The Premium Plan

As we’ve mentioned above, QuickBooks Time charges a base fee on both of its plans. But what is this fee for?

The monthly base fee is for several essential services, including unlimited in-house customer support. It also covers all data storage requirements, account setup processes, access to webinars and tutorials for continuous learning, and administrator privileges. 

With admin access, managers can efficiently handle tasks such as running payroll, generating reports, editing timesheets, and managing schedules. This ensures that operations run smoothly and that there’s oversight of the system.

The QuickBooks Workforce Mobile App

The QuickBooks Time Tracker app was officially relaunched as the QuickBooks Workforce mobile app in late June 2023. They stated that all customer data and settings would remain unchanged and that no action was needed on their part.

Other than changing its name, the QuickBooks Workforce app includes some features that were not previously available in the QuickBooks Time tracking app. Companies that relied on QuickBooks Time and QuickBooks Online Payroll could now use the mobile app to manage employee paychecks and W-2 forms in one location. The app is available for iOS and Android devices. When you install QuickBooks Workforce, specific mobile device features may need to be changed for the app to function effectively. Does QuickBooks Time Offer a Free Trial?

Yes, QuickBooks Time offers a free trial. New customers can sign up for a 30-day free trial by selecting the "Try it free for 30 days" option when enrolling in the monthly plan. During this trial period, users can access and use the QuickBooks Time solution without being charged. 

However, to continue using the software after the 30-day trial, customers will need to provide a valid credit card for authorization. Subsequently, they will be charged on a monthly basis at the then-current price for the selected service (Premium or Elite). You can efficiently track time with Timeero and QuickBooks Time without having to buy extra hardware or software. All you have to do is add staff members, invite them via email, and request that they download the respective apps to their iOS or Android smartphones.

To clock in, workers must choose an assigned task on the user-friendly app. Employees can switch from one job to another with both time trackers, ensuring they get paid at the appropriate rates for every task. Additionally, admins can grant workers permission to let them modify time and mileage, run reports, and add schedules.

Businesses that employ mobile workers, such as sales representatives, delivery drivers, and other teams moving between different physical locations, will find GPS location monitoring quite useful. It keeps track of workers' whereabouts in real time and assists in managing their activity.

QuickBooks Workforce has similar features. When a user is on the clock, their mobile app shares their location data. However, it doesn't collect GPS data when they are not clocked in. To use the QuickBooks Workforce app for real time tracking, users will need to set their location settings to "Always."

Geofencing is essential for companies that need to restrict employee movement, and Timeero and QuickBooks Time both support this helpful function. However, there are some differences between the two.

The QuickBooks Workforce "clock in now" feature allows employees to clock in while outside of the geofence as long as they leave a note stating why they were outside of the assigned location. This means that although managers will see which employees were outside the geofence during work hours, it does not prevent off-site punching.

With Timeero, when an employee clocks in outside the geofence, you will receive a notification and their timesheet will be flagged. The software goes a step further and allows you to block employees from logging time if they are outside the set boundary.

Timeero can notify users to remind them to clock in once they enter the geofence. Additionally, Timeero sends out alerts to remind them to clock out when they leave the virtual boundary.  

A great schedule allows employers to staff shifts with team members when they're needed. While both Timeero and QuickBooks Time offer scheduling tools, there are some minor differences in their functionality.

With Timeero, creating a schedule simply requires clicking on a certain day, adding a shift title, choosing responsible individuals or groups, selecting the date, and clicking publish. Color coding is a useful tool for organizing projects and determining how often each change should occur, whether daily, weekly, or monthly.

Timeero limits staff no-shows and scheduling issues by using various reminders. Employees are immediately notified when a schedule is published or changed. The software will notify the management via email if a worker doesn't log in within ten minutes of starting their shift. 

The management has the option to investigate the matter further, reschedule the shift, or give the position to the next available worker. The employee filling in for an absent coworker is notified immediately of the schedule change and is given the choice to accept or decline the shift. 

With QuickBooks Time, a schedule is as easy to set up as it is to change. You can use the drag-and-drop interface to move things around. The software also sends automatic alerts to employees when a schedule is created or changed to make sure everyone is updated.

