With November just around the corner, I want to introduce you to an idea:  annual reports as infographics .

I will be the first to say that annual reports are a huge chunk of work, especially if your team hasn’t produced them previously. However, I also know that they are extremely valuable because annual reports:

  • Show how much your team has done in the past year, and feel good about it – we all need a reminder sometimes of the great accomplishments we’e made
  • Prepare the team for the new year – it is so important to reflect on your accomplishments before you move ahead
  • Show your stakeholders/partners/funders the great work you have done

Having said that, yes they are A LOT of work. But, have you thought about creating a quick  one-pager year in review infographic  for your team (i.e. an internal product)?

The great thing is that you don’t have to do it alone. Because you are summarizing your team’s accomplishments, it’s probably a good idea to ask them for help to gather the facts and figures you need. And you being the infographic expert and the one with the interest, can execute the idea!

The number one tip I have for you is to identify your objective and audience for this mini-project, because that will help you produce a purposeful product.

Writing healthcare content is all about knowing your audience. You might be writing for patients and their families one day, and physicians or scientists the next. While everything you write needs to be medically accurate, understanding your audience is key to how you communicate. It’s what decides whether your tone is breezy or formal, whether you focus on symptoms or studies, and whether you use complex science terms or plain English.

There’s another healthcare audience that’s often overlooked: donors. Hospital foundations play a vital role in delivering medical care to their communities. They do everything from sponsoring the purchase of new equipment to underwriting free screening programs for the uninsured. To do this good work, foundations need to communicate their mission, needs, and successes to the donors who support them. One important tool for delivering that message is the hospital foundation annual report.

A key goal of the annual report is to update donors on what the foundation has been doing, reassure them that their money has been well spent, and keep them informed about upcoming needs and campaigns. Other goals can include:

  • Share achievements from the past year
  • Detail current projects, campaigns, and goals
  • Remind supporters of the foundation’s mission
  • Introduce donors to foundation leaders
  • Highlight important service lines supported by the foundation
  • Spotlight major donors and the impact of their gifts
  • Inform donors about upcoming fundraiser or events
  • Deliver a call to action, such as asking donors to give

Beyond the charts and graphs of last year’s spending, and the long lists of donors, the hospital foundation annual report can put a human face on the foundation. Most donors want to know they’re helping people, not just a large foundation. For example, the Maui Memorial Medical Center Foundation used case studies in its 2018 annual report. Each cases study highlights a service line from the perspective of a patient, a caregiver, and a donor. By sharing the personal stories and photos of patients who received lifesaving treatment, the clinicians who go beyond the call to deliver compassionate care, the donors who see themselves making a difference in the community, and dedicated volunteers who give the gift of time, a strong annual report brings the foundation’s mission to life.

How to Prepare an Annual Report

Investors must carefully analyze the financial health and performance of any business they consider funding. To do this, they turn to several financial statements that offer glimpses into the organization's inner workings.

Few financial statements are more highly anticipated each year than a company’s annual report, which not only summarizes its performance for the preceding year but charts a course for the one ahead.

With this in mind, knowing how to prepare an annual report is essential for anyone interested in a leadership position. Whether you’re an aspiring entrepreneur, functional lead, or member of your organization’s C-suite, learning how to prepare an annual report can help advance your career.

What Is An Annual Report?

An annual report is a document that describes a company’s financial condition and business operations for the previous year.

Any publicly traded business is required by law to prepare and publish an annual report, which helps current and potential investors decide whether to provide funding.

Businesses not publicly traded can still prepare an annual report if they have private investors who must be apprised of their performance or are in the process of securing private funding.

Components of an Annual Report

An annual report typically consists of the following documents or sections:

  • Letters to shareholders
  • Management’s discussion and analysis (MD&A)
  • General corporate information or business profile
  • Operating and financing highlights
  • Financial statements

Usually, an annual report is split into two halves. The first half contains the company’s narrative in the form of the letters to shareholders, management’s discussion and analysis, general corporate information, and operating highlights—all of which tell a story about how the company performed and worked toward its goals. The second half of the report strips out narrative components and presents data, which investors are encouraged to analyze to draw conclusions about the company.

1. Compile the Business Profile

The business profile is the section of the annual report where you summarize key information about your business. It typically includes information about:

  • Your company’s key products or services
  • Your company’s mission and vision
  • The board of directors and other business officers
  • Your investor profile
  • Your competition
  • Opportunities and risks

This section is also sometimes referred to as the general business information section of the annual report.

When writing this section, remember your goals: to quickly provide new, current, or potential investors the information needed to understand your business and industry.

2. Generate Key Financial Statements

The purpose of the annual report is to provide data and analysis regarding your company’s operations and financial performance. As such, the financial statements it contains are essential.

