Ten simple rules for effective presentation slides

Introduction

The “presentation slide” is the building block of all academic presentations, whether they are journal clubs, thesis committee meetings, short conference talks, or hour-long seminars. A slide is a single page projected on a screen, usually built on the premise of a title, body, and figures or tables and includes both what is shown and what is spoken about that slide. Multiple slides are strung together to tell the larger story of the presentation. While there have been excellent 10 simple rules on giving entire presentations [ 1 , 2 ], there was an absence in the fine details of how to design a slide for optimal effect—such as the design elements that allow slides to convey meaningful information, to keep the audience engaged and informed, and to deliver the information intended and in the time frame allowed. As all research presentations seek to teach, effective slide design borrows from the same principles as effective teaching, including the consideration of cognitive processing your audience is relying on to organize, process, and retain information. This is written for anyone who needs to prepare slides from any length scale and for most purposes of conveying research to broad audiences. The rules are broken into 3 primary areas. Rules 1 to 5 are about optimizing the scope of each slide. Rules 6 to 8 are about principles around designing elements of the slide. Rules 9 to 10 are about preparing for your presentation, with the slides as the central focus of that preparation.

Rule 1: Include only one idea per slide

Each slide should have one central objective to deliver—the main idea or question [ 3 – 5 ]. Often, this means breaking complex ideas down into manageable pieces (see Fig 1 , where “background” information has been split into 2 key concepts). In another example, if you are presenting a complex computational approach in a large flow diagram, introduce it in smaller units, building it up until you finish with the entire diagram. The progressive buildup of complex information means that audiences are prepared to understand the whole picture, once you have dedicated time to each of the parts. You can accomplish the buildup of components in several ways—for example, using presentation software to cover/uncover information. Personally, I choose to create separate slides for each piece of information content I introduce—where the final slide has the entire diagram, and I use cropping or a cover on duplicated slides that come before to hide what I’m not yet ready to include. I use this method in order to ensure that each slide in my deck truly presents one specific idea (the new content) and the amount of the new information on that slide can be described in 1 minute (Rule 2), but it comes with the trade-off—a change to the format of one of the slides in the series often means changes to all slides.

Rule 2: Spend only 1 minute per slide

When you present your slide in the talk, it should take 1 minute or less to discuss. This rule is really helpful for planning purposes—a 20-minute presentation should have somewhere around 20 slides. Also, frequently giving your audience new information to feast on helps keep them engaged. During practice, if you find yourself spending more than a minute on a slide, there’s too much for that one slide—it’s time to break up the content into multiple slides or even remove information that is not wholly central to the story you are trying to tell. Reduce, reduce, reduce, until you get to a single message, clearly described, which takes less than 1 minute to present.

Rule 3: Make use of your heading

When each slide conveys only one message, use the heading of that slide to write exactly the message you are trying to deliver. Instead of titling the slide “Results,” try “CTNND1 is central to metastasis” or “False-positive rates are highly sample specific.” Use this landmark signpost to ensure that all the content on that slide is related exactly to the heading and only the heading. Think of the slide heading as the introductory or concluding sentence of a paragraph and the slide content the rest of the paragraph that supports the main point of the paragraph. An audience member should be able to follow along with you in the “paragraph” and come to the same conclusion sentence as your header at the end of the slide.

Rule 4: Include only essential points

While you are speaking, audience members’ eyes and minds will be wandering over your slide. If you have a comment, detail, or figure on a slide, have a plan to explicitly identify and talk about it. If you don’t think it’s important enough to spend time on, then don’t have it on your slide. This is especially important when faculty are present. I often tell students that thesis committee members are like cats: If you put a shiny bauble in front of them, they’ll go after it. Be sure to only put the shiny baubles on slides that you want them to focus on. Putting together a thesis meeting for only faculty is really an exercise in herding cats (if you have cats, you know this is no easy feat). Clear and concise slide design will go a long way in helping you corral those easily distracted faculty members.

Rule 5: Give credit, where credit is due

An exception to Rule 4 is to include proper citations or references to work on your slide. When adding citations, names of other researchers, or other types of credit, use a consistent style and method for adding this information to your slides. Your audience will then be able to easily partition this information from the other content. A common mistake people make is to think “I’ll add that reference later,” but I highly recommend you put the proper reference on the slide at the time you make it, before you forget where it came from. Finally, in certain kinds of presentations, credits can make it clear who did the work. For the faculty members heading labs, it is an effective way to connect your audience with the personnel in the lab who did the work, which is a great career booster for that person. For graduate students, it is an effective way to delineate your contribution to the work, especially in meetings where the goal is to establish your credentials for meeting the rigors of a PhD checkpoint.

Rule 6: Use graphics effectively

As a rule, you should almost never have slides that only contain text. Build your slides around good visualizations. It is a visual presentation after all, and as they say, a picture is worth a thousand words. However, on the flip side, don’t muddy the point of the slide by putting too many complex graphics on a single slide. A multipanel figure that you might include in a manuscript should often be broken into 1 panel per slide (see Rule 1 ). One way to ensure that you use the graphics effectively is to make a point to introduce the figure and its elements to the audience verbally, especially for data figures. For example, you might say the following: “This graph here shows the measured false-positive rate for an experiment and each point is a replicate of the experiment, the graph demonstrates …” If you have put too much on one slide to present in 1 minute (see Rule 2 ), then the complexity or number of the visualizations is too much for just one slide.

Rule 7: Design to avoid cognitive overload

The type of slide elements, the number of them, and how you present them all impact the ability for the audience to intake, organize, and remember the content. For example, a frequent mistake in slide design is to include full sentences, but reading and verbal processing use the same cognitive channels—therefore, an audience member can either read the slide, listen to you, or do some part of both (each poorly), as a result of cognitive overload [ 4 ]. The visual channel is separate, allowing images/videos to be processed with auditory information without cognitive overload [ 6 ] (Rule 6). As presentations are an exercise in listening, and not reading, do what you can to optimize the ability of the audience to listen. Use words sparingly as “guide posts” to you and the audience about major points of the slide. In fact, you can add short text fragments, redundant with the verbal component of the presentation, which has been shown to improve retention [ 7 ] (see Fig 1 for an example of redundant text that avoids cognitive overload). Be careful in the selection of a slide template to minimize accidentally adding elements that the audience must process, but are unimportant. David JP Phillips argues (and effectively demonstrates in his TEDx talk [ 5 ]) that the human brain can easily interpret 6 elements and more than that requires a 500% increase in human cognition load—so keep the total number of elements on the slide to 6 or less. Finally, in addition to the use of short text, white space, and the effective use of graphics/images, you can improve ease of cognitive processing further by considering color choices and font type and size. Here are a few suggestions for improving the experience for your audience, highlighting the importance of these elements for some specific groups:

  • Use high contrast colors and simple backgrounds with low to no color—for persons with dyslexia or visual impairment.
  • Use sans serif fonts and large font sizes (including figure legends), avoid italics, underlining (use bold font instead for emphasis), and all capital letters—for persons with dyslexia or visual impairment [ 8 ].
  • Use color combinations and palettes that can be understood by those with different forms of color blindness [ 9 ]. There are excellent tools available to identify colors to use and ways to simulate your presentation or figures as they might be seen by a person with color blindness (easily found by a web search).
  • In this increasing world of virtual presentation tools, consider practicing your talk with a closed captioning system capture your words. Use this to identify how to improve your speaking pace, volume, and annunciation to improve understanding by all members of your audience, but especially those with a hearing impairment.

Rule 8: Design the slide so that a distracted person gets the main takeaway

It is very difficult to stay focused on a presentation, especially if it is long or if it is part of a longer series of talks at a conference. Audience members may get distracted by an important email, or they may start dreaming of lunch. So, it’s important to look at your slide and ask “If they heard nothing I said, will they understand the key concept of this slide?” The other rules are set up to help with this, including clarity of the single point of the slide (Rule 1), titling it with a major conclusion (Rule 3), and the use of figures (Rule 6) and short text redundant to your verbal description (Rule 7). However, with each slide, step back and ask whether its main conclusion is conveyed, even if someone didn’t hear your accompanying dialog. Importantly, ask if the information on the slide is at the right level of abstraction. For example, do you have too many details about the experiment, which hides the conclusion of the experiment (i.e., breaking Rule 1)? If you are worried about not having enough details, keep a slide at the end of your slide deck (after your conclusions and acknowledgments) with the more detailed information that you can refer to during a question and answer period.

Rule 9: Iteratively improve slide design through practice

Well-designed slides that follow the first 8 rules are intended to help you deliver the message you intend and in the amount of time you intend to deliver it in. The best way to ensure that you nailed slide design for your presentation is to practice, typically a lot. The most important aspects of practicing a new presentation, with an eye toward slide design, are the following 2 key points: (1) practice to ensure that you hit, each time through, the most important points (for example, the text guide posts you left yourself and the title of the slide); and (2) practice to ensure that as you conclude the end of one slide, it leads directly to the next slide. Slide transitions, what you say as you end one slide and begin the next, are important to keeping the flow of the “story.” Practice is when I discover that the order of my presentation is poor or that I left myself too few guideposts to remember what was coming next. Additionally, during practice, the most frequent things I have to improve relate to Rule 2 (the slide takes too long to present, usually because I broke Rule 1, and I’m delivering too much information for one slide), Rule 4 (I have a nonessential detail on the slide), and Rule 5 (I forgot to give a key reference). The very best type of practice is in front of an audience (for example, your lab or peers), where, with fresh perspectives, they can help you identify places for improving slide content, design, and connections across the entirety of your talk.