Mileage tracking is one area where Timeero excels in accuracy. Its motion-detecting technology makes sure that when the car reaches a certain speed (usually 4.47 mph), it begins to record mileage. This means that walking would not count as mileage.

It’s also worth noting that mileage tracking is only available in the Elite plan, so you’ll need to pay extra bucks to access this feature on QuickBooks Time. Timeero offers a function for route optimization called suggested mileage. This feature compares the best route with the actual one, allowing drivers to save time and gas. Unfortunately, QuickBooks Workforce doesn’t have a similar tool. 

Time-Off Management

The PTO tracker in QuickBooks Time makes it simple for users to automate "time off" tracking. Business owners can also decide if workers must submit requests for approval or if they can take time off without authorization.

We especially liked that QuickBooks Time provides leaders with a snapshot of where every employee is at throughout the day and offers real-time project reports, allowing admins to view results by tasks, workers or jobs. It also has tools for optimizing your budget, including mileage trackers and the ability to measure billable and nonbillable time.

On the employee’s end, the mobile apps show schedules and available paid time off (PTO). They can request PTO and receive alerts about schedule changes or new jobs. These features help mobile workforces stay informed and ensure payroll accuracy. However, we found that QuickBooks Time doesn’t offer web and app usage tracking. QuickBooks Time is cloud-based software that you and your team can access via browser-based and mobile applications. We found the system relatively easy to navigate, with an interface similar to other QuickBooks products. Consequently, the learning curve is minimal for most administrators and employees.

Drag-and-drop scheduling tools work well for weekly schedules and last-minute changes. Managers can use geotechnology to add a new job, choose an employee nearby and send them a push notification. The mobile app lets remote teams punch in and out from any location, track time for projects or customers, view timesheets, and request time off.

QuickBooks Time also expands functionality by offering built-in mileage tracking and job costing tools. With these features and others, administrators can pull comprehensive reports with data and insights about time, attendance, schedules and budgets. We found that the software does have fewer integrations than When I Work or TimeClock Plus, but it connects with leading payroll solutions like Gusto and QuickBooks Online.

QuickBooks Time has several features we looked for in the best time and attendance software that allow you to easily track and manage your mobile workforce. The tools let staff complete timekeeping and scheduling tasks from their mobile phone.

Time Reporting

Accurate time reporting is vital when using time and attendance software, and most tools we reviewed offer onsite and mobile logins. Likewise, QuickBooks Time supports workplace flexibility , allowing users to punch in or out from a mobile app, web dashboard or on-premise kiosk. However, QuickBooks Time offers an additional advantage that we especially liked for field teams with its Crew functionality. With this feature, the crew leader can clock their entire team in and out as they move to job sites. OnTheClock is the only other provider we reviewed that has a group login option.

We particularly liked that time data transfers to employee timesheets, giving individuals, account administrators and managers access to position-relevant information. With customizable alerts, QuickBooks Time can remind workers to clock in or out and notify supervisors when logins don’t match the schedule.

PTO Management

Paid time off management tools aren’t available with all time and attendance software. But QuickBooks Time lets you create custom PTO rules , including accrual settings. Mobile teams can use their smartphones to check PTO balances and request time off. With the request-and-approve workflows we tested, managers can authorize requests from the web dashboard and notify staff through text and email alerts. QuickBooks Time also has a bulk time off option for administrators, allowing them to create time-off entries for public holidays or company-wide closures.

Employee Scheduling

Unlike TimeClock Plus, every QuickBooks Time subscription includes employee scheduling capabilities, which can improve shift planning . You can build schedules by shift or job using drag-and-drop tools on your smartphone or computer. We also found it easy to save time by copying and editing a previous schedule.

The Who’s Working? window shows managers which employees are available for urgent jobs. From there, managers can assign a technician to a task or customer and notify them of shift changes or additions, which we found effective for leading a dynamic project. Regardless of where your crew works, they can add work schedules to their favorite calendar tools like iCalendar, Google and Outlook.

