to do is clearly define your brand. Define it by answering questions like:

Who are you? What kind of product or service do you offer?  Where do you fit into your market, price-wise? Who is your target audience? What sets you apart from your competitors? 

Once you have answers to these questions, you have a basic brand persona. The next step in designing your letterhead template (and your logo, and your website design, and even the uniforms your staff wear) is working out how to visually communicate this persona through design choices like your color palette , font choice and the shapes in your logo and branding . If you’ve already designed a custom logo and/or other brand assets, you’ve already got a visual identity to work with in your custom letterhead template. Draw from these colors, fonts and the overall look and feel of the designs to develop a letterhead that looks right at home next to your other brand assets. 

But you might not be able to directly take your logo or another aspect of your design and replicate it perfectly on paper. Why? Because if your logo and/or other brand assets were created to be seen on screens, they might not easily translate to paper. There’s a few reasons why this can happen: 

The logo design is too intricate to still work when you scale it down 

With a letterhead, you’re mostly dealing with standard-sized (A4) paper. So a large, intricate logo that looks amazing splashed across your website header or taking up a big, prominent spot on your sales page might not work in print.  Fortunately, there’s a solution for that. You can create a simplified version of the logo meant specifically for print. Lots of brands have multiple versions of their logos, each meant for a specific kind of communication. Take a look at a few examples:

When you’re designing a custom letterhead, keep the shape of the paper it will be printed onto in mind. It is the standard letterhead shape (and hey, if your brand is known for breaking the rules and thinking outside the box, it doesn’t have to be! Maybe you have a custom sidebar or footer instead!) 

So think develop your design with the shape of the paper in mind. You’re designing for a relatively small, non-responsive rectangle.

Your letterhead colors are off

You should also remember that colors are produced differently for print than they are for digital. Print designs use a coloring process known as CMYK, whereas digital uses one called RGB. Although you can typically replicate most colors when going from RGB to CMYK, you can see some subtle differences in them and because of this, you might want to adjust your imagery to optimize it for print. This could mean choosing a monochrome or duochrome version of your logo for print and reserving your full-color version for digital.

What do Custom Letterheads Do for Brands?

Custom letterheads add an additional layer of polish to a brand’s print communications. Whether they’re invoices, general communication, press releases or even just internal messaging, a custom letterhead communicates “this is an official piece of mail from XYZ company.”

Think about the difference between getting a generic invoice and one the sender took the time to brand with a custom template. The generic one feels a lot less professional, right? It’s the kind of thing you’d expect from a small start-up or an Etsy shop that’s one person’s hobby, rather than a fully functioning business. I lot of companies also go to the extent of creating custom notepads, custom pens, envelopes and more.

There’s nothing wrong with sending messages without custom letterheads—sometimes it’s your only option, especially when you’re just starting out and have a really small budget. But unlike, say, a custom-coded website, a custom letterhead is a fairly inexpensive brand asset to invest in early on. And because it’s so inexpensive, there’s a ton of quick, easy return on your investment: design a custom letterhead, get 500 sheets printed up and bam! Creating a Custom Letterhead Template

No matter what design style you choose for your letterhead template, keep it simple enough that it doesn’t outshine the messages you’re sending with your letters. Remember, the letterhead is there to enhance the document, not to take over the spotlight and make recipients miss your message.

In these fast-paced days of emailing and texting, most people may feel that the practice of writing letters (whether formal or personal) has gone by the wayside. However, it’s still important to know how to write a letter, as well as how to format one. One of the most important parts of showing people you understand how to create a formal letter is knowing how to head a letter.  

A letter heading is the part of the letter that introduces you to your recipient as well as gives them some important information about you, such as your address. The art of writing the heading of a letter is specific to different types of letters, but more than simply being protocol, knowing how to write the heading of a letter also  

  • conveys professionalism to your reader;  
  • makes it easy to reply to your message, as there is no need to keep the envelope when all the information is on one piece of paper; and  
  • often ensures you will get a prompt reply, which is very important in today’s world of instant communication.  

So now that you understand why it is necessary, it’s time to learn how to write the heading for a letter.   