Rule 10: Design to mitigate the impact of technical disasters

The real presentation almost never goes as we planned in our heads or during our practice. Maybe the speaker before you went over time and now you need to adjust. Maybe the computer the organizer is having you use won’t show your video. Maybe your internet is poor on the day you are giving a virtual presentation at a conference. Technical problems are routinely part of the practice of sharing your work through presentations. Hence, you can design your slides to limit the impact certain kinds of technical disasters create and also prepare alternate approaches. Here are just a few examples of the preparation you can do that will take you a long way toward avoiding a complete fiasco:

  • Save your presentation as a PDF—if the version of Keynote or PowerPoint on a host computer cause issues, you still have a functional copy that has a higher guarantee of compatibility.
  • In using videos, create a backup slide with screen shots of key results. For example, if I have a video of cell migration, I’ll be sure to have a copy of the start and end of the video, in case the video doesn’t play. Even if the video worked, you can pause on this backup slide and take the time to highlight the key results in words if someone could not see or understand the video.
  • Avoid animations, such as figures or text that flash/fly-in/etc. Surveys suggest that no one likes movement in presentations [ 3 , 4 ]. There is likely a cognitive underpinning to the almost universal distaste of pointless animations that relates to the idea proposed by Kosslyn and colleagues that animations are salient perceptual units that captures direct attention [ 4 ]. Although perceptual salience can be used to draw attention to and improve retention of specific points, if you use this approach for unnecessary/unimportant things (like animation of your bullet point text, fly-ins of figures, etc.), then you will distract your audience from the important content. Finally, animations cause additional processing burdens for people with visual impairments [ 10 ] and create opportunities for technical disasters if the software on the host system is not compatible with your planned animation.

Conclusions

These rules are just a start in creating more engaging presentations that increase audience retention of your material. However, there are wonderful resources on continuing on the journey of becoming an amazing public speaker, which includes understanding the psychology and neuroscience behind human perception and learning. For example, as highlighted in Rule 7, David JP Phillips has a wonderful TEDx talk on the subject [ 5 ], and “PowerPoint presentation flaws and failures: A psychological analysis,” by Kosslyn and colleagues is deeply detailed about a number of aspects of human cognition and presentation style [ 4 ]. There are many books on the topic, including the popular “Presentation Zen” by Garr Reynolds [ 11 ]. Finally, although briefly touched on here, the visualization of data is an entire topic of its own that is worth perfecting for both written and oral presentations of work, with fantastic resources like Edward Tufte’s “The Visual Display of Quantitative Information” [ 12 ] or the article “Visualization of Biomedical Data” by O’Donoghue and colleagues [ 13 ].

8. Apply the 10-20-30 rule

When giving presentations, either on a video conference call or in person, your slides, videos and graphics (or lack of them) can be an important element in helping you tell your story or express your idea. This is the first of a series of blog posts that will give you tips and tricks on how to perfect your visual presentations.

Your job as a presenter is to build your idea -- step-by-step -- in the minds of your audience members. One tool to do that is presentation graphics, such as slides and videos.

Why graphics for your presentation?

A common mistake is using slides or videos as a crutch, even if they don’t actually add anything to your presentation. Not all presentations need graphics. Lots of presentations work wonderfully with just one person standing on a stage telling a story, as demonstrated by many TED Talks.

You should only use slides if they serve a purpose: conveying scientific information, art, and things that are hard to explain without pictures. Once you have decided on using slides, you will have a number of decisions to make. We’ll help you with the basics of making a presentation that is, above all, clear and easy to understand. The most important thing to remember here is: less is more.

Less is so much more

You want to aim for the fewest number of slides, the fewest number of photos, the fewest words per slide, the least cluttered slides and the most white space on your slides. This is the most violated slide rule, but it is the secret to success. Take a look at these examples.

As you can see in the above example, you don’t need fancy backgrounds or extra words to convey a simple concept. If you take “Everything you need to know about Turtles”, and delete “everything you need to know about” leaving just “turtles”, the slide has become much easier for your audience to read, and tells the story with economy.

The above example demonstrates that a single image that fills the entire screen is far more powerful than a slide cluttered with images. A slide with too many images may be detrimental to your presentation. The audience will spend more mental energy trying to sort through the clutter than listening to your presentation. If you need multiple images, then put each one on its own slide. Make each image high-resolution and have it fill the entire screen. If the photos are not the same dimensions as the screen, put them on a black background. Don’t use other colors, especially white.

Your slides will be much more effective if you use the fewest words, characters, and pictures needed to tell your story. Long paragraphs make the audience strain to read them, which means they are not paying attention to you. Your audience may even get stressed if you move on to your next slide before they’ve finished reading your paragraph. The best way to make sure the attention stays on you is to limit word count to no more than 10 words per slide. As presentation expert Nancy Duarte says “any slide with more than 10 words is a document.” If you really do need a longer explanation of something, handouts or follow-up emails are the way to go.

Following a “less is more” approach is one of the simplest things you can do to improve your presentation visuals and the impact of your presentation overall. Make sure your visuals add to your presentation rather than distract from it and get your message across.

Introduction

The “presentation slide” is the building block of all academic presentations, whether they are journal clubs, thesis committee meetings, short conference talks, or hour-long seminars. A slide is a single page projected on a screen, usually built on the premise of a title, body, and figures or tables and includes both what is shown and what is spoken about that slide. Multiple slides are strung together to tell the larger story of the presentation. While there have been excellent 10 simple rules on giving entire presentations [ 1 , 2 ], there was an absence in the fine details of how to design a slide for optimal effect—such as the design elements that allow slides to convey meaningful information, to keep the audience engaged and informed, and to deliver the information intended and in the time frame allowed. As all research presentations seek to teach, effective slide design borrows from the same principles as effective teaching, including the consideration of cognitive processing your audience is relying on to organize, process, and retain information. This is written for anyone who needs to prepare slides from any length scale and for most purposes of conveying research to broad audiences. The rules are broken into 3 primary areas. Rules 1 to 5 are about optimizing the scope of each slide. Rules 6 to 8 are about principles around designing elements of the slide. Rules 9 to 10 are about preparing for your presentation, with the slides as the central focus of that preparation.

Rule 1: Include only one idea per slide

Each slide should have one central objective to deliver—the main idea or question [ 3 – 5 ]. Often, this means breaking complex ideas down into manageable pieces (see Fig 1 , where “background” information has been split into 2 key concepts). In another example, if you are presenting a complex computational approach in a large flow diagram, introduce it in smaller units, building it up until you finish with the entire diagram. The progressive buildup of complex information means that audiences are prepared to understand the whole picture, once you have dedicated time to each of the parts. You can accomplish the buildup of components in several ways—for example, using presentation software to cover/uncover information. Personally, I choose to create separate slides for each piece of information content I introduce—where the final slide has the entire diagram, and I use cropping or a cover on duplicated slides that come before to hide what I’m not yet ready to include. I use this method in order to ensure that each slide in my deck truly presents one specific idea (the new content) and the amount of the new information on that slide can be described in 1 minute (Rule 2), but it comes with the trade-off—a change to the format of one of the slides in the series often means changes to all slides.

Rule 2: Spend only 1 minute per slide

When you present your slide in the talk, it should take 1 minute or less to discuss. This rule is really helpful for planning purposes—a 20-minute presentation should have somewhere around 20 slides. Also, frequently giving your audience new information to feast on helps keep them engaged. During practice, if you find yourself spending more than a minute on a slide, there’s too much for that one slide—it’s time to break up the content into multiple slides or even remove information that is not wholly central to the story you are trying to tell. Reduce, reduce, reduce, until you get to a single message, clearly described, which takes less than 1 minute to present.

Rule 3: Make use of your heading

When each slide conveys only one message, use the heading of that slide to write exactly the message you are trying to deliver. Instead of titling the slide “Results,” try “CTNND1 is central to metastasis” or “False-positive rates are highly sample specific.” Use this landmark signpost to ensure that all the content on that slide is related exactly to the heading and only the heading. Think of the slide heading as the introductory or concluding sentence of a paragraph and the slide content the rest of the paragraph that supports the main point of the paragraph. An audience member should be able to follow along with you in the “paragraph” and come to the same conclusion sentence as your header at the end of the slide.

Rule 4: Include only essential points

While you are speaking, audience members’ eyes and minds will be wandering over your slide. If you have a comment, detail, or figure on a slide, have a plan to explicitly identify and talk about it. If you don’t think it’s important enough to spend time on, then don’t have it on your slide. This is especially important when faculty are present. I often tell students that thesis committee members are like cats: If you put a shiny bauble in front of them, they’ll go after it. Be sure to only put the shiny baubles on slides that you want them to focus on. Putting together a thesis meeting for only faculty is really an exercise in herding cats (if you have cats, you know this is no easy feat). Clear and concise slide design will go a long way in helping you corral those easily distracted faculty members.

