The logic behind summarizing your points:

Do you remember building a tower with playing cards when you were a child? Every time you added a new card on top, you carefully adjusted and aligned all the other cards under it. It helped you build a tall and stable tower.

The principle applies to your presentations as well. Every new point puts a strain on memory of what was covered earlier. Unless you summarize periodically, your audience can’t remember your points beyond a point (pun intended).

If some people in the audience don’t know who you are, you should introduce yourself and your position.

In a more formal setting, you could say something like this:

  • Good morning everyone. For those who don’t know me, my name’s Simon, and I work in the marketing department.
  • Hello everybody. Before we begin, let me introduce myself briefly: I’m Reese and I’m the head of HR.

If you work in a more informal company, you could say:

  • Hi guys; if you don’t know me, I’m Sylvia and I work in digital marketing.
  • Hello! I see some new faces, so I’ll introduce myself first: I’m Julia and I’m one of our customer service team.

Next, you need to introduce your topic.

If your presentation topic is simpler, you could just say one sentence, like this:

  • Today, I’m going to be talking about our new HR policies and how they affect you.
  • I’d like to talk to you today about quality control and why we’re all responsible for quality control, whichever department you work in.

If your topic is more complex, you might add more detail to break your idea into stages. For example:

  • Today, I’m going to be talking about our new HR policies and how they affect you. I’ll begin by outlining the policies, and then I’ll go on to highlight what they mean for you and your working habits. Finally, I’ll briefly discuss why we feel these new policies are necessary and beneficial for us all.

Here’s another example:

2. How to Make a Strong Start

I’m sure that in your life, you’ve heard good speakers and bad speakers.

Good speakers grab your attention and don’t let go. You want to hear what they have to say. You feel interested and energised by listening to them.

Bad speakers are the opposite. Even if you try to make yourself listen, you find that your attention drifts away. Your eyelids feel heavy, and you have to struggle to stay awake.

So, here’s a question: what’s the difference between good speakers and bad speakers? And, how can you make sure you speak effectively when you make your presentation in English?

Here’s one way to think about it: bad speakers don’t think they have to earn your attention. Good speakers understand that no one has to listen to them, so they work hard to make you want to pay attention.

What does this mean for you, and your presentation?

Getting people’s attention starts from the beginning. You need to make it clear what people should expect from your presentation, and why they should care about what you have to say.

Sounds like a nice idea, but how do you do this?

Here are three techniques you can use.

One: establish a problem which many people in your audience have. Then, establish that you have a solution to their problem.

For example:

  • Have you ever felt unfairly treated at work, or felt that the work you do isn’t appreciated? We’ve been working to design new HR policies that will make sure all staff get fair recognition for their contribution to the company.

In this way, you take a boring-sounding topic like HR policies, and you make it more relevant to your audience. How? By connecting it with their experiences and feelings.

The second technique? Mention an interesting fact, or a surprising statistic to get people’s attention.

  • Did you know that the average office worker spends eight hours a day at work, but only does four hours of productive, useful work? I’m here to tell you about ‘quality control’, and how you can use this idea to make better use of your time.

Finally, you can engage people by telling a short story and connecting it to your topic. Stories are powerful, and they can add an emotional dimension to your topic if you do it well. For example:

  • I once met a young salesman—I won’t mention his name. He spent several weeks building a relationship with a potential client. He worked overtime, and he was working so hard that he was under severe stress, which started to affect his personal life. In the end, he didn’t close the deal—the clients signed with another firm. Today, I’m going to talk about confidence as a sales tool, and how you can avoid the traps that this young man fell into.

Use one of these three techniques in your introduction to connect with your audience and show them why they should be interested in what you have to say.

Here’s a question for you: which technique would you prefer to use, and why?

Okay, now you’ve introduced your topic and you have everyone’s attention. What next?

3. Using Signposting Language

There’s a famous quote about making presentations:

  • “Tell the audience what you’re going to say; say it, and then tell them what you’ve said.”

Have you heard this before? Do you know who said it?

This comes from Dale Carnegie , a very successful American salesman and writer. He lived a long time ago, but his advice is still relevant today.

So, here’s a question: what does the quote mean?

It means that your presentation shouldn’t just give information. You also need to show people how your information is organized.

To do this, you need signposting language.

Let me give you an example to explain.