Business Letters

Writing a business letter heading is not the same as writing the heading for a personal letter. Business letters are usually very formal, and you’ll want yours to be as well, especially since you’re choosing to send a letter rather than an email. The business letter heading format, like the format of a business letter itself, is specific and must get across certain information to be considered formal.   

1. If you have letterhead, use it!

Some businesses—big or small—already have paper with letter heading formats built in. As a formal letter heading example, this can’t be beat! It’s also done the work of introducing you and giving your reader all the pertinent information, including the name of the company and its address. Sometimes, the letterhead will contain your name as well. Usually, before you start writing the letter itself, the only piece of information you will need to add is the date.  

Unfortunately, though, not everyone has letterheads already created for their needs, especially today—when writing formal letters isn’t quite as common. If you don’t have letterhead, it’s still easy to create the proper letter heading format.  

2. If you don’t have letterhead, include your address.

The first thing you’ll include when writing a business letter heading is your address. This means your formal address with your street number, name, city, state, and zip code.

If you have a PO (short for “post office”) box number, skip writing your street number and name and simply write “PO Box” followed by the number. Then, follow the number with your city, state, and zip.

If you live in an apartment, make sure to include your apartment number under the first line of your address.

After the full address, many people include a phone number or email address, although this isn’t mandatory. After all, you’ve written a letter to this person, so don’t you expect a letter in return?  

Make sure that when you write the address and any additional information that you block all the text to the right side of your letter. This is the expected way to format your own address when writing the heading of a letter.  

3. Write the date.

Next, professional letter heading format dictates that you include the date. You don’t want people to forget when they received your letter, so make sure to remind them. Leave a line between the address and the date. You’ll find that leaving this space makes the letter look cleaner and more formal—plus it makes the date easier to pick out.

4. Write the recipient’s address.

Always include the recipient’s address when you’re writing a formal or business letter heading. You’ll need to include all the same information you included when you wrote your own address. Here are some rules for what to include and how to format the recipient’s address:  

  • Do not indent the recipient’s address, but do leave two spaces below the date.  
  • Block this address to the left instead of the right.   
  • Always address the letter to someone specific within the company if possible.   
  • If applicable, include the name of the company beneath the name of the individual but before the address.   

5. Leave a space before writing the salutation.

You’re almost done! Leave a space before the salutation to finish your heading. Then, write the salutation. Of course, you’ll want to use a formal salutation rather than a casual one, but that’s a completely separate issue. In fact, it’s one we discuss at length in another post.  

Personal Letters

As you may have already guessed, how to write the heading of a letter changes when you’re writing a personal letter. For one thing, you’re bound to be much closer to the recipient, so some information may not be necessary. And for another, you already know how to write the heading for a letter for business, and this is a much more casual, laid-back alternative.   

Finally, personal letters tend to be handwritten. This means your heading might be handwritten too, which can affect letter heading spacing, letter heading format, as well as simply how to write the heading for a letter.  

1. Begin with your address unless you’re certain the recipient knows it.

You may not need to include your address the way you did in a formal letter heading example. In fact, your recipient may already know your address well. You may even swap letters with them often. If this is the case, you won’t need to include an address like you would in a formal letter heading format.  

However, you may not be sure if your recipient knows your address. If you’re not positive they do, include it in the upper right-hand corner like you would when writing a business letter heading. Furthermore, if you have stationery with this already printed on it, great! If not, write it out yourself, either typed or handwritten.

2. Add the date.

Letter heading spacing is still important in a personal letter, but it’s a bit different. Leave two spaces between your address and the date. If you didn’t include your address, include just the full date in the upper right-hand corner of the letter.

3. Go directly to the salutation.

Unlike when you were learning how to head a letter for formal or business correspondence, you won’t need to include the recipient’s address. Instead, you can skip forward to the salutation. This can be gentler and more familiar than one you would use when writing a business letter heading. And for this one, you’ll also need to leave two spaces between the date and the salutation.

Hybrid Letters

Of course, not all types of letters fall into one of these categories. These can include formal letters that are handwritten, such as fan mail to movie stars or letters of complaint to a company. You’ll still want to include the recipient’s address in this case.   

Other times, you may be writing your first personal letter to someone, so you don’t want to seem too familiar right off the bat. In this situation, a formal letter heading example may be better. However, you still won’t necessarily need to include the recipient’s address.