Rule 5: Give credit, where credit is due

An exception to Rule 4 is to include proper citations or references to work on your slide. When adding citations, names of other researchers, or other types of credit, use a consistent style and method for adding this information to your slides. Your audience will then be able to easily partition this information from the other content. A common mistake people make is to think “I’ll add that reference later,” but I highly recommend you put the proper reference on the slide at the time you make it, before you forget where it came from. Finally, in certain kinds of presentations, credits can make it clear who did the work. For the faculty members heading labs, it is an effective way to connect your audience with the personnel in the lab who did the work, which is a great career booster for that person. For graduate students, it is an effective way to delineate your contribution to the work, especially in meetings where the goal is to establish your credentials for meeting the rigors of a PhD checkpoint.

Rule 6: Use graphics effectively

As a rule, you should almost never have slides that only contain text. Build your slides around good visualizations. It is a visual presentation after all, and as they say, a picture is worth a thousand words. However, on the flip side, don’t muddy the point of the slide by putting too many complex graphics on a single slide. A multipanel figure that you might include in a manuscript should often be broken into 1 panel per slide (see Rule 1 ). One way to ensure that you use the graphics effectively is to make a point to introduce the figure and its elements to the audience verbally, especially for data figures. For example, you might say the following: “This graph here shows the measured false-positive rate for an experiment and each point is a replicate of the experiment, the graph demonstrates …” If you have put too much on one slide to present in 1 minute (see Rule 2 ), then the complexity or number of the visualizations is too much for just one slide.

Rule 7: Design to avoid cognitive overload

The type of slide elements, the number of them, and how you present them all impact the ability for the audience to intake, organize, and remember the content. For example, a frequent mistake in slide design is to include full sentences, but reading and verbal processing use the same cognitive channels—therefore, an audience member can either read the slide, listen to you, or do some part of both (each poorly), as a result of cognitive overload [ 4 ]. The visual channel is separate, allowing images/videos to be processed with auditory information without cognitive overload [ 6 ] (Rule 6). As presentations are an exercise in listening, and not reading, do what you can to optimize the ability of the audience to listen. Use words sparingly as “guide posts” to you and the audience about major points of the slide. In fact, you can add short text fragments, redundant with the verbal component of the presentation, which has been shown to improve retention [ 7 ] (see Fig 1 for an example of redundant text that avoids cognitive overload). Be careful in the selection of a slide template to minimize accidentally adding elements that the audience must process, but are unimportant. David JP Phillips argues (and effectively demonstrates in his TEDx talk [ 5 ]) that the human brain can easily interpret 6 elements and more than that requires a 500% increase in human cognition load—so keep the total number of elements on the slide to 6 or less. Finally, in addition to the use of short text, white space, and the effective use of graphics/images, you can improve ease of cognitive processing further by considering color choices and font type and size. Here are a few suggestions for improving the experience for your audience, highlighting the importance of these elements for some specific groups:

  • Use high contrast colors and simple backgrounds with low to no color—for persons with dyslexia or visual impairment.
  • Use sans serif fonts and large font sizes (including figure legends), avoid italics, underlining (use bold font instead for emphasis), and all capital letters—for persons with dyslexia or visual impairment [ 8 ].
  • Use color combinations and palettes that can be understood by those with different forms of color blindness [ 9 ]. There are excellent tools available to identify colors to use and ways to simulate your presentation or figures as they might be seen by a person with color blindness (easily found by a web search).
  • In this increasing world of virtual presentation tools, consider practicing your talk with a closed captioning system capture your words. Use this to identify how to improve your speaking pace, volume, and annunciation to improve understanding by all members of your audience, but especially those with a hearing impairment.

Rule 8: Design the slide so that a distracted person gets the main takeaway

It is very difficult to stay focused on a presentation, especially if it is long or if it is part of a longer series of talks at a conference. Audience members may get distracted by an important email, or they may start dreaming of lunch. So, it’s important to look at your slide and ask “If they heard nothing I said, will they understand the key concept of this slide?” The other rules are set up to help with this, including clarity of the single point of the slide (Rule 1), titling it with a major conclusion (Rule 3), and the use of figures (Rule 6) and short text redundant to your verbal description (Rule 7). However, with each slide, step back and ask whether its main conclusion is conveyed, even if someone didn’t hear your accompanying dialog. Importantly, ask if the information on the slide is at the right level of abstraction. For example, do you have too many details about the experiment, which hides the conclusion of the experiment (i.e., breaking Rule 1)? If you are worried about not having enough details, keep a slide at the end of your slide deck (after your conclusions and acknowledgments) with the more detailed information that you can refer to during a question and answer period.

Rule 9: Iteratively improve slide design through practice

Well-designed slides that follow the first 8 rules are intended to help you deliver the message you intend and in the amount of time you intend to deliver it in. The best way to ensure that you nailed slide design for your presentation is to practice, typically a lot. The most important aspects of practicing a new presentation, with an eye toward slide design, are the following 2 key points: (1) practice to ensure that you hit, each time through, the most important points (for example, the text guide posts you left yourself and the title of the slide); and (2) practice to ensure that as you conclude the end of one slide, it leads directly to the next slide. Slide transitions, what you say as you end one slide and begin the next, are important to keeping the flow of the “story.” Practice is when I discover that the order of my presentation is poor or that I left myself too few guideposts to remember what was coming next. Additionally, during practice, the most frequent things I have to improve relate to Rule 2 (the slide takes too long to present, usually because I broke Rule 1, and I’m delivering too much information for one slide), Rule 4 (I have a nonessential detail on the slide), and Rule 5 (I forgot to give a key reference). The very best type of practice is in front of an audience (for example, your lab or peers), where, with fresh perspectives, they can help you identify places for improving slide content, design, and connections across the entirety of your talk.

Rule 10: Design to mitigate the impact of technical disasters

The real presentation almost never goes as we planned in our heads or during our practice. Maybe the speaker before you went over time and now you need to adjust. Maybe the computer the organizer is having you use won’t show your video. Maybe your internet is poor on the day you are giving a virtual presentation at a conference. Technical problems are routinely part of the practice of sharing your work through presentations. Hence, you can design your slides to limit the impact certain kinds of technical disasters create and also prepare alternate approaches. Here are just a few examples of the preparation you can do that will take you a long way toward avoiding a complete fiasco:

  • Save your presentation as a PDF—if the version of Keynote or PowerPoint on a host computer cause issues, you still have a functional copy that has a higher guarantee of compatibility.
  • In using videos, create a backup slide with screen shots of key results. For example, if I have a video of cell migration, I’ll be sure to have a copy of the start and end of the video, in case the video doesn’t play. Even if the video worked, you can pause on this backup slide and take the time to highlight the key results in words if someone could not see or understand the video.
  • Avoid animations, such as figures or text that flash/fly-in/etc. Surveys suggest that no one likes movement in presentations [ 3 , 4 ]. There is likely a cognitive underpinning to the almost universal distaste of pointless animations that relates to the idea proposed by Kosslyn and colleagues that animations are salient perceptual units that captures direct attention [ 4 ]. Although perceptual salience can be used to draw attention to and improve retention of specific points, if you use this approach for unnecessary/unimportant things (like animation of your bullet point text, fly-ins of figures, etc.), then you will distract your audience from the important content. Finally, animations cause additional processing burdens for people with visual impairments [ 10 ] and create opportunities for technical disasters if the software on the host system is not compatible with your planned animation.

Conclusions

These rules are just a start in creating more engaging presentations that increase audience retention of your material. However, there are wonderful resources on continuing on the journey of becoming an amazing public speaker, which includes understanding the psychology and neuroscience behind human perception and learning. For example, as highlighted in Rule 7, David JP Phillips has a wonderful TEDx talk on the subject [ 5 ], and “PowerPoint presentation flaws and failures: A psychological analysis,” by Kosslyn and colleagues is deeply detailed about a number of aspects of human cognition and presentation style [ 4 ]. There are many books on the topic, including the popular “Presentation Zen” by Garr Reynolds [ 11 ]. Finally, although briefly touched on here, the visualization of data is an entire topic of its own that is worth perfecting for both written and oral presentations of work, with fantastic resources like Edward Tufte’s “The Visual Display of Quantitative Information” [ 12 ] or the article “Visualization of Biomedical Data” by O’Donoghue and colleagues [ 13 ].

The speaker rambled on, reading from text-heavy slides, using a tiny font that strained your eyes, and failing to connect with the audience. As the minutes ticked by, you found yourself daydreaming and eagerly awaiting the end of the ordeal.

If you have been in this situation, then you know what to do if you were in the presenter’s shoes – make your presentations concise. But how do you even start?

You can follow several techniques when preparing your deck and your presentation as a whole. One of them is the 10/20/30 rule of PowerPoint , a presentation rule championed by Guy Kawasaki – a former Apple employee and a marketing specialist.

What Is the 10/20/30 Rule of PowerPoint Presentations?

The idea of the 10/20/30 rule is easy to understand, which is summed up in three points.

  • Your presentation should consist of no more than 10 slides .

  • The text on each slide should be no lower than 30 points in size .

Let’s examine each rule and explore how to apply it to your presentations.

The 10 Slides Rule

Kawasaki argues that a typical person can only take 10 concepts in one sitting. Therefore, according to him, a presentation should only consist of 10 slides, each serving a specific purpose and conveying a distinct concept.