Geotechnology

Several time and attendance platforms, including Clockify and When I Work, offer GPS capabilities when employees clock in or out. However, these programs don’t track precise movement during shifts. QuickBooks Time, on the other hand, is able to monitor locations throughout your team’s entire shift. We found this functionality lets dispatchers confirm a technician’s location in real time and deploy them to nearby job sites quickly.

QuickBooks Time also has geofencing capabilities, which remind workers to punch in or out at job sites. Plus, the Elite plan comes with automatic GPS mileage tracking, a tool that few time-tracking tools offer. It tracks all mileage while your employees are on the clock and displays them on timesheets, mileage and payroll reports. We found these tools to be the most useful for mobile workforces out of any offered by time and attendance platforms in our review.

Job Tracking

Although QuickBooks Time offers fewer project management features than Clockify, it does help employees and managers monitor job schedules and task progress. Since it syncs with QuickBooks, you can import existing customers to your QuickBook Time program or create a new project and client.

Job or project-specific features include a chart comparing budgeted hours to actual hours worked and timesheet audit trails necessary for government contracts. QuickBooks Time doesn’t offer in-app messaging, but the activity feed tracks all job-related details, including notes from employees and managers.

We tested QuickBooks Time’s 30-day free trial and provides access to technical support with an expert to walk you through account setup. Alternatively, you can forgo the trial, sign up at a discounted rate, and receive a complimentary 60-minute guided setup call. During the call, we found that the agent helps configure your job codes and time-off rules and integrate existing payroll software.

After selecting your subscription and entering payment details, you can finish setting up your account. QuickBooks Time recommends integrating your app with third-party tools before proceeding. It provides guides for various payroll providers. From there, configure your company-wide settings, pay schedule, overtime rules and clock-in options.

You can also set up different time tracking features, such as location tracking and geofencing for mobile workers. We found these to be flexible, enabling a staff member to clock in from their mobile device at a job site and finish their day by punching out from your office kiosk. If your business bills customers for jobs and projects, you can configure these now so your employees can attach tracked time and expenses to a customer’s account or project. After you complete the setup, invite your team or import them from your integrated payroll service.

QuickBooks Time Customer Service

Like other time and attendance services, QuickBooks Time has a vast knowledge base, video tutorials, on-demand webinars and a community forum. We liked that it also offers paid training programs. However, there’s one caveat. Intuit has many products and services, and you may have to weed through search results to find answers applicable to QuickBooks Time.

The same goes for customer support. You may be transferred if your problem is associated with your QuickBooks accounting program or merchant account. With that said, the representatives are helpful and can guide you through nearly any issue. And, unlike When I Work, QuickBooks Time provides a toll-free number for phone support. You can also contact the company without leaving the mobile or desk apps. Customer support is available Monday through Friday, from 6 a.m. to 6 p.m. PT.

QuickBooks Time Drawbacks

QuickBooks Time generally costs more than the other time and attendance tools we reviewed. Unlike its competitors, QuickBooks Time requires a monthly subscription of $20 on top of $8 per-user fees. That said, it does offer more robust GPS and geofencing tools than other apps we tested.

QuickBooks Time also lacks in-app messaging and shift-swapping features, which make scheduling retail or restaurant shifts more challenging. Other software in our review, like When I Work, offered better shift coverage tools.

It even comes with facial recognition clock-ins, a functionality that can help eliminate time theft and prevent buddy punching .

While you can use ClockShark’s client invoicing and payments features, integrating the software with QuickBooks Online allows you to use Intuit’s accounting solution to do the same and more, such as track your business’ cash flow and monitor expenses. Those who left feedback on review sites, such as G2 and Capterra, even said that its support reps are very responsive (the quality of QuickBooks customer service is inconsistent). Unlike the other time tracker integrations for QuickBooks we reviewed, Homebase doesn’t charge on a per-employee basis—instead, monthly fees are based on the number of work locations you have. Plus, it logs the actual time when workers clocked in and out for work, and computes the total hours minus break times. This makes Homebase a perfect fit for multi-location businesses that employ mostly hourly workers.