Imagine you go to a website. The website is full of really useful, interesting information. But, the information is all on one page. There’s no organization, and you have to scroll up and down, up and down this huge page, trying to find what you need. Would you stay on that website?

Probably not. You’ll find a website which makes it easier for you to find the information you need.

What’s the point here?

The point is that having interesting or relevant information is not enough. How you structure and organize your information is equally important.

If you don’t structure your presentation clearly, people won’t pay attention, just like you won’t stay on a website if you can’t find the information you want.

So, how can you do this?

You use signposting language. This means using words and phrases to show the audience where your points begin and end, to show what’s coming next, and to remind them about things you talked about before.

  • Okay, that covers the new policies. Next, I’d like to move on and discuss what these policies mean for you.
  • Now that you’ve heard a bit about what not to do, let’s focus on positive advice to help you be more effective salespeople and close more of your leads.

When you say something like this, you aren’t giving people information about the topic of your presentation. Instead, you’re showing people where you are, and where you’re going next.

It’s a kind of signpost. You don’t need signposts to travel from one place to another, but they can make it easier.

What else can you use signposting language for?

You can use signposting language to move from one point to the next. For example:

  • Next, I’d like to talk about…
  • Let’s move on and discuss…
  • At this point, I’d like to turn to…

You can use signposting language to add detail to an idea:

  • Let me go into some more detail about…
  • Let’s examine … in more depth.
  • I’d like to elaborate on…

You can use signposting language to show that you’ve finished your main points, and you’ve reached your conclusion:

  • To wrap up, let’s remind ourselves of why this should matter to everyone here.
  • Let’s review the key points from this session.
  • So, you’ve heard what I have to say. What conclusions can you take away from this?

If you have an important presentation in English, practice using signposting language.

Use signposting language to move between points, to show when you’re giving a summary or going into more detail, and to signal that you’ve reached your conclusion.

Okay, but things don’t always go so smoothly in real life. We know that! Let’s look at some advice and language for dealing with problems during your presentation.

4. Dealing With Problems

Imagine you’re making your presentation in English. What could go wrong? What problems could you have?

There are many common problems:

You might forget where you were, or forget an important word. You might realise that you said something wrong, or you didn’t explain something clearly. You might forget to mention something important. Or, someone might ask you an awkward question, which you have no idea how to answer.

Of course, there are other possibilities!

Let’s think about these problems. What can you do, and more importantly, what can you say in these situations?

First of all, it’s a good idea to make a cue card with key points, as well as any important vocabulary you need. If you lose your place, or you forget a word, it could help.

However, you can’t prepare for everything. So, it’s useful to learn some phrases to deal with problems smoothly.

If you lose your place, and can’t remember what to say next, you can use a filler phrase like:

If you still can’t remember, look at your cue card with your main points.

Of course, forgetting something isn’t ideal. But, if you do, it’s better to keep talking, rather than just standing there in silence.

What if you make a mistake, or you realise that you didn’t explain something well?

You could say:

  • Let me rephrase that.
  • Actually, what I meant to say is…
  • To clarify, I wanted to say that…

In this way, you can correct yourself without admitting that you made a mistake!

What if you realise that you forgot to mention something important?

Use a phrase like this:

  • Let me just add one more thing:…
  • I’d like to add something to a point we discussed earlier.
  • Let me return to an earlier point briefly.

Again, this allows you to correct your mistake in a confident way, so you look like you’re in control.

Finally, what do you do if someone asks you a difficult question, which you can’t answer?

You have a few options. First, you can delay giving an answer. For example:

  • I’ve allocated time for questions at the end of this session, so we’ll address your idea later.
  • I’m not in a position to answer that right now, but I’ll get back to you later this week.

This gives you time to think of an answer and do some research if you have to!

Next, you can deflect the question, by asking a question back, or maybe by asking other audience members what they think. For example:

  • That’s an interesting question. Before I answer, I’d like to know: what’s your take on this?

Finally, if the question is irrelevant, you can dismiss the question and move on. For example:

  • Thanks for your input, but I don’t see how that’s connected to what I’m saying.
  • I don’t mean to be blunt, but I don’t think that’s relevant to today’s discussion.

Notice how you can use phrases like thanks for your input, but… or I don’t mean to be blunt, but… to make your language more indirect and polite.

So, for dealing with difficult questions, just remember the three d’s: delay, deflect, dismiss!