This insight underscores the importance of concise, focused presentations that prioritize key messages and avoid overwhelming the audience with too much information.

If you are a business presenter struggling to develop a pitch deck , Kawasaki suggests a 10-slide PowerPoint template that includes what venture capitalists like him care about.

  • Title – Includes the business name, the presenter’s name, contacts, etc.
  • Problem/Opportunity – Highlights pain points or unmet needs of customers you aim to solve.

For example, if you are a lecturer, you can emulate Kawasaki’s PowerPoint template layout and reduce your presentation to 10 slides. Some slides might not be relevant to the nature of your topic, so replace them with one that works for your presentation. Using PPT templates helps you focus on the graphical aspect so you can articulate the content to fit into exactly 10 slides (while preserving the same aesthetic).

Let’s say you are a mindfulness expert talking about the benefits of meditation. The first three slides of Kawazaki’s workflow may be applied as you’ll need to establish your audience’s pain points and your solution.

However, you may need to modify the remaining slides as you’re not seeking to make a sale or raise funding. You may use them instead to discuss the main content of your presentation – in this case, the benefits of meditation. The last two slides may contain your conclusions and call to action, respectively.

Now, off to the second part of the 10/20/30 presentation rule.

According to Kawasaki, you only have 20 minutes to present your 10 slides – the time needed before your audience’s attention starts declining. He believes it is long enough to convey a meaningful message but short enough to maintain the audience’s attention span.

This is exactly why most TED Talks or The Big Bang Theory episodes would only last for approximately 18 minutes. 

While giving longer presentations is possible, longer presentations may be more difficult to maintain audience engagement and attention.

Kawasaki’s final rule pertains to the font size that presenters can use. This rule suggests that presenters should use a font size of at least 30 points for all text in their slides , including titles, headings, and body text.

When creating presentations, it is common to jam each slide with text and information. This poses two possible problems:

  • First, it may take your audience’s attention from you as they may end up reading your whole presentation and stop listening to you. 
  • Second, including too much information can make your presentation overwhelming and difficult to follow.

Using a larger font size, you must include only the key points of your presentation slides. This prevents your audience from getting ahead of you and keeps them listening to you speak. By applying this rule, you are also ensuring your content is understandable for people with visual impairments. Start with a compelling hook, such as a thought-provoking question, a powerful quote, or an engaging story, to grab your audience’s attention. Clearly state the purpose and objectives of your presentation to establish the context and provide a roadmap for what’s to come.

6. End Strong

Your outro is as important as your introduction. So, instead of ending your presentation with a flat Thank you slide , use the opportunity to nudge your audience to action.

Using a summary slide is one of the ways you can end your presentation if your goal is to reinforce your key points. It can be a useful reference for the audience, helping them remember the most important information.

You can also encourage your audience to take action based on what they’ve learned in your presentation. This can be a great way to motivate them to apply the concepts you’ve covered.

There are questions about the practicality of its application outside the business context. However, we can agree that it teaches us valuable insight – keeping presentations concise as possible. Limiting the number of slides, adhering to a strict time limit, and using a larger font size can create a concise presentation that effectively communicates your message.

There’s no one-size-fits-all approach to presenting; you don’t have to strictly follow Kawasaki’s rule. Depending on the audience and the topic, modify the template and adapt your presentation to suit the situation.

For more than 30 years, the TED conference series has presented enlightening talks that people enjoy watching. In this article, Anderson, TED’s curator, shares five keys to great presentations:

  • Frame your story (figure out where to start and where to end).
  • Plan your delivery (decide whether to memorize your speech word for word or develop bullet points and then rehearse it—over and over).
  • Work on stage presence (but remember that your story matters more than how you stand or whether you’re visibly nervous).
  • Plan the multimedia (whatever you do, don’t read from PowerPoint slides).
  • Put it together (play to your strengths and be authentic).

According to Anderson, presentations rise or fall on the quality of the idea, the narrative, and the passion of the speaker. It’s about substance—not style. In fact, it’s fairly easy to “coach out” the problems in a talk, but there’s no way to “coach in” the basic story—the presenter has to have the raw material. So if your thinking is not there yet, he advises, decline that invitation to speak. Instead, keep working until you have an idea that’s worth sharing.

Lessons from TED

A little more than a year ago, on a trip to Nairobi, Kenya, some colleagues and I met a 12-year-old Masai boy named Richard Turere, who told us a fascinating story. His family raises livestock on the edge of a vast national park, and one of the biggest challenges is protecting the animals from lions—especially at night. Richard had noticed that placing lamps in a field didn’t deter lion attacks, but when he walked the field with a torch, the lions stayed away. From a young age, he’d been interested in electronics, teaching himself by, for example, taking apart his parents’ radio. He used that experience to devise a system of lights that would turn on and off in sequence—using solar panels, a car battery, and a motorcycle indicator box—and thereby create a sense of movement that he hoped would scare off the lions. He installed the lights, and the lions stopped attacking. Soon villages elsewhere in Kenya began installing Richard’s “lion lights.”

Guidelines for Planning Your PowerPoint Presentation

Before you start with the design part of your presentation, plan your presentation. Here are a few PowerPoint presentation design guidelines to follow when it comes to planning:

1. Decide on the Presentation Goal

Decide on Presentation Goals

First, decide on the presentation goal. Are you sharing an annual report or creating a pitch deck? Is the goal to increase sales or get the higher-ups onboard with a new marketing tactic?

Whatever the case may be, the presentation goal helps you decide what to include in your presentation and how that information should be presented. It'll also help you with all the other steps involved in creating an effective and engaging presentation. 

2. Create an Outline 

With your presentation goal in mind, create an outline for your presentation. You'll save time in the long run. Plus, you'll be sure that your presentation covers everything you need to cover for your idea or data to be understood. 

3. Think About the Slides You Need to Include

The next step is to think about the slides you need to include in your presentation. For example, if you’re creating a pitch deck for potential investors, sharing information about your company on an About or Team slide is a must. 

But if you’re creating an internal presentation to share your sales report, including those slides would be a waste of time. Instead, your presentation should focus on numbers and data as well as individual product or product line performance.

4. Decide on Visuals

Your planning stage should account for visuals that'll help back up your story. This can include photos, icons, charts, infographic elements, graphs, tables, and anything else you need to make your data more visually appealing. Once you've get your presentation planned out, it’s time to tackle the design part of creating a presentation . When designing your presentation, keep the following guidelines in mind: 

1. Keep the Text to a Minimum

When it comes to your presentation, PowerPoint should assist you in delivering the presentation. It shouldn't be the main source of information. Less is more, so keep the text to a minimum. 

Stick to one main idea per slide and limit yourself to using no more than three bullet points per slide. This will help keep your audience engaged and not zoned out.

2. Use Large Font Sizes

Another thing to keep in mind is that not everybody in your audience will be close to the slides. Make sure to use larger font sizes. Consider using 40 pts for headings and going no smaller than 28 pts for the content text.

3. Make Sure Fonts Are Readable

While we’re on the topic of fonts, avoid using script or decorative fonts. They're hard to read. Stick to sans-serif fonts for body text. To emphasize your headings, use a readable serif font. 

4. Use Color Sparingly

Color can make your presentation more visually appealing. But that doesn’t mean you've got to color every slide differently or use different colors for your fonts. If you’re presenting in a dark room, consider using a dark background for the slide paired with a light color for the text. It'll make it easier for your audience to follow along. 

Avoid using light text on light background or clashing colors. They'll distract your audience. 

5. Enhance the Data With Charts and Graphs

We mentioned earlier you need to decide on the visuals you'll use in your presentation. Using charts and graphs is a great way to make abstract data easier to understand. So, don’t shy away from using them. 

6. Design for Wide Screen Formats

Keep in mind that most projector screens are optimized for widescreen 16:9 ratio. As such, design your presentation following those PowerPoint presentation guidelines. If you design your presentation in 4:3 ratio, your presentation will still work. But some parts of your slides might get cut off or not display properly. 

7. Be Consistent With Style Settings

Another important bit of PowerPoint design guidelines is to keep your design style consistent across all slides. This will reinforce your brand image as well as ensure that the entire presentation is visually appealing.

8. Use Animations Sparingly

There's nothing wrong with using subtle animations or slide transitions to keep things interesting. But, avoid animating every single word or slide as this will make your presentation look amateurish and unprofessional. 

9. Proofread Everything

Be sure to proofread each slide to make sure there are no embarrassing typos. If you’re mentioning other associates or colleagues in your presentation, make sure their names are spelled correctly to avoid any awkward moments. Ask another person to go through your presentation and make sure it’s error-free.

This presentation rules suggests that you should include no more than six words per line and no more than six bullet points per slide. The goal of this rule is to prevent your slides from becoming so dense and text heavy that people don’t want to look at it. While it might sound like a great idea in theory, it’s not as cut and dry as it seems. Here’s a little more information and what the 6×6 rule actually looks like and why it could use a little tweaking.

What does the 6×6 Rule look like? If you were to present on a topic using the 6×6 rule, all of your slides would resemble something like this: Have only one idea per slide Have no more than six points This slide has six bullet points Each bullet point has six words Is this a good presentation rule? If you were bored reading these bullet points, then you understand why this technique is not always effective. Sure, there are times when we come across a simple saying that truly sticks in our minds such as “Today’s decisions are tomorrow’s realities.†However, it’s nearly impossible to fill all of your slides with such eloquent and profound statements. As a result, you end up cutting out valuable information just to stick to the 6×6 Rule.