If you connect Homebase with QuickBooks Online, you can easily export employee work hours for client invoicing while avoiding data entry errors. Even if you decide to use Homebase’s payroll add-on to pay employees, its integration with QuickBooks allows you to efficiently update your labor costs and general ledgers. And, if you prefer to use QuickBooks Payroll to process employee payments, Homebase lets you get information about its employee time cards (with break, overtime, and PTO details), for payroll.

These functionalities contributed to Homebase’s overall high rating in our evaluation. We also appreciate that it offers a free trial and a free plan, with HR features that extend to more than time tracking and staff scheduling (it even has hiring tools). However, its email-only support for all plans (live phone support is included in paid tiers) and the user-reported data sync issues for overtime hours prevented it from ranking higher on our list.

  • Robust compliance and time controls: Homebase, which is one of our top time and attendance software , is the only provider in this guide that comes with robust controls for preventing early clock-ins and overtime. It even lets you limit the number of employees who can file PTO for specific dates, and you set blackout dates for days when PTO isn’t allowed. It can also track employee certifications, time sheet edits, and federal and local breaks or overtime rules to help you stay compliant.
  • Integrated payroll tool: While payroll is a paid add-on to Homebase’s main time tracking and scheduling platform, this solution is slightly cheaper than QuickBooks Payroll ($39 plus 6 per employee monthly vs $45 plus $6 per employee monthly). If you use Intuit products to manage your business’ accounting and payroll processes, getting QuickBooks Time makes better sense than connecting QuickBooks Online to a third-party time tracking software. Data imports between Intuit solutions are also easier and more seamless, with automatic time data transfers for client billing and even pay processing (if you have QuickBooks Payroll). Plus, upgrading to its Elite plan unlocks mileage tracking and project monitoring features, including an electronic signature tool for digitally signing timesheets.

While QuickBooks Time is great for QuickBooks users, it didn’t get the top spot on our list because of the inconsistent quality of service that its support team provides and the occasional software glitches reported by actual users on review sites (such as G2 and Capterra). Support hours are also limited—you can only contact QuickBooks on weekdays. This is unlike ClockShark, which offers phone and chat support the whole week through.

In addition, it isn’t as affordable as some of the providers on our list. You have to shell out at least $20 plus $8 per employee monthly for QuickBooks Time, whereas Timesheets.com only costs $5.50 per employee monthly. And to integrate it with QuickBooks Online, you have to sign up for the Essentials plan, which is priced at $60 per month.

  • Solid project time tracking: With QuickBooks Time, you can track hours worked on projects and the different tasks linked to specific projects. Comparing budgeted work hours to actual attendance data is also easy with its reporting tools that let you drill down data to jobs, tasks, and employees. It even has an in-app project activity feed that you and your team can use to share task updates and upload photos as proof of the completed job (if needed).

Timesheets.com: Best for Those Looking for an Affordable Time Tracker

While there are different ways that you can track employee hours , Timesheets.com offers the basics for capturing time data—via employee clock ins/outs or an online timer for tracking the number of hours worked. Aside from tracking time, it has staff scheduling, PTO monitoring, and even mileage and expense monitoring tools. Its monthly rate is also less expensive than the other time tracking solutions in this guide, with its basic plan costing only $5.50 per user ($4.40 per user for nonprofit organizations).

Online time sheets are also available to help you keep track of staff attendance, job costs, bill rates, and even grant allocations (none of the software we reviewed can monitor grants for nonprofits). Integrating it with QuickBooks Online helps you send client invoices, monitor customer payments, and update your accounting ledgers. If you have QuickBooks Payroll, you can use its employee attendance data to process salary payments and mileage and expense reimbursements.

However, its mobile apps only have geolocation tracking features. Unlike the other providers in this guide, it doesn’t prevent clock ins/outs from unauthorized locations—you can only limit the transactions based on IP addresses. This, along with the limited break and overtime controls, including the occasional software glitches reported by actual users on popular review sites (like G2 and Capterra) prevented Timesheets.com from getting a higher overall rating in our evaluation.