When giving a presentation in english, there are certain guidelines you should follow. 1. Structure

The general structure of a presentation is the following:

  • Introduction

It is up to you to design these three parts. Using videos or everyday-examples can be a great way to introduce the audience to the topic. The important thing is that you capture the audience's attention from the beginning by making an interesting introduction. The main part is where you present your topic, ideally divided into sections. You can be creative with it - incorporate images, videos, stories or interactive polls . We generally recommend using different kinds of elements, as that makes the presentation more lively. Make sure your main part is well structured, so your audience can follow. In the conclusion, you should give a short summary of the points you made without adding any new information. You can also make an appeal to your audience in the end.

A technique that can help you achieve objective, clear, and structured English presentations, is to use linking phrases that join the separate parts of your presentation together.

English presentations normally consist of an introduction, the main body, individual parts of the main body, and the ending or conclusion.

To help maintain your audience’s attention, you need to signal when you are going from one part to another.

In this article, I teach you 52 phrases that do exactly this – linking the different parts together, and therefore, making your presentation flow better. You’ll find that these phrases will act as ‘signposts’ for the audience when you finish one part and start another.

The introduction.

All good presentations start with a strong introduction.

There are a number of different ways you can begin your English presentation. Here’s a simple, but effective introduction structure which works for most types of business presentations:

Introduce – Introduce yourself and greet your audience. Introduce the presentation topic – Explain the reasons for listening. Outline – Describe the main parts of the presentation. Question policy – Make it clear to your audience when they can ask questions: during or at the end?

  • Give yourself plenty of time to prepare the presentation and to familiarise yourself with the topic.
  • Practice your presentation in front of a live audience such as colleagues or friends.
  • Structure your presentation logically, and briefly summarise your presentation in the introduction to make it easier for your audience to understand.
  • Sum up the most important points in your conclusion and leave a few minutes at the end of your presentation to answer questions from your audience.
  • Use visual aids such as PPT slides to highlight or demonstrate the main points of your presentation. But don’t overload the slides with information as this will detract the audience’s attention from what you are saying.
  • Involve your audience by asking them questions, or drawing on examples that are familiar to them.
  • Be aware of your body language . If you look relaxed and make eye contact with the audience you will come across as confident and your audience will feel relaxed too. Use hand gestures and facial expressions to emphasise your message and don’t forget to smile!
  • Your voice is your most important tool. By varying your tone of voice you can engage your audience. Speaking in a monotone will make the presentation tedious whereas varying the pitch and speed at which you talk will give your presentation energy.
  • Don’t be afraid to be nervous! You will inevitably be nervous the first time you present in front of a large audience. Remember that this is perfectly natural, and try to channel your nervous energy into an exciting presentation !

Introduction

Different people have varying needs for summaries. For a student, summaries are a great way to keep notes. They help them during their exam preparations.

In businesses, summaries are often required during executive meetings. Any kind of report, plan, or strategy could require an executive summary. This is also where summarizing presentations is required. In businesses, presentations are much more valuable and time-saving than a simple article or paper.  

The reason presentations are used is that they can, paired with images and graphs, effectively utilize the least amount of text. However, even these need to be summarized frequently because the executives do not have a lot of time to go through an entire presentation.In this post, we will check out some ways to summarize presentations.

Using a Tool

Not all people have the time to manually summarize a presentation. Businessmen, in general, are always short on time especially when they belong to large corporations. 

They can use summarizing tools to generate succinct summaries of presentations or plans/strategies. 

Summarizing tools are widely available on the internet. And a lot of them are free to use. A great text summarizer can summarize your content in the shortest possible time using the number of words you like.  Some summarizers come with the option of condensing the source material into a paragraph or a series of bullet points. Since there are a lot of tools to pick from, you can try out a few and use the ones that suit your needs best.

Summarizing is a skill that is required in presentations and speeches. These are both mediums using which information and possibly new concepts are provided to the audience. At the end of both, a summary is required to nicely round up the entire topic. Using summarizing tools is an easier way as compared to manually writing a summary since they save a lot of time and effort.

The end and the beginning of a business presentation in English are the most important parts. At the end, you need to summarize the main points and arguments of your business presentation, and often make predictions about what will happen in the future. But remember, it needs to be short!

Exercise: Summarizing in a presentation

In the following text, a man is finishing a business presentation on improving staff performance.