Why it doesn’t always work. Your main focus should be conveying your main points as clearly as possible. While it’s true that you don’t want to lose people in text heavy slides, there are times when it’s just not possible to explain your point in six words or less. When you try, you end up cutting and distorting the information to the point where your meaning gets lost. Furthermore, if you want to use a quote or tagline to further explain your message, you can’t exactly break up the quote and eliminate words. This is just one example of how the rule does not apply in all situations

How the 6×6 Rule can act as a guide. This isn’t to suggest that the 6×6 Rule should never be implemented, it’s simply to explain why it shouldn’t be forced all the time. When you are designing your presentation, you have to find a way to convey your message without being too wordy. The 6×6 Rule is a great reminder to cut and edit when possible to keep things concise, but it doesn’t have to be the standard for every single slide. Wondering how to design the perfect PowerPoint presentation? It's easier than you think–just follow five simple rules to get started:

1. Consider using templates

When building a slide deck, it’s important to maintain consistency throughout. We want to ensure we are using consistent font styles, colors and themes. This can be tricky when designing from scratch, so why not start from a template?

2. No walls of text

We’ve all seen PowerPoint presentations where slides contain too much text. The human brain struggles to listen and read at the same time. If you are presenting to an audience, keep the text on slides to a minimum.

Consider employing the “5-5-5" rule. No more than 5 lines, no more than 5 words, no more than 5 minutes. Think short and sharp memory joggers instead of rambling paragraphs.

Where possible, consider replacing text with visuals to represent your point. People remember images more than words.

3. Be mindful of colors and fonts

No one wants their audience to leave with a headache after an hour of straining to read slides. Animation should be subtle (especially for pitch decks and other formal presentations). With every animation you add, ask yourself, "Is this going to enhance my presentation or distract from it?"

5. Engage your audience

When presenting to an audience, there is usually an awkward time before the presentation begins while the speaker waits for everyone to arrive. During this time, people may start scrolling on their phones or get distracted with work emails, and it can be hard to pull the audience back.

To avoid this issue, work to grab your audience's attention before the presentation even starts. Instead of just having the title slide on the screen, consider creating "kiosk slides." These are a series of slides that contain a combination of interesting things for the audience to look at or engage with. Maybe you have an interesting image? A funny quote or fun facts? Or maybe there is a question you want them to think about prior to the session?

Right now, it becomes more and more difficult for our brains to perceive the full diversity of digital content. Still, sooner or later, your college task will be to create it by yourself. Images, sounds, and messages overload our brains, so if you want to make an excellent and effective presentation, you should work hard. To cope with tons of information, you need to learn how to structure and present it correctly.

So, how to create a compelling college presentation and what mistakes to avoid?

Rule #1. Use the content to make your audience engaged

First of all, you should offer an engaging, well-structured, and successfully submitted content. This is the most significant part of your presentation design , and it’ll be evaluated in the first place. You don’t want your peers to look for their phones during the speech, do you? Be prepared to accept the fact that most people are not ready to listen to your words carefully. So your task is to change their opinion and make them pay attention.

Rule #2. Don’t read the text from the slides

As a rule, people don’t like it when the speaker repeats the text placed on the slides of their presentation. You must explain the information on each slide with your own words to make it sound persuasive. Otherwise, there is a risk that both your professor and your peers will simply fall asleep.

Rule #3. Don’t be too brief

Usually, the audience does not tolerate the fonts and images in a presentation that are too small. You can come up with a brilliant text for each slide, but all your creative work will be wasted if this text is not readable.

Rule #4. Make jokes and be sincere

They were shown the same paragraph typed in different fonts: Comic Sans, Computer Modern, Georgia, Trebuchet, Baskerville, Helvetica. The results are the following: the text that is written in Comic Sans and Helvetica does not inspire readers’ confidence, but the Baskerville font, on the contrary, receives consent and approval. According to psychologists, this is due to its formal appearance.

We all perceive information differently. When your professor asks you to make a lovely presentation, they usually have a particular image in their mind. And it may differ from yours a lot. Therefore, it is better to show pictures than to explain everything in words. Try to use clear illustrations for your key messages.

Remember that “less” does not mean “boring.” It’s OK to use a white background. Don’t try to “decorate” the slide with a large number of objects if you can explain its essence in one word or picture. Ten simple rules for giving an effective presentation

Everyone has to give presentations at some point. Whether pitching a new product, presenting at a lab meeting, or giving a talk at a conference, the ability to give an effective, engaging, and persuasive talk cannot be understated. Unfortunately, these skills are rarely taught formally in school. I’ll present ten simple rules that will help reduce your anxiety and make your presentations as effective as possible.

1. Have something worth presenting

This is probably the most important rule, which is why it’s Rule 1. If you don’t have something worth presenting, you shouldn’t be asking people to spend an hour of their time listening to you. Thankfully, you were probably invited or asked to present because you have something worth presenting. 

What does it mean to have something worth presenting? Related to Rule 4, you should have one key message that you want to impart to your audience. It could be a new fact, a proposal you have, an argument you want to make, or a call to action. Whatever it is, it should be genuine, novel, and something you’re excited to tell people about.

2. Organize your presentation

In fifth grade, we learned that essays should have an introduction, body, and conclusion, and every body paragraph should have a topic sentence, evidence, and a concluding sentence. This is still a great organizing principle for your presentation. How do you organize a verbal talk, where your audience can’t go back to listen to your introduction again? I like to have an outline slide where I talk about how my presentation will be structured. On subsequent slides, or at various points in my talk, I’ll reference this outline with a phrase like “We’ve talked about bananas and apples so far as examples of very popular fruits. Now I’ll switch to talking about durian, which is significantly less popular.”

3. Show rather than tell on slides

I can’t tell you how many times I have seen slide decks where every slide is stuffed full of words and pictures — even from the most seasoned professors. While it may be tempting to have everything on your slides (maybe to refer to during your talk: see Rule 6), people will pay attention to what’s on them than to what you are saying. Instead, use slides as they were meant to be used — visuals to accompany your talk. Often, the best talks will not even have titles on their slides, just a figure or a picture or a phrase to make a point. 

4. Less is more

Your goal in giving a presentation is to leave your audience with one key message. A year from now, if asked what your presentation was about, they should be able to recall that message. Try to hammer in the key message over and over again, and present evidence and logic that point to this conclusion. It will be tempting to try to provide as much new information as possible, but a recent study [2] showed that when hearing stories, people enjoyed familiar stories more than novel ones, probably because they already have an idea how these stories are structured. The easier you make it for your listeners to follow your talk (by streamlining your message), the more they will enjoy it and remember it a year from now.

5. Plan to take less time than allotted

Relating to Rule 4, it is essential to plan your presentation with some amount of buffer time. The first 10 minutes allotted to your talk might melt away as a result of a previous presenter running late or various tech issues. People might interrupt your talk to ask questions. The last thing you want to happen to you is to be rushed because of factors out of your control. Instead, if you’re allotted an hour for your talk, plan it for 45 minutes. Also, do not underestimate how much your audience will appreciate it if you let them out early!

6. Be aware of your facial expression and eyes

Your audience is the people sitting in front of you, not the projector screen behind you. People naturally pay attention when someone is looking directly at them while talking. Conversely, they will tune out if your eyes are not on them. To keep people’s attention, make eye contact with different parts of your audience periodically — focus on one person in each “sector” of your audience. Look back at your slides briefly to point at something with your pointer or gesture at something, but don’t read off your slides or have your body turned towards the screen. Finally, bring a smile and lots of excitement. If you are excited about your topic, at least part of your audience will also be excited — but if you seem bored and uninterested, no one will be engaged. 

7. Use hand motions and movement to your advantage

Related to Rule 6, gestures and movement are a very effective way to engage with your audience. You can point at parts of your slide, or make hand gestures to make a point, or set out the organization of your talk. People also naturally pay more attention to someone who is moving than someone who is standing motionlessly behind the podium. If possible, get out from behind the podium and use the entire stage to your advantage! Moving purposefully also has the added effect of making you feel more confident, and the audience perceiving you as more confident because you aren’t “hiding” behind the podium.

8. Pause frequently, speak slowly, and remember to breathe

One of the most underrated skills in communication is pausing. When used correctly, pauses can have dramatic effect by underscoring a point that you just made. I think the longest intentional pause I’ve heard in a talk is 5 seconds, which may sound like an eternity when you’re onstage but certainly is not for the audience. You can also take advantage of the power of pauses by simply pausing whenever you feel the need to regroup your thoughts, instead of using a filler word such as “like” or “um”. Many studies have shown that pauses signal competence, while filler words signal lack of competence. 

When you do speak, speak clearly and slowly, and enunciate. The easier the listener’s job is, the more likely he or she will understand and retain your message. Many novice presenters make the mistake of speaking far too quickly, 

9. Practice, but do not memorize

Whoever said practice makes perfect was absolutely right with regards to presentations. Practicing out loud (to your dog, significant other, or anyone else — or even the mirror!) has the benefit of helping you assess whether your sentences are understandable, or whether they’re too wordy or awkward. Practicing is also important for building effective transitions, developing phrases that are concise and powerful, and trying out gestures. Even the most experienced orators and speakers practice and look to others for advice and suggestions, so don’t be shy and grab a friend to listen to your talk!