Important financial statements include your company’s:

  • Income statement
  • Cash flow statement
  • Balance sheet
  • Statement to shareholders

While you can compile the report’s other sections before generating financial statements, it’s best to avoid doing so because your letters to shareholders, management’s discussion and analysis, and other narrative elements should be backed by financial data. Not creating financial statements first makes it possible to tell an inaccurate or incomplete story you’ll later need to correct.

3. Select Operational and Financial Highlights

After generating financial statements, select highlights for your report’s narrative elements. Incorporate a mix of operational and financial highlights. Some examples include:

  • The launch of new products or services
  • The opening of new facilities
  • Major contracts or partnerships
  • News about mergers and acquisitions
  • Rate of revenue growth
  • Whether the company turned a profit or loss for the year

4. Write the Management Discussion and Analysis

While the financial statements included in the annual report allow investors and analysts to analyze your business, the management discussion and analysis section offers you and your team the opportunity to present an internal analysis of financial performance and statements.

The MD&A section also typically contains information regarding key issues your company faces, such as compliance with laws or regulations, systems and controls recently put in place, and new or emerging risks.

While the MD&A section is more subjective than financial statements, it must meet the standards set by the Financial Accounting Standards Board (FASB). This includes ensuring the MD&A is balanced, based on fact, and has both positive and negative information.

5. Write the Letter to Shareholders

The final step is to write the letter to shareholders. This letter is drafted by the CEO, chairperson, or company owner and offers a high-level overview of the business’s operating activities and finances for the previous year.

The letter to shareholders ultimately acts as the introduction to the entire annual report and is the first piece of information investors review. While each component of the annual report is essential, the letter to shareholders is one of the most important to get right.

Writing an annual report can be an overwhelming task to undertake. In this article, we’ll cover what an annual report is, what to include in it, and a step-by-step guide on how to write one.

What’s an Annual Report?

An annual report is a comprehensive overview of a business. It covers the business’s accomplishments in the past year, including growth, projections, impacts, and financial statements. Typically, annual reports are for the shareholders and stakeholders of a company and showcase how their investments have benefited the company. The report also presents future plans and goals.

What to Include in an Annual Report

An annual report can include a lot of information such as financial statements, sales, product descriptions, growth projections, and research and development activity from the past year. It can range from 10 to 100 pages depending on how in-depth you showcase your business and what your shareholders and stakeholders want to know. Here’s a brief list of what you might need to include in your annual report:

●  Sales numbers

●  A letter from the CEO

●  Future product or service plans

●  Market information and projections

●  Marketing strategies

Writing an Annual Report

1. plan and prepare.

Before writing, make a list of what you need to include in the report. You can start with the items listed above. Ask a supervisor or send out a survey to your customers and investors on what information they would like to be updated on.

2. Collect Data, Stats, Forms, and Statements

Once you have an idea of what you want to include in the report, collect all needed secondary information and data. This may include sales reports, financial statements, and customer reviews. Be thorough and make sure you have all the necessary documents to impress your readers.

3. Outline Goals, Projects, and Future Plans

This is the main purpose of an annual report. Stakeholders, shareholders, customers, and even employees want to know where the company or business is going. They need to see growth, stability, and security. For example, are you planning to expand your business ? Do you have a new product or service in the making? Are you wanting to meet certain sales figures? Do you plan to revamp your marketing strategy or hire new employees? Be sure you have clear answers to these questions before you start writing your report.

4. Outline Your Annual Report

Now that you have all the information needed, you can start outlining and organizing your annual report. While you should always start by introducing who you are as a business, the rest is up to you (assuming you don’t have an outline to work from). Be sure to also include any negatives from the past year, such as not meeting sales expectations or high employee turnover. Be transparent and authentic and provide explanations and solutions.

An additional section to consider is an executive summary so people can get an overview of the report if they don’t have the time to read 100 pages. For this same reason, you should consider putting the most important information at the front of the report.

Depending on how long your report is or how many sections you hope to cover, writing is probably the most daunting part of the process. However, if you have all the required information gathered and a solid outline, it shouldn’t take too long or be too tedious. Here are some tips for business writing:

●  Be brief and to the point

●  If possible avoid excessive jargon or technical terms

●  Use a consistent tone

●  Use the active voice

●  Keep it simple

●  Make it skimmable (short paragraphs, bullet and numbered lists)

Now that you have all the text and information written, it’s time to beautify the document to make it visually appealing. This will also include adding and formatting any figures, charts, and graphs you want to include. You should also consider whether you want to print or digitize the text to determine formatting requirements, such as hyperlinks within the text or a reference section at the end. Here are some other things to consider when formatting:

●  A glossary

●  Easy-to-read font and font size