From the context, try to guess what the meaning of the words/phrases in bold are and why they are being said. Then do the quiz at the end to check if you are right.

Speaker: ' Let me end by briefly recapping the main parts of my presentation. Firstly, we talked about how relative staff costs have increased for the majority of large companies over the last 10 years, if not longer. Secondly, we identified that the main cause of this rise stemmed from staff isolation, due to the expanding use of Information Technology in the workplace, reduced direct physical communication and contact between managers and their staff, and out of date management strategies and processes. And lastly, I suggested that one way to resolve this big issue is to adapt a new way of managing staff, where more direct physical communication takes places not only between managers and their staff, but between the staff themselves. I cannot emphasize too strongly the importance that this last part is for your business. We have already seen the rise of companies in the far east, whose ways of working are different to our own and whose relative staff costs are substantially lower than here in the west. In the near future , they will not only be cheaper, but they will have the experience and products to directly compete with you! You need to keep in mind this, because without introducing these fundamental changes in managing your staff, in the long-term you will struggle to innovate and compete with your competitors from Asia without a shadow of a doubt . Although this may all sound doom and gloom, I would like to restate that you can change this. It is in your hands. But you have to change now! Or are you presenting a business idea to potential investors? No matter the context, you’ll want to have a stellar ending that satisfies your audience and reinforces your goals.

So, do you want to learn how to end a presentation with style? Wondering how to end an informative speech? Or do you want to know how to conclude a Powerpoint presentation with impact? We’re here to help you learn how to end a presentation and make a great impression!

How to End a Presentation: 3 Effective Methods

Every presentation needs a great beginning, middle, and end. In this guide, we will focus on crafting the perfect conclusion. However, if you’d like to make sure that your presentation sounds good from start to finish, you should also check out our guide on starting a presentation in English .

Though there are many ways to end a presentation, the most effective strategies focus on making a lasting impression on your audience and reinforcing your goals. So, let’s take a look at three effective ways to end a presentation:

1. Summarize the Key Takeaways

Most presenters either make an argument (i.e. they want to convince their audience to adopt their view) or present new or interesting information (i.e. they want to educate their audience). In either case, the presentation will likely consist of important facts and figures. The conclusion gives you the opportunity to reiterate the most important information to your audience.

This doesn’t mean that you should simply restate everything from your presentation a second time. Instead, you should identify the most important parts of your presentation and briefly summarize them.

This is similar to what you might find in the last paragraph of an academic essay. For example, if you’re presenting a business proposal to potential investors, you might conclude with a summary of your business and the reasons why your audience should invest in your idea.

2. End with a CTA (Call-To-Action)

Ending with a Call-To-Action is one of the best ways to increase audience engagement (participation) with your presentation. A CTA is simply a request or invitation to perform a specific action. This technique is frequently used in sales or marketing presentations, though it can be used in many different situations.

For example, let’s say that you’re giving an informational presentation about the importance of hygiene in the workplace. Since your goal is to educate your audience, you may think that there’s no place for a CTA.

On the contrary, informational presentations are perfect for CTA’s. Rather than simply ending your presentation, you can direct your audience to seek out more information on the subject from authorities. In this case, you might encourage listeners to learn more from an authoritative medical organization, like the World Health Organization (WHO).

3. Use a Relevant Quote

It may sound cliche, but using quotes in your closing speech is both memorable and effective. However, not just any quote will do. You should always make sure that your quote is relevant to the topic. If you’re making an argument, you might want to include a quote that either directly or indirectly reinforces your main point.

Let’s say that you’re conducting a presentation about your company’s mission statement. You might present the information with a Powerpoint presentation, in which case your last slide could include an inspirational quote. The quote can either refer to the mission statement or somehow reinforce the ideas covered in the presentation.

Formatting Your Conclusion

While these 3 strategies should give you some inspiration, they won’t help you format your conclusion. You might know that you want to end your presentation with a Call-To-Action, but how should you “start” your conclusion? How long should you make your conclusion? Finally, what are some good phrases to use for ending a presentation?<br>

Examples of a Good Conclusion

In conclusion, I believe that we can increase our annual revenue this year. We can do this with a combination of increased efficiency in our production process and a more dynamic approach to lead generation. If we implement these changes, I estimate that annual revenue will increase by as much as 15%.