When you practice, time yourself and make it as close to the real deal as possible. For a public speaking class I took in college, I practiced in front of the mirror so that I could have a virtual audience. Others film themselves to watch for tics, awkward moments, or other things to add or avoid. Be careful about sounding scripted — your talk should (in most settings) be natural and conversational.

10. Practice one more time than you think you should

The more you practice, the better your talk will be. That extra practice round will build even more confidence and help you sort out those last-minute problems.

When it comes to presentations, we believe that content should drive design. That is, the way that you structure and organize your presentation should follow the needs of the content, rather than a rigid structure.

But this is a lot of work, and isn’t always easy, particularly if you are still learning the ropes of presentation design and storytelling. That’s where rules come in. If you’re struggling to get started, or are unsure of how best to structure a PowerPoint presentation, rules can offer an easy on-ramp to help you get going. And the 5/5/5 Rule is both one of the simplest and most effective.

What is the 5/5/5 Rule

The 5/5/5 Rule explains what it is right in the name: when creating slides for your presentation, use at most:

5 words on a single line

5 lines of text on a single slide.

5 slides that apply the first two rules in a row

Now, let’s take a closer look at each part of the rule, and see how it helps build a better presentation.

Presentations are multi-dimensional. They rely on a combination of written words, spoken language, and visual storytelling to effectively communicate information. So if you are writing out lengthy, complete sentences in order to make sure that “all the information is there,” you are missing the point (and the value) of PowerPoint.

By applying the “5 words per line” rule, you’re ensuring that your writing stays sharp and clear, and that the audience is focused more on you than on the screen. As we noted in our blog 3 ways to up your PowerPoint game , too much content can actually lead to less information retention, which is very counterproductive.

When we are designing PowerPoints for clients, we have our own general rule we try to follow: one idea per slide .

That’s because people tend to think of a slide as a single unit of content. This tells the brain to keep those ideas together, creating associations between bits of info and helping us to cement them in our minds. And if a seminal piece of neuroscience is true, we can hold “ seven, plus or minus two ” pieces of short-term information in our brains.

By limiting yourself to 5 lines of text, not only are you helping to make your presentation more effective, you’re also helping your audience to internalize more of the information your trying to share.

If you followed the first two rules to the letter on every slide in your PowerPoint, you could still have way too much content for an effective presentation. So if you catch yourself relying too heavily on the first two 5’s, you should take a step back and look for ways to vary your content.

This could mean trimming back certain slides to reduce the amount of content, adding in more images/infographics, or simply removing some slides altogether.

When to use the 5/5/5 Rule

The purpose of this rule isn’t to blindly apply it to every PowerPoint you make. Rather, it’s to force you to take a step back and carefully consider each slide you’re creating for it’s content as well as keep the audience’s considerations front and center.

Giving a presentation can be stressful. There are just too many balls to keep in the air: an effective opening, audience engagement, body language, visual aids, anxiety management. The list goes on.

Focus on the Key Message

From the very beginning, the audience should feel that your speech is leading to something important. This is what will spark their curiosity and keep their attention focused. 

Of course, to achieve such an effect, you should actually have something important to communicate. Otherwise, your audience will feel like they wasted their time (and would be right to think so). The material you present should resemble an arrow with a clear point, not an unending loop of words that leads to nowhere. 

But having something worth telling is only part of the job. You also need to make sure that your entire presentation is woven around that key idea. From beginning to end, your core message should be your guiding light. Each sentence should move the audience closer to it, and by the end of the speech, leave them with a sense of illumination.

Plan the Structure

Planning your speech beforehand is the only way to avoid getting sidetracked. As you think about your message, try to structure it in a way that makes its delivery most effective for the audience.

So, how do you structure a presentation? Consider both the logical and emotional implications of your structure. First, you want to give your listeners enough background information to help them get better acquainted with the topic, but not so much as to get them bored. Once all the need-to-knows are out of the way, make a seamless transition to your main message and start laying out your arguments in a convincing way.

Also, think about the emotional effect you want to achieve in each part of your presentation. The best way to go about it is to capture your audience’s attention right off the bat, which is often considered to be the hardest part of giving a presentation.

“How do I begin a presentation?” is a question you’ve surely asked yourself.  Once you’re done introducing yourself, you can jump into the presentation with a story or an intriguing question. Then, build suspense throughout the speech and release it at the end with a well-grounded closing statement.

Tell a Story

How do you present a topic? As human beings, we’re attracted to stories. This is why we go to the movies, read fiction and, yes, become all ears when hearing gossip. Thus, it’s always a good idea to begin your presentation with a story or even spice it up with one in the middle. This can make all the difference between an engaged and indifferent audience.

Keep a Conversational Tone

Many first-time public speakers try a bit too hard to make their speech expressive. As a result, their presentations appear showy and even pompous to the audience.

To prevent this, simply use a conversational tone. Feel like you are communicating your message to individual people, rather than a large alien audience. This will not only ease you up but will help the audience connect to you as well. 

After all, when you really look at it, you are talking to individual people, not their aggregation.

Time your speech.

There’s probably a specific timeframe within which you should complete your speech. Even if it’s not rigidly set, the audience will have certain expectations as to how long your presentation will take. 

Therefore, it’s important to plan beforehand the approximate time your speech should take and set a timer during rehearsals. If your presentation lasts longer than expected, make sure to leave the inessential parts out. 

As you memorize your material, your speech will get smoother and faster. This will also shorten the time required for it. Thus, before making any adjustments to the length of your script, rehearse it a few times.

Practice your speech as many times as necessary to build confidence. This is not to say you should memorize every single word or sentence, but you should know exactly what you need to cover at every point.

Perhaps, the worst thing you can do during a presentation is to read your script. Even glancing at a paper or screen far too many times is distracting enough. What’s more, your audience will find it difficult to connect to your message, as it will all feel mechanical and staged.

The solution? It’s fairly simple: rehearse, rehearse, rehearse.

Don’t Rely on Slides

A slide should never be the main source of information for the audience. Use it as a mere extension that makes your speech more engaging or credible. Always keep in mind that your audience needs to learn from you , the speaker, not from your slide.

It goes without saying that you shouldn’t stuff any slide with text. Or include so much information (whether textual or visual) that your audience gets overwhelmed and stops following your speech. When it comes to slide design, minimalism is your best friend. 

To know if you’re relying heavily on your slides or not, ask yourself this question: “Will my presentation still make sense without the slides?” If the answer’s no, then you should rethink your script. But, there’s also a fun side to this. When you free your slides of the burden to inform, they can now be used creatively and even enhance the effect of your speech.

Notice how the presenter in the video shown above only turns to slides to highlight or demonstrate a point she made. And if you remove all the slides? The presentation will be just as complete and impactful.

Don’t Use Fancy Slideshows

How a good presentation should look like? Nowadays, there are lots of advanced presentation software and screen-sharing tools one can use to “wow” the audience. The problem with them? “Wowing” your audience with something as trivial as slides is hardly why you’re making your speech. The fewer distractions there are in your presentation, the better. Keep this in mind, and avoid using anything showy. 

Don’t Talk Too Fast (or Slow)

While presenting, it’s recommended to maintain a consistent pace that’s neither too fast nor too slow. Talking fast might cause unnecessary tension in the audience, and excessively slow speech is sure to annoy them.

While different people naturally speak at different paces, it’s still something that can be worked on and modified with enough practice. You can refine your pacing during rehearsals until the preferred pace is second nature to you.

Don’t Forget Backup Slides

You’re about to start your presentation, but the internet connection is too slow, and your slides won’t load. On top of it, you didn’t follow our advice about not relying on slideshows. What do you do?

Well, if you’re considerate enough, you will have a USB flash drive with backup slides. Next time you feel like forgoing this little step, recall this scenario.

Don’t Neglect Body Language

The way you move your body on stage tells a story. And if that story is incoherent with the one you’re telling with your words, disharmony arises. Imagine a speaker is talking about peace and tolerance, yet their every movement is abrupt, hasty, and aggressive. Sure, this might be the result of nervousness, but would you still be able to connect to their message? The answer’s likely to be no.   

When rehearsing your speech, don’t neglect body language. Practice standing tall, keeping your hands open, and your movements relaxed. Avoid pacing on the stage during your presentation, as it may distract or, worse yet, annoy your listeners.

There's more to life than being happy

And, of course, don’t skip eye contact. Instead of glancing over the entire audience, pick a few individuals from different parts of the room, and establish your eye contact with them. This little trick will help you feel like you’re speaking to one person at a time. And that’s far more manageable than speaking to everyone at once.

To emphasize a point, sometimes, what you need is not words but their absence. Take a pause after you ask a question or make a strong statement. Spare your audience a moment to think, reflect, and ponder. Or leave a gap of silence right before you present something exciting to build suspense and anticipation.

No one expects you to go on talking for 10-15 minutes without a pause. Take a few seconds once in a while to breathe. Draw in deep breaths to collect your thoughts and calm your nerves if the situation calls for it. This is one of the most effective ways to relax when presenting.

That’s why you should only write a few things on each slide to trigger their curiosity. According to 5 by 5 rules, it’s no more than 5 words on a line.

We understand that you have a bunch of beautiful things to share, but knowing what to leave out is as important as knowing what to put in. So, here’s a quick guide to help you do this with ease.

Text heavy slide design is not a wise choice for a fascinating presentation. Have you ever heard of the magical number 7 plus/minus 2 ? This number is the key takeaway from an experiment by George Miller, a cognitive psychologist.

This experiment implies that a human’s short-term memory typically holds 5-9 strings of words or concepts, so it’s hard for most ordinary people to remember more than that in a really short period of time.

That means that 5 lines would be the perfect number for an effective presentation, as the audience can grasp important information and memorise it better.

  • Know what your key ideas are - I know you’ve put tons of thought into your presentation, and everything you’ve included seems so vital, but you need to settle on the main points and summarise them in a few words on the slides.
  • Use phrases and sayings - Don’t write the whole sentence, simply pick out the essential words to use. Also, you can add a quote to illustrate your point instead of throwing everything in.

Keep your presentation from being a ‘read-out-loud’ session

Too many words in your presentation can make you dependent on your slides. You’re more likely to read that text out loud if it’s in the form of long paragraphs, but the 5/5/5 rule encourages you to keep it bite-sized, in as few words as possible.

Cons of the 5/5/5 Rule

Some people say that rules like this are made up by presentation consultants, as they earn a living by telling you how to make your presentations great again 😅. You can find many similar versions online, like the 6 by 6 rule or 7 by 7 rule, without knowing who invented stuff like this.

With or without the 5/5/5 rule, all presenters should always strive to reduce the amount of text on their slides. 5/5/5 is pretty simple and doesn’t get to the bottom of the problem, which is the way you lay out your content on the slides.

The rule also tells us to include, at most, five bullet points. Sometimes that means filling a slide with 5 ideas, which is way more than the widely held belief that there should be only one idea in a fall. The audience might read everything else and think of the second or third idea while you’re trying to deliver the first one.

On top of that, even if you follow this rule to a tee, you might still have five text slides in a row, followed by an image slide, and then a few other text slides, and repeat. That’s not appealing to your audience; it makes your presentation just as stiff.

The 5/5/5 rule can sometimes go against what is considered good practice in presentations, like having visual communication with your audience or including some charts, data , photos, etc., to illustrate your point clearly.

The 5/5/5 rule can be put to good use, but it does have its own pros and cons. There is still a bit of a debate here on whether it’s worth using, but the choice is yours.

You don’t have to be a professional graphic designer to master the ins and outs of what makes a visually enticing presentation. While building a super-polished template from scratch might seem daunting, all you really need to know are a few basic principles of presentation design to take your slides from messy and unprofessional to clean, informative, and on-brand.

These days, presentation slide templates and tools abound – from the default options in Powerpoint and Google Slides , to services like SlidesCarnival , Canva , Envato and more that specialize in compiling eclectic template options. While these resources can take the guesswork out of creating sleek and professional deck designs, it’s still up to you to optimize each slide to communicate your ideas as clearly as possible. Furthermore, just because a presentation template looks nice, doesn’t necessarily mean it fits your brand aesthetic and message – and seeing the same common templates reused repeatedly can make yours more forgettable. 

No matter what program you use to build your presentations, there are a few principles of presentation design you should always bear in mind.

The Most Important Rule: Less is More

We’ve all heard this one before, yet it’s still tempting to try and cram as much information as you can onto a slide. Remember that the focus should always remain on the presenter and the story they’re telling – your presentation is an accompaniment to help you illustrate the ideas you’re communicating, not a textbook to be studied. 

Let’s break down a few of the easiest ways to declutter your slides:

  • Use key words, not full sentences What’s the main idea for each slide? Try to distill it into a single word or short phrase, rather than spelling out the complete thought as a sentence. When in doubt, use the 6×6 rule: no more than 6 bullet points per slide, with less than 6 words per line.
  • Utilize white space – balance is your friend! Afraid that you’re wasting real estate by not filling every corner of your slide? The eye naturally needs a place of rest, so don’t be afraid of white space. This also helps funnel and direct the viewer’s attention where you want it to go. Avoid the temptation to blow your content up to fill all the available space on your slide. Even if it’s still just a couple sentences of information, this can make it look overwhelming.

  • Break up your ideas if needed Don’t be shy about spreading out information between multiple slides, and pace yourself! A “title slide” to introduce a new topic can provide a nice (and necessary) breather that balances out the pace of your presentation, preventing audience exhaustion.
  • Use fewer fonts (aim for 2 or maybe 3 max) Mixing and matching typefaces takes a fairly well-trained eye, but there are a couple of handy resources on the web to help: FontJoy and Typ.io will both auto-generate a pairing of fonts that go well together visually. Other rules of thumb: keep body copy typefaces simple and sans-serif (using too much of a display typeface hurts legibility), use caps lock only for emphasis and visual contrast, and understand how typefaces can help convey brand sentiments.
  • Choose colors and fonts wisely You may be designing a presentation for work, in which case you likely have a couple established brand colors to use throughout your presentation. If you’re making up a color scheme from scratch, bear in mind: (A) Don’t use too many colors. Using too many different colors will make the presentation look messy, busy, or incoherent – so focus on one or two key, recurring colors that’ll lend a sense of cohesion throughout all your slides. (B) Try to get one or two vibrant, saturated colors to energize your presentation with a more youthful energy – muted and neutral tones run the risk of boring your audience or looking overly corporate.

Use Visual Hierarchy

Create a clear delineation between the most and the least important information. This can be done in a few ways:

  • Contrast Don’t let your text or other elements disappear in a monochromatic fog; up the contrast to make things pop off the page.
  • Background vs. Foreground images If you want to overlay text on top of an image, make sure to use photos with copy space and more subtle, uncluttered background elements. Can’t find enough white space in the pic to give your text breathing room? Consider adding a photo filter, color block, or even a gentle and more subtle gradient block to put beneath your text.
  • Size Use 30+ pt. text sizes to keep your copy legible even from a distance – and keep it bolder for titles, headings, and key words. Be sure that the size you use for headings is at least 50% larger than the size you’re using for body text to better call out your main ideas.
  • Alignment One of the single biggest threats to legibility – and your professional credibility – is a “scattershot” slide with text and images thrown together with no rhyme or reason. Instead of combining alignments (center-aligned with left-aligned headers or body copy, for example), stick with left-alignment for quick scanning. Your best bet? Use a grid system instead of plopping elements on the page and hoping for the best. Align similar elements along vertical and horizontal lines to give each slide a sense of rhythm and repetition. Tidy groupings of similar items (e.g. having all your headings, descriptions, pictures and icons along the same lines) bolsters scannability.

Use Icons to Get Your Message Across Faster (and More Beautifully)

Icons are a critical component of presentation design, as they help your audience digest the ideas you’re covering quicker than words alone. In fact, studies have shown that audiences will remember an image paired with a verbal cue 55% better than a verbal cue alone – a phenomenon known as the Picture Superiority Effect (and a critical component of Dual Coding Theory ).

Some may even argue that icons can (and should!) take the place of bullet points.

Bottom line is, presenters need to actively think about the topic of holding the attention of their audience. The ease of editing slides in tools like PowerPoint is a proverbial double-edged sword -since it is so easy to add slides, text, graphics, etc that the presenters often can do too much without seeing the slippery slope they are on when that occurs. 

Presentation Rules To Maximize Attention Span

Each of the following rules presents powerful ideas towards capturing and holding the audience’s attention. These can be used in isolation or combined to cater to your specific requirements and objectives for a presentation.

Guy Kawasaki , a venture capitalist well versed in making and assessing presentations, came up with the 10-20-30 Rule. He created this rule in response to hundreds of entrepreneurs pitching their ideas to him using dense 60+ slides PowerPoint presentations to explain something that could have been explained in 10. While he made the rule in the realm of venture capitalism and start-up pitches , the 10-20-30 Rule can be applied pretty much unanimously for every business need.

The rule states that each presentation should have no more than 10 slides each. The total time taken for the presentation should not exceed 20 minutes. And the font size for all the text in the presentation should not be less than 30 px. 

10 Slides – This is in reference to people’s attention spans and the power of retention. For the average human, the information given concisely and carefully is more effective, rather than long-winded explanations and detailed descriptions. Thus, 10 slides are the optimum number of slides to put relevant information that can actually be retained. 

20 Minutes – This is the maximum time an audience is willing to give you after experiencing several bouts of attention loss. So, wrap up your presentation within 20 minutes to keep the audience interested and focused.

30 px font size – The dilemma of putting in more information at the expense of font size is a struggle every presenter’s faces. However, having the bottom line read 30 px for the font size constrains a presenter into making their information short and effective, rather than relying on long-winded explanations crammed onto a page in 10px font size.

5 words – There should be no more than 5 words in one sentence (in a slide). This keeps the sentence focused only on the objectives, rather than creating a whole story around it.

5 sentences – There should be no more than 5 sentences or lines of text on a single slide. This makes each slide that much more approachable and readable for the audience. 

5 slides – There should not be 5 text-heavy slides within a presentation in a row. Space them out as much as possible. Having text-heavy slides back to back can cause information overload and fatigue in the audience.