The example above shows a good conclusion for a business presentation. However, some people believe that the term in conclusion is overused. Here’s how to end a presentation using transition words similar to in conclusion .

Transition words help your audience know that your presentation is ending. Try starting your conclusion with one of these phrases:

  • To summarize

However, transition words aren’t always necessary. Here are a few good ways to end a presentation using a different approach.

  • Summarize Key Takeaways : There are two things that I’d like you to remember from today’s presentation. First, we are a company that consults startups for a fraction of the cost of other consultation services. And second, we have a perfect record of successfully growing startups in a wide variety of industries. If anything was unclear, I’d be happy to open the floor to questions.
  • Make a Call-To-Action : I am very passionate about climate change. The future of the planet rests on our shoulders and we are quickly running out of time to take action. That said, I do believe that we can effect real change for future generations. I challenge you to take up the fight for our children and our children’s children.
  • Use a Relevant Quote: I’d like to end my presentation with one of my favorite quotes: “Ask not what your country can do for you — ask what you can do for your country.”

As you can see, your conclusion does not need to be very long. In fact, a conclusion should be short and to the point. This way, you can effectively end your presentation without rambling or adding extraneous (irrelevant) information.

How to End a Presentation in English with Common Phrases

Finally, there are a few generic phrases that people frequently use to wrap up presentations. While we encourage you to think about how to end a presentation using a unique final statement, there’s nothing wrong with using these common closing phrases:

  • Thank you for your time.
  • I appreciate the opportunity to speak with you today.
  • I’ll now answer any questions you have about (topic).
  • If you need any further information, feel free to contact me at (contact information).

Did you know most people only remember the first and last things you tell them? It’s true.

If you are giving a presentation in English, then you definitely want people to remember what you say at the end. And this means your closing must be powerful!

You’ve worked hard on your presentation. You searched for information online. You couldn’t sleep at night. You felt nervous about making mistakes. You spent hours preparing. You reviewed the grammar and vocabulary. You worried about someone asking a question. You practiced and practiced and practiced.

And now it’s the last two minutes. This is the last opportunity for your audience to hear your key points. It is the last chance you have to help your audience remember your comments.

A closing in a presentation should be short and clear. It should summarize your key points. And, most importantly, it should be powerful.

In today’s lesson, you’re going to learn about 3 ways to make your closing more powerful. Plus you’ll learn useful key expressions you can use in your presentation.

Use these 3 strategies in your conclusion to:

  • recapture your audience’s attention
  • get your audience to focus and remember your key points
  • help your audience connect with you and your topic
  • end your presentation powerfully

One: Include a Call to Action (CTA)

Is there something you want your audience to do or think after your presentation. Do you want them to take action? Tell your audience exactly what you want them to do with a Call to Action.

Here’s my example:

“ After you finish today’s lesson, please take 2 minutes to  leave a comment about your experience with presentations. You can share your thoughts or ask questions in the comments section at the bottom of this lesson – it’s the perfect place to join a discussion on this topic.”

A couple useful expressions to help you introduce your CTA is:

  • To close, I’d like to ask you to do this one thing…
  • And finally, before you leave the conference today, please take two minutes to…

Two: End with a Powerful/Inspirational Quote

Is there one thing you really want your audience to remember? Or is there a specific feeling you want your audience to have after your presentation?

Using a powerful quote can help you do that. You could introduce a great quote or interesting statistic with:

  • I’d like to finish with this powerful/interesting/wonderful/inspiring/ quote from …
  • And finally, let’s finish up today’s discussion with this surprising/useful/shocking/hopeful statistic …

Here are some example quotes that might help people be prepared to take action or to think differently. But remember! Always match the quote or statistic to your topic:

“In the end, we will remember not the words of our enemies, but the silence of our friends.”  – Martin Luther King, Jr. “Sometimes we stare so long at a door that is closing that we see too late the one that is open.”  – Alexander Graham Bell

Three: Add a Surprising Fact or Statistic

Is there something you’d love for your audience to think about after your presentation? Is there a statistic or fact that will help someone remember your key points?

A surprising fact can also help re-engage your audience, it will snap their attention back to you.

For example:

Did you know that the human brain’s capacity is limitless – that’s great new right? BUT … did you also know that a person is likely to remember only 25% of a presentation after 24 hours?

Uh oh. That is why it’s SO important to have a powerful ending! Remember: the key is to find a statistic or fact that connects directly to your topic.