One of our guiding principles is the notion of a “Single Big Idea”. The premise of this idea is two-fold. The overall presentation should be focused on the main vision and goal of the presentation. For instance, if the goal is customer acquisition, the whole presentation, tonality, graphics, story flow, messaging should be focused on customer acquisition. 

Moreover, each slide should also follow the concept of a “single big idea”. Treat each slide with the reverence given to the overall presentation, ensuring that each element, be it visual or textual, aligns with and reinforces the larger idea being presented on that slide.

One of the best tools in a presenter’s toolbox for making presentations is storytelling . We as human beings love stories and absorb messages without even realizing it.

One of the ways to structure your PowerPoint presentations is to narrativize them. The 15-75-10 rule is one way to do it

The 15% Introduction : This should be about 15% of the whole presentation, wherein you introduce yourself if needed, and the larger idea that you intend to convey within the presentation. You can also establish your touchpoints and objectives right at the beginning. 

The 75% Body : Consisting of about 75% of the presentation, the body is where each of your touchpoints is elaborated on using anecdotes, examples, statistics, and information related to them. The body should answer the questions of what, why, and how for the topic.

The 10% Conclusion : The last 10% of your presentation should be the conclusion. A good conclusion is not just a conclusion slide with a thank you note on it. A solid conclusion summarises the presentation, talks about key points of focus, provides contact information, has a call-to-action, and prompts audience engagement to recall and revise everything said during the presentation. Conclusions are brief but powerful parts of a presentation.

PowerPoint Rules You Should Follow

If you want your PowerPoint presentation to move, compel, and inspire, then it’s important that you make it unique and creative. That being said, there are a distinct set of rules and guidelines you can (and should) follow that make it much easier to nail your presentation every single time.

The following rules aren’t designed to limit your creativity; they’re designed to make it shine even brighter.

Stick to 5/5/5 Slides full of long blocks of text are exhausting for your audience and more than likely will cause them to tune out. To avoid tiring (and boring) your audience, stick to the 5/5/5 rule. That means allowing no more than five words per text line, having no more than five lines of text per slide, and never having more than five text-heavy slides in a row.

Contrast Your Colors More than anything, you want your slides to be as readable as possible. And a good trick to make certain of that is to always use a high contrast between your text and your background. White font on a black background or dark blue on a yellow background are good examples of high contrasts that make it easy for your audience’s eyes to read what you’re presenting.

Follow 10/20/30 It’s no secret that humans have short attention spans, especially now that most of us are carrying smartphones around all day. Rather than try to force your audience to pay attention for too long, which is always futile, follow the 10/20/30 rule for your next presentation: Present 10 slides in 20 minutes using a 30-point font on each slide. This helps you work with their short attention span rather than against it.

Keep Designs Simple Busy patterns and highly-detailed images might look great up close, but more often than not, they look chaotic and confusing from the perspective of your audience. Using simple flat images and solid colors in lieu of crazy patterns makes it a lot easier for your audience to focus only on you and your message.

Adhere to 1-6-6 Given that bullet points make it harder for your audience to pay attention, we recommend staying away from them as much as possible. When you do use them, though, make sure to do so following the 1-6-6 rule. That means each slide should have one main idea, no more than six bullet points, and a maximum of six words per point. This ensures your content is sharp and concise.

Skip the Fancy Fonts Just as you should keep your patterns and images simple, you should do the same with your fonts. Resist the urge to include anything too stylized, like script or curly-cues, and instead incorporate clean, standard fonts that will be clear and easy for your audience to read from afar.

Add Consistency to Your Simplicity In addition to keeping your fonts and images simple, you’ll also want to make them consistent to achieve a cohesive, professional look. Pick just a handful of colors and fonts, say three or four, and use them throughout your presentation without straying. This ensures your presentation looks clean and cohesive rather than busy and chaotic.

When you’re creating a presentation, it’s important to consider the amount of information you’re sharing with your audience. You don’t want to overwhelm them, but you also want to be comprehensive and ensure that you’re covering all your bases. Whether you’re giving a 10, 15, or 30-minute presentation, see how many slides your presentation needs to get your point across.

PowerPoint is a powerful visual aid for introducing data, statistics, and new concepts to any audience. In PowerPoint, you can create as many slides as you want—which might sound tempting at first. But length doesn’t always guarantee a successful presentation . Most presentations last around 10-15 minutes, and anything longer than that (such as a 30-minute presentation) may have additional visual aids or speakers to enhance your message.

A handy rule to keep in mind is to spend about 1-2 minutes on each slide. This will give you ample time to convey your message, let data sink in, and allow you to memorize your presentation . When you limit each slide to this length of time, you also need to be selective about how much information you put on each slide and avoid overloading your audience.

For 10-minute presentations

Ten minutes is usually considered the shortest amount of time you need for a successful presentation. For a shorter 10-minute presentation, you’ll need to be selective with your content. Limit your slide count to approximately 7 to 10 slides.

For 15-minute presentations

When preparing for a 15-minute presentation, concise and focused content is key. Aim for around 10 to 15 slides to maintain a good pace, which will fit with the 1-2 minute per slide rule.

For 30-minute presentations

A longer presentation gives you more room to delve deeper into your topic. But to maintain audience engagement, you’ll need to add interactivity , audience participation, and elements like animations . Aim for around 20 to 30 slides, allowing for a balanced distribution of content without overwhelming your audience.

In August 2009, Reed Hastings, our co-founder, published a 125-page powerpoint presentation on Netflix’s culture. Its refreshingly direct tone immediately struck a chord — and the focus on values and performance over rules and controls have enabled us to adapt and grow ever since.  

Over the last 15 years, we’ve revised it four times in the quest for excellence, and today, we’re publishing the latest iteration for anyone to read. It’s been 12 months in the making, with every employee given the chance to weigh in (we call this “farming for dissent”). In total, we received over 1,500 comments, many of which are reflected in this update.  

A few key things to highlight: First , the memo had gotten a bit long, so we’ve shortened it by focusing on what’s most important, and what differentiates Netflix. Second , we reintroduced some concepts from the original deck that had been watered down (e.g. the emphasis on responsibility, and the focus on good and bad process versus no process at all). Third , we’ve structured it around the core principles that we think best represent Netflix today — an entertainment company of 13k+ people that operates all around the world: 

The Dream Team : We aim only to have the highest performers at Netflix, modeling ourselves on a professional sports team, not a family.

People over Process : Our goal is to inspire and empower more than manage because employees have more impact when they’re free to make decisions about their own work. 

Uncomfortably Exciting : Netflix works best if you thrive on change because success in entertainment requires us to think differently, experiment and adapt (often quickly). 

Great and Always Better : We often say we suck today by comparison to where we want to be in the future. So we focus on constant improvement, and the resilience needed to get there. 

As head of talent, I’m often asked, why do we place so much emphasis on the culture memo? We believe that our culture is key to our success and so we want to ensure that anyone applying for a job here knows what motivates Netflix — and all employees are working from a shared understanding of what we value most. The other question I’m often asked — does Netflix seriously not have an expenses or vacation policy? The answer: we don’t. 

You might think that this kind of freedom leads to chaos. While we’ve had our fair share of failures — and a few people have taken advantage of our culture — our emphasis on individual autonomy has created a very successful business. This is because in our industry, the biggest threats are a lack of creativity and innovation. And we’ve found that giving people the freedom to use their judgment is the best way to succeed long term.

Commissioner Mark Christie’s Statement Concerning Order No. 1920 and U.S. Supreme Court’s Overruling of Chevron Deference

In my dissent to Order No. 1920, the transmission planning and cost allocation final rule, I wrote that “Order No. 1000 [which Order No. 1920 relies upon for its claim of legal authority] was built on what may be a foundation of sand known as ‘ Chevron deference.’” [1]  I also said in my dissent that Order No. 1920 is “not entitled to Chevron deference in any form” [2] because it goes far beyond Order No. 1000 by claiming legal authority that Congress has never granted. [3]

Today, in Loper Bright Enterprises v. Raimondo , together with Relentless, Inc. v. Department of Commerce , the U.S. Supreme Court overruled Chevron and the deference it allotted to administrative agencies.  So the most important legal lifeline that Order No. 1920 needed was pulled away today, and the final rule’s chances of surviving court challenges just shrank to slim to none.

The 50 petitions for rehearing and/or amendment of Order No. 1920 remain pending.  Many are devastating takedowns, including those from the National Association of Regulatory Utility Commissioners (NARUC) and many individual states, PJM Interconnection, industrial consumers, and rural electric co-operatives (NRECA).  Many seek specific amendments to Order No. 1920 in light of its then - and even more now - dubious legal foundation.

As a practical matter, Order No. 1920 will not work in its current form, which was obvious when it was released, and the many petitions make that even more clear.  The Commission can wait for a court to strike it down – now far more likely given today’s Supreme Court decision doing away with Chevron deference – or it can respond to those many petitions asking for rehearing or amendments with a new opportunity for amendments.  The Commission still has an opportunity to amend Order No. 1920 into a true compromise that will promote sensible long-term transmission planning, while protecting consumers and respecting and elevating the important role of states throughout the process.  

Given today’s Supreme Court decision overturning Chevron , I hope that this Commission, with its new lineup of commissioners, will be willing to work on amending Order No. 1920 into something that can actually work in the field and is within our legal authority, which the current version is not.
